Objectives Use these guide to learn about barcode printing solutions for Umoja, barcode printers installation procedures and procedures to print different types of barcode labels from ECC transactions. Trigger Perform these steps when there is a need to print barcode labels either at the time of GR or at a later moment. Overview of Barcode Printing Barcode Printers for the Umoja solution are configured as Local Printers. This means that there is no specific Printer configuration required in the SAP systems. Once the barcode printers have been set up and defined as devices on users PC, using the installation media that was provided with the Printers, they are ready for use with the SAP solution. Barcode Printers tested for the Umoja Solution The following Zebra barcode printers were tested by the Umoja team and are certified to work with the Umoja solution: ZT210 ZT400 ZD500 However, in all likelihood, all Zebra desktop printers that can be installed as local printers on users PC and are capable of printing 4 *2 and 2*1 (inch) labels will work in the Umoja Solution. Installation of the Barcode Printer on Users PC/laptop The Drivers for your particular model of Zebra Printer should have been delivered with the Printer itself. Otherwise, it is possible to download the Printer Drivers and Zebra Set Utilities from: https://www.zebra.com/gb/en/products/software/barcode-printers/zebralink/zebra-setuputility.html The file is approximately 8MB in size and needs to be downloaded and then installed on the PC where the Zebra printer will be linked to. An account with Administrator privileges on the PC needs to be used to install the drivers and Zebra Set up utility. The Zebra printer can be linked to the PC by a USB cable. After installing the set up media on the PC, launch it by: Umoja Training 3/18
You will then get a screen like this: If required, you can install new printers from this screen. Settings for label sizes As of May 2015, there are two particular label sizes for Umoja 4 by 2 Inches and 2 by 1 inches. Depending on your location and barcode printing requirements, it may be necessary for you to change the label size before printing out. If you are using only one printer in your location, it would be necessary to manually change the labels in the Printer itself before printing on the alternate label size. Umoja Training 4/18
To set the label size and related defaults, choose the Printer that you have installed and from the Zebra Set up Utilities, main screen: Umoja Training 5/18
Choose Configure Printer Settings Set the label size as required either 4 * 2 or 2*1, choose Next. Testing was performed using Darkness of 29 (but adjust depending on your requirements). Then choose Finish (there are multiple other options and selections available but none are mandatory). Umoja Training 6/18
Barcode labels in Umoja In Umoja, barcode/material labels are typically generated at time of goods receipt to help identifying the newly received items for custody and stewardship purposes. There are different types and sizes as well as different ways to print them. Beside labels, several outputs are generated at time of goods receipt: these include the GR Slip Form and email notifications to Requisitioner and Buyer. This Job scope is limited to printing labels. Refer to Job Printing GR Slip for further details on GR slip form printout. The bar code/material labels can be placed on the serialized equipment or Material Packaging to indicate the relevant information to enable identification of goods for various purposes, such as physical verification, maintenance, assignment, etc. The labels size is identified in Umoja through the output type, which is specified by the user or determined by the system when printing. The labels sizes available in Umoja are: Output type Size ZLA1 1 by 2 ZLA2 2 by 4 Note: labels are printable in Umoja both for serialised materials and non-serialized materials: in case of serialized materials, one label for each unique barcode number is printed. In case of non-serialized materials one label for each goods receipt line item is printed. Umoja Training 7/18
Modality for printing barcode labels in Umoja ECC This process assumes that the user who will be printing the barcodes will be logged on the PC where the Barcode printer is installed, or the barcode printer is available on the local network and it is possible for the user to print to it. If this is not the case, printing will not work. Users will firstly have to log onto the Umoja Gateway (https://login.umoja.un.org) and from there, log onto the Umoja ECC Production system. There are two ways for printing barcode labels in Umoja ECC: 1) With reference to the Goods Receipt (t-code MB90) In this modality, the barcode labels are printed for a specific goods receipt in Umoja. The user indicates the goods receipt material number; individual labels are printed for all serialized materials received with that goods receipt as well as one label for each goods receipt line item for non-serialized equipment. In this case, the barcode label type ZLA2 (2 by 4 ) is printed. 