We are assuming you will have an entire year to plan. If your wedding is in less time than that, be sure to catch up as quickly as you can. In this section you will find: Monthly Calendars Wedding Schedule Checklists Bride and Groom Timeline Checklist Delegation Task List The Bride and Groom Timeline will help assist you in the timing of your wedding day and will keep you on schedule. You may want to make several copies for the bride, groom, wedding planner, and whoever else may need one. The Delegation Task List can be used to track items that you will be giving to other people: Wedding planner, Maid of Honor, Parents, Best Man, Bridesmaid, or a good friend or relative. It will help you to remember who is doing what and will help the person you are delegating items to. Make as many copies as needed.

Wedding Schedule Checklist (1) 9-12 Months Before Wedding Months: Learn the facts about diamonds and find the engagement ring. Propose! Moxie Wedding Notebook 8 Organization: Calendar, Checklists & To-Do Lists Compile your guest list. Determine how many people you will be inviting (consider including both sets of parent recommendations in decision). If you need to reduce guest size due to budget, use two lists to organize: Must Invite and Would Like to Invite. Keep in mind, all single guests generally bring a date. Remember, the more people who attend, the higher cost of the wedding. Rule of thumb: 20 25% will not be able to attend. Announce your engagement. You can do so in many ways: Have both families meet, call your close friends and family, host an engagement dinner / party. If desired, notify the local newspaper. Select the date and time. Consider the following: Seasons, type of wedding desired (indoor / outdoor, formal / casual, afternoon / evening), dates near major holidays (possible price increase, but longer stay for family), and when good travel months are for friends and family. Decide on a reception location. Tour locations and check availability. Be sure the site can aommodate the number of guests you are anticipating. If booked on desired wedding date, decide if the date is more important or the location and change aordingly. You may consider reserving the location the evening before for your rehearsal dinner. Be sure to insert all deadlines the reception site gives you under the appropriate month of the checklist or calendar to stay organized. Be sure to ask if liability / event insurance is required. (Review location sites and questions to ask, in Vendor section of this book.) Set the initial budget. Determine how expenses will be divided (groom s parents, bride / groom, bride s parents, etc.) Use worksheet in Budget section (make copies or write in pencil, as it will change over time). Book a wedding planner. You can relax now because this could be one of the best decisions you make! Decide how you ll use your planner. Go over wedding packages and services. Meet to discuss initial consultation to go over the options and start planning! Before signing any contracts with vendors, check with your wedding planner to see if he / she might be able to get you a discount. Decide on a ceremony location. Sometimes this can be the same as the reception location. Tour locations and check availability. If location is at a private home, arrange for home and garden improvements. Be sure to record all deadlines the ceremony site gives you under the appropriate month of the checklist or calendar to stay organized. Check to see if they have bride and groom rooms to get ready in and if at additional costs. If not, make arrangements. Other

Consider getting close by hotel / motels from reception / ceremony site. Decide how large you want your wedding party to be. Select members of your wedding party. Let them know right away! If they are from out of town, advise them of the blocks of hotel / motel rooms so they can start their travel arrangements. Advise them of their responsibilities! (See Responsibilities of Wedding Party in Wedding Party section). Order any rental equipment. After speaking with the catering company, reception and ceremony sites to see what is included, order any additional rentals as necessary with a signed contract. (Review Rental Equipment in Vendors section of this book). Book the entertainment/musicians for the ceremony. Consider a DJ, band, harpist, organist, string quartet, soloist, duet, etc. Book them with a signed contract. (Review DJs and questions to ask under the Vendors section). Put together a wedding website, (optional). Send a Save the Date. There are many ways of doing this: Send a postcard, magnet, fortune cookie, email, etc. Include the ceremony location and information on the blocks of hotel / motel rooms so the out of town guests can start their travel arrangements. Also include the wedding website address for your guests to view. Book the entertainment/musicians for the reception. Consider a DJ, band, harpist, organist, string quartet, soloist, duet, etc. Book them with a signed contract. (Review DJ s and questions to ask under the Vendors section). Other Determine who will officiate the ceremony, if not provided with the ceremony location and book them. Make sure they are available and sign a contract with them. Other Determine who will cater the reception, if not provided with the reception location. Ask if they can serve the alcohol and the length of service time. Be sure to record all deadlines (minimum guarantees and final