This guide will take you through the steps to connect your Outlook Anywhere clients to your Hosted Exchange. Chapter 1 - Outlook Anywhere Outlook Anywhere (OW) will allow you to create a direct link to the Hosted Exchange Server. Supported Operating Systems and Outlook Versions Unfortunately, Outlook 2003 is not compatible with Exchange 2010. Hosted Exchange 2010 supports the use of Outlook 2007 SP1, Outlook 2010, Outlook 2013, Office for Mac 2011 (preferred), Entourage 2008 Office 2008 for Mac (limited compatibility and is not support by our helpdesk). The following screenshots are based upon XP, Vista, Windows 7 and Mac 2011. Before setting up Outlook Anywhere, ensure that both Windows and Mac operating systems are up-to-date and the Outlook software is also updated to the latest version. You can download a licensed copy of Outlook from http://my.comsyco.co.uk and select Hosted Exchange Admin. Login using your credentials and accept the license agreement. CLIENT OUTLOOK CONNECTION 3
Setting up Outlook Anywhere for PC This article is focused on helping staff with an advanced knowledge of Operating Systems and the Messaging Application Program Interface (MAPI). Screenshots are from Vista and Windows 7 and applies to Windows XP Service Pack 2 as well. 1. Go in to the control panel and start the Mail applet. Visa requires that you open the following Icon (A) first, then (B): (A) (B) And then 2. Click ADD a profile Give it a useful name in the Profile Name field then click OK. 3. Click on Manually configure settings. Then next. CLIENT OUTLOOK CONNECTION 4
4. Select Microsoft Exchange and then Next. 5 Fill in the relevant fields; in the User name enter the full email address, and do NOT at this stage Check Names. Click on More Settings. 6. We will now configure the connector to the server. Choose Exchange Sever and Next. You may get the following. Click Ok. CLIENT OUTLOOK CONNECTION 5
Then Cancel. 7. The following screen will appear, click on the Connection tab. Tick Outlook Anywhere and press Exchange Proxy Settings. CLIENT OUTLOOK CONNECTION 6
8. On the Proxy Settings page, fill in the fields as below. Ensure that the Proxy authentication is set PLEASE NOTE: If the operating system is XP, please un-tick this box. This will leave this field blank. to Basic and there is a tick in all boxes. Press OK twice until you are back on the Exchange Settings page. 9. Click Check Name if you have configured the Connection Settings correctly, you will be prompted for a user name and password. 10. Put in your full Email Address and the agreed password. 11. A line should appear under the Exchange Server and the user name (as below). This confirms successful connections, settings and authentication. You can now open Outlook Anywhere Client. CLIENT OUTLOOK CONNECTION 8
Setting up Outlook for Mac 1. Open Outlook 2011 for Mac. From the top menu, click the Tools option, then select Accounts from the dropdown menu. 2. The Account window will open. If this is the first account to be added to Outlook, click Exchange Account from the two options. If another account already exists on Outlook. Please click the small + sign at the bottom left, and then select Exchange. 3. A box will drop down where you will be asked to enter your account information. In order for your account to set up automatically, you must have the auto-discover records added to your DNS settings. Enter the mailbox address in the Email Address box and the same in the User Name, with your account password created when adding the mailbox in the control panel. Tick the box Configure Automatically, and then press the Add Account button. 4. After a few second s, you CLIENT OUTLOOK CONNECTION 9
should be presented with the alert as below. Tick the Always use my response for this server, and press the Allow button. After a short while, your account will authenticate and you will return to the Account screen, which can be closed by clicking the small x in the top left corner. You ll then see any mail on the server starting to sync with this installation of Outlook this may take a few minutes to complete, depending on the amount of messages held on the server.
