Proofpoint provides the capability for external users to send secure/encrypted emails to EBS-RMSCO employees. To create a new email message to be sent securely to an EBS-RMSCO employee: 1. Click on the following link to register with the EBS-RMSCO Encryption appliance. https://smail.rmscoinc.com/encrypt (If you are unable to click on the link, copy and paste the link into the address bar of your Browser and press enter.) 2. Once connected Save the site to your Favorites for future use a. Click Favorites -> Add to Favorites b. Enter a Name for the Favorite and click Add 3. Enter your email address and press Continue
4. If you are already registered to view encrypted emails from EBS-RMSCO, you will be prompted to enter a password. Enter the password that you created for viewing encrypted emails from EBS-RMSCO, and go to step 13 to create a message. Otherwise continue on to step 5 5. This will bring up a onetime only setup screen to setup your personal user account as shown below:
6. You will then need to assign yourself a password to be used when logging into the system to create encrypted messages or to read encrypted messages from this point forward. You will notice that as you type the password, a box will appear with the policy for creating passwords. As you complete each password requirement, a green checkmark will appear next to the policy as shown below. All (5) requirements for the password policy must be met in order to continue.
7. You must also complete the Password reset questions listed under password reset. These questions will be used if at any time you forget your password, and need to have it reset. There are (10) possible questions to choose from for the first question. Click on the down arrow as shown below to select your first question.
8. Highlight the question you wish to answer and then type the answer in the space provided. Next, type in another personal question in the Question 2: space provided. Type the answer to that question in the Answer space provided as shown in the example on the following page. Be sure these questions are ones you will remember the answers to. 9. Once you have completed the two questions, (), click on Continue at the bottom of the screen, as shown above. 10. This will display the following message:
11. You will receive an email from proofpoint-pps@rmscoinc.com with a subject line of Proofpoint Encryption Registration. Click on the link that is included in the body of the email within 30 minutes of receiving the notification. 12. The following message will display. Click on Continue.
13. Enter a valid EBS-RMSCO email address(es) in the TO: field. (If sending to multiple addresses, separate the addresses with a ; followed by a space). Enter your subject, and compose your email. Attach files by clicking on the Attach a file link if applicable. a. If attaching a file, the following window will display after clicking on the Attach a file link.. b. Click on the Add button indicated above
c. Browse to the folder where the file which is to be attached resides, select the file and click Open d. The file name will display in the window as shown below. Click on the Upload button to complete the process.
e. The attached file will display next to the Attach a file link. 14. Click Send when completed. Please note: If you select Send me a copy, a copy of the email will be sent to you encrypted. 15. The following message will display to confirm that the email was sent successfully. 16. Click on Logout to exit, or New Message to compose another message to an EBS-RMSCO employee.
When composing secure emails for EBS-RMSCO employees from this point on, just click on the link you created in your Favorites and the following logon screen will appear. Enter the email address that you used to register in step 3 and click Continue Enter the password that you entered during registration, and click Continue
