1. Getting Started On PC And Mac About Zoom Zoom, the cloud meeting company, unifies cloud video conferencing, simple online meetings and group messaging into one easy to use platform. Our solution offers the best video, audio and screen sharing quality across Windows, Mac, ios, Android, H.323/SIP room systems, telephone and Zoom Rooms. To Sign in To sign in, simply go to https://zoomnow.net and click on "Login." From there you can Login using Google, Facebook, or your already existing Zoom account. If you do not have an account with Zoom, you can select "Sign Up" to create a new Zoom account. Find The Zoom App Once you have signed up or logged in, click on Host a Meeting, the desktop app will auto download. Alternatively, you can click on the download footer link at https://zoomnow.net or directly from https://zoomnow.net/zntw_zoom_download.php?showtype=all For ios, visit the Apple App Store and search "zoom" For Android, visit Google Play and search "zoom" 2
Note : The client version number is located on the bottom of this dialog box. Logging In To login, you can use your zoom account email and password, Google(Gmail), Facebook account, or login using SSO. Tip : If you have not created a user email and password, please click on "Sign Up" to create a Zoom account. ote : if you have a Zoom account but cannot remember your password. Please select "Forgot your password" Home Screen Once you have logged in, you will see the main dialog box as shown below. The default tab is "Home". 3
You can: View what type of account you are logged in with (Pro or Basic) Click on Start without video to start a meeting sharing your "desktop" or "application" Click on Start with video to start a video meeting Click on Schedule to set up a a future meeting Click on Join to join a meeting that has already been started Note : Click on the dropdown to view your profile, check for updates, switch accounts and logout. Meetings Select "Meetings" to view, start, edit, and delete your personal meeting ID, scheduled meetings, and recorded meetings. You can: Start : Selecting start will start the pre scheduled meeting that you have listed in your upcoming meetings. Edit : You can edit or update your scheduled meeting. Delete : Selecting delete will permanently delete your scheduled meeting. Copy : Here you can copy your scheduled meeting(s) invitation text and manually paste into an email, IM, SMS etc. Note : if you do not see your scheduled meeting, click the refresh tab in the upper right hand corner to update/refresh the meeting list. 4
2. How Do I Join Or Test My Computer Audio? Your audio can come through via the Computer Audio from your device's mic and speaker, a dial in telephone, or dial out to a telephone. First, click on Audio and ensure that you select Join Audio Conference on Mic and Speaker (or Internet Audio for mobile) if you like to use your computer's mic and speaker Note : You can check on Automatically join audio conference to save the settings. Second, click on Test Mic and Speaker to test your audio Third, click on Test Speaker and Watch Volume Bar Select the microphone dropdown and try a different audio source if the other side can't hear you. Select the speaker dropdown and try a difference speaker source if you can't hear the other side. We recommend keeping the "automatically adjust microphone settings" enabled. 5
3. Meet Now Vs Schedule Meetings There are 2 types of meetings: Meet now This is an instant meeting. You click meet now on the main dialog box or during an Google or Facebook IM chat. The meeting starts instantly and you can invite others to join this meeting at anytime. Note : You start the meeting then invite. Schedule This is a scheduled meeting, You click schedule to schedule a future meeting or a future recurring meeting. The scheduler will launch your calendar (default, outlook or gmail) or you can manually launch any calendar and paste the scheduling info. Then you schedule the time and invite others to join your future meeting via your calendar. Note : You invite others then start the meeting in the future. Note : Scheduled meeting IDs last for 30 days from the day it is scheduled or started. Recurring meeting IDs last for 365 days from the day it is scheduled or started. 4. How Do I Schedule Meetings? Scheduling on the Zoom Application Open your zoom application and log in to Zoom, then click-on the "Schedule" icon (see below) 6
Scheduling Once you have opened the zoom scheduler, You can then start to set up your future zoom meeting. See below for details Note: All scheduled meetings can be started by the host at anytime. Regardless of the date and time settings. Topic: Choose a topic/name for your meeting. When: Select a date, and time of your meeting. Timezone: By default, zoom will use your computers time zone setting. To change the time zone, click on the highlighted link. Recurring meeting: Choose if you would like a recurring meeting ( i.e. the meeting ID will be persistent for the recurring meetings ). Video (when joining meeting): default video to on or off for host and/or participants Audio Options: choose whether to allow users to call in via Telephone, VOIP, or both Password: You can select and input your password here. Joining participants will be required to input this before joining your scheduled meeting. Enable join before host: Allow participants to join your meeting before you. Note: The meeting will end after 40 minutes for Basic/Free subscriber. Calendar: Add to any selected calendar and send out invites to particpants. 7
