METRO Bachelor of Engineering Technology Academic Coordinator The METRO Group includes the following New Zealand Institutes of Technology and Polytechnics (ITPs): Christchurch Polytechnic Institute of Technology (CPIT) Manukau Institute of Technology (MIT) Otago Polytechnic Unitec Waikato Institute of Technology (Wintec) Wellington Institute of Technology (Weltec) These are the largest ITPs from the metropolitan areas of New Zealand with a collective enrolment of more than 100,000 students or more than 27,000 full-time equivalent students. They have reputations as leading providers of high quality, applied, vocational and professional qualifications. In 2009 the METRO Group developed and received NZQA accreditation and IPENZ provisional accreditation for a Bachelor of Engineering Technology (BEngTech) with majors in Civil, Electrical and Mechanical Engineering. Since then the six organisations have been collaborating with each other to deliver this applied engineering degree programme. The academic coordinator will work with the METRO Engineering Management Group chair and the various Heads of the Engineering Schools at the six participating ITPs to coordinate delivery, reporting, moderation and monitoring of the Bachelor of Engineering Technology. The academic coordinator will have administrative experience within the tertiary education sector and will be highly organised, methodical, and able to work independently, with demonstrated initiative and problem solving skills, and excellent interpersonal and communication skills. LOCATION REPORTS TO AREA REMUNERATION (An indication ONLY) The successful applicant will be located at the METRO Institute of Technology closest to the applicant s home and will report to the METRO Engineering Head of School at that Institution and to the METRO Management Group Chair. The location could be Dunedin, Christchurch, Wellington, Hamilton or Auckland. ROLE PURPOSE To provide administrative support and coordination for the METRO Bachelor of Engineering Technology. To support the METRO Management Group chair. To effectively liaise with METRO Managers, METRO Quality Managers, METRO Operations Group Programme Leaders and Academic Staff Members as required, and to provide a prompt response to queries relating to the coordination of the METRO BEngTech. Update documents to ensure that approved changes are actioned, and that the approved Programme Approval and Accreditation curriculum is current, accurate, and electronically stored. To organise and record the minutes of meetings of the METRO Management Group, METRO Operations Group, Tutors and National Advisory Groups. Coordinate monitors visits and accreditation visits from NZQA, IPENZ, and other agencies. Upload documents and information to the CPIT/METRO Moodle site, and maintain/monitor moodle backup. Coordinate the uploading to moodle, and formatting of shared of teaching resources across the METRO Group. Coordinate BEngTech marketing initiatives across the METRO Group.
KEY ACCOUNTABILITIES ADMINISTRATIVE SUPPORT TO THE METRO MANAGEMENT GROUP EXPECTED OUTCOMES Effectively liaise with METRO Managers, METRO Quality Managers, METRO Operations Group, BEngTech Programme Leaders and Academic Staff Members as required and provide a prompt response to queries relating to the coordination and the delivery of the METRO BEngTech. Provide administrative support to the METRO Chair and to the METRO Managers, Quality groups and Operationl Groups for BEngTech related matters. Provide a friendly and professional reception for managers, quality, academic and administrative staff across the METRO Group. Upload documents and information to the CPIT/METRO Moodle site and maintain currency of the site. Monitor the backup of the BEngTech moodle site to a second ITP. Liaise with individual METRO Group members and provide administrative support for METRO BEngTech degree monitoring and accreditation visits. Coordinate BEngTech marketing initiatives across the METRO Group. Organise and record the minutes of meetings of the METRO Management, Operational, Quality, Tutors and National Advisory Groups. Coordinate and provide regular reports to the METRO Management Group on collaborative initiatives undertaken by the METRO Bachelor of Engineering Technology providers. PROGRAMME DELIVERY Coordinate the uploading to moodle, and formatting, of shared teaching resources across the METRO Group. Gather reports and results from individual METRO BEngTech providers for reporting purposes, and as requested by the METRO Quality Managers Group. Maintain a register of reports and results for the METRO BEngTech Management Group. Advise METRO managers and staff of internal and external moderation requirements. Maintain a register of internal and external moderation plans for the METRO BEngTech. Liaise with METRO members on degree monitoring processes and requirements, including support in organising monitor visits. Advise METRO Members of changes made to any documentation. Provide prompt and accurate feedback to METRO members regarding issues relating to compliance with requirements for programmes or modules specified by NZQA, MoE, TEC, other Government agencies or IPENZ. APPROVED DOCUMENTATION Develop and maintain an electronic database of approved programme approval and accreditation documents (definitive documents). Ensure that changes to curricula are incorporated into the definitive documents. Disseminate information relating to deadlines for programme/modules changes. Process change requests and liaise with academic staff members as required. Ensure that changes to programme regulations are implemented and reflected on the internal and external websites of METRO Group Members. Update documents to ensure that approved changes are actioned, and that the approved Programme Approval and Accreditation curriculum is current, accurate, and electronically stored. Upload documents and information to the CPIT/METRO Moodle site and maintain currency of the site. Monitor the backup of the BEngTech moodle site to a second ITP. Contribute to the audit of curriculum documents as required.
OTHER DUTIES Maintain good working knowledge of Moodle. Develop and maintain harmonious and positive relationships with colleagues across the METRO Group. Contribute to the development, efficiency and ongoing success of the METRO Group and the BEngTech. Continuously improve and develop systems, procedures and service (specifically related to academic delivery and quality) to ensure the METRO Group maintains and develops its position as the lead provider of the BEngTech. Take part in any relevant professional development as requested/required. Operate within the METRO Groups operating policies and procedures.