counts) the ceremony site gives you under the appropriate month of the checklist or calendar to stay organized. They can start booking up pretty quickly (especially during weekends in the summer) so book as soon as you can. (Review photographers and questions to ask in the Vendors section of this book). Discuss prenuptial agreement, if desired. Consult an attorney to draft it. Other Book the videographer. They too can start booking up pretty quickly so book as soon as you can. Decide if you want a slide show or a video during the ceremony/reception. If so, get pricing and select package aordingly. Book with a signed contract. (Review videographers and questions to ask in the Vendors section). Other Other Book the florist. Set appointments to go look at their work and book with a signed contract. (Review Florists and questions to ask in Vendors section). Other Research bridal gowns. Schedule fittings to start trying them on! Decide what styles you like. If you find the right one, buy it! You can also purchase your head piece, shoes, and other aessories. Other Other Research grooms formal attire. Figure out what the groom will be wearing, a tux or other alternate formalwear? You may want to consider the style of the wedding (formal / informal) when choosing the groom s attire. Other Research wedding party attire. Figure out what styles you like. Other

Wedding Schedule Checklist (4) 6-9 Months Before Wedding Months: Purchase bridal gown. Purchase / rent grooms attire, if not done yet. Moxie Wedding Notebook Organization: Calendar, Checklists & To-Do Lists 11 Decide if you will be hosting a day after wedding brunch. If so, decide on location, time, and who you would like to invite. Typically, you open all your wedding gifts in front of select family and guests over brunch. Order wedding party attire & aessories. Arrange for maid of honor, bridesmaids, flower girl(s), best man, groomsmen, and ring bearer to be measured. Order all dresses and aessories, and all rental attire (tuxedos, etc.) and shoes. Arrange payment with your wedding party to either pay individually or reimburse you for the charges. This is also a good time to remind both sets of parents, grandparents, and other special guests to order their attire, if renting. Determine type of ceremony and reception. Start thinking about themes, colors, formal / informal, etc. Start planning the honeymoon. Book the trip. Schedule fittings and delivery dates. Schedule all fittings, (including final fittings) and pick-up dates for the bride s dress, groom s attire, and entire wedding party attire. Find / order birth certificate / passport. You may need your birth certificate to apply for your marriage license and passport. If you decided on an out of country trip, you will need a passport. Apply for one now! This process can take several months. Reserve wedding night bridal suite or decide on alternate arrangements. Arrange the rehearsal, if not already done. If ceremony site is unavailable, find an alternative site to practice. Confirm with your officiate and wedding planner that they can attend. Consider who will emcee your reception. DJ, band, officiant, other friend or family member. Decide on ceremony time. Be sure to review time with location. Map out ceremony and reception timeline. Arrange the rehearsal dinner, if not already done. Set the date, time and location. Reserve a site that you are able to hold entire wedding party, families, and any others you d like to invite. Wedding Schedule Checklist (5) 4-6 Months Before Wedding Months: Order wedding cake. Schedule a tasting and decide on the style you want (see Cakes in the Vendors section in this book). Moxie Wedding Notebook 12 Organization: Calendar, Checklists & To-Do Lists Purchase aessory items. Shoes, wedding day jewelry, hair clips, lingerie. Research and book transportation for wedding day. Limousines, carpools, carriage, horses, etc. Decide how you and the wedding party will get from the ceremony to the reception and how you will be exiting the reception. Register at desired stores. Shop and purchase wedding rings, if not done yet. Arrange for engravings, if desired. Start shopping for bride and groom gifts. Select a gift for one another. This can be as simple as writing simple notes for each to read the morning of the wedding. Finalize Guest list. Determine / research table sets and room décor for reception. Choose centerpieces and aessories that reflect the style of your wedding. Decide if you will use reception site/caterers linens (tablecloths and napkins) or if you will rent. Start thinking about wedding favors, lighting, ambiance and other additional items to be displayed (ice sculptures, etc.) Connect with the reception site to confirm décor meets their requirements. Start collecting photos of both of you if you decided to do a slide show / video or other photo collage to display at reception. Select calligrapher / stationer and order wedding invitations and stationary. You can include invitations, cards, thank you notes, ceremony programs, reception programs, menu cards, seating / place cards, napkins, and favor cards / tags. You may consider ordering table numbers and signage for outside reception, if not provided with reception site. Other Other Other Select any additional wedding attendants. Gift attendant, ushers, guest book attendants, greeters, valet parkers are some possibilities. Let them know their responsibilities right away and desired attire.

