MyDBO Bulk Order Overview January, 2013 1
MyDBO is a site that allows Benefit Administrators to better self manage their HUP bulk orders. Not only does it have improved ordering functionality, it also allows better visibility to license consumptions and employees who are consuming those licenses. Access to My DBO is gained by clicking on the Benefit Admin Portal footer located on the log in page for the HUP site (Same as before through the Bulk Order link). Logging in First Time The first time a benefit administrator accesses the MyDBO site they will need to create a new account. They only have to do this step the first time they log in 1 Step 1 Click on Create New Account - BA enters email address Create Password Enter Program Code (Slide 4) 3
Create New Account Page Once the Benefit Administrator enters their Create Account information and hits submit they will receive a confirmation email (Screen 5) which provides a link to access the order site. This link will take them back to the HUP employee site 4
Confirmation Email Upon verification of Benefit Administrator s log in information they will receive a confirmation email which provides a link back to the log in screen. Two links are provided since some emails are not html. Both links take them to the same page. The second time they access the site they ll start with the log in page (Slide 3), they will not have to go through this verification process after initial log in. 5
Forgot Password If the Benefit Administrator forgets their password at any time they simply click on Forgot/Change Password link (Screen 3) and enters their email address and Program code. They will receive a confirmation email with link to enter a new password (Screen 7). 6
Change Password The link from the change password request email takes the Benefit Administrator to this page where they enter a new password and clicks Save. The next page verifies their password has been successfully changed. The BA should now return to the log in page (Screen 3) to get into the site. 7
My DBO Order History Page (Top Half of Page) Clicking on this link takes them to the VLSC Site For Organizations that authorize Digital River to send an email to an uploaded list of employee e-mail addresses, we simplify the redemption process by providing your organization s employees with a brief program description in their language and a hyperlink that will take them to the redemption page and automatically fill in most of the program fields. If the Benefit Administrator opts to upload a Targeted Employee Redemption Purchase (TERP) list and they want to have a welcome e-mail sent to those employees notifying them they are eligible for a bulk order redemption, they should click I Agree in this section. If they click I Decline this option will be presented to employees to accept every time they log on. 8
My DBO Order History Page (Order List) License Remaining reflects the eligible total for that program code in VLSC, it s queried realtime when the BA logs into their account. This list contains reverse datesorted list of the orders placed by this Benefit Administrator. By clicking on a specific order in this list, you can manage the details of that order. Contains date-sorted orders placed by alternate Benefit Administrators that you have given permissions to manage. Order dates are shown in the local time zone, and are based on the order time of the BA that placed the order. Orders can be selected by date range By clicking on the order number the BA can view order details (Slide 10) for orders placed the primary or designated Benefit Administrators. 9
My DBO Order Details Page 1 This section shows product quantity, price and total order amount for order CNL 882001596 (example) 1 This takes them back to the order history page. This section contains a list of the products, quantities, and cost for this specific order. 2 Licenses remaining section provides number of unclaimed bulk orders for CNL882001596. For example if an order placed for 100 Pro Plus licenses and 25 employees have redeemed it will show 75 licenses remaining under Quantity 3 Allows primary Benefit Administrator to assign three additional alternate Administrators to place bulk orders. Those order details can be viewed by clicking on the order numbers listed under Accessible Bulk Orders sections shown on the previous slide (9) 4 Targeted Employee Redemption List (TERP) allows Benefit Administrator to upload the list of employees eligible to redeem bulk orders for CNL 882001596 2 3 For each of the products purchased in this order, this section lists the quantity of licenses that have not been redeemed. For each order placed for your organization, you can specify up to three alternative Administrators. When these additional Administrators log into their MyDBO account they can see and administer the details of this order with the same permissions as the original purchasing Administrator, with the exception of setting additional Administrators 5 Allows Benefit Administrator to create a report showing which employees (by email address) off the TERP list have redeemed licenses from CNL 882001596 4 5 List that contains employee email addresses eligible to redeem bulk orders. Eligible employees with public email addresses (ex. smith@hotmail.com) should be included in this list. WARNING: Do not include public domains as approved domains in VLSC Benefit Details Section This creates a report of the email addresses of employees who have redeemed their product license keys. 10
