2 Overview Blackbaud s Point of Sale product allows charges from various stores using Sales Management System s QuickSell 2000 software to appear in Blackbaud s The Raiser s Edge for Windows. QuickSell 2000 QuickSell 2000 is software designed to operate on any IBM AT, PS/2 or 100% compatible computer running Microsoft Windows, Windows for Workgroups, or Windows 95. It provides flexibility for configuring your point of sale systems, and supports multiple point of sale devices (scanners, printers, pole displays, etc.) connected to the serial ports, the parallel port, or the keyboard input on your PC. QuickSell can operate as a stand-alone point of sale station or in a networked environment. A stand-alone system may be sufficient for small stores using a single register for all sales transactions, where a file server configuration is appropriate for large stores. The Raiser s Edge Blackbaud s The Raiser s Edge is designed to improve the organization of your development office and staff and enhance your fund-raising efforts. In The Raiser s Edge, you store information about your constituents such as biographical and employment details, relationships, giving history, special interests, etc. The Raiser s Edge also enhances your ability to track appeals and pledges, and generate mailings and reports. 2 Getting Started Chapter 1

3 Point of Sale Through Point of Sale, constituents entered in The Raiser s Edge can be transferred into QuickSell and established as customers. Individuals who are not constituents, such as spouses, contacts, and people receiving The Raiser s Edge membership cards, can also be established as a separate customers in QuickSell. With Point of Sale, you can produce a statement containing items, prices, quantities, and dates for all charges created in QuickSell. The Raiser s Edge can be updated with actions, notes, and attributes for all constituents who have made purchases in QuickSell (including purchases made by non-constituent spouses, contacts, and membership cardholders). Point of Sale also offers you the option to print membership cards with barcoding that can be used as debit cards. Membership cards with barcoding can be printed only on laser printers that support bar codes. Navigating in Point of Sale Login Screen The Login screen appears when you start Point of Sale. The user Name and Password fields pull from The Raiser s Edge database. Point of Sale accesses the same user name, Supervisor, and password as The Raiser s Edge. If you have just installed The Raiser s Edge, the default password for the user Supervisor is Admin. Chapter 1 Getting Started 3

4 Main Menu Screen The Main Menu screen appears after you log on. From this screen, you can access six options: Load Constituents, Print Membership Cards, Update The Raiser s Edge, Print Transaction Report, Utilities and Housekeeping, and Exit Point of Sale. Title Bar The title bar across the top of the window displays the program name. The title bar also contains, in the upper right corner, the icons for minimizing, maximizing, and closing the window. The maximize button is disabled, as Point of Sale is designed to appear in the smaller screen. For Windows 3.11 users, the close icon is in the upper left corner. Status Bar The status bar across the bottom displays the current system time and provides helpful information such as the description of an option. For example, if you place your cursor on Load Constituents, the status bar reads, Uses information in The Raiser s Edge to create/update customers in QuickSell. 4 Getting Started Chapter 1

5 Common Buttons There are several buttons common throughout Point of Sale used for various fields. This button produces the Search screen, allowing you to locate and select the appropriate record or query. This button accesses a drop-down list of entries associated with the field. This button allows you to browse the system for the correct path and file name. Click on this button to move back one screen or step. Click on this button to abort an operation. Click on this button to access on-line Help. Click on this button when you have completed the current task. Click on this button to move forward one screen to the next step. Click to complete a command, leave a screen, or close a dialog box. Click on this button to print current information to the Preview screen. Click on this button to print current information. 6 Search Screen Throughout Point of Sale, you can click to access the Search screen. Search helps you locate the desired customer record when performing a process for one customer. To locate and select a customer record, enter the appropriate criteria and click Search. Those records matching the specified criteria will appear in the Search Results grid. Highlight the appropriate record and click Select. When entering youor search criteria, you can enter partial or complete information in any or all of the available fields. For example, when searching for John Doe, enter Doe in Last/Org Name to locate all records with the last name Doe or Doe as the first three letters; or enter D, to bring up all records with the last name beginning with the letter D. Previous restores the criteria entered prior to the latest search. 6 Getting Started Chapter 1

7 System Options Blackbaud s Point of Sale has the following options: Load Constituents, Print Membership Cards, Update The Raiser s Edge, Print Transaction Report, Utilities and Housekeeping, and Exit Point of Sale. This section contains a brief description of these options. Detailed information on each option is provided in later chapters. Load Constituents Constituent information such as the Constituent ID, address, phone, membership information (when RE:Member is present), Class of (when RE:Alum is present), and discount information, can be loaded directly into QuickSell as customer information. You can also update an attribute for each constituent record loaded into QuickSell. Individuals who are not constituents in The Raiser s Edge, such as spouses, contacts, and people receiving membership cards, may also receive separate customer accounts in QuickSell. If RE:Member is present, information such as membership level, membership start date, and membership expiration date can be loaded as spare fields in QuickSell. If RE:Alum is present, the Class of field can also be stored as a spare field. Print Membership Cards Individuals with accounts in QuickSell may receive membership cards with their name, account number, any optional fields, the institution name, their constituent ID, a signature line, and an attribute from The Raiser s Edge. If RE:Member is present, you can choose to print the membership level, membership start date, and membership expiration date. If RE:Alum is present, you can also print the class of year. When printing membership cards, you can choose to have Point of Sale check the Membership Cards Printed field in The Raiser s Edge. This field is used to indicate a card has been printed and exclude the customer/member from later membership card print runs when the exclude customers with cards option is marked. 8 Update The Raiser s Edge This option creates actions, notes, and attributes for all constituents who have made purchases in QuickSell (including purchases made by their relative non-constituent spouses, contacts, and membership cardholders). For attributes, action attributes, and notes, you can import the total amount of purchases made in QuickSell since the last update. Because QuickSell stores only purchases made on account in the customer s history, only purchases with a portion of the amount charged to the customer's account are reflected in The Raiser s Edge. Print Transaction Report This option prints a statement containing items, prices, quantities, and dates for all transactions made in QuickSell. You can print a statement for one constituent or for a group of constituents. Utilities and Housekeeping Utilities and Housekeeping has two options. The first option is Configuration, where you establish the settings for your system such as Organization name, QuickSell Path, and Spare Field Mapping. The second option is Compact Database. This option compresses the Point of Sale database, freeing up room on the hard disk and increasing overall performance. Exit Point of Sale Use this option to exit from Point of Sale. After you complete any of the above functions (except Exit Point of Sale), the system returns to the Main Menu screen. 8 Getting Started Chapter 1
