Outlook Email Update #3 The LCPS Email system has been moved from GroupWise to Outlook! Here is what you need to know Click here to get to your email --- TSS HELP DESK (527-HELP or 527-4357) --- Q. How will I get my email? Q. Do I need to install anything on my computer? Q. How will I figure out how to use Outlook? Q. Do I need to change my password? Q. How do I log in and change my temporary password? Q. Will my LCPS BlackBerry still work? Q. What about connecting my personal smart phone? Q. My important archived emails are missing. What happened? Q. I just checked my email, and hundreds of old messages showed up. Why? Q. What about all the email I filed away in folders. Q. Is Exchange different from Outlook? Q. Something is wrong where do I go for help? Q. How will I get my email? A. Go to the LCPS Outlook Web Access page (https://outlook.lcps.k12.nm.us/owa).. Q. Do I need to install anything on my computer? A. No. You will simply use a web browser (like Internet Explorer) Q. How will I figure out how to use Outlook? A. You will find that it looks very similar to GroupWise. Some screen shots of Outlook are shown later in this newsletter. Q. Do I need to change my password? A. YES. We have assigned you a temporary password as described below. You will be required to change it. See the next section for instructions. Your temporary password will only be valid for 2 weeks. You must change it before then or you will not be able to access your email. Q. How do I log in and change my temporary password? A. When you first login, you should see the main login page. You will use the same login name for Outlook that you used for GroupWise (the first part of your email address). However your password will be different! You have been

assigned a temporary password that consists of the first 4 letters of your last name (in lower case) and the last 4 digits of your social security number. For example: Betty Smith - Social Security number 123-45-6789 email address bsmith@lcps.k12.nm.us Login Name bsmith Initial Password: smit6789 Step 1: Go to the LCPS Web page, find the E-Mail News item, and click on the link to Outlook (remember this will only be available once the conversion is finished over the weekend). This is the initial login page you should see: Step 2: Log in using the user name and password described above. The first time you use Outlook, you will see the following screen. You can just click OK.

Step 3: You should see a screen that looks a lot like GroupWise. You will normally see the messages in your inbox. If you click on a message in the middle of the screen, it should show up on the right side. Expert Tip If you filed email messages in Folders under GroupWise, click on the Cabinet item in the right hand list and you will find your old folders! Step 4: The first thing you need to do is change your password. Click on the Options button near the top of the screen. Here is the Options Button

Email is listed here Read your messages here Your old GroupWise folders are under the Cabinet button Step 5: Now click on the Setting tab on the left side of the window. Settings Step 6: Now click on the Password icon near the top of the screen.

Password Step 7: Once you see this page, you will need to enter your temporary password under Old Password. Then enter your new password, and re-type it to confirm. Be sure to click the Save icon at the bottom of the window. Remember to Save Q. Will my LCPS BlackBerry still work?

A. The LCPS BlackBerry service will be turned off at 1:00 pm on Friday, 5 August. The BlackBerry server will be upgraded to work with Outlook. TSS hopes to have BlackBerries working as soon as the Outlook system is fully operational. It MAY be necessary to update your BlackBerry by hand. If so, you will be instructed to bring it to TSS on Monday morning. Q. What about connecting my personal smart phone? A. Once the conversion is complete, TSS will send out instructions how to connect a personal smart phone (iphone, Droid, etc.) Q. My important archived emails are missing. What happened? A. Archives are still being moved; it will take about another week for everything to get completed. The 4 million messages we have moved so far are JUST the messages in people s active email folder. The rest are coming! Q. I just checked my email, and hundreds of old messages showed up. Why? A. The messages from your GroupWise archive folder will be added to your Outlook mail box. So, if you have 100 active messages and you had 500 archived messages, once the archived messages are moved, you will have 600 messages in your Outlook mailbox. Once ALL the archived messages are moved, we will push a bottom that will rearchive your messages that are older than 30 days. So they will get moved out of your active inbox without you having to do anything. Q. What about all the email I filed away in folders. A. Your folders, and the email in them, should have been moved to Outlook for you. Look under the Cabinet button on the left side of the screen. Q. Is Exchange different from Outlook? A. Outlook is the Microsoft program that you will use to ready and send email, and to interact with your calendar. Exchange is the email server that actually does the work in the background. Together, they make up our new email system. But most users will only work with the Outlook half. Q. Something is wrong where do I go for help? A. Call the TSS Help Desk (527-HELP or 527-4357)
