Position: Public Relations, Media and Events Coordinator Requisition: Department: City Manager s Office Position #: Opening Date: October 16, 2014 Closing Date: Until filled FLSA Status: Exempt Hourly Pay Range: $26.52 per hour - $33.14 per hour GENERAL DESCRIPTION: The Public Relations and Events Specialist promotes the City of Miami Gardens brand through oral, written and graphic communications; effective use of social media and web based formats; event coordination and planning; and creation of strategic partnerships with public and private entities. The Public Relations and Events Specialist also develops and implements a public relations plan based on the City s goals and industry best practices. This position plays a key role in the advancement of the City s communication and public relations goals and must coordinate with City officials and personnel on a regular basis. ESSENTIAL JOB FUNCTIONS: This is not intended as a comprehensive list; is intended to provide a representative summary of the major duties and responsibilities. Incumbent(s) may be required to perform all duties listed, and may be required to perform additional, position-specific tasks.
2 Delivers superior internal and external customer service. Establishes and maintains effective internal and external customer relationships. Identify and implement special projects and events to reinforce City partnerships Develop and implement strategic public relations, event and media campaigns for the City, including design and coordination of special events. Coordinate special event activities with City Council, City Administration, other City staff, vendors and other external business development and strategic partners. Coordinate the City event sponsorship programs and obtains sponsors for City events and initiatives, as directed. Review and negotiate contracts, memorandums of understanding and proposals for City partnerships Obtain promotional items for the City. Develop and implements certain special projects and events which promote and reinforce the City s brand identity. Perform project management for various City events and projects. Liaise with Council, City departments, businesses and other agencies to ensure that all event-related requirements are met. Determine, monitor and manage the time line, budget and execution of City events Undertake day-of coordination of City events. Researches, writes and edits accurate, meaningful and readable material in current AP (Associated Press) style. Assist with the production of graphic design work for publications. Write and produces presentations. Assist to with taking, producing, and obtaining photographs and video materials in accordance with best practices for securing intellectual property. Assist with various public, community and/or media relations meetings as directed. Provide event information and updates to Council, City staff, general public and other agencies Prepare detailed event report at the completion of each event.
3 Create marketing and promotional materials and campaigns, both print and electronic. Conduct and plan market research activities. Coordinate with City Council, City Administration and other City staff to determine specific communication needs Design and launch and social media marketing campaigns. Promote events and services through public relations initiative. Create and manage layouts and design of communications such as presentations, newsletters, event support materials, brochures, videos and flyers. Create, edit and disseminate the City s newsletter Maintain and update the City s residential mailing list Create and deliver press releases, media relations content, case studies, white papers, executive bios, newsletter content, social media content, and speaking proposals. Conduct extensive media and community outreach. Research media coverage and industry trends. Coordinate conferences and press interviews. Coordinate and supervise all third-party providers of media-related services to the City. Other operational and administrative functions as requested MINIMUM QUALIFICATIONS: Knowledge, Skills and Abilities: Thorough knowledge of business English, spelling and punctuation. Comprehensive knowledge of marketing, media, public, community and media relations, and event planning. Advanced knowledge of municipal government functions and general methods of operations. Advanced knowledge of business marketing and organizational branding strategies. Knowledge of and ability to proficiently build, navigate and manage social media platforms and forums.
4 Knowledge of photography and graphic designs. Basic knowledge of public policy, as well as administrative laws, ordinances and regulations which govern municipal organizations. Ability to conceptualize ideas into comprehensive final product marketing strategies. Ability to effectively articulate the City s point of view and to translate information and concepts into easily readable language. Ability to work in a high pressure, fast paced environment; independently shifting priorities as needed to meet deadlines. Ability to execute assigned duties with flawless tact and diplomacy. Ability to think and act strategically; respecting the confidentiality in the decision making process. Excellent oral, written, presentation, public speaking and interpersonal skills. Excellent analytical, management and organizational skills. Excellent creativity and problem-solving skills. Computer skills including graphic design software and Microsoft Office; willingness to learn necessary computer software as needed Education & Experience Requirements: Bachelor s Degree in Business Administration, Public Administration, Public Policy, Journalism, Communications, Marketing, or a closely related field. Professional marketing, public relations, and/or communications experience. PHYSICAL REQUIREMENTS & WORKING CONDITIONS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