2) With reference to specific equipment (t-code IE03) In this modality, the barcode labels are printed for specific equipment numbers; the user indicates the equipment / range of equipment for which the label is to be printed. In this case, the barcode label type ZLA1 (1 by 2 ) is printed. Printing 2 by 4 labels with reference to goods receipt (MB90) The 4 by 2 labels are created for both serialized and non-serialized materials through output type ZLA2; they should be printed on a bar-code printer supplied with 4 by 2 labels ribbon. These labels are created during successful GR posting but not immediately printed. Review output forms created at goods receipt A user can review the forms created at goods receipt time using t-code MIGO (optional step). Type MIGO in the command field and press Enter. In the newly displayed screen select: Display Material Document, and then type the number of the goods receipt material document to be displayed; press Enter, select one item of the goods receipt and select the tab Output : Umoja Training 8/18
Click on Display Output to see a list of the output forms generated for the goods receipt. The system will display the list of all output forms created with that goods receipt. Note: the system will display the output forms and labels created for each item; for the first item, the system will display also the output created for all items, such as the GR slip and the email notifications: Print ZLA2 labels (t-code MB90) In order to print ZLA2 labels follow the steps below: Type transaction MB90 (1) in the command field and press Enter. Populate the following fields in the screen displayed by the system. Output type (2) = ZLA2 Processing mode (3) should be = 1 the first time the labels are printed and = 2 if the labels have been already printed once (repeat processing) Material Document Year (4) = year of the Goods Receipt Material Document Number (5) = material document number of the Goods Receipt Click Execute (6). A new pop-up window (Windows printing) appears prompting the user to print labels; select from the list of available local printers the correct barcode printer with 4X2 ribbon (1), click button Properties to check/change the settings for the barcode printer (2) and then click Ok (3): The following settings of the barcode printer should already be set for you however, it is still possible to amend them (size of the label, darkness, etc.) from this screen: Umoja Training 11/18
Printing 1 by 2 labels with reference to equipment number (IE03) The 1 by 2 barcode labels (output type ZLA1) are created only for serialized materials and therefore should be printed on a bar-code printer supplied with 1 by 2 labels ribbon; they contain UN title and logo (1), Material Number (2), bar code for serialized equipment (3), Plant (4) and new serial number assigned in Umoja at time of goods receipt (5): In order to print ZLA1 labels follow the procedure below: 1. Type IE03 in the command field and press enter; in the newly displayed screen click on white button on the right end of the Equipment field or press F4: 2. The system will display a pop-up box from where it is possible to select the equipment for printing. Click on the icon on the top right corner (1) and choose the option equipment by equipment list (2): Umoja Training 12/18

3. In the Display Equipment selection window provide the required / available selection criteria: a) In case the material and equipment numbers for printing are known upfront, specify the material and equipment numbers in the respective fields b) In case the material and equipment numbers are related to a specific goods receipt, material number and serial numbers can be retrieved: from the Goods Receipt slip printed with the goods receipt: from the GR material document: Umoja Training 14/18
c) If the printout is related to all the equipment received in a certain day, then specify the following selection criteria: o In the Equipment Selection part of the screen, enter the material number(s): o In the General Data section of the screen, enter the Acquistion date as the date of the Goods Receipt of the equipment: o In the Serial Number section of the screen, enter the Plant where the equipment have been received: 4. Enter the relevant criteria as explained above. After entering the required selections, click on Execute in order to display the list. Umoja Training 15/18
5. From the list of displayed equipment highlight those for which you want to print ZLA1 labels: 6. Select from the menu: Go to Print Barcode: 7. Select from list of available locally installed printers your barcode printer supplied with 2*1 barcode labels. NOTE: the printing functionality is available only from a list of equipment numbers. If only one equipment is selected, the system displays directly the equipment details screen (no printing available from the display screen). Hence, please ensure to select minimum two equipment numbers in order to display a list and then print from there. Umoja Training 16/18

Note Regarding Media Type (Thermal Transfer Vs Thermal Direct) During testing using the ZT410 Printer Model, it was noted that the flag Thermal Direct needs to be set. This means that the Printer will not require a Ribbon and can print directly onto the Labels. This flag was not required on the ZT210 model. It may be necessary to set this flag on other compatible Zebra printers. Umoja Training 18/18
