November 6, 2014 Dear GSSM Parents/Guardians: Winter Formal is rapidly approaching! This year s Winter Formal will be held at Prestwood Country Club on Saturday, December 6 th from 8pm-12am. We would like for this event to be a success and, more importantly, a fun, safe activity for our students. If you would like to help with this task there are plenty of ways to do so! We are asking for parent donations in the form of food and drinks. The students typically go out to dinner at a nice restaurant in town or in Florence, but we have some refreshments and dessert for them at the location. We are asking parents to donate: Large Fruit Trays Cookies Chips Party Nuts Brownies (Blondies, or Lemon Bars) Punch Bottled Water Clear plastic cups and plates, napkins We anticipate having over 200 students in attendance and would like to plan accordingly. The students do not typically eat a great deal while there, but at the end of the night, there will be a surge toward the refreshment table. Please be aware that some of our students may have a gluten- free diet or food allergies. For this evening only, room check will be 12:15am. Each student is permitted to bring one non-gssm guest to Winter Formal. However, students must remember guests are not permitted upstairs for any reason, including changing clothes, etc. Guests must use the downstairs restrooms or allocated space to get ready for Winter Formal. The use of a personal vehicle is not necessary for Winter Formal weekend, but is permitted. Students that currently have vehicles on campus (year round parking permit) will still need your permission to drive their vehicle to Pre-Winter Formal and Winter Formal Activities. Those with permission to use personal vehicles will be allowed to take their car out of the lot at certain times. The gate will only open Saturday, December 6 th at 4:00pm to allow students to go to dinner. The gate will not be open for vehicle usage anytime during the day. If your son/daughter needs to make purchases from Belk, run errands such as tux pick-up, salon appointments or florist pick-ups in the Hartsville area, they may sign up for shuttles

provided by the Residence Life Staff. These shuttles will begin at noon on Saturday, November 22. All students must be at Winter Formal before 9:30 p.m. Upon arriving, students and guests will check-in with a staff member at the door. Those who choose to leave before Winter Formal is over must return to campus immediately. Once cars are returned to the student lot, all driving privileges end. To ensure the safety and security of all of our students, please sit down with your child and discuss his/her plans in detail, complete the enclosed forms and return them to GSSM by Monday, December 1 st, 2014. Forms returned by students will not be accepted. If your student is not bringing a guest, or a car, and will be utilizing the GSSM shuttle to dinner and the Winter Formal, there are no forms for you to fill out and return. Vehicle Guidelines Cars being used for Winter Formal can be brought to campus on Sunday, November 30 th, when returning from Thanksgiving Break. All temporary Winter Formal vehicles must be taken home by 6pm on Thursday, December 18 th when the Residence Halls close for the Winter Holidays. The lot will be opened on Saturday, December 6 th at 4:00 pm for any approved Pre-Winter Formal Activities. The Annual GSSM Winter Formal Saturday, December 6, 2014 8pm until 12midnight The Winter Formal is open and students need to submit guest registration information for guests they intend to invite. They may invite a date, a guest, or two GSSM Alums. The dance is GSSM dressy, which means we expect gentlemen to wear coats and ties and ladies to wear nice dresses or pants. Students who wear jeans, t-shirts, or sneakers will NOT be allowed into the dance. We definitely need help furnishing refreshments for Winter Formal. If you are able to donate anything please indicate the item and the quantity in the spaces below: Fresh Fruit Tray Cheese Tray Drinks Finger Foods Sweets Other. We need your support and assistance with this activity. Any donations will be greatly appreciated! Please bring any food donations at the end of Thanksgiving Break or any time during the week of Winter Formal and leave it with the on-duty Residence Life Coordinator.
