1 Introduction Note: This is a major update, involving a new version of 4D and Genie. You should not attempt to run this update during normal practice hours. The update may take several hours (or more) to complete. YOU MUST PERFORM A TRIAL UPGRADE FIRST! Run the upgrade on a copy of your data, on a computer other than the server. A trial upgrade will help in planning for actual downtime needed. Your practice staff will have an opportunity to review the new features in Genie. Refer to this section for instructions about running a trial upgrade. After reading these instructions, if you are unsure of what the update entails, DO NOT PROCEED. Please speak to your nominated IT Support Representative. If you would like to arrange on-site assistance from a Genie representative, please lodge an on-site visit request via the Genie website: http://www.geniesolutions.com.au/osv You MUST NOT proceed with this upgrade if you have not completed the 'Clean Up Data File' step as outlined in the next section of these instructions. For practices running a network (Genie Server & two or more Genie Clients) FIRST upgrade Genie Version 7 to the latest version available from Special > Software Updates. THEN check each computer meets the hardware requirements for Genie Version 8: File > Maintenance & Reports > Administrator > ALT+click on Computer System Report THEN perform a Clean Up Data File in Genie Version 7. THEN complete the Mac Server or Windows Server upgrade on the SERVER. THEN complete the upgrade on each Mac Client and Windows Client computer. THEN re-install HIC Online and the MIMS Prescribing data if you use these components in Genie. THEN update to the latest version of Genie from Special > Software Updates. UPGRADE NOTES: 2

For practices running a single instance of Genie ie. Genie Solo (Single User) FIRST upgrade Genie Version 7 to the latest version available from Special > Software Updates. THEN check the computer meets the hardware requirements for Genie Version 8: File > Maintenance & Reports > Administrator > ALT+click on Computer System Report THEN perform a Clean Up Data File in Genie Version 7. THEN complete the Mac Single User Upgrade or Windows Single User Upgrade, as appropriate. THEN re-install HIC Online and the MIMS Prescribing data if you use these components in Genie. THEN update to the latest version of Genie from Special > Software Updates. UPGRADE NOTES: 3

For practices who have purchased new Macintosh computers with Mac OSX 10.7 or later. The upgrade can not be performed on a Macintosh computer running Lion (Mac OSX 10.7) or Mountain Lion (Mac OSX 10.8) At least one Mac computer running Mac OSX 10.5.8 to 10.6.8 or a Windows computer is required to perform the upgrade. FIRST Upgrade Genie Version 7 to the latest version available from Special > Software Updates. THEN check each computer meets the hardware requirements for Genie Version 8: File > Maintenance & Reports > Administrator > ALT+click on Computer System Report THEN perform a Clean Up Data File in Genie Version 7 on the (Mac 10.5.8 or 10.6.8)) or Windows computer. THEN complete the upgrade on the server or single user computer &/or client computers. THEN re-install HIC Online and the MIMS Prescribing data if you use these components in Genie. THEN update to the latest version of Genie from Special > Software Updates. Click here for assistance with migrating to Lion or Mountain Lion after the upgrade is complete. UPGRADE NOTES: 4

1.1 Before Performing This Upgrade Before commencing this upgrade, you should perform and verify the following: 1. ALL computer hardware meets or exceeds the current Genie Hardware Requirements. A copy of the hardware requirements can be found on the Genie website: www.geniesolutions.com.au > System Requirements. 2. There is adequate disk space on the server computer. Two and a half (2.5) times the size of your current data file is the recommended amount of free space required. 3. The Genie folder on the server computer must have full 'read write' access ('full control') and you must be logged in as the computer Administrator on that computer. If you are not sure how to check the permissions on your Genie folder or who has Administrator access to the server, please check with your nominated IT Support Representative or Network Administrator. 4. All client computers and offsite logging computers must be available and all offsite logs imported. 5. You are running the latest version of Genie Version 7. Update to the latest version from Special > Software Updates in Genie or manually from the Genie website: www.geniesolutions.com.au > Support > Downloads. 6. You have run the Version 8 compatibility check on all computers including the server computer. File > Maintenance & Reports > Administrator > ALT+click on Computer System Report. 7. Any virus protection on your Server and Client machines is disabled for the duration of the installation. 8. Any 'livestate' backups such as Time Machine or any other backup software is disabled on the server and all client machines. 9. Any pathology & radiology downloading applications which may be running on the server or any client machines. eg. 'Fetch', 'MQLink', 'Healthlink', 'Medical Objects' are disabled or closed. 10.You have access to the administrator user name and password for all machines, including the server computer. 11.You have completed a 'Clean Up Data File' according to the instructions in this document, BEFORE proceeding with the update to Genie Version 8. 12.You have a validated backup of your data before performing the upgrade. A backup is validated by confirming that data can be restored from a previous point in time, and that Genie can be opened with that data. Please refer to the Backups section of this document for further information about backing up your current data before you upgrade to Genie Version 8. 13. You are prepared to roll back to Genie Version 7 as outlined in the Troubleshooting Section if the upgrade to Genie Version 8 is unsuccessful. You MUST NOT proceed with this upgrade if you have not completed or confirmed the above items. Failure to follow these instructions may result in irreparable damage or loss of your data. The upgrade must be initiated using Genie Version 7 on a Windows computer or a Macintosh computer running Mac OSX 10.5.8 to 10.6.8. You can not perform the upgrade on a Macintosh computer running Mac OSX 10.7 (Lion) Mac OSX 10.8 (Mountain Lion) Mac OSX 10.9 (Mavericks) If you wish to install Genie Version 8 on a new computer click here. 6

1.2 After Performing This Upgrade Genie Version 8 includes an all new, completely rewritten appointment book and drawing module. Please consult the c for more information about the new features in Genie Version 8. A new manual has been written, which also covers the changes in the new version; the Genie Manual can be accessed as follows. 1. As a PDF on the installation CD titled Genie Manual.pdf 2. By clicking the Help button in Genie. 3. From Special > Online Manual in Genie. 4. From the Genie website: www.geniesolutions.com.au > Support > Documentation. The manual can be accessed in PDF for download or HTML help format. Once the Genie upgrade has been successfully completed, all backups and third party programs disabled previously should be re-enabled: Re-enable your antivirus software. Restart all pathology, radiology and third party messaging software. Reconfigure the automated backup within Genie Server. Reinstate and reconfigure third party backup software. Re-install HIC Online on any computer(s) previously used to transmit Medicare Bulk Bill, DVA or ECLIPSE claims. HIC Online can be re-installed via Special > Software Updates in Genie. Re-install MIMS Prescribing Data from Special > Software Updates if you are a current MIMS subscriber. Check for the latest version of Genie from Special > Software Updates. If there is a newer version available, you should update to that version. 7

