User Guide Mobile Application 2014-10-20 9 Availability TELUS EMR Mobile (iphone Edition) This application extends the capability of your electronic medical record (EMR) solution to your mobile device. Through the security of our EMR, this application allows you to view the patients that you have scheduled, access your patient medical profiles, and directly phone or map to any contact in your EMR address book. In addition, you can document your patient visits by taking photos and uploading them to your EMR. The TELUS EMR Mobile app will eventually be supported by all four TELUS EMR products. See below for the availability for each EMR product. 10 User Guide Mobile Application 2014-10-20 Getting Started How to pair your mobile device to your EMR system Click on your EMR system below to see the step-by-step instructions for pairing your mobile device to your EMR system. The instructions are product specific. KinLogix EMR Enabling the mobile feature for the clinic Before any of the clinic s users can utilize the app, the mobile functionality must be configured for the clinic. Note: Activation from the Options/Mobile tab must be done by a clinic administrator. First, Kinlogix must activate and authorise the use of the EMR mobile app. To obtain this information, follow these steps: 1. Open your EMR on a computer. 2. Go in the Settings section under the Domain tab. 3. Open the Options tab. If the tab only displays Options, the mobile app is not available for your clinic. Furthermore, no box labeled Mobile will be present. If the tab displays Options/Mobile, the mobile app is authorised for your clinic. Furthermore, a box labeled Mobile will be present. User Guide Mobile Application 2014-10-20 11 In the Options/Mobile tab, check the Enable mobile functionality in the Mobile box. A window will appear with the terms and conditions. Read them closely then click on "I agree to the terms and conditions". Save all your changes by clicking on the floppy disk icon at the top left corner. Why is it necessary to pairing your device Pairing your device to the EMR: associates the device to your EMR account links the EMR data to your device prevents unauthorized access (by "non-registered" devices) to the EMR Steps to pair your device Download the TELUS EMR Mobile app from the itunes App store onto your device. Note: If more than one device is associated with your account at the itunes App store, the app is automatically downloaded to all of those associated devices that have AUTOMATIC DOWNLOADS enabled (in Settings > itunes & App Store) for Apps and for Updates. 1. Launch the app. 2. In the screen that lists the EMRs, tap KinLogix. 3. Once you have taped KinLogix, select the option, YES, I am part of the beta and follow the 2 easy validation steps to reach the installation menu. On your computer workstation, complete he following steps: Note: If adding a device is not possible (grayed out), you must enable the mobile feature, as described above. Click on Add a mobile device. In the Register Device window, click Ready to Pair Device KinLogix EMR then displays an activation code (QR code) and a 5-minute countdown timer (after which the code expires) 5. On your device, do one of the following: Option 1: Capture the activation code (QR code) Hold your device so that the code image (displayed in KinLogix EMR on your PC) is in the center of the square. Your device automatically captures the information. Option 2: Type in the activation code. In KinLogix EMR: In the Activate Device window, click Manual Code. User Guide Mobile Application 2014-10-20 13 On your device: a) In the "Setup: Step 1 of 3" screen, slide right on the box "Or slide to enter a manual code". (This box is at the bottom of the screen.) b) In the text box, enter the 16-character code (and the dashes) that is displayed on your PC. c) Tap Submit. Note: If you do not start one of the above options within 5 minutes (and the counter timer in the Active Device window reaches 0), the Active Device window displays CODE EXPIRED. Click Generate New Code and go through the above steps in a timely manner. 6. On your device, create a PIN to password-protect login to the app: a) In the Choose a 4-digit PIN screen, enter 4 numbers (not letters) that are easy for you to remember but not easy for other people to guess. b) In the Confirm PIN screen, enter the same 4 numbers. If the above steps were successful: Your device displays a popup window "Your Device has been successfully paired!" KinLogix EMR displays "Device Paired!" In the KinLogix EMR, your device is listed in the Mobile screen. 7. On your device, tap Next Step. 8. 14 User Guide Mobile Application 2014-10-20 Troubleshooting Device displays the message " You need to reset your PIN" If you have incorrectly entered your PIN a certain number times, you are locked out of the application. To regain access, you need to reset your PIN: 1. Log into your EMR. 2. Go in the Settings tab, under Mobile.. 3. Select the device that you want to reset the PIN for. 4. Click Reset PIN. 5. The Reset PIN screen is displayed. 6. Enter your new PIN (any four-digit number). 7. In the Confirm new PIN field, enter the same number. 8. Click OK. Your device should now display a Ready to Try Again button.on your device, you can now tap Ready to Try Again to display the app s login screen, where you can enter your new PIN. The data in the app is not refreshing If the data was last refreshed more than 2 minutes ago, your network connection is too slow/signal is too weak. Move to another location or choose a Wi-Fi network that has a stronger connection. I cannot upload a photo If you are uploading a photo and lose your network connection, you will not be able to complete the upload. Due to patient privacy, photos you take through the app are not stored on the phone. If you do not want to lose the photo, do one of the following: 1. Do not logout or exit the app until the connection is restored or until 10 minutes have passed (whichever occurs first). If the connection has not restored within 10 minutes, the photo is discarded; retake a photo and retry the upload. 