Non-degree Research Students (Kamokutou Rishusei) 2015 April Entry Application Guide 1. Application Requirements Graduate School of International Culture and Communication Studies 169-8050 1-6-1, Nishiwaseda, Sinjuku-ku, Tokyo 03-3208-0467 Applicants must meet at least one of the following sets of requirments: 1. Those who have graduated or are scheduled to graduate from a university by the entrance period when applicants wish to matriculate. 2. Those who have received a Bachelor's Degree from the National Institution for Academic Degrees and University Evaluation or are scheduled to receive such degree by the entrance period when applicants wish to matriculate. 3. Those who have completed 16 years of standard school education outside Japan or are scheduled to complete such education by the entrance period when applicants wish to matriculate. (Please contact the GSICCS Admissions Office for details.) 4. Those who are designated by the Minister of Education, Culture, Sports, Science, and Technology by the entrance period when applicants wish to matriculate. 5. Those who have been enrolled at a university for more than three years (or have completed 15 years of school education overseas or are scheduled to complete such education by the entrance period when applicants wish to matriculate.) and have been recognized by the Graduate School Program as having earned a specified number of credits with an excellent academic record. 6. Those who have been recognized by the Graduate School Program as possessing academic credentials superior to those of university graduates through an individual entrance requirements screening process and are scheduled to reach 22 years of age by the entrance period that applicants wish to matriculate. Prior to their application, prospective applicants who are unsure if they can fulfill the requirements mentioned in items No.5 and No.6 above, must confirm their eligibility with GSICCS [Tel: 03-3208-0467; E-mail: gsiccs@list.waseda.jp]. Special arrangements for persons with disabilities Applicants who will require special arrangements for following admission to the Graduate School of International Culture and Communication Studies (GSICCS) due to physical disability are requested to contact the GSICCS Office (Tel: 03-3208-0467, Email: gsiccs@list.waseda.jp). Regardless of having completed 16 years of school education overseas, if the education curriculum undertaken by the applicant is not regarded as equivalent to an undergraduate level course in a university, the application cannot be accepted. Important Notice to International Students (1) Non-degree Research Students, when admitted to GSICCS, must take at least 10 hours of classes per week (i.e. take at least 7 subjects in total from among Specialized Course offered at GSICCS and language courses offered at the Center for Language), in order to obtain permission of stay as a Student. According to Immigration Bureau policy, in the majority of cases, Non-degree Research Students are not allowed to extend their period of stay for more than one year. (2) Applicants who not hold visa status valid throughout the period between admission procedures and entrance procedures are not eligible to apply. 1

Course Registration and the Number of Credits Research Students may register for a maximum of 4 credits (2 subjects) per semester and of 8 credits (4 subjects) per academic year, including Basic Courses, Specialized Courses and Related Courses. (Courses for which GSICCS does not approve registration are excluded.) 4. Application Procedures (1) Application Period January 6, 2015 (Tue) - January 15, 2015 (Thu) Application must be postmarked by the deadline. (2) Method of application Send your application using a commercial envelope for unfolded A4 documents ( 角 型 2 号 size). On the front of the envelope stick the prescribed label for sending the application documents and make sure to send it by Kan i Kakitome Yubin registered mail. In case of a last minute application, use the Kan i Kakitome Sokutatsu Yubin registered express mail service. (3) Application fee: 25,000 yen Payment of Fee: Payment of the screening fee must be completed from either within or outside of Japan before submitting the application. Applications from candidates who have not paid this fee will not be accepted. However, the following applicants are exempt from payment of the application fee. 1 Those at registered as regular post-graduate students Waseda University until March 2015 who wish to continue to enroll as Non-degree Research Students. 2 You are currently enrolled as a non-degree student at Waseda University and are renewing your non-degree student status. However, this applies only during a period of two years from the time you became a non-degree student for the first time. (Except those at registered as regular post-graduate students Waseda University who continue to enroll as Non-degree Research Students.) 3 Those who failed the 1st-Application admissions procedures to the GSICCS master's program who wish to enroll as Non-degree Research Students. (4) Period for Paying the Screening Fee at a Convenience store January 2, 2015 (Fri) ~ January 15, 2015 (Thu) (5) Method of payment of Screening Fee Please pay the screening fee, by using one of the following methods. 2
<Payment at a convenience store> To make a payment at a convenience store, you must complete the designated application procedure in advance by accessing the screening fee convenience store payment site (https://e-shiharai.net/) [ only] on the Internet from a personal computer or a mobile phone or a smart phone and complete the prescribed online procedures. After accessing the website, please make the payment at a convenience store. After making the payment, detach the Certificate of Payment of the Screening Fee on the Screening Fee Handling Description, paste it to the designated space ( Screening Fee Payment Certificate [ 入 学 検 定 料 選 考 料 取 扱 明 細 書 ]) on the Application Form, and submit it. Check the details on the screening fee payment method on page 4. The payment can be made 24 hours a day, seven days a week, including Saturdays, Sundays, and holidays. However, please note that application via the website will end at 23:00 on the last day of the payment period. Similarly, you