1 : Introducing Cisco Jabber personal videoconferencing Cisco Jabber is a cloud-based service that allows you to participate in Deakin videoconferences via Virtual Meeting Point (VMP) from wherever you are - using your laptop, desktop or tablet computer. You can use it on-campus, at home, overseas or anywhere where you have wired, WiFi or 4G internet access. Cisco Jabber is currently available for PC, Mac and ipad. Androids will be added in Getting started First you will need to create your own Cisco Jabber video address and install the software. This is described in the Installing Cisco Jabber help sheet. Using Cisco Jabber Using Cisco Jabber is as easy as using a telephone and more information can be found in the Using Cisco Jabber help sheet. Things you should know You can use Jabber to dial another Jabber user directly, or to dial into a Deakin Virtual Meeting Point (VMP) conference. You may not be able to dial videoconference rooms directly. When using Jabber, you dial into a Deakin VMP using the format 522xxxxx@deakin.edu.au When creating a Jabber account you should use the format firstname.lastname@jabber.com (where available) because this is how your name will be displayed to others in a conference, for consistency with your Deakin address, so that we can easily contact you with updates and information about the service. While generally acceptable, the quality of audio and video sent and displayed by Jabber may not be to the same standard you are familiar with in a Deakin videoconference room. Adjusting the quality of your Jabber is described in Installing Cisco Jabber. In particular, home Internet services may not deliver good quality pictures from Jabber to the other end. Testing your home internet service, and how to improve this, is described in Installing Cisco Jabber. Jabber is only suitable for one person per workstation, and is not suitable for use in large meeting rooms. Multiple Jabber devices can join the same conference. 2 Recommended accessories While Jabber is most convenient to use with the inbuilt camera, microphone and speakers of your laptop or ipad; in noisy environments it is advisable to use a headset or appliance as listed below. Similarly, better pictures result if you add a quality camera to your PC or laptop. 3 : Installing Cisco Jabber personal videoconferencing Creating your own Jabber video address To begin using the Cisco Jabber cloud service, first do the following: 1. Use a web browser to go to and choose the Get Jabber Video option. Note: you only use this URL for creating your account NOT for actually using Jabber. 2. On the next screen, enter your details. At the address field use your official Deakin address. Then choose a username for your video address. We recommend you choose firstname.lastname@jabber.com (where available) as this is the name you will be known by. firstname.lastname@jabber.com is NOT an address, even though it looks similar. 4 Installing Jabber on an ipad Simply download the free Cisco Jabber for ipad App from the Apple App store. When logging in remember to use your full Jabber video address Installing Jabber on a PC or Mac (laptop/desktop) An will then be sent to the address you registered with, containing instructions on how to install Cisco Jabber. Please follow these instructions to complete the installation of Cisco Jabber. Configuring Cisco Jabber for use (PC/Mac) Because this is a cloud service, we cannot automatically deploy Cisco Jabber to your PC or Mac and automatically configure it for you. You will need to do this yourself. The default settings may be satisfactory or you will need to complete the following steps if you wish to change them: 1. Open Cisco Jabber from the start menu (Windows) or from the dock or applications folder (Mac). Select the preferences icon and choose Settings as shown below. 2. Choose Audio in settings and ensure your headset speakers and microphone are selected and functioning correctly. Choose alternative speakers and/or microphone if required. 5 3. Choose Video in settings and ensure that your camera is selected and functioning correctly. Choose an alternative camera if required. 4. Choose Notifications in settings. Choose the ringtone and mute settings you prefer. Click OK. Your Cisco Jabber client is now configured and ready to use. You can open and use Cisco Jabber at any time from your notification tray (Windows) or dock (Mac), as described in the Using Cisco Jabber help sheet. Testing your home internet service Your home internet service needs to be suitable for Jabber to work effectively. Even if pictures you see from the other end seem OK, the pictures they see of you might be poor. Therefore it is important that you test what you look like to them. 1. Make a test call to see what you really look like In the Jabber dialling box, type in @deakin.edu.au (Deakin test VMP) and press Enter. The Deakin test service should say you are currently the only participant and will show you a picture of yourself exactly as others will see you in a real conference. Use Jabber to test your service (PC/Mac) In the Jabber window: click on the Open Menu icon then then If Outgoing Bandwidth is not Good then the picture others will see of you of very poor quality. If Camera Capability or System Resources are rated poorly, it s time to get a new camera or PC. What to do: If the performance of your home ADSL Internet service is unsatisfactory, you ll need to upgrade it. Options include: switch to Telstra Bigpond Cable, which generally has a higher and more consistent uplink; upgrade to Bigpond Ultimate Cable, which has higher uplink capacity (up to 2 Mbit/s); switch to an ADSL service provider that offers AnnexM or Bonding options such as iinet; these can each increase uplink capacity by around a factor of 2, or in combination around 4 times; if you are still on ADSL1 upgrade to ADSL2+. 7 : Using Cisco Jabber personal videoconferencing You can use Cisco Jabber cloud service to: Direct dial another Jabber user Join a Deakin videoconference via Virtual Meeting Point (VMP). Before using Cisco Jabber you will need to have created an account (your video address ) and installed the software, as described in the Installing Cisco Jabber help sheet. Direct-dial another Jabber user Type the other person s Jabber video address into the Jabber dialling bar. Their address is of the format username@jabber.com (similar to your own). Join a Deakin Virtual Meeting Point (VMP) Before joining a VMP using Cisco Jabber you will need to know the VMP s extension number. These are available at To dial, enter the number of the desired VMP followed For example @deakin.edu.au Frequently dialled numbers Frequently dialled addresses can be stored in Jabber s contacts list for later use. Using Cisco Jabber on an ipad When signing in remember to use your full Jabber video address To dial a new number press the button located near the top right corner of the screen. When dialling remember to include part of the address (for Deakin VMPs) (when dialling other Jabber users). When you have entered the full destination address, press the green Call button. To dial a number you have called previously, press the Contacts or Favourites or Recents buttons, located in the lower left corner of the screen. 8 Using Jabber on a PC or Mac (laptop/desktop) Before making a call you should check your microphone and camera are working properly. If your camera or microphone doesn t work during a call, end the call and check your microphone/camera and try again. 1. Open Cisco Jabber from your notification tray (Windows) or dock (Mac). The icon looks like this: 2. In the dialling bar within Cisco Jabber enter the number of the desired VMP followed For example, @deakin.edu.au. To direct-dial another Jabber user enter their video address You then press Enter to connect the call. 3. You will see a screen which indicates your call is being connected, as shown below: 4. You will then see any other participants in the VMP. The green box indicates the active participant (the one who is currently speaking). Here, two other sites are shown. 9 5. To end the call, press the red End button. The system will show that your call has ended, as demonstrated by the picture below. Other Cisco Jabber functionality (for PC/Mac) During a videoconference call with Cisco Jabber there are additional functions you may find useful. Self View: To show a view of yourself in your video window, press the self view button. Muting of microphone and video: Use the microphone and video mute buttons to mute (suppress) your microphone or camera. Indicators are shown on screen to let you know they are muted. Volume control: Use the volume control slider to increase or decrease the volume in your speakers. Full screen: Use the full screen button to make your video go full screen. 10 Screen sharing: To share your screen, use the screen sharing button. A screen sharing window will appear, where you can choose which application to share. To change the application you are sharing, press the screen sharing button again and choose another application.
