Retrieving Data & Printing Reports This users guide will cover the most common reports that users can run, to retrieve the data they have entered in each section of Firehouse Web. Reports: Display data entered in FH Web, in a PDF format. Queries: Display data entered in FH Web, in a Microsoft Excel, spreadsheet format. There are more reports & queries than we will cover here, but these are the most common. As stated in the training class, If you enter the data requested, we will take care of retrieving it for you, if needed. Just e-mail Lt. Hollingsworth or FF Campanella.
NFIRS Reports To print, or electronically save a copy of a NFIRS report, do the following: With the report you wish to print already open, click the Print button in the lower right corner You will be asked where to Output Report To If you intend to print, you should always select Screen first, to make sure you have what you want before printing. You can select to print, after previewing in the Screen mode. You can accidently generate a 1,000 page plus report, if you enter the wrong data, so reviewing it first is always a good idea.
Once you click the Print button, you must select where you want the report sent. You should view first then print, or save as a PDF. If you save as a PDF, use the Street Number & Name as the file name, and e-mail Lt. Hollingsworth or FF Campanella to retrieve the report from the FH Web server.
You will then be prompted to select what categories you want to print. The default settings are already checked, and should be the only ones used. If the data you need does not display, then go back and check that box.
The preview or printed copy of the report will display as below. If you select to Send the Output to the Screen function, you can then print by clicking on the printer icon.
FH Web Reports The remainder of commonly used reports in FH Web can be found under the word Reports on the top tool bar. Click on the word Reports at the very top of the main screen. Select the main category for the report you are looking for. (Occupancy, Hydrant, Apparatus, etc.) Once you select the main category, you will see several subcategories. Use the Find function to search for keywords in the report you are looking for.

FH Web Reports The remainder of this guide will cover the most commonly used reports for each module of FH Web, and how to run it. Once you learn the process for running these reports, you can apply that knowledge to navigating through and searching other reports that may assist you. Because FH Web is internet based, all electronic files you save are on the FH Web server, not your local hard drive. For this reason, you must request the report from Lt. Hollingsworth, or FF Campanella, unless your CPU has a PDF printing program installed.
FH Web Reports With any report in FH Web, once you select where to Output the Report to, you will be asked for Query Parameters The Query Parameters display allows you to tell FH Web exactly what you are looking for, and exclude data you don t want. There are numerous fields under most reports Query Parameters, but you are not required to use any more than needed to suit your request. To the right of each value in the Query Parameters there is a small white box for you to click on and select your parameters. You may also type them in manually, if you know the correct format.
Occupancy Management Reports We will cover a commonly used report to show pre-planning activity. This report will also allow you to see which business are lacking pre-plan data. See Next Slides
Inspections by Occupancy report location is displayed.
Query Parameters for a Pre-Plan report are displayed. Do not click on the Add or Remove buttons at the bottom. If the fields you need are not there, you need to try another report. To narrow the dates, use the Date Completed field, and select beginning/end dates.
The Query Parameters for the Inspections by Occupancy report below will display all pre-plan data for Station 19, from (01/01/11 12/31/11). Click Run Query when complete.
The completed version of the report we just ran is displayed. The small red arrow under Print Preview allows you to look at the next page.
Staff Master Record Report We will cover a commonly used report to show staff master record data. This report will also allow you to see contact info/address for all staff members at your station. There are more staff reports that show other info, in the same area of the Reports section. See Next Slides
Staff Detailed Roster by Name location is displayed.
Select where to send the report, and click OK
Set your Query Parameters. In this example, only Sta1 roster will display. You can narrow the list further by Shift or Hire Date.
The report will display as shown below. Use the arrow to select next page, or click the printer to print.
Staff Activity Reports We will cover a commonly used report to show staff activity data. This report will display incident & non-incident activity for all staff members at your station. There are more staff reports that show other info, in the same area of the Reports section. See Next Slides
Staff Activity by Name location displayed below.
Select where to output the report to, and click OK.
The Query Parameters displayed below will show all Incident & Non-Incident activity for Sta1 members from (12/1/11-12/31/11). To select date range, click the box to the right of date and select start/end.
The report will display as shown below. Note that Incident Activities have Incident # s and Non-Incident Activities do not.
Training Activity Reports We will cover a commonly used report to show staff training activity data. This report will display training activity for all staff members at your station. There are more training activity reports that show other info, in the same area of the Reports section. See Next Slides
Training Analysis by Staff report location is displayed.
Select where to Output the Report to, and click OK

Mastery Inventory/Equipment Testing Reports We will cover a commonly used report to show equipment testing and inventory data. This report will display equipment testing for select equipment types at your station. There are more master inventory and testing reports that show other info, in the same area of the Reports section. See Next Slides
Testing/Maintenance by Equipment report location is shown.
Select where to Output the Report to, and click OK
The Query Parameters below, will display all Hose Testing data for Sta1. The Inventory Class is crucial, and determines what records to pull. Use the white box to the right (shown) to select. For SCBA, or Ladders, select that Inventory Type
The report will display as shown below. Remember to use the arrow to change pages, and the printer icon to print.
Hydrant Master/Activity Reports There are several reports you need to know with hydrant data, defined below: Hydrant Checklist by Location: This report generates a list of all hydrants in your district and provides space to document your checks in the field. Activities, Repairs & Flow Test by Hydrant: This report list all hydrant checks, with noted defects that your station has completed. This can be submitted to the water company for repairs after completion. Hydrants out of Service: This report shows hydrants your station currently has listed as out of service, and can be printed to verify those hydrants first when the next checks are completed and submitted to the water company for repair. We will only cover how to generate one report, but the others follow the same format.» See next slides

Queries Any time you click on Browse at the bottom of an open record, the display you get is a Query. You can change the Query by selecting a different one from the drop down list at the top of the screen. You can narrow the selection by using queries that start with Find as opposed to List. If you choose to print or electronically save a Query it will display in a Microsoft Excel format. See next slides for examples
Browse button of NFIRS report is displayed. This same feature/location applies to Occupancy, Staff, Activity, Training, Inventory & Hydrant Records.
The default query List NFIRS Incidents at My Station is displayed.
By clicking on the drop down arrow to the right, you can change the Query. Queries that start with Find will bring up the Query Parameters display, allowing you to narrow your search.
Based on the Query Parameters below, we will only see calls between (1/1/12-1/7/12)
The query will display as shown below. To print, click on the printer icon (shown)
When selecting Output Report, if you wish to save electronically, you must select (Spreadsheet Excel Compatible) from the drop down list (shown). You will then give the file a name and e-mail the request to retrieve. To print, just select your printer.
Queries The queries in the remainder of Firehouse Web modules operate the same. Repeat the process your were just shown to generate queries from any module of Firehouse that has the Browse feature.