Schedule: Click here to finish and open up which ever calendar you have selected. Note: Choosing "Other Calendars" will allow you to copy and paste the scheduled meeting information such as date, time, and meeting URL into an email that you may send to invitees. Add to calendar After you are done setting up your Scheduled meeting, "Click on" the Schedule icon at the lower right hand side of the window. 1. 5. How Do I Invite Others To Join? You can invite contacts while in a Zoom meeting by selecting the "Invite" tab in your in meeting toolbar. You can: Invite contacts using your "Default, Google, or Yahoo" email accounts. Invite using your Zoom IM or Google IM You can "Copy URL"or "Copy Invitation" and paste it on other email or IM 6. How Do I Host A Video Meeting? Singing In: 1. Go to http://zoomnow.net and click on Sign In. 2. You can use the " e mail" and "password" that you have created, or use your Google (Gmail or Google App) or Facebook account to sign in with. Note: If you do not have a current Zoom account, please click on Sign Up Free to create a new one. 9
Hosting a Meeting: If you do NOT have the Zoom app installed, go to zoom.us and select "Host a Meeting" to start the installation. If you DO have the App installed, see below 1. Open your Zoom app on your desktop and Click on "Sign In" 2. Then Login using the E mail and password that you have created, or with Google(Gmail),Facebook, or Login with SSO. 3. Once you have logged in, you can select "Start Video Meeting" to start a instant meeting.. 10
7. What Are The Host Controls? You are the host of the meeting if: You started the instant meeting You scheduled the meeting and started the meeting You joined the meeting and claimed the host role You are given the host role during a meeting What options do I have as a host? The " Host " of the meeting will have control over all functions and features in the meeting. To access these controls select "Manage Participants" located in your in meeting zoom menu bar (toggle mouse to view). Mute/Unmute All: mute/unmute all participants in meeting you will be given the option (checkbox) to allow or not allow participants to unmute Lock Screen sharing: by selecting lock screen sharing, other participants will not be able to share screen. Mute on Entry: participants will automatically mute as they enter the meeting Play Enter/Exit Chime: plays a sound as participants join and leave the meeting Lock meeting: you can lock your meeting so that no other participants may join Stop Video: stop participant's video stream (unable to start video) Make host: you can grant another participant permission to be the host of the meeting the host of the meeting can also Reclaim Host after making another participant the host of the meeting 11
Remove: you can kick/boot participant(s) from the meeting Allow record: you can allow other participants the option of recording the meeting Rename: rename the attendee name selection Start attendee on hold: Place the participant "on hold", removing them from the video and audio conference *you must have Enable attendee on hold selected in your Profile Settings prior to starting the meeting Note: Host control features are only be available if the host is logged into the meeting. 8. What Are The Attendee Controls?? When am I an Attendee? When you join a meeting scheduled by another Zoom user What controls do I have as an Attendee? Mute/Unmute your microphone Turn on/off camera Invite other participants View Participant list Raise Hand notifies host and shows a prompt to simulate hand raise Rename change your name that is seen in the participant list and video window 12
Share Screen Chat chat with individuals or all in meeting Record (if host has given permission) Choose video layout Pin video Co annotate on screen share (if sharer allows) 9.How Do I Join A Meeting? There are a few ways to join a meeting. Join via a browser Open any browser Go to join.zoomnow.net Enter your meeting ID Join via Zoom App Download and login to your zoom application and then select the "Join" button. 13
Then enter the "meeting ID" and select the name you want to appear in the meeting as: Join via URL link Join by clicking on the URL Link in your e mail or calendar invitation Join via Answer Join by answering a video meeting if you are online with Zoom, you will receive a video call along with a ringtone. Click on Accept. 14
Join using "Dial in" You can join a meeting via teleconferencing by using your "Land line" or "Mobile device" by dialing the number provided in the invitation you receive. You will then be asked to enter the "Meeting ID". Note: If you are already in the meeting via "Computer", you will also be able to enter your "2 digit participant ID" number to be associated with your user ID. Join using H.323/SIP Device Dial the IP address provided to you in the meeting invitation (requires Room Connector port add on). Enter the meeting ID via touch (DTMF) tones followed by "#". Or you can use dial strings, such as 192.168.10.55##000111000 to join directly in to the meeting. 15
10. How Do I Activate Video Menu Option On Mac? On a Mac, you need to right click on a video panel to activate the video menu options. 11. Local Recording How do I start Local Recording? The host can record. While you are in a Zoom meeting, move your mouse around the screen to toggle the menu bar. 1. Select " Record" 2. You can also click on Participant to assign someone to record 3. Local Recording Fails To Convert Reasons for Failed Local Recording Conversion After you ended a Zoom meeting, your recorded meeting will begin to convert. Your recording may fail to convert due to the following reason/s: You may have low "disk space" on your computer at that time. Invalid working "path/folder" (sometimes, an invalid network connection may appear with this warning too). Abnormal errors such as "internal errors" (bad data stream), invalid command, or logic issues. What can I do? 1. Please check your "Disk space" and try and free up some space if it is low. 2. Change/update the recording location and make sure it is a valid path string/folder 17