2 Mac Server Upgrade YOU MUST COMPLETE A TRIAL UPGRADE AND THOROUGHLY CHECK YOUR DATA The following instructions are to be performed on a Macintosh Genie server running Mac OSX 10.5.8 to 10.6.8 # Check that all computers meet or exceed the Genie Hardware Requirements. Please refer to Section 3 for instructions on performing a Windows Server upgrade. Disable all anti-virus and backup software before commencing the upgrade. Disable or quit any pathology, radiology or third party message programs. Remember to re-enable or restart these programs once the upgrade is complete. # The update from Genie Version 7 to Genie Version 8 CAN NOT be performed on a Genie Server running Mac OSX 10.7 (Lion) or Mac OSX 10.8 (Mountain Lion), as Genie Version 7 will not run on Lion or Mountain Lion. The correct upgrade path is as follows. 1. Run the Genie Version 7 to 10.6.8. Version 8 upgrade on the Genie Server computer running Mac OSX 10.5.8 2. Run a full backup of the Genie data and Images at the completion of the upgrade. Refer to Backups the section of this manual if further assistance required, or liaise with your IT support representative. 3. Upgrade the existing Genie Server computer to Mac OSX 10.8 (Mountain Lion), with assistance from your IT support representative or Apple technical support as appropriate. 4. If the server is being replaced or the upgraded, move the (Version 8) data to the new computer and rerun the Genie Converter on the new (Mountain Lion) machine, choosing the Full Installation option. Refer to the New Installation section of this manual for further instructions. 5. Configure Backups on the Genie Server running Mountain Lion. If you are unsure if you have adequately prepared for the upgrade, please refer to Section 1.1 of this guide. 8

2.1 Quit Genie Server Before performing this upgrade, quit the Genie Server application and make a backup of your Genie data and images folder. You will then need to verify that this data can be restored. Further information about backups can be found in the Backups section of this document, or in the Genie Manual. If you are unsure about what to backup, or how to restore a backup, please contact your nominated IT Support Representative before you proceed any further. 2.2 Update Genie v7 and Compatibility Check Before upgrading to Genie Version 8 you must be running the latest version of Genie Version 7. A compatibility check of your hardware must also be performed to ensure suitability for Genie Version 8. 1. On the Genie Server computer, ensure that no applications are currently running. 2. Launch Genie Solo (Single User) on the server computer. 3. Log in and choose File > Maintenance & Reports > Administrator > ALT+click on Computer System Report. 4. Verify that a Pass is obtained for each computer component as shown # 5. A Fail or a Warn message indicates that the computer is not suitable for Genie Version 8.# 9

Windows screen shots are used for illustrative purposes only. The Version 8 compatibility test works in a similar manner on Macintosh computers. #A Fail for the graphics card on the SERVER COMPUTER can be disregarded. The server is not used interactively and does not need a dedicated graphics card. 2.3 Check Data using 4D Tools 1. Quit Genie or Genie Server if they are already running. 2. Open 4D Tools. The application 4D Tools can be found in a folder called 4D Tools inside your Genie folder. i.e. /Applications/Genie/4D Tools 3. You will be presented with an Open dialog box. Change the "Enable" drop down menu so that "Compiled Database" is shown. 4. Navigate to the folder /Applications/Genie/. Click on the yellow lamp icon named "Genie". The window should now look like this: 5. Click the Open button. 10

6. You will be presented with another Open dialog box. Select the blue "Genie.4DD" file. 7. Click the Open button 8. If there is corruption in your database, you will be presented with the window displayed below. If you don't get this window and no errors are reported, you an quit 4D Tools. 9. Click the Repair button and allow the process to run to completion. 10. You can now quit 4D Tools and proceed to the Clean Up Data File step in the next section. 2.4 Clean Up The Data File The Clean up Data File is a mandatory step that must be performed on the server before the upgrade. This step can take a considerable amount of time to complete. You must not attempt to terminate or bypass this step, as it is critical to the successful running of the Version 8 upgrade. The process outlined below performs a "Clean up" of your current data file. 1. On the server computer, launch Genie Solo (Single User). 2. In Genie, go to File > Maintenance & Reports > General 11

3. Click on the Clean Up Data File icon. 4. A confirmation dialogue box will appear, click Proceed. 5. The progress of the clean up is displayed. 12

6. At the completion of the clean up, an alert dialogue box will appear. Click OK as it is not necessary to perform a Rebuild Indices. 7. Close the Maintenance & Reports window and close the Genie Solo application. You should re-confirm that you have a backup of your data, and that you can restore the backup to Genie Version 7 if required. For more information on restoring a backup, please consult the Genie manual. 13

2.5 Run the Converter 1. Load the Update CD onto the Genie Server computer, or download the Genie Converter from the Genie website: http://www.geniesolutions.com.au/geniev8 Note: the download is approximately 400MB and will require a relatively fast internet connection without a quota restriction. 2. Once the CD is loaded, or the Genie Converter has been saved to your server computer, double click on the Genie Converter.dmg file. The Installer / Converter application will be copied to your computer, as shown below. 3. Once the Installer / Converter application has copied to your computer it will launch automatically. Click Continue. 4. Once you have accepted the Software License Agreement, click Continue. 5. Tick only the Update current application(s) from Genie v7 to Genie v8. Click Continue. 14

6. The installer will attempt to locate the current Genie folder. If it is not found or not correct, click Select Other to navigate to the Genie folder on the Server computer. 7. Once the correct folder is selected, the converter will display a confirmation window indicating the components to be updated. Normally this would be the Genie.app (Genie Solo) and Genie Server.app. IMPORTANT: If you are not presented with the above window, please refer to the TROUBLESHOOTING section (Topic 2) at the end of these instructions. 8. Click the Install button. 9. Upon presentation of the Clean Up Data File confirmation box, click Continue. IMPORTANT: If you have not performed a Clean Up Data File, or you are not sure, you must press CANCEL. 15

