1. Workflows 1.01 Displaying past User Holds 1. In Users menu, select Display User. 2. Enter patron s card number. 3. Select Holds tab. 4. In Type of Hold menu, select All. This will display patron s past holds. 5. Right click over title to re-place a hold on the item. Page 4
2. Excel & Word 2.01 Opening.docx files 1. Open Word/ Excel/ Power Point. 2. Select File tab. 3. Select Open and locate the file in the directory. *Download the document to desktop if the document is from an email. 2.02 Ordering lists on Excel 1. Highlight the desired column: guide mouse over the letter at the top of column until a black arrow appears. Left click to highlight the entire column. 2. Click on Data tab at the top of the screen. 3. Locate button to order coloum from lowerst to highest or for highest to lowest. 4. Select Expand the selection on the dialogue box. 5. The document is now reorganised. Page 5
2.03 Mail Merge (from Excel to Word for labels) 1. Open Word and select Mailings tab. 2. Under Start Mail Merge select Step by Step Mail Merge Wizard. 3. In Mail Merge Wizard select Labels and Next: Starting document. 4. Select Change Document Layout then Label Options. A dialogue box will ask for format of the labels. 5. Under label vendor, select Unistat and U4678. Check OK and Next: Select recipients. Page 6
6. Browse for the Excel file for this mail merge. Select Open. 7. Select sheet 1 unless there are multiple sheets. 8. Check OK if the recipients details are accurate. 9. Next: Arrange your labels. Select Address block to get a preview of the label. When satisfied with the layout, select Update all labels. Page 7
10. Step 4 of 6: Next: Preview your labels. Highlight the entire document, click the home tab and select the centre button. 11. Step 5 of 6 Next: Complete the merge. Load label sheets into the printer with labels facing down. Press Print on the top of Mail Merge Wizard. Check All in the dialogue box to print all pages. 2.04 Saving a word file as a PDF 1. Go to the file tab up the top of the window, then select Save As. 2. Under Save as type click the drop down, and select PDF 3. Follow the prompts to save the document like normal from there. Page 8
3. General Computer Difficulties 3.01 Filling in PDF forms PDFs generally need to be printed out and then sent back electronically as an attachment via scanning or faxing. A PDF that can be filled in on the computer will be mentioned on the form. 3.02 Flash drives/usbs/cds If the normal double click, or right click Open does not open the device; yet the device is showing, simply right click on the icon and select Explore. 3.03 itunes / iphones / ipods Most ipods and iphones will not charge via USB since there is no admin access to install itunes on the computers. Accessing files some ipods or iphones can be connected via USB to access limited files. My Computer will list it as a removable drive. Accessing music patrons cannot access their music via our computers, unless the music files are available in the above method. 3.04 Connecting Phones to Public Computers Some phones have plug and play allowing for phone charging and file access. However, if software installation is required, then this option is unavailable due to limited admin access. 3.05 Connecting External Hard Drives to Public Computers Similar to a USB, External Hard drives can be read by Public Computers if software installation is not required. Software installation is required for External Hard Drives which have been configured as virtual hard drives so they can not be used. 3.06 Connecting MP3 Players to Public Computers Most MP3 players will show up as a removable drive when plugged into the computer. However, if software installation is required, then this option is unavailable as we can not install any software to our computers. 3.07 Installing Plugins or Programs on Public Computers We cannot install any browser plugins, programs or software on our patron computers. 4. Internet 4.01 Road to Solo Driving and Drive Smart: www.vicroads.vic.gov.au Licenses > Hand books > L & P drivers > driving hand book road to solo driving. Hazard perception test are no longer available except in PDF. Free Drive Smart CD-ROM is available via online order form. Google Drive Smart or access via : http://www.tacsafety.com.au/learning-todrive/drive-smart 4.02 Downloading through pop-up Many downloads will pop-up into a new window to begin downloading. The virus protection will block this with a message in the main window or in the pop-up to Allow pop-ups from this website. Select this option; if the page does not automatically load, then re-select the link to the download. 4.03 Not able to download items/view images from emails Free email accounts such as Hotmail and Yahoo tends to block links, images or attachments. A message will appear under the sender s detail to allow or trust items sent from this person. Select this to access the content. 4.04 Webpage not displaying Change the web browser if a webpage is struggling to display, for example, from Internet Explorer to Firefox or Chrome. Page 10
5.0 Public Wi-Fi 5.01 Assisting patrons with connection *Please note: we are not to touch the patron s electronic device for liability reasons. General: Restart the device. Check that the network is working by first checking the WIFI routers on the roof, they should have a blue light lit up on one side. (depending on the branch should be centre of the branch on the roof, with one out the back in the staff area) Open a browser (Firefox, Internet Explorer, Chrome, Safari) and a terms and conditions screen should appear. If it still doesn t appear, try a different browser. Laptop: The patron needs to enable Wi-Fi on the device this is shown by Network, or Wi- Fi in their toolbar. Sometimes it is a button on the keyboard, generally marked with or Check the level of firewall or virus protection. High levels of protection will limited the connection to our open network. This could be the problem if the device is running software such as McAfee or Norton. If this is the case, they may need to be disabled temporarily to enable the connection to our public Wi-Fi. Phone, tablet etc: The patron needs to make sure they have chosen our CCLC network in their Wi-Fi option. The Wi-Fi options are often found under Setting or Options, then under Connection or Networks. Page 11
