NU Mobile Desktop Videoconferencing: User Guide Make sure you have access to desktop videoconferencing by requesting an account on the NUIT Desktop Videoconferencing website here click on Request and Account. http://www.it.northwestern.edu/desktop-videoconference/index.html Download and Install the NU Mobile Desktop Videoconferencing App The mobile app is available to anyone who has an NU desktop videoconference account. - Access the App store on your ios mobile device - Search for Vidyo - Locate the mobile app and press Install - Enter your Apple Store credentials and press OK The app will download and install onto your ios device. Android - Locate Vidyo in the Android Market, click the Install button Effective Winter 2013 3

Configure the Mobile App 1. Locate the app on your ios or Android mobile device 2. Press the icon once run the app 3. Enter the portal address - main.vidyo.northwestern.edu 4. Enter your NetID and NetID password, then press Login The client will authenticate using NetIDcredentials. If you encounter an error, try entering your credentials again or call 1-HELP for assistance with your NetID. Effective Winter 2013 4

Navigate the Mobile Videoconferencing Interface Choose between the following options - Join your room - Browse and connect to your contacts - Search and connect to others in the directory - Search for an connect to room-based videoconference system Join your Room Press the Rooms button in the system toolbar to display the rooms that are assigned to you. In most cases, you will only see your own name listed. Press your name once to join your own room. Browse and Connect to your Contacts Press the Contacts button in the system toolbar so browse your saved contacts. To initiate a call, press the name of the person in the list and then choose between calling direct or joining their room. If they are not online, direct calling is not possible. Search and Connect to Others in the Directory To connect with those who are not in your Contacts list, press the Search button in the toolbar. Enter the first, last or whole name of the person you need to connect with and press Search button on the virtual keyboard. Search and Connect to Room-based Videoconference Rooms To locate and connect to room-based videoconference systems in the directory, press the Search button in the system toolbar and enter a 3, then press Search on the virtual keyboard. This will show all of the available videoconference rooms in the directory. Add Contacts During any search, you can select a user or room from the directory and press the Add Contact button to display in your Contacts list in the future to speed up the process. Mobile Desktop Videoconference Call Scenarios This section provides step-by-step instructions on how to conduct desktop video calls using different call scenarios. Mobile to Desktop (Direct) Follow these steps to conduct a one-to-one videoconference. 1. Search for the user in the Mobile interface. 2. Press the name and if status indicates available, then press Call Direct. 3. The other party can accept or deny the call. Mobile to Room-based system Follow these steps to conduct a one-to-one or a one-to-many videoconference using an existing videoconference room. 1. Press the Search button in the system toolbar. 2. Enter a 3, then press Search on the virtual keyboard to display the available videoconference rooms in the directory. 3. Select the room from the list. 4. Press the Call Legacy button to dial out to the room. Mobile Desktop Multipoint Videoconference 1. Locate the meeting room you ll be joining a. Join your room by going to Rooms and pressing your name. b. Browse your Contacts or Search for the name of the meeting room. 2. Select the name from the list and choose to Join Room. Guest Participation (non-account holder) 1. Locate a meeting URL provided by an account holder from an email or text message. 2. Click the URL to join the meeting. Note: The Vidyo app is required to join a meeting as a guest from a mobile device. 3. Enter your name, click Join 4. Use the normal videoconference functions to control audio, video, and content. Viewing Data in your Videoconference When data is being shared in your videoconference, mobile users will not automatically view the data. The toolbar at the bottom will pop-up and display the data icon (lower left). 1. Press the Data icon in the Toolbar. 2. When the data thumbnail appears, double-tap the thumbnail to enlarge it. 3. Press the Star icon once. This will merge the data with the video 4. The data will appear on screen along with up to 4 other windows. Effective Winter 2013 7

5. Double-tap the data window to enlarge it. 6. Press the X to close the data window to return to only video windows. 7. Rotate your device for a different view. 8. Manipulate the data - use two fingers, touch the screen and stretch the window to zoom in you can drag the data window back and forth - use two fingers, touch the screen and shrink the window to zoom out Effective Winter 2013 8

Mobile Videoconference Toolbar When using the Mobile Desktop Videoconference application, there are several functions that can be performed during a call. Content: Specs: Front Camera: Rear Camera: Mute Camera: Microphone: Microphone Mute: Speaker: Speaker Mute: End Call: When data is being received, the Content icon will appear in the toolbar. Tap the icon to view the content. Displays video bit-rates and bandwidth during the call. The primary camera will be used on your device. Press the camera icon once to switch to the alternative camera. Turn off your camera. This reduces bandwidth requirements in poor network conditions. Your microphone is active and you can transmit audio. A muted microphone prevents others from hearing you. The videoconference audio is on. Adjust the volume on your device as needed. Turn off sound from the videoconference. You can also use the volume adjustment on your device to mute the audio. Press the End Call button to disconnect. Mobile App Limitations Limitations of the mobile client that should be noted in comparison to the desktop client. Sharing Data The mobile app does not provide the mobile user to send any data or content into a videoconference connection. The mobile app can receive data only. Mobile Connection to MCU session Connections to the MCU are not possible at this time. The Mobile interface does not allow dialing connections that are not registered with the directory. We expect future revisions to the App to provide this functionality, but at this time it is unavailable. WiFi and 3G/4G Connectivity WiFi connections, particularly those at a University and even some high-speed home networks, will provide the best possible connection. 3G/4G connections will limit the quality of video that is transmitted and received from your device. It is recommended to use WiFi whenever possible for best results.