10.An export process automatically begins. The export can take a significant amount of time, depending on the size and content of your data file. Note: You must not attempt to terminate the update process once commenced. 11.During the update process, the following will occur: i. All information is exported from your Genie Version 7 data into a temporary location. The export process may take some time, depending on the size and content of your database. ii. Your existing Genie folder is renamed "Genie_v7". iii. Your original data file (Genie.4DD, Genie.4DR and any data segments (Genie.4DS) are retained in the renamed Genie_v7 folder. iv. A new Genie folder is created i.e. "Genie". v. The Genie Version 8 applications (Genie Solo and Genie Server) are installed into the newly created "Genie" folder. vi. The following folders are copied to your new Genie folder from the Genie_v7 folder. o Drawing Templates o Handouts o Labels o LabRslts o Third party carrier folders (eg. Healthlink, Medical Objects). vii. The Images folder is moved from the Genie_v7 folder to the Genie folder. vii.the converted data file consists of three (3) parts: Genie.4DD, Genie.Match, Genie.4DIndx. IMPORTANT: The Images folder is MOVED, not copied. If something goes wrong with the installation, and you want to delete the new Genie installation, be careful NOT to delete the Images folder. Please refer to the troubleshooting section of this document for further assistance. 12.The new Genie Version 8 application will open and import the exported data. This can take a significant amount of time depending on the size and content of your data file. IMPORTANT: If you receive an Alert window at this stage, please refer to the TROUBLESHOOTING section (Topic 3) at the end of these instructions. 13.An Import Successful alert window will appear once the import process has successfully completed. Click OK. 14.The Genie Converter window will display an Installation Succeeded message. Click the Finish button to complete and close the Converter window. 16

IMPORTANT: If any errors are encountered during the import process, you will receive an Alert window. If you do receive this window, please refer to the TROUBLESHOOTING section (Topic 4) of these instructions. 15.The Genie Solo (Single User) application will open to the login window. Log into Genie as normal. 16.Upon presentation of the Welcome to Genie v8 window, click Update. 17. Refer to the next section for instructions on launching Genie Server and re-instating backups. 18. Refer to the Mac Client Upgrade or Windows Client Upgrade sections of these instructions to complete the update on each client computer. 17

2.6 Launch Genie Server 1. Launch Genie Server from the icon located in the dock, or on the desktop of the server computer. 2. If presented with the following dialogue box, choose Continue. 3. The Genie Server main window will open as shown below. 4. Re-enable your antivirus software. 5. Restart all pathology, radiology and third party messaging software. 6. Reconfigure the automated backup within Genie Server. 7. Reinstate third party backup software. IMPORTANT: The Genie Server backup preferences MUST BE RECONFIGURED once the update is complete. Please refer to the Backups section of these instructions for further information. You are responsible for your own backups. This includes the correct configuration, running and verification of those backups to ensure adequate recovery in the event of data corruption or hardware failure. 18

2.7 Migrating to Mac OSX 10.8 Mountain Lion The following scenarios outline the options if you have purchased new Apple computers running Mac OSX 10.8 (Mountain Lion) or may be contemplating upgrading existing computers from an earlier operating system to Mountain Lion. Scenario 1: I have purchased a new Apple laptop or desktop computer running Mountain Lion. This computer will be used as a Genie Client computer (with or without offsite logging) on an existing Genie network. If the Genie Server computer is running Genie Version 7, you must upgrade to Genie Version 8 before the new computer can be used as a Genie Client. Genie Version 7 will not run on Lion or Mountain Lion. Once the Genie Server is running Genie Version 8, install Genie Client (with or without Genie Solo) according to the following instructions. The laptop or desktop computer can then run Genie Client on the upgraded (Genie Version 8) network. Scenario 2: I have purchased a new Apple computer running Lion or Mountain Lion. This computer is will be used as a Genie Server or Genie Solo (Single User) computer The upgrade from Genie Version 7 to Genie Version 8 can only be performed on a computer running Mac OSX 10.5.8 (Leopard) or 10.6.8 (Snow Leopard) or a Windows computer. Perform the upgrade to Genie Version 8 on the server currently running Genie Version 7 (the 'old server' or single user computer). Once the Genie upgrade is complete, Genie Version 8 can be installed on the new (Mountain Lion) server or single user computer according to the following instructions. Copy the Genie folder and its contents from the old server to the new server. Genie Version 8 is now ready for use on the new (Mountain Lion) server. Scenario 3: I have one or more computers running Mac OSX version 10.5.8 to 10.6.8 and I would like to upgrade these computers to Mac OSX 10.8 (Mountain Lion). Ensure that all computers meet or exceed the Genie Hardware Requirements. Upgrade Genie Version 7 to Genie Version 8 BEFORE upgrading the operating system to Mountain Lion. Once the Genie upgrade is complete, you can upgrade the operating system to Mountain Lion. Scenario 4: I have upgraded the server computer or my only single user computer to Mountain Lion before upgrading Genie Version 7 to Genie Version 8. Genie Version 7 is required to upgrade to Genie Version 8. Genie Version 7 will not run on Lion or Mountain Lion. Perform the upgrade from Genie Version 7 to Genie Version 8 on machine as outlined in Scenario 2. 20

3 Windows Server Upgrade YOU MUST COMPLETE A TRIAL UPGRADE AND THOROUGHLY CHECK YOUR DATA The following instructions are to be performed on a Windows Genie server. Check that all computers meet or exceed the Genie Hardware Requirements. Please refer to Section 2 to for instructions on performing a Mac Server Upgrade. Disable all anti-virus and backup software before commencing the upgrade. Disable or quit any pathology, radiology or third party message programs. Install QuickTime on the server computer from http://www.apple.com/quicktime. Quit the TypSoft FTP Server program on the Windows server. Remember to re-enable or restart these programs once the upgrade is complete. If you are unsure if you have adequately prepared for the upgrade, please refer to Section 1.1 of this guide. 21