6.0 Printing 6.01 Printing Images Images in Word: Images can be copied directly across to word, simply right click on the image (file or open image) and select copy, go to word and right click on the page and select paste Printing images direct: 1. Images saved to the computer or USB (right click on the image and save image as to save it to the computer if not already) 2. Locate the file and right click (for multiple images to print, highlight them all then right click), select print from the menu. This opens the print wizard. 3. Checking the preview of the image, it will print as it shows. so check edges if they are cropped off. 4. You can select what printer you will print too, paper size etc up the top via the drop downs. 5. If parts of the image are cropped off un-tick the fit to frame option, and the image will not be cropped at all when printing. 6. You can select if you want the image as a full page, or half a page etc. again check your previews to make sure it still looks correct. Page 12
6.02 Printing in Colour 1. Select Konica Minolta as the designated printer. 2. Print Properties > Quality > Select Colour > Auto Colour. 6.03 Printing PDFs PDF s have to be downloaded to be able to print. Most PDF prompt printing at the bottom or top of the document. Move the mouse over the bottom part of the screen and a toolbar will appear. Use the File tab and print. PDFs that open in an online view will not print and must be downloaded to the computer or USB. You should then be able to open the document from the saved location and then print. If opening a pdf in Google Docs, you need to view the document fully; otherwise it will print in half a page. 1. Click File and Select Open Original Document 2. The pdf will then open in Adobe Reader and you can follow the printing instructions as above. 6.04 Double Sided Printing 1. Select File tab. 2. Select Print option. 3. Select printer 4. Select the Layout Tab 5. Change Print Type to 2-sided and click OK 6. Click the Print button at the top Page 13
6.05 Printing in A3 1. Select File tab. 2. Select Print tab. 3. Select the appropriate printer. 4. Change paper size from A4 to A3 in drop-down menu. 5. Press the big print button. 6.06 Printing Commbank Statements Commbank restricts the printing of their statements; however there is a work around 1. Highlight the text of the statement using the mouse. 2. Right click the mouse button and select copy. 3. Open a new Word document. 4. Right click the mouse button and select paste. 5. The statement content is pasted into a new Word document. 6. Print as usual. 6.07 Printing from Ancestry The most reliable way to print records from Ancestry is to do so using the Ancestry print icon. 6.08 Printing Documents from a USB that were made on a MAC computer. If a patron has a document that was created on a MAC computer or laptop on USB, the photocopier may not recognise the format. If the patron can save or export the file as a PDF the photocopier will be able to understand the file and print it with no issues. Page 14
7.0 Photocopier: 7.01 Double Sided Photocopying 1. Choose colour or black and white as needed. 2. Select the number of copies. 3. Select the duplex/combine button in main menu. 4. Under the heading of Original > Copy, select 2 Sided - 2 Sided option and press OK. 5. Place the document onto the screen and press the Start button. Page 15
6. Once its finished the first scan. And says scanning finished, flip the document, or place in the next side as needed, and press start again. 7. Once both sides have been scanned press Finish then the Start button. 8. And you should get your double sided print. Page 16
7.02 Photocopying Multiple Items onto One Page (like drivers licences etc) 1. Choose colour or black and white as needed. 2. Select the number of copies. 3. Select the duplex/combine button in main menu. 4. Under the heading of copy, select 2 in 2 Sided option and press OK. 5. Under Zoom tab, select 100%. And select OK. Page 17
6. Place the card first side down on the copier bed, with in the portrait A5 division lines. Make sure it has a small gap from the very edges otherwise it may trim off parts. And press start. 7. when prompted that scanning is finished for the first side, flip the card over the photocopier bed, keeping it with in the A5 portrait marks still. Press the start button again. 8. Once the second side has been scanned, and your prompted to load the next original press Finish and Start to print. Page 18
8. Console Games 8.01 Syncing Xbox controllers Steps to take when centre button on the controller is flashing rather than showing solid green: 1. Change battery 2. Restart the Xbox and wait 10-20 seconds 3. Press the centre button on the controllers If the above steps fail, proceed following steps: 1. Press sync button on the machine and controller. 2. The lights around the start button on the console will begin flashing. Press the centre button on controller to sync. 3. If the controllers are still not syncing, turn machine off for 10 minutes before trying the above steps again, as the unit may have over heated. Page 19
9. Unlocking Difficult DVD Cases 9.01 Unlocking difficult cases Try wiggling the case from side to side as you slide it through the Locker. Use Self Loans Locker as the magnets on the Self-Loan seems to be stronger than our desks. Page 20
10. Printer Kiosk/Money Loader 10.01 Keyboard disappeared Money loader has lost its keyboard. If double tapping in the field does not bring up the keyboard automatically, it may mean someone has minimised the keyboard. To retrieve the keyboard: (may not work @ CRA - TBC) 1. Swipe from the very right of the screen, dragging to the left, to bring up the windows 8 menu. 2. Select the start button with the windows symbol. This will take you to the windows screen with all the apps and icons. 3. Select the Start Menu 8 Button, to bring up the start menu at the bottom of the screen Page 21
4. Down in the bottom left hand corner the start menu will now appear. The icon to the right hand side should look like a keyboard over a screen, this is the minimised keyboard, tap this and the keyboard will return. 5. If the keyboard appears in the centre of the screen simply drag it down using the grey bar at the top of it. The second option to bring up a keyboard (However this keyboard isn t as user friendly) 1. Swipe from the very right of the screen, dragging to the left, to bring up the windows 8 menu. Page 22