Note: Please follow steps 1 2 prior to step 3. 3. You may then try to manually convert your meeting by opening the file location of the recording that failed to convert: Open Zoom App Select "Meetings Recorded Open" 4. Double click any one of the "Double click to convert" files in the recording folder. Your recording should begin to convert. Submit to Zoom for a Manual Conversion 18
If the double click to convert fails, please send us the file for a manual conversion Upload both of the "Double click to convert" files to something like Dropbox, Google drive, etc. Send the URL link/shared link to Zoomnow.net via "support ticket" and we will manually convert your recording for you, upload the successfully converted file and send it back to you. 13. How To Use A Dual Monitor Display Pre requisites: Setting Up: PC or Mac with >4 cores system processor (i5 and above) due to higher processing requirement 2 cores systems with > 2 Ghz due to higher processing requirement i7 system processor If you have a "Dual monitor" setup at conference room, office or room, you can follow these steps to enable "Dual stream for dual monitor" display on your Mac or PC. First, please make sure that you have your monitors/hdtv connected via HDMI cables (preferred) or VGA cables. Change Settings: You will need to access your computer display settings. You can do this by going to Control panel Appearance and Personalization Display screen resolution. Then, select "Extend these displays". (Windows 8 example below) 19
Enable Dual Stream for Dual Display: You can turn on/off dual stream for dual monitor display within the zoom app. Open your zoom application and select "Settings" "General" "Content sharing" 20
Note: Once enabled and saved, please start a new video meeting. When Zoom detects a dual display setup, it will open up 2 windows in fullscreen automatically. To exit fullscreen, double click on the window. Note : If you start a screen sharing meeting, dual screen is not supported automatically. 14. 在任何時候, 用戶控制攝像頭可以放棄控制權, 通過選擇 放棄攝像機控制 15. How Do I Start A Screen Share Meeting? Start a Screen Share Meeting: If you would like to start an instant meeting for screen share (no video) or an audio only meeting, you can do so by selecting the " Start with no video " at the Home tab. 23
After selecting "Start without Video" your meeting will start. Audio Conference: Meet with no video or content sharing(audio only). Share Screen: Share content with audio only(video is off) Invite Others: Send invitations for others to join your meeting. Note: Video is not automatically turned on during a screen share meeting. You will need to "Start" your video/camera during the meeting. Switching Windows during Screen Sharing: During screen sharing, you can switch between different Windows or Desktop by moving your mouse/pointer to the top of the meeting window. Select " Share" Other options during screen sharing includes mouse/keyboard control, annotate, record, mute, chat, etc.. To end your screen share meeting simply select "Stop Share." Leave meeting or End Meeting For All: You can choose to Leave meeting Leave the meeting but, leave the meeting open and running. End the meeting for all As the "Host" you can choose to End the meeting. 24
Start Video: To start your video during your screen share meeting, select the "Video icon" in your meeting menu. Note: If you started your video during your screen share. When you click "Stop Share" your meeting will return to the "Video Meeting" mode. Video Layouts: There are 4 video layouts for single monitor. Click here to learn more. Window View Full Screen View Gallery View Mini View For "dual monitor setup", you can view your screen share presentation on one monitor and the p articipant(s) video on the second monitor Video Layout during Screen Sharing: There are 3 layouts if you enabled video during screen sharing Minimized View shows who's talking Active Speaker shows active speaker(click and drag bottom right corner to resize) All Speakers shows all speakers (4 at a time) with up and down scrolling 25
Note : You can move the drag and move the window layout at any time. Fit to window: When you are viewing a shared screen, it is in original size for optimal quality. You can click on "fit to window" during screen sharing to change the layout. Original size will maintain the original quality. Fit to window can reduce the viewing quality for the shared screen. There is also an option to set "fit to window' as default. 16. Screen Sharing And Annotations Zoom allows for annotations during screen sharing. Screen Sharing: To start "Screen Sharing" select "Share Screen" button located in your meeting tool bar. 26