3.1 Quit Genie Server Before performing this upgrade quit the Genie Server application and make a backup of your Genie data and images folder and verify that this data can be restored. Further information about backups can be found in the Backups section of the this document or the Genie Manual. If you are unsure about what to backup, or how to restore a backup, please contact your nominated IT Support Representative. 3.2 Update Genie v7 and Compatibility Check Before upgrading to Genie Version 8 you must be running the latest version of Genie Version 7. A compatibility check of your hardware must also be performed to ensure suitability for Genie Version 8. 1. On the Genie Server computer, ensure that no applications are currently running. 2. Install QuickTime if it is not already installed (http://www.apple.com/quicktime). 3. Launch Genie Solo (Single User) on the server computer. 4. Log in and choose File > Maintenance & Reports > Administrator > ALT+click on Computer System Report. 5. Verify that a Pass is obtained for each computer component as shown. # 6. A Fail or a Warn message indicates that the computer is not suitable for Genie Version 8.# 22

#A Fail for the graphics card on the SERVER COMPUTER can be disregarded. The server is not used interactively and does not need a dedicated graphics card. 3.3 Check Data using 4D Tools 1. Quit Genie or Genie Server if they are already running. 2. Open 4D Tools. The application 4D Tools.exe can be found in a folder called 4D Tools inside your Genie folder. i.e My Computer > C:\Genie\4D Tools\4DTools.exe 3. You will be presented with an Open dialog box. Change the Files of type: drop down menu so that "Compiled Database (*.4dc)" is shown. 4. Navigate to the folder C:\Genie\Solo Application\Database\. Click on the file named "Genie.4DC". The window should now look like this: 5. Click the Open button 6. You may be presented with another Open dialog box. If so, select the blue "Genie.4DD" file in your Genie folder i.e. C:\Genie\ 7. If there is corruption in your database, you will be presented with the window displayed below. If you don't get this window and no errors are reported, you can quit 4D Tools. 23

8. Click the Repair button and allow the process to run to completion. 9. You can now quit 4D Tools and proceed to the Clean Up Data File step in the next section. 3.4 Clean Up The Data File The Clean up Data File is a mandatory step that must be performed on the server before the upgrade. This step can take a considerable amount of time to complete. You must not attempt to terminate or bypass this step, as it is critical to the successful running of the Version 8 upgrade. The process outlined below performs a "Clean up" of your current data file using the utility in Maintenance & Reports. 1. On the server computer, launch Genie Solo (Single User). 2. In Genie, go to File > Maintenance & Reports > General. 3. Click on the Clean Up Data File icon. 4. A confirmation dialogue box will appear, click Proceed. 5. The progress of the clean up is displayed. 24

6. At the completion of the cleanup, an alert dialogue box will appear. Click OK as it is not necessary to perform a Rebuild Indices. 7. Close the Maintenance & Reports window and close the Genie Solo application. You should re-confirm that you have a backup of your data, and that you can restore the backup to Genie Version 7 if required. For more information on restoring a backup, please consult the Genie manual. 25

3.5 Run the Converter 1. Load the Update CD onto the Genie Server computer, or download the Genie Converter from the Genie website: http://www.geniesolutions.com.au/geniev8 Note: the download is approximately 300MB and will require a relatively fast internet connection without a quota restriction. 2. Once the CD is loaded, or the Genie Converter has been saved to your server computer, double click on the Converter icon and follow the prompts to proceed to the Installation Type window. 3. You will be prompted to select the destination location. This is your current Genie folder. 4. Select Update currently installed application(s) from Genie v7 to Genie v8. Click Next. 5. Once you have accepted the Software License Agreement, click Continue. 26

IMPORTANT: If you are not presented with the above window please refer to the TROUBLESHOOTING section (Topic 2) at the end of these instructions. 6. Proceed to the Ready to Install screen. Click the Install button. 7. Upon presentation of the Clean Up Data File confirmation box, click Continue. IMPORTANT: If you have not performed a Clean Up Data File or you are not sure, you must press CANCEL. 8. An export process automatically begins. The export can take a significant amount of time depending on the size and content of your data file. Note: You must not attempt to terminate the update process once commenced. 9. During the update process, the following will occur: i. All information is exported from your Genie Version 7 data into a temporary location. The export process may take some time, depending on the size and content of your database. ii. Your existing Genie folder is renamed "Genie_v7". iii. Your original data file (Genie.4DD, Genie.4DR and any data segments (Genie.4DS) are retained in the renamed "Genie_v7" folder. 27

iv. A new Genie folder is created i.e. "Genie". v. The Genie Version 8 applications (Genie Solo and Genie Server) are installed into the newly created "Genie" folder. vi. The following folders are copied to your new Genie folder from the Genie_v7 folder. o Drawing Templates o Handouts o Labels o LabRslts o Third party carrier folders (eg. Healthlink, Medical Objects). vii. The Images folder is moved from the Genie_v7 folder to the Genie folder. vii. The converted data file consists of three (3) parts: Genie.4DD, Genie.Match, Genie.4DIndx IMPORTANT: The Images folder is MOVED, not copied. If something goes wrong with the installation, and you want to delete the new Genie installation, be careful NOT to delete the Images folder. Please refer to the troubleshooting section of this document for further assistance. 10.The new Genie Version 8 application will open and import the exported data. This can take a significant amount of time, depending on the size and content of your data file. IMPORTANT: If you receive an Alert window at this stage please refer to the TROUBLESHOOTING section (Topic 3) at the end of these instructions. 11.An Import Successful alert window will appear once the import process has successfully completed. Click OK. 12.The Genie Converter window will display an Installation Succeeded message. Click the Finish button to complete and close the Converter window. IMPORTANT: If any errors are encountered during the import process, you will receive an Alert window. 28

If you do receive this window, please refer to the TROUBLESHOOTING section of these instructions ( Topic 4). 13.The Genie Solo (Single User) application will open to the login window. Log into Genie as normal. 14.Upon presentation of the Welcome to Genie v8 window, click Update. 15.Refer to the next section for instructions on launching Genie Server and re-instating backups. 16. Refer to the Mac Client Upgrade or Windows Client Upgrade sections of these instructions to complete the update on each client computer 29

3.6 Launch Genie Server 1. Launch Genie Server from the icon located on the desktop or from the Start menu. 2. If presented with the following dialogue box, choose Continue. 3. The Genie Server main window will open as shown. 4. Re-enable your antivirus software. 5. Restart all pathology, radiology and third party messaging software. 6. Reconfigure the automated backup within Genie Server. 7. Reinstate third party backup software. IMPORTANT: The Genie Server backup preferences MUST BE RECONFIGURED after the update is complete. Please refer to the Backups section of these instructions for further information. You are responsible for your own backups, including the correct configuration, running and verification of those backups to ensure adequate recovery in the event of data corruption or hardware failure. 30