will not be able to make a payment at a convenience store after 23:30 on the last day of the payment period. If a family member or acquaintance of an applicant conducts the procedure for the applicant, the family member or acquaintance must enter the applicant s information. <Payment by a credit card> To make a payment by credit card, please access the online screening fee payment website (https://e-shiharai.net/ecard/) and complete the required procedure. After completion of the payment, enclose the printed Result page in the application envelope with other necessary application documents. And please check ( ) in the space for Credit Card of Application Form. For details, please refer to Screening Fee Payment by Credit Card, Union Pay on page 5. The payment can be made 24 hours a day, seven days a week, including Saturdays, Sundays, holidays. However, please complete to make the payment by a credit card by 23:00 Japan time on the last day of the payment period. The payment can be made with a credit card held in the name of a person other than the applicant. However, the applicant s information must be entered in the Basic Information page of the screening fee payment website. (6) Application card with examinee s number sent by mail After the application deadline, all applicants will be sent an application card with examinee s number to the address they provided on their application form. If you did not receive the application card with examinee s number by14 days before date of result announcement, please contact the GSICCS office (Tel: 03-3208-0467, E-mail: gsiccs@list.waseda.jp) immediately. The application card will be exchanged for your student card after university entrance, so please look after it carefully. Handling of Personal Information Waseda University utilizes applicant information (addresses, names, dates of birth etc.) collected at the time of application in order to carry out operations such as the entrance examination, announcement of the screening results, and enrollment procedures. We will take necessary and proper measures to protect such information from leakage, disclosure, or unauthorized use. All or part of the above operations may be outsourced to an agency. In such case, the agency will be contractually required to maintain necessary and proper management. Please note that the personal information may be used as materials for studies and researches to improve our entrance examinations. The information will be statistically processed to prevent any individuals from being identified 3

Please note that subjects cannot be changed once applied. 6
2Application Form II [prescribed form] When filling out the forms, you can either write by hand or type the information adding your signature by hand. Three copies of a color photograph measuring 4cm in height by 3cm in width, taken no more than three months prior to the application, must be attached to the designated space on the Application Forms II. The photograph should show a frontal view of the applicant s face and shoulders, with no head covering or hat, background, or border. The photo must clearly identify the applicant. Write your name in ballpoint pen on the back of the photos. For those who pay the screening fee at a convenience store within Japan, please affix the certificate of receipt ( 入 学 検 定 料 取 扱 明 細 兼 受 領 証 ) that you will receive to the appropriate section of the Application Form II. and submit it together with the other application documents. 3Certification of graduation (diploma) / Degree certificate Applicants must submit original certificates. (Photocopied or faxed copies are not acceptable.) Please submit or English certificates. If it is not possible to have or English certificates issued, applicants must translate the documents, have them notarized to certify that the translation is accurate, and submit the notarized documents. Those who submit a certificate of expected graduation (diploma) must submit an official graduation (diploma) certificate at the time of post-acceptance enrollment procedures at their graduate school of acceptance. If applicants have completed a graduate program after graduation from university, they should submit certificates of graduation from both undergraduate and graduate schools. Graduates from universities in China must submit both original of degree certificate and certification of graduation (diploma) In this case, Applicants do not need to submit a /English translation. However, those who have completed 16 years of formal education are also eligible to apply, even if they have graduated from Chinese universities without a degree. If you have submitted the Certificate of Graduation at the time of the 1st application 2015 for Master s Course, you do not need to submit it. 4Original copy of academic transcripts Applicants must submit an original copy. (Photocopied or faxed copies are not acceptable.) Please submit or English certificates. If it is not possible to have or English certificates issued, applicants must translate the documents, have them notarized to certify that the translation is accurate, and submit the notarized documents. All courses taken at the undergraduate level must be included in the academic transcript. Applicants who have completed a graduate program after graduating from university must include academic transcripts for both their undergraduate and graduate programs. If the applicant took a leave of absence or leave for military service from his/her university, please have the home university or another public institution issue a certificate that shows that the school had granted the leave. For transfer students, please submit previous undergraduate academic transcripts. In the case of graduating in less than four years, if the reasons are not detailed in your academic transcripts, please send a separate document issued by your university detailing the reasons for earlier graduation. If you have submitted the final academic transcripts at the time of the 1st application 2015 for Master s Course, you do not need to submit it. 7
