Introduction We offer three options for mail migration to the Hosted Exchange service. Each method allows you to move your current mail data from its current location (internal mail server/pc based mail file or existing hosted solution) to our Hosted Exchange platform. The method you decide to adopt will depend on a number of factors, which will include considerations such as location and access to the original mail data files, local network capability and speed, and the size of the data files. We suggest that prior to any migration, especially large and/or old PST files, you attempt to attach the data file to an installation of Outlook. If there is any inherent corruption that may exist on what appears to be a correctly functioning data file, it will not attach and therefore will be unsuitable for import and should be investigated further. If the file is corrupted then it will not open and you will need the appropriate tool to scan or export it again. Delete all unwanted items from the data file ie Junk/Deleted and Synchronisation Error files prior to migrating the data file. If you do not do this, this will slow down the process. For those of you who wish to use the remote server option, you will need to contact sales sales@pocster.com for a quote and to reserve a date and time for access to the FTP and RDP facilities. Onsite Drag and Drop It is assumed that you have exported the previous mail solution to a PST file or similar format. Using the instructions from our Quick Start Guide Chapter 3 - Setting Up Outlook Anywhere - please create the new profile on the client PC. Open Outlook and select the newly created profile (if required). You can now import the client mail data file via the import/export option in Outlook. Click File. Click Open and Import. Then browse to the folder where you have copied your data files to and click Next Select the folder to import and click Finish (remember to select Include subfolders) The Portable Office Company - Hosted Exchange Migration 6
This then can be viewed in the left pane of Outlook beneath the mailbox. Outlook 2007/10 Mail folder The email currently on the local file Personal Folders can be dragged up to the new Exchange Mailbox. Each folder and its sub folders under the Inbox must be moved individually. (You are unable to Drag and Drop system folders such as the Inbox, but the contents can be easily moved to another folder.) Dependent on the local internet connection (ADSL broadband, 3G, satellite or dial- up), and the size of the files being uploaded, this will affect the time taken to complete the Drag and Drop operation. The time taken can take from minutes, through to hours or days, so please consider this in your migration planning. Approximate guide: a 200MB file at a speed of 450Kbs/s will take approximately 8 minutes to upload. The Portable Office Company - Hosted Exchange Migration 7
FTP and Dedicated Remote Server We have provided access to a Remote Import Server which is local to the Exchange environment, to allow importing mail files using an FTP connection and RDP to a dedicated server with Outlook. Again it is assumed that you have exported the previous email data to a PST file or similar format. Using a commercially available FTP client, upload your individual.pst files to the Remote Import Server using the hostname, username and password given. Again, the time taken to complete this stage of the process will depend on local internet connections and the amount of data being uploaded. Using a product such as FileZilla FTP client to upload local files to the dedicated server. The Portable Office Company - Hosted Exchange Migration 8
Please initiate an RDP connection to this server using the hostname given. As this server is connected to our network via Active Directory, you should sign in using the log-in credentials for the mailbox on the Hosted Exchange platform. RDP Log-in The data files importing using FTP will be located in one of the folders available on the screen (pstimport1, pstimport2, pstimport3 or pstimport4 depencent on access granted). Click on the Outlook icon on the desktop to open up Outlook 2010 and click Next. Click Next on the Account Configuration screen - Email Accounts. The Portable Office Company - Hosted Exchange Migration 10

You can now import the client mail data file via the import/export option in Outlook. Click Open and Import. The Portable Office Company - Hosted Exchange Migration 13

Outlook will now import the data file into the mailbox. As you will be within our local network, the transfer time will now be greatly improved. You can replicate the above procedure for each of the mailboxes that require uploading by logging into the RDP session under each mailbox email address. PLEASE NOTE: Outlook will need to be open and running to synchronise the file that has been imported! Check the outlook dialogue in the bottom right of the application: Once All folders are up to date then the sync is complete and you can move onto the next mailbox. Please remember to Log Out of the session on the server once you have finished, otherwise the session will remain active. The Portable Office Company - Hosted Exchange Migration 16
Hard/Flash Drive and the Remote Import Server If the number or size of the data files prohibits the use of FTP, you can send in your data via a hard/flash drive to our offices, where we can load onto the dedicated server for you. We will then make these mailboxes available via the above procedure.