4 Mac Single User Upgrade YOU MUST COMPLETE A TRIAL UPGRADE AND THOROUGHLY CHECK YOUR DATA The following instructions are to be performed on a Macintosh computer running Mac OSX 10.5.8 to 10.6.8 Check that all computers meet or exceed the Genie Hardware Requirements. The update from Genie Version 7 to Genie Version 8 CAN NOT be performed on a Genie Server running Mac OSX 10.7 (Lion) or Mac OSX 10.8 (Mountain Lion), as Genie Version 7 will not run on Lion or Mountain Lion Please refer to Section 5 for instructions on performing a Windows Single User Upgrade. Please refer to Section 2 if you are running Genie on a network (Genie Server and two or more Genie Clients) Disable all anti-virus and backup software before commencing the upgrade. Disable or quit any pathology, radiology or third party message programs. Remember to re-enable or restart these programs once the upgrade is complete. This step can take a considerable amount of time to complete. You must not attempt to terminate or bypass this step, as it is critical to the successful running of the Version 8 upgrade. 32

The process outlined below performs a "Clean up" of your current data file. 1. Launch Genie Solo (Single User). 2. In Genie go to File > Maintenance & Reports > General 3. Click on the Clean Up Data File icon. 4. A confirmation dialogue box will appear, click Proceed. 5. The progress of the clean up is displayed. 6. At the completion of the clean up, an alert dialogue box will appear. Click OK as it is not necessary to perform a Rebuild Indices. 7. Close the Maintenance & Reports window and close the Genie Solo application. You should re-confirm that you have a backup of your data, and that you can confidently restore the backup to Genie Version 7 if required. For more information on restoring a backup, please consult the Genie manual. 4.3 Run the Converter 1. Load the Update CD onto the Genie Single User computer, or download the Genie Converter from the Genie website: http://www.geniesolutions.com.au/geniev8 Note: the download is approximately 400MB and will require a relatively fast internet connection without a quota restriction. 2. Once the CD is loaded, or the Genie Converter has been saved to your server computer, double click on the 33

Genie Converter. The Installer / Converter application will be copied to your computer as shown. 3. Once the Installer / Converter application has copied to your computer it will launch automatically. Click Continue. 4. Once you have accepted the Software License Agreement, click Continue. 5. Tick only the Update current application(s) from Genie v7 to Genie v8. Click Continue. 6. The installer will attempt to locate the current Genie folder. If it is not found or not correct, click Select Other to navigate to the Genie folder. 7. Once the correct folder is selected, the converter will display a confirmation window indicating the components to be updated. Normally this would be the Genie.app (Genie Solo) application. 34

Upon presentation of the Clean Up Data File confirmation box, click Continue. A new Genie folder is created i.e. "Genie". v. The Genie Version 8 applications (Genie Single User) are installed into the newly created "Genie" folder. vi. The following folders are copied to your new Genie folder from the Genie_v7 folder. o Drawing Templates 35

IMPORTANT: Please ensure that your backup routine is modified to include the new data file components and Images folder. You are responsible for your own backups. This includes the correct configuration, running and verification of those backups to ensure adequate recovery in the event of data corruption or hardware failure. 37

6 Mac Client Upgrade YOU MUST COMPLETE A TRIAL UPGRADE AND THOROUGHLY CHECK YOUR DATA The following instructions are to be performed on all Mac clients on your network. Please refer to Section 7 for instructions on performing a Windows Client Upgrade. You must disable all anti-virus and backup software before commencing the upgrade. You must disable or quit any pathology, radiology or third party message programs. Remember to re-enable or restart these programs once the upgrade is complete. The upgrade can only be performed on a Macintosh computer running Mac OSX 10.5.8 to 10.6.8. If your client computer is also used for offsite logging: 1. A clean up data file is not required on the client computer. The clean up data file is performed on the Server computer if you are running Genie on a network. 2. The upgrade will detect and update the Genie Single User (Genie Solo) application on the client computer. 3. Re-create the copydata script (File > Mainteance & Reports > Administrator > Create Copy Data Script) after the upgrade is complete. Take a fresh copy of your data and images using the newly created copydata script. 5. Check and test the offsite logging process and the successful import of offsite logs after the upgrade is complete. # The update from Genie Version 7 to Genie Version 8 CAN NOT be performed on a Genie Client computer running Mac OSX 10.7 (Lion) or Mac OSX 10.8 (Mountain Lion), as Genie Version 7 will not run on Lion or Mountain Lion. The correct upgrade path is as follows. 1. Run the Genie Version 7 10.6.8. Version 8 upgrade on the Genie Client computer running Mac OSX 10.5.8 to 2. Backup any critical data held on the client computer. Liaise with your IT support representative for further assistance with backups if required. 3. Upgrade the existing Genie client computer to Mac OSX 10.8 (Mountain Lion), with assistance from your IT support representative or Apple technical support as appropriate. 4. If the client computer is being replaced or upgraded to Mountain Lion, re-run the Genie Converter on the new machine, choosing the Client Installation option. Refer to the New Installation section for further instructions. 45

Once the correct folder is selected the converter will display a confirmation window, indicating the components to be updated. Normally this would be the Genie.app (Genie Solo) (if this computer is used for offsite logging) and Genie Client.app (Genie Client). 48

IMPORTANT: If you are not presented with the above window please refer to the TROUBLESHOOTING section (Topic 2) at the end of these instructions. 8. Click the Install button. Note: You must not attempt to terminate the update process once commenced. 9. During the update process, the following will occur: i. Your existing Genie folder is renamed "Genie_v7". ii. A new Genie folder is created i.e. "Genie". iii. The Genie Version 8 applications (Genie Client and Genie Single User if offsite logging is used) are installed into the newly created "Genie" folder. iv. The following folders are copied to your new Genie folder from the Genie_v7 folder. o Drawing Templates o Handouts o Labels o LabRslts o Third party carrier folders (eg. Healthlink, Medical Objects). v. The Images folder is moved from the Genie_v7 folder to the Genie folder. vi.the converted data file consists of three (3) parts: Genie.4DD, Genie.Match, Genie.4DIndx. IMPORTANT: If you receive an Alert window at this stage please refer to the TROUBLESHOOTING section (Topic 3) at the end of these instructions. 10.The Genie Converter window will display an Installation Succeeded message. Click the Finish button to complete and close the Converter window. 49