2. The app uses Wi-Fi or the cellular network (for example, 3G, LTE) to transfer data to your device. You may need to check your plan to ensure it includes data. For more information, contact TELUS Business Solutions or your service provider (if it s not TELUS). Tip: As a TELUS EMR user, you are eligible for a discount on your cell phone plan. When are you going to have an Android/Windows Phone/Blackberry version? Can I have profiles for different clinics? Currently you can pair your device with only one clinic and using one profile. Can I see my schedule at multiple locations? For multi-location clinics, your appointments for all locations are displayed in the Scheduler. You cannot filter by location.the location of an appointment is shown in the Location field (in Appointment Details). 18 User Guide Mobile Application 2014-10-20 Photo features To take photo, you must first be viewing a patient record on your device. Once you are on the patient record page, the icon for taking a photo is located on the top right corner of the application. Tap this icon, to see options for taking a new photo ("Camera") or using an existing photo ("Library"). If you choose "Camera", just follow the instructions on screen to capture the photo and upload it to your EMR. The buttons to upload or cancel the upload are located on the top header area of the phone. If the upload is successful, you will have a message telling you it was successful. The photo is then removed from your device and can be found in the Documents tab of the corresponding patient record within your EMR. If you chose "Library", select an image stored on your device to upload to the patient's chart. The image will remain intact on your phone. It is recommended to use the "Camera" feature for all patient photos for security and patient privacy purposes. Known issues The following are known problems that we're working on: After taking a photo and uploading it, it takes a while for it to appear in Documents (in Wolf EMR). In some cases, the program responds slowly when entering the PIN or when returning to the app. On the Demographics screen, the Language field does not show the information that is displayed in Wolf EMR. If you lose your network connection, the data cannot be refreshed; no error message or notification is displayed. We are working on a notification/alert system; check back for updates. Some items use names different from my EMR. Why? This is a new product that consolidates all TELUS EMR products. The labels and terminology are consistent throughout this application but may differ slightly from your EMR system. What features are you working on next? While you are using the application, the EMR information on your device is automatically loaded. You can also force a refresh on your device by pulling the screen downward. User Guide Mobile Application 2014-10-20 19 How is patient confidentiality handled? Patient data is not stored on your mobile device. Photos that you take with this app are not saved on your mobile device. o After you upload the photo, the photo is automatically removed from your mobile device. o If you don t upload the photo, it gets discarded. The pairing process (during the initial setup) ensures that only recognized devices can access your EMR data. Your EMR security settings are also in effect on your mobile device. For example, if you re not allowed to see selected information for a specific patient, this is also the case on your mobile device. Security tips Make sure you have a password (Settings > Passcode) and auto-lock set up on your device (Settings > General > Auto-Lock). To securely exit the app, on the slide out menu tap Logout. The app logs you out automatically after 10 minutes of inactivity. You will have to re-launch the app and enter your 4-digit PIN. What should I do if the app stops responding? Force quit the app: press the Home button twice; if TELUS EMR Mobile is listed, swipe up to remove it. Make sure you have the latest version of the app installed. (In the Canadian itunes App store, search for the TELUS EMR Mobile app and download the latest update.) What happens if I open the app but stop using it for a while? After 10 minutes of inactivity, you are automatically logged out. You will have to re-launch the app and enter your 4-digit PIN. Can I leave the app running in the background? Is this safe? Yes. You can use your device for other tasks (for example, make phone calls). If you return to the app within 10 minutes, you are taken to the last active page. Does the app automatically block my phone number? No. If, based on your cell phone account settings, your phone number is not blocked (that is, it shows up on the receiver's Caller ID), when you use the app to contact a patient or a contact in your address book, your phone number will be visible to the person you're calling. To block/hide your phone number: Just for the call you are about to make: tap #31# and then the phone number. For all calls: in Settings > Phone > Show My Caller ID, turn Show My Caller ID off. Note: No patient data is stored on your device. From a security standpoint, there is no hard requirement to deactivate your device and optionally remove the TELUS EMR Mobile app from your device. If you'd like to deactive your device and remove the app, follow the steps below. 1. In the device management screen of your EMR, select the device(s) you want to deactivate. For Wolf EMR, on the Maintenance tab of the Wolf EMR launch page, click Manage My Devices. For PS Suite EMR, from the main toolbar, choose Settings > Preferences and then choose Mobile. For KinLogix EMR, on the Settings tab, click Mobile. 2. Click Deactivate Device (PS Suite EMR and Wolf EMR) or on the telephone icon with a red minus (KinLogix EMR). Deactivating your devices does not remove the app from your device. 4. To optionally remove the app from your device (and also remove any changes you've made to the app's settings): a) Press and hold the app icon until it shows an X: b) Tap the X. c) Press the Home Button once (to remove the x from the apps' icons and to prevent the removal of other apps). If you later decide you want to use the app on your device, you must download and re-install the app and go through the setup with each device. How can I tell I have the correct device selected in the Mobile tab? The name that the device's owner gave to his or her device appears in the list of mobile devices On your device, you can view this name on the Settings > General > About page.
