Program Director Portal Overview AACN s secure Program Director (PD) portal is designed to assist you in supporting your graduates through the certification process and provide valuable feedback to you on your graduates exam performance. The portal virtually eliminates paperwork while providing a convenient way for you to: Complete an Educational Eligibility Form (EEF) online for your graduates with an option to auto-populate the fields with your approved curriculum Complete EEFs for your entire class upon graduation or individually as graduates apply for their APRN exam Track the application status of your graduates Access pass/fail results for your graduates View and download graduate performance reports, including aggregate and individual graduate pass/fail data View and download reports by content area and compare your graduate s performance to national results Upon login, the Portal Dashboard is displayed. All Portal options are displayed in the left navigation area of the screen. These options are explained in detail in the following sections of this document. 1
Program Director Portal Dashboard Overview Program Name: The information displayed in the dashboard applies to the program selected. Only the programs setup for your school will be available for selection. AACN program options are: ACNPC-AG Adult-Gerontology Acute Care Nurse Practitioner ACCNS-AG Adult-Gerontology Clinical Nurse Specialist (wellness through acute care) ACCNS-P Pediatric Clinical Nurse Specialist (wellness through acute care) ACCNS-N Neonatal Clinical Nurse Specialist (wellness through acute care) Create New EEF Button You can complete an Educational Eligibility Form (EEF) for a candidate prior to the candidate applying for the exam with AACN. We call this a proactive EEF. See the Entering an EEF section of this document for details. 2
PD Information (More) - Click more to display the contact information in your profile. Update information and click save changes to update your profile. Click the x or Discard Changes button to exit the screen without saving the data. Dashboard Grids: Grid 1 - Pending Educational Eligibility Form (EEF) This grid displays applications for those candidates who have applied for an AACN certification exam and an EEF needs to be completed as well as proactive EEFs that are in progress. Grid 2 - Submitted to AACN for Approval EEFs that have been completed and submitted to AACN for review are displayed in this grid. Grid 3 - Approved to Test Candidates who have been approved to test are displayed in this grid. Grid 4 - Exam Results Candidates who have tested are displayed in this grid. Grid Sort Order: Default Order: Each grid has a default sort order. The default sort for grids 1, 2 and 3 is application date with the most current application on top. The default sort for grid 4 is exam date with the most recent exam date on top. Sort Options: Click on the header in any grid to sort by that column. For example, in grid 4 if you wanted to view exam results by candidate name, click on the name header. Click the header again to reverse the sort (e.g., A to Z, then, Z to A). Next For grids with multiple pages, click the Next button to see the next page. Click >> to go to the last page. Click previous to go to the previous page. 3
Grid 1 Pending Education Eligibility Form (EEF) Name: Click on the candidate name to access the EEF form for the candidate. App Status: Application status for candidates in grid 1 will generally be Applied. Applied means the candidate has submitted an exam application to AACN. The only time the status will be Not Applied is if you have started a proactive EEF, saved it, but not submitted it to AACN. App Date: This is the date the candidate submitted his/her application to AACN. EEF Status: There are three EEF statuses; New, In Progress and Submitted New status is used when a candidate has applied and an EEF needs to be completed In Progress status is used if an EEF has been started and saved, but not submitted to AACN Submitted once an EEF is saved and submitted the status is changed and the application moves to grid 2 Default Sort: The default sort for Grid 1 is application date, with the most recent application appearing on the top. Grid 2 Pending Education Eligibility Form (EEF) App Status: As in grid 1, a status of Applied means the candidate has submitted an application to AACN. A status of Not Applied means that this is proactive EEF. EEF Status: All applications in grid 2 will have an EEF status of Submitted. This means this EEF has been completed, submitted to AACN and will be reviewed along with the candidate s transcript for approval to test. Default Sort: The default sort for Grid 2 is application date, with the most recent application appearing on the top. 4
Grid 3 Approved to Test Name: In grid 3, click on the candidate s name to view the EEF form submitted. Exam: Initial indicates the candidate is testing for the first time. Retest indicates candidate has tested previously, was unsuccessful and has applied to retake the exam. Default Sort: The default sort for Grid 3 is application date, with the most recent application appearing on the top. Grid 4 Exam Results Exam: Initial indicates the candidate is testing for the first time. Retest indicates candidate has tested previously, was unsuccessful and has applied to retake the exam. As this grid displays both initial and retest candidates a candidate may appear more than once in this grid. Default Sort: The default sort for grid 4 is test date, with the most recent test date appearing on the top. 5
Program Director Portal Educational Eligibility Form (EEF) An Educational Eligibility Form (EEF), completed by the Program Director is required for each APRN exam applicant. Email notification will be sent to the Program Director when a candidate has applied for one of AACN s exams. The email subject line will include the name of the candidate and the exam for which they have applied. Enter an EEF for candidates who have applied with AACN Names of candidates who have applied with AACN will appear in grid 1, the Pending Educational Eligibility Form (EEF) section of the dashboard. Click on the candidate s name to access their EEF form. If there is an approved curriculum on file for the degree specified (e.g.; Masters, DNP or Post-masters certificate) the approved curriculum will automatically populate the form. The auto-populate feature is setup as a default for all approved programs but may be turned off upon request. 6