It is not required to give away favors, but is very popular to do so. Select something that reflects both of you or something you think your guests will enjoy and use later. Plan welcome gifts / activities for out of town guests, if desired. Finalize and confirm all details with vendors. Make any additional payments/deposits as necessary. Confirm all vendor requirements and drop off / arrival times. Purchase gifts for wedding party. Consider purchasing gifts for both sets of parents as well. Consider purchasing gifts for anyone else that will attend the rehearsal dinner. Write first draft of wedding vows. Purchase / plan attire and luggage, for your honeymoon, bachelorette party, wedding shower, etc. Prepare maps and directions to the ceremony and reception sites to get ready for invitations. Plan the bridesmaid lunch. Decide date, where you will meet, and time. Purchase guest book (or other item) and pen. Purchase toasting glasses, ring pillow, cake knife, and any other items. Decide on and purchase what to use for your grand exit. Bird seed, bubbles, sparklers, etc. (optional). Bride should connect with maid of honor / bridesmaids to discuss the bachelorette party, wedding shower, and other gathering dates and guest lists. Groom should connect with best man to arrange date and invite list for bachelor party and / or other gathering(s). Meet with officiant. Review ceremony with officiant. Wedding Schedule Checklist (7) 6 Weeks to 2 Months Before Wedding Months: Moxie Wedding Notebook 14 Organization: Calendar, Checklists & To-Do Lists Mail wedding invitations. Include hotel/motel room block info, maps to ceremony and reception sites, card, and pre-addressed and stamped envelope. If sending out hundreds of invites, ask for help from planner, friends, and family. Purchase any other aessories you want your bridesmaids to wear, if desired. Consider jewelry, nail polish, etc. Track s and gifts as they come in. Make sure to track children and adults separately only if your caterer offers a discounted price to children. It is recommended that you send your thank you notes upon receipt of the gift. Coordinate / confirm with DJ / band the music for ceremony (processional etc.) and reception (first dance, parent dances, etc.). Go over agenda if they will be emceeing. Make appointments with hairstylist, and makeup artist to do a trial run-through to ensure you know exactly what hair style and make-up you want for your wedding day. Set appointments at least 3-4 weeks before wedding date. Connect with videographer to go over events you want videotaped, wedding video end result, and reception slide show. Choose poetry, scripture, or other readings for the ceremony. Make final appointments with hairstylist, makeup artist, and nail designer, etc. for wedding day. Contact your local newspaper for wedding announcement / photo requirements, if desired. Have your formal wedding photo taken. Send to newspaper along with other requirements. Meet with caterer and reception site to review menu, alcohol services, and room décor. Reconfirm when you need to get in your minimum guarantees and final counts in. Go over room layouts. Confirm the seating for reception (how many people at each table, etc.). Bring in enough items / décor to set one table. Take a couple photos to give to your decorating crew / planner to ensure the tables will be decorated correctly.