5Research Plan [prescribed form] Please describe in detail the research plan which you wish to pursue at GSICCS, including the theme, approach, and methods, etc. which you intend to use. Refer to the designated form for details. Please write a Research Plan written in English (about 800 words) and attach to the prescribed form. 6Reason for Application [prescribed form] Touching on the nature of your previous studies, please state in detail your reasons for wishing to enter GSICCS. Please write your Reason for Application in English about 200 words. 7Career Plan [prescribed form] Please describe your career goals in detail, touching both on how you plan to achieve them, and on what significance your experience at GSICCS will have in the process. Please write your Career Plan in English about 200 words. 8Recommendation Form (Evaluation Form) [prescribed form] 1 Letter Applicants must submit one Recommendation (Evaluation) Form written by a university professor who has supervised the work of the applicant, or other appropriate person. Letters must be sealed, or sealed with a tally impression, or signed and submitted without being open. 9English Examination Score Card from the one of the following: TOEFL / TOEIC / IELTS (Academic) Please submit EITHER an original Certificate indicating your English language proficiency (TOEFL: Official Score Report / TOEIC: Official Score Certificate / IELTS Academic : Test Report Form) Certificates issues within two years of the last day of the application period will be deemed valid. TOEFL-ITP and TOEIC-IP is not accepted as application documents. Please use the institution codes in the case of sending your certificate from the examination organizations. TOEFL: 4232 If you have applied the 1st application 2015 for Master s Course, submission is optional. 10Statement of Financial Resources [prescribed form] [Only for international students] On the prescribed form, explain how you intend to cover expenses during your stay at the school (school and living expenses for 2 years for Master s Course). Please make sure that the statement is signed by the applicant. Applicants receiving funds from a Government/sponsoring agency should submit a certificate indicating the amount to be received, the length of the sponsorship and the specific characteristics of the scholarship or funding. 11Photocopy of Passport If you are an overseas applicant with non- nationality, please submit a photocopy of the passport page with your photo and all pages with personal information including your visa status. 8
12Copies of both sides of Residence Card / Special Permanent Residence Certificate / Alien Registration Card If you are a domestic applicant with non- nationality, please submit copies of both sides of the Residence Card / Special Permanent Residence Certificate / Alien Registration Card. In the event that you do not have the above Card, please submit a photocopy of the passport page with your photo and all pages with personal information including your visa status. 13Prescribed label for sending application documents [Prescribed form] If you are a domestic applicant, please place the prescribed label on the envelope for submitting application documents to the GSICCS. Please make sure to send them by Kan i Kakitome Yubin registered mail. 6. Screening Method The decision whether to accept or reject will be based on the results of evaluation of all the required documents submitted. 7. Announcement of Result and Documents for Entrance 1Date of Announcement of Result:February 27, 2015 (Fri) The list of examinee s number of successful applicants will be sent by mail to all applicants to the mailing address specified on the application form. 2Successful applicants will also find enclosed the guidelines for the entrance procedures. 8. Entrance Procedures The transfer of school fees as well as the submission of documents for entrance is required for the completion of the entrance procedures. (1) The transfer of school fees Period for transferring school fees : March 2, 2015 (Mon) - March 6, 2015 (Fri) Method of the transfer of school fees By Application for Transfer slip which is enclosed, please transfer the school fees to the bank (except for the Japan Post Bank <Yucho bank>). A transfer commission is required. Please note that Bank transfers using ATMs (Automatic teller machines), mobile telephones, computers, etc. will not be accepted. Execution of procedures after the deadline for entrance procedures has passed is not acceptable under any circumstances. (2) Sending the entrance documents All entrance documents must be sent by postal mail ONLY. 9. Others (1) Period of Enrollment Period of Enrollment as a research student is one year (April 1, 2014 to March 15, 2015). (2) Credits obtained as a Research Student prior to admission to GSICCS as a Master Program may be recognized up to 10 credits as part of required credits for completion of the Master s Program by the GSICCS steering committee and student s supervisor. (3) As a general rule, application documents and screening fees are not returned. However, a full screening fee will be refunded if you fall into the second, third, or fourth category below. The amount paid in excess will be refunded if you fall in to the first category. 1) You paid a screening fee but failed to submit the required application documents. 2) You paid a screening fee but submitted the application documents after the deadline. 3) You paid a screening fee and submitted the application documents, but your application was not accepted. If you fall into one of the categories above, please contact the Admissions Office of GSICCS, Waseda University. (4) Application documents must be completed for you to qualify to be screened. If we contact you concerning your application, please follow our instructions immediately. Submission of false or inaccurate statements or documents will result in the cancellation of your application or admission. Once fees have been paid and documents have been received, they will not be returned. This includes the following fees and documents: Screening Fee, Registration Fee (Amount Equivalent to Entrance Fee), Tuition Fee (First Semester), Application Documents, Entrance Documents, etc. (5) Test-taking Guidelines for Waseda University Admissions Exam Waseda University has provided the following guidelines so that all examinations can be properly administered and all examinees have an opportunity to perform in a fair and equitable environment.
