Project Coordinator Basic Function: Plans and coordinates activities of assigned contract furniture day-to-day orders and projects, from inception of project to final close-out and invoicing, to ensure that the objectives of the project are accomplished within the project time frame and budget parameters. Assists sales representatives in meeting project margin goals, from initial proposal creation, through project completion. Focuses planning on providing the installation team with the information needed to perform their best in the field. Specific Responsibilities and Duties Customer/Account Servicing: Provides professional customer interface and client relations throughout project Maintains frequent contact with clients and project team; providing information on order status, shipping information and installation schedule Responsible for customer sign-offs and approvals for order processing Project Planning, Coordination and Management: Reviews overall project scope and manages scope to ensure it is updated as changes occur Develops a schedule and logistics plan based on overall project parameters, project schedule and scope, and customer s goals Works with dealer team to ensure that all projects are coordinated with or outside vendor s installation and team and HMPS in mind Provides technical consultation to customer and customer s team on electrical/data, product application, receiving and installation logistics Performs risk analysis for each assigned project to identify and mitigate any issues that may arise Coordinates installation with all third party firms (contractor, cabling, vendor, electrician, plumbers, movers, etc.)
Project Administration: Maintains accurate and detailed record keeping/project documentation, including records placed in CORE and central network drive Creates CAP specifications for non-project, small, day-to-day products Applies discounting to specified products and ensures margin goals are achieved Prepares labor quote using the scope, specification and drawings provided by design Creates proposals in CORE and sends to the client or sales person, as requested Assigns PO breaks and prepares proposals for ordering Submits purchase orders to vendors for order processing Reviews acknowledgment information inputted into CORE by the centralized Acknowledgment Specialist for flagged discrepancies; Reviews ship dates for adherence to original requirements Communicates any necessary changes to the manufacturer s customer service representative by email and makes necessary changes to company purchase orders in CORE Creates, proposes to client and processes change order documents to reflect associated cost changes to project Creates work orders, requests install drawings and distributes work order to scheduling in a timely manner to be scheduled Produces reports for status meetings and provides other project reports to project team, as required Participates in status meeting with internal team, updating all involved with the progress of projects and installation Punch, Invoice and Project Close-Out: Using punch list information provided by the Customer Satisfaction Specialist, creates and places orders for warranty and non-warranty punch list, creates punch redline drawing, sets up work order and distributes to scheduling to schedule the punch list installation; responsible for punch list resolution Confirms project completion and sends invoice to client Manages all final project close-out requirements, including lien releases, contract requirements, and client sign-offs, etc.