After selecting "Share Screen" located in your in meeting tool bar. You can choose to share your "Desktop" or an "individual application/window". Note: You can also select to share "computer audio" when sharing a video clip such as YouTube or a locally stored video clip. Screen Share Menu: Annotations: Pause: Pause your current screen share Share a New Window: Select a new window to share (Choose another window/application to share) Annotate: Use screen share tools for drawing, pointer, etc.. Remote Control: allow participant to control your keyboard and mouse Mute: toggle mute/unmute for your microphone Stop Video: Stop/Start your in meeting video feed More: In meeting Tool bar options ( in meeting options such as Participants, Chat, Invite, etc..) During your Screen share you will have the option of using several features. By moving your mouse cursor to the top of the screen to open the drop down menu and select "Annotate" Annotation tools: Mouse Draw Spotlight Eraser Color Undo Redo Clear If you are using a dual monitor set up. You can turn on the "dual screen for dual monitor feature" to see the screen sharing on one monitor and participants on the second. Attendee Side Annotation: Any Attendee in your meeting can start annotating on a shared screen. The Attendee can access "Annotate" in the upper meeting tool bar 27
Note : If the Host of the meeting "Locks Annotation," Attendees will not be able to use the f eature. 17. Request Or Give Remote Control Request Remote Control: Pre Requisites: 1. Participant must join meeting with PC, MAC or ipad device. 2. Participant that is sharing screen must be on a PC or MAC. You can request remote control from host or the participant that is sharing screen. Once the user has started sharing you will need to locate the tool bar menu drop down at the top middle of your in meeting window. Next will select "Request remote control right" This will then send the host/participant sharing a notification asking whether or not they wish to allow you to control their screen. Give Mouse/Keyboard control: While "Screen Sharing" in a zoom meeting, you can "Give mouse/keyboard control" to another participant that is in the meeting. 28
First, the host or participant must select " Share Screen ", ( Host cannot initiate screen share to present for another participant in the meeting.) Next, move your mouse to the top of your meeting window/screen to "toggle" the drop down screen sharing menu. Select " Give mouse/keyboard control to " and then select the participant you would like to give control to. The participant can click anywhere on their screen to start control. Regain control: To regain control over your mouse and keyboard, simply " click " anywhere on your screen. Remote control using ipad: When using an ipad you can touch and move the "Mouse icon" or tap the "Keyboard icon" to type. 29
18. Screen Share IPhone/IPad Apps About Zoom allows for true ios screen sharing from iphone and ipad through ios mirroring. You can now share any application running on you ios device through a Windows or Mac Zoom client to Zoom meetings! The Zoom client acts as an AirPlay server to connect your ios device to for sharing. Prerequisites Download Must use Zoom client version 3.0+ for PC or 3.5+ For MAC. PC and ios device must be on the same network You must install the plug in for sharing iphone/ipad iphone 4 (or later), ipad, ipad mini (4th generation or later) To download the iphone/ipad sharing Plugin, you can simply click on the option to share iphone/ipad in the Zoom client (shown below), or download manually at Download Center. If you have installed desktop firewall, please ensure that it allows inbound and outbound access for airhost.exe (Win) or airhost.app (Mac). How to Share 1) Start or join a Zoom meeting 2) Press the Share Screen button on the menu bar 3) Double click the iphone/ipad option 30
4) Follow the instructions provided to to connect your ios device Swipe up from the bottom on your device to bring up the menu Click on the AirPlay button and select the Zoom Meeting option Turn on mirroring Once connected, your ios device screen will be mirrored and shared through the Zoom application. You can screen share any apps (video content such as MP4 is not shared). 31
19.Mobile Screen Sharing On Android About Content sharing and annotation from Android devices allows you to share photos and web sites directly from the device. Sharing content will remove the video feed in order to reduce bandwidth consumption. How to Share Content 1) Start or join a meeting from an Android device 2) Tap the screen to open the Zoom menu and press the Share button 3) Select which item you would like to share: Photo share from your device Gallery Document share a PDF, PPT or other document Dropbox share a photo or document from your Dropbox folders OneDrive share a photo or document from your OneDrive folders Web (Or From Bookmark) share a website from Zoom's built in browser Screen share any application, photo, document, or other that is accessible from your Android device. *Requires Android 5.0 or above *Note: you video will be turned off when sharing content 32
Share Web 1. Press the Share Web option 2. Enter the site URL into the textbox provided 3. Press Share Share Screen (Android 5.0 or above) 1. Press the Share Screen option 2. Confirm that you would like to share the entire screen (select checkbox to skip this step in the future) 3. You will be taken to the desktop where you can share any application 33
4) Press Stop Share to return to video. How to Annotate on the Content Share 1) Share your content 2) Press the pencil button in the bottom left corner and select your desired tool and color 3) Press the pencil button again to stop annotation 34
20. What Is Safe Driving Mode? Safe Driving Mode: When in a Zoom meeting using your iphone or mobile device. From the meeting window you can "swipe right" to enter "Safe Driving Mode" To enter Safe driving mode " swipe right" on your meeting screen. To exit and go back to your normal meeting window, "swipe left" In this mode, your microphone and video will be automatically stopped and muted. To talk, you will need to tap the "Tap to speak" icon. You can choose to switch from your phones microphone or speaker. 35