IMPORTANT: If any errors are encountered during the import process, you will receive an Alert window. If you do receive this window, please refer to the TROUBLESHOOTING section of these instructions ( Topic 4). 11.Re-install HIC Online on any computer(s) previously used to transmit Medicare Bulk Bill, DVA or ECLIPSE claims. HIC Online can be re-installed via Special > Software Updates in Genie. 50

7 Windows Client Upgrade YOU MUST COMPLETE A TRIAL UPGRADE AND THOROUGHLY CHECK YOUR DATA The following instructions are to be performed on all Windows clients on your network including the Terminal Server computer. Please refer to Section 6 for instructions on performing a Mac Client Upgrade. Check that all computers meet or exceed the Genie Hardware Requirements. You must disable all anti-virus and backup software before commencing the upgrade. You must disable or quit any pathology, radiology or third party message programs. Remember to re-enable or restart these programs once the upgrade is complete. If your client computer is also used for offsite logging: 1. A clean up data file is not required on the client computer. The clean up data file is performed on the Server computer if you are running Genie on a network. 2. The upgrade will detect and update the Genie Single User (Genie Solo) application on the client computer. 3. You must re-create the copydata script (File > Mainteance & Reports > Administrator > Create Copy Data Script) after the upgrade is complete. You must take a fresh copy of your data and images using the newly created copydata script. 5. You should thoroughly check and test the offsite logging process and the successful import of offsite logs after the upgrade is complete. 51

7.1 Update Genie v7 and Compatibility Check Before upgrading to Genie Version 8 you must be running the latest version of Genie Version 7. A compatibility check of your hardware must also be performed to ensure suitability for Genie Version 8. 1. On the Genie Client computer, ensure that no applications are currently running. 2. Launch Genie Client. 3. Log in and choose File > Maintenance & Reports > Administrator > ALT+click on Computer System Report. 4. Verify that a Pass is obtained for each computer component as shown. 5. A Fail or a Warn message indicates that the computer is not suitable for Genie Version 8. 52

Windows screen shots are used for illustrative purposes only. The Version 8 compatibility test works in a similar manner on Macintosh computers. 7.2 Run the Converter 1. Load the Update CD onto the Genie Client computer or download the Genie Converter from the Genie website: http://www.geniesolutions.com.au/geniev8 Note: the download is approximately 300MB and will require a relatively fast internet connection without a quota restriction. 2. Once the CD is loaded or the Genie Converter has been saved to your client computer, double click on the Converter icon and follow the prompts to proceed to the Installation Type window. 3. You will be prompted to select the destination location. This is your current Genie folder. 53

4. Once you have accepted the Software License Agreement, click Continue. 5. Select the Update currently installed application(s) from Genie v7 to Genie v8. Click Next. IMPORTANT: If you are not presented with the above window please refer to the TROUBLESHOOTING section (Topic 2) at the end of these instructions. 6. Proceed to the Ready to Install screen. Click the Install button. Note: You must not attempt to terminate the update process once commenced. 7. During the update process, the following will occur: i. Check that the computer meets or exceeds the Genie Hardware Requirements and passes the Compatibility Check for each element of the computer system. 2. 9 Troubleshooting This section outlines the common problems that may be encountered when performing the upgrade to Genie Version 8. If the problem encountered is not covered here or you are unable to satisfactorily complete the upgrade, you should revert to Genie Version 7 and contact Genie Solutions via email: support@geniesolutions.com.au. 63

9.1 Failure to run upgrade correctly Problem If at any stage during the update to Genie Version 8 you encounter the following window, you must click the CANCEL button. It is not possible to convert or upgrade your data by this method. The above window may appear if you did not upgrade strictly in accordance with the enclosed instructions. If you choose the Convert Database option, the upgrade will not succeed and will need to be repeated. If you attempt to open Genie Version 8 you will receive the following message: 64

Resolution 1) 2) Make a full backup of the Genie folder as a precautionary measure. Delete the following files and folders from the Genie folder on the Server or Single User computer used to perform the upgrade: Genie.4DD Genie.4DIndx Genie.Match 'Genie' application on Mac or the 'Solo Application' folder on Windows 'Genie Server' application on Mac or the 'Server' folder on Windows. 3) Copy the Genie.4DD from \Genie\Replaced Files (Conversion) to the \Genie folder. 4) Re-install Genie Version 7 to the \Genie folder using the current full installer: Mac: http://www.geniesolutions.com.au/downloads/resellers/genie_installer_v7.dmg Win: http://www.geniesolutions.com.au/downloads/resellers/genie_installer_v7.exe 5) Launch Genie Solo (Single User) and re-run the clean up data file from File > Maintenance & Reports > General. 6) Refer to the relevant section of these instructions to perform the upgrade on a Mac or Windows server or Mac or Windows single user. 65

9.2 Components to be Updated to Genie v8 Problem At the time of selecting the components to upgrade, the following error message appears: Windows: Mac: The message above indicates that you must upgrade to Genie Version 7.7.7 (or later) before you can upgrade to Genie Version 8. Resolution You will need to update Genie: 1) From Special > Software Updates in Genie OR 2) By downloading and running the latest update from our website: www.geniesolutions.com.au > Support > Downloads. 66

9.3 Cannot write to or rename Genie folder Problem The update process requires full read/write access or 'full control' on the Genie folder. If the update cannot write to or rename the Genie folder, the following error will occur: Windows: Mac: Resolution 1. Close all running applications on the computer running the Genie Converter, including all pathology download programs (Fetch, MQLink) and third party messaging programs (Healthlink, Argus, Medical Objects). Some of these programs may be running in the background or may not be apparent that the program is actually running. 2. Ensure that the Genie folder is not open in Finder (Mac) or Windows Explorer. 3. Attempt to rename the Genie folder eg. rename from "Genie" to "Genie_Temp". 4. If the folder can be renamed, it would suggest that the currently logged on user has appropriate permissions for the Genie folder. Rename the folder back to "Genie" and re-run the converter. 5. If the folder can not be renamed, the folder needs to be set to 'read/write' or 'full control'. Log off the computer and log on as the 'Administrator' user or user with administrator rights and modify the Genie folder permissions to include full 'read/write' access. Please liaise with your nominated IT support representative for further assistance with modification of folder permissions. Please liaise with your pathology/radiology/third party messaging provider for assistance with those programs. 67