Clear Curriculum: Click to remove all the course information from the EEF. This will give you a blank form which you can complete as needed. You may wish to use this if the candidate s EEF is so different from the approved curriculum that it s easier to enter the entire form manually. Import Approved Curriculum: Click to re-import the information. You may want to use this option if you have made changes to the EEF that aren t correct and you wish to start over with the approved curriculum. Changing EEF Entries Remove a Course: Click the remove box and then the Save button to remove a course. Add a Course: Click the Add a course link and the Course Number text box will appear, type the course number information then tab to move to the Course Type and Units fields. Complete the line and click the Save button to save the new information added. Transfer Credit: Check this box if the course entered to meet this requirement was completed in a different program. Edit an Existing Course: You can t edit the course number, course type or units for an existing course. If that information needs to be changed; you must remove the course and then use add a course and reenter line with correct information. Edit Clinical Hours: You can edit clinical hours, simply click in the box and enter the correct hours. 8
Save and Submit to AACN: Use this option when the EEF is completed and you are ready to submit it to AACN. This will move the application to grid 2 of the dashboard. Save: Use this option to save information without submitting it to AACN. You may want to use this option after making changes to the EEF to view the modified form and validate the changes made. Applications that have been saved will appear in grid 1 of the dashboard with an EEF status of In Progress. Close: Use this option to close the EEF form without saving the information. The application will remain in grid 1 of the dashboard with an EEF status of New. 9
Enter an EEF for candidates who have not yet applied with AACN ( Proactive EEF ) You have the option of entering an EEF for your graduates before they apply with AACN. This option allows you to proactively enter EEFs for all your students upon graduation. Once the candidate applies with AACN, the appropriate proactive EEF will be linked to candidate s application. To enter a proactive EEF, click the Create New EEF button. The New EEF window will open, complete the information and click Save. All fields are required. First Name/Last Name: It is important to spell candidate s name correctly and use their full legal name if known as the name along with the other information entered will be used to match to an application. Save: Click the save button to save the information and open the EEF form. If there is an approved curriculum on file for the degree selected (e.g.; Masters, DNP or Post-masters certificate) the approved curriculum will automatically populate the form. Cancel: Use cancel to exit this window without creating a proactive EEF. 10
Complete the EEF as described in the section above, use save and submit button upon completion. Proactive EEFs submitted to AACN will appear in grid 2 of the dashboard with an App Status of Not Applied. If you wish to save a proactive EEF that is in progress but not complete, you may do so using the Save button. The EEF will appear in the grid 1 of the dashboard with an App Status of Not Applied and an EEF Status of In Progress. 11
Program Director Portal Reports Overview The Dashboard is the page displayed upon login. You can access the other portal options using the left navigation links. Click Reports to access the Program Director (PD) Reports Page. There are currently four reports available, each are described in the sections below. 12
Report Selection Criteria Date Range Type You may select either Exam Date or Graduation Date. If exam date is selected, data for all those who tested between the start and end date entered will be included in the report. If graduation date is selected then the report selects data to include based on the candidate s graduation date. Start Date Enter the start date for the report. End Date Enter the end date for the report. Include Student Name This selection option is available for the Exam Results Report and the Exam Results with Content Area Report. If No is selected these reports are generated without candidate names. Viewing, Exporting and Printing Reports 1 [ T 2 [ T View y y p p 1. Reports with candidate data include the option of sorting by Name, Grad Date or Exam Date. Click the arrows next to the column you wish to sort on. The arrow will change to a single up arrow indicating a sort in ascending order (e.g., A to Z or 1/1/2013 to 12/31/2013). Click the single arrow again to change the sort to descending order (e.g., Z to A or 12/31/2013 to 1/1/2013). Export You can export a report by clicking the drop down arrow as displayed below. The available formats are listed for your selection. Once you export a file, you have an option to open it or save it directly to a drive. Print Click the printer icon to send the report to your printer. 14
Reports Summary Aggregate Program Report This report provides summary results for all exam candidates, from all programs, for the time period selected. The information includes performance by content area. Report Definitions Overall Pass Rate Pass rate for all candidates tested; includes each attempt for candidates retesting due to failed attempts. First Time Pass Rate Pass rate for the initial attempt for each candidate. Number of Schools Total number of schools for which we have data within the selected date range. School Pass Rates The range of school/program pass rates for the schools included on the report. Number of Candidates per School The range of number of candidates tested for each school included on the report. In this sample report, at least one school had just one candidate and at least one school had a total of 26 candidates. 15
Exam Results Report This report includes exam results for candidates within a selected date range. Candidates can be selected by exam date or graduation date. This report can also be generated without names if needed. School Summary Report This report provides summary results for exam candidates from your program for the time period selected. The information includes performance by content area. First Time Pass Rate Pass rate for the initial attempt for each candidate. Candidate Score Range Low score to high score range for candidates included on the report. 18

View Approved Curriculum This option displays the approved curriculum for the program selected. This is a view only function. If your curriculum has changed and needs to be updated, please contact us using the Contact AACN option. If you have multiple approved curriculums (e.g., Masters and DNP), click on the selection you wish to view. 20
Contact AACN This option allows you to send an email to APRNcert@aacn.org. Your name and the email address on file will automatically be included in the message, so contact information does not need to be included unless it s different from what we have on file. See the more link in the top left corner of the portal page for your contact information on file. 21