9.4 Other Errors If any errors are encountered during the import process you will receive an Alert window. If the Clean Up Data File was run before the upgrade, these errors usually relate to duplicate records and are normally of little significance. At the end of the upgrade process, you should launch Genie Solo (Single User) and check your data thoroughly. If you receive any error messages, please contact Genie Solutions Support via email: support@geniesolutions. com.au quoting your GEN number in all correspondence. 9.5 How do I go back to Genie Version 7? If for some reason the upgrade was unsuccessful, Genie Version 7 can be re-instated. All data added since upgrading to Version 8 will be lost. A Genie Version 8 data file can not be opened with a Genie Version 7 application. A Genie Version 8 backup can not be restored with a Genie Version 7 application. It is not possible to export patient data from Genie Version 8 into Genie Version 7. You can not upgrade to Genie Version 8 using a Genie Demo CD or installer. The Genie Version 7 data is not altered by the Version 8 upgrade process. The Genie Version 7 data is retained in a folder called "Genie_v7" during the update process. To go back to Genie Version 7, do the following in order, with assistance from your IT support representative. 1. Move the \Images folder from the \Genie folder to the \Genie_v7 folder. 2. Rename the Genie folder to Genie_v8 3. Rename the Genie_v7 folder to Genie 4. Launch Genie Solo (Single User) Application from the \Genie folder and confirm the presence and integrity of your data as it was in Genie Version 7. On Windows the Genie Solo Application will be located in \Genie\Solo Application\ folder. Double-click on Genie.exe to launch Genie Solo. On Mac the Genie Solo Application will be located in the /Applications/Genie/ folder. Double-click on Genie (or Genie.app) to launch Genie Solo. 5. Check that you can access images and attachments from within a patient's clinical record. 6. Re-create shortcuts/aliases to the Genie Solo and Genie Server Applications. You may need assistance from your IT Support Representative to do this. 7. Quit Genie Solo (Single User) and Launch Genie Server if running Genie on a network. 8. Check and verify that your backups now include the re-instated Version data. You can attempt the upgrade to Genie Version 8 at a later time, starting at the beginning of these update instructions. the subject line of the email. Note: It may be necessary to add a Data Execution Prevention (DEP) entry to allow Genie Solo to run on Windows. The DEP entry is added via My Computer > Properties > Advanced > Performance > Settings. Please seek assistance from your IT Support Representative if unsure about how to make these modifications to allow Windows programs to run. 9.6 Run a Trial Upgrade Your practice staff will have an opportunity to review the new features in Version 8 before upgrading from Genie Version 7. You must thoroughly check and verify your data after upgrade to Genie Version 8. Any problems encountered during the trial upgrade must be resolved before performing the upgrade on your live data. Please Note: An intermediate to advanced level of computer expertise is assumed. If you are not sure how to proceed, please contact your nominated IT support representative. A trial upgrade can not be performed on a Mac OSX 10.7 (Lion) or Mac OSX 10.8 (Mountain Lion) computer as Genie Version 7 is required to initiate the upgrade. Before you begin 1. Backup your data and ensure that you have fulfilled all the pre-requisites as outlined in Section 1.1 "Before performing this upgrade". 2. Ensure that all users are logged off the Genie Server computer and the Genie Server application is stopped. 3. Copy the Genie data (Genie.4DD and Genie.4DR) and Images folder from the \Genie folder on the server computer to removable media (USB drive, CD/DVD or similar) or the computer to be used for the trial Version 8 upgrade. 4. Launch the Genie Server application and allow all users to log back on if required. Install Genie Version 7 on another computer 1. Review Section 1.1 "Before performing this upgrade". 2. Install a copy of Genie Solo (Version 7) on a computer other than your current server computer (the 'Trial Upgrade Computer'): i) Download and run the Version 7 installer: http://www.geniesolutions.com.au/downloads/resellers/genie_installer_v7.exe (Windows) http://www.geniesolutions.com.au/downloads/resellers/genie_installer_v7.dmg (Mac) ii) Launch the Version 7 installer on the Trial Upgrade Computer and select the Full Installation. Choose the Single User Application option (only) as shown. 69

iii) Allow the installer to run to completion. iv) Download and run the Genie Version 7 Updater to bring the program up to the latest version: http://www.geniesolutions.com.au/downloads/win/807/genie_updater.exe (Windows) http://www.geniesolutions.com.au/downloads/mac/807/genie_updater.dmg (Mac) Run the trial Version 8 upgrade 1. Copy the Genie Version 7 data and Images taken from the Genie Server and place them in the Genie folder created by the Version 7 installer. 2. Launch Genie Solo (Single User) on the Trial Upgrade Computer. 3. Proceed with the trial upgrade as outlined in Section 4 (Mac) Section 5 (Windows), filling in the Trial Upgrade Worksheet as you go. i. Note the size of the Version 7 data file (Genie.4DD and any Genie.4DS segments if they exist). ii. Check the data for errors using 4D Tools iii. Clean up the data file iv. Run the converter iii) Note the time taken to complete the upgrade from the commencement of the clean up data file. iv) iv) Review your data to confirm the upgrade has completed successfully. v) Review the Version 8 Changes section of this manual. If you are satisfied that the upgrade has completed successfully and all staff have reviewed the Version 8 Changes, you can now proceed with the upgrade on your server computer. Return to Section 1 of this manual to run the upgrade on your server computer. 70

9.7 Cannot Use HIC Online Problem HIC Online functionality has disappeared or is not functioning correctly after upgrade from Genie Version 7 to Genie Version 8. 'Verify Online' button missing from the Patient Demographics window. 'Bulk Bill/DVA Transmission' button missing from File > Maintenance & Reports > Daily. ECLIPSE button missing from File > Maintenance & Reports > Daily. Resolution Re-install HIC Online on any computer(s) previously used to transmit Medicare Bulk Bill, DVA or ECLIPSE claims. HIC Online can be re-installed via Special > Software Updates in Genie. 9.8 Cannot Use MIMS Problem Unable to prescribe or select medications from the MIMS prescribing data after upgrading to Genie Version 8. Only applicable to current MIMS subscribers If unsure of your MIMS subscription status, contact MIMS Australia on 1800 800 629. Resolution Re-install MIMS prescribing data from Special > Software Updates in Genie. 9.9 Terminal Server Considerations Genie Version 8 (Client) will run in a Terminal Services environment, under the following conditions. Genie Version 8 is certified for use on Windows Server 2003 SP2 / R2 and Windows Server 2008 SP2 / R2 x64 as outlined in the Genie Hardware Requirements. The Terminal Server computer and the Genie Server computer must be separate computers with a different IP address. If you experience slow or degraded performance when running Genie Client under a Terminal Services environment, the following configuration changes are suggested: Configure Device and Resource Redirection under the Terminal Server Group Policy 1. Configure the group policy Do Not Allow Clipboard Redirection to Enable. 2. Set Limit Maximum Color Depth to Enable and set desired color depth. This may require some experimentation with different color depths to obtain acceptable speed and performance. 9.10 Application Fails to Launch or SQL Error Problem 1. Genie Server fails to launch or spontaneously quits after being launched. 2. Genie Server launches with error "Failed to launch SQL Server. Please make sure that the port assigned to the SQL Server is not used by another application". 3. Genie Client launches with error "Error when executing the method 'PrefsUser_RoomOrder' at line number 42. Remote SQL Server not available. Resolution 1. On Windows, ensure that a Data Execution Prevention (DEP) exception is set for the Genie Server and Genie Single User applications. If you are logged on as an administrator, you can manually configure DEP to switch between the OptIn and OptOut policies by using the Data Execution Prevention tab in System Properties. The following procedure describes how to manually configure DEP on the computer: i. Click Start, click Run, type sysdm.cpl, and then click OK. ii. On the Advanced tab, under Performance, click Settings. iii. On the Data Execution Prevention tab, use one of the following procedures: Click Turn on DEP for essential Windows programs and services only to select the OptIn policy. Click Turn on DEP for all programs and services except those I select to select the OptOut policy, and then click Add to add the programs that you do not want to use the DEP feature. iv. Click OK twice. Ensure that the permissions on the Genie folder are set to 'read/write' or 'full control' for all users. 2. Genie Server requires 3 ports to be open: SQL Server: 19812 (default) Application Server: 19813 (default) DB4D Server: 19814 (default) The Application Server and SQL Server ports can be set within the Genie Server preferences (Edit>Database Settings) but not the DB4D Server port. The DB4D Server port will always be the "Application Server Port # " + 1 (ie. 19813 + 1 =19814). If a firewall is present all three ports (19812, 19813, 19814) must be opened. 3. Ensure that all three ports are open in the firewall rules on the server computer as outlined in step 2) above. 74

9.11 Debug Logging All activity within Genie can be logged by performing the following steps: 1. On a client or Genie Solo (Single User) computer log into Genie as the designated Administrator (the username referenced by a red tick). 2. Choose File>Maintenance & Reports>Administrator 3. ALT + click on Restore a Backup. 4. If running Genie Client you will be given the choice of Server or This Computer. Logging would normally be enabled on the computer where the error is occurring. 5. Choose Next Restart 6. Upon Genie quitting or re-starting, capture the logs as follows. i. On the computer where logging was initiated, launch Gene and choose File>Execute Command and enter SHOW ON DISK(Get 4D Folder(Logs Folder;*)) ii. Click OK to the Request dialogue box to run the command. iii. A Windows Explorer (Windows) or Finder (Mac) window will open to the Logs folder. 7. Send all files named 4DDebugLog_xxx.txt via email to support@geniesolutions.com.au 75

10 Backups What is a Backup? A backup is a copy of your important information which is: 1. Geographically remote from the original 2. Able to be re-installed onto another computer In Genie s case, the important data is held in the Genie data file. If you are scanning letters or storing photos, then these files are held in the Images folder. Ideally, you should have serial backups. That is, you should have backups for each day for the previous week, and then one permanently stored backup for each week. This is because it may take some time before you realise that a record is missing or that the data file is corrupted. You need to be able to look at the state of your data file at various times in the past. If you overwrite each day s backup, then you lose this ability. What to Backup? On Single User or Server machine: Genie data file Images folder Handouts folder (If you have handouts in Open > Patient Handouts) Where and What are the Genie data files? The Genie data file is installed in the Genie folder and is named Genie.4DD. If you are running Genie over a network, this is the Genie folder on the server computer. On Windows it is typically found at: C:\Genie\, assuming that Genie is installed in the default location. It may be installed on a different drive on your computer. On Macintosh it is typically found at: /Applications/Genie/ Note: Genie Solutions will not implement automated backup procedures on your computer network. This is because we cannot physically check that these procedures continue to work correctly. If you want to automate backups, you must learn how to do it yourself so that you can recognise and fix it when it breaks. Let s be Brutally Frank... It has been said that there are two kinds of people in the world. Those who have lost data and those who are about to. It is possible for the Genie data file to become irreparably damaged. It is possible that the entire data file can be lost e.g. a hard drive failure. You are responsible for the safe-keeping of your data file. You are responsible for ensuring that backups are taking place and that they are completing successfully. Genie does not move the data file. Ever. If the data file cannot be found in the Genie folder, then Genie didn t move it. A human did it. In fact, Genie expects the data file to be in the same folder as the application. If it is not, you will get a dialog box when you open Genie, asking you to identify the location of the data file. Do not move the Genie folder from it s default install location i.e.the Applications folder on Macintosh, or the root of a selected drive on Windows. If you cannot find your data file, then we don t know where it is. We only know where it should be, not where you or a member of your staff have moved it. 77

Priorities As in medical practice, disasters are usually the result of a string of minor, unrecognised mistakes. Do not be blasé. When it comes to backups, paranoia is the correct state of mind. Learn how to burn a CD. The person in charge of backups must have a basic understanding of computer use. Backups need to be geographically remote from the original to be effective. If at any stage you cannot find your data file, tell someone! Read what the computer is telling you. THERE IS NO REASON TO EVER CREATE A NEW DATA FILE. When asked if you want to overwrite an existing file be very, very sure of what you are doing. Always backup before an update. We can make mistakes too! Make sure you are backing up the data file rather than the Genie application. There is no point in backing up the application because it can be re-installed from the Genie Install CD at any time. It is best to consult an IT representative for a backup protocol that will best suit you and that will be maintained and checked regularly Check your backups regularly, there have been countless situations where sites are oblivious to the failure of their backups until it is too late... Know where your data file is at all times! Archiving of the Genie Application As well as performing backups for emergencies, you should also be creating regular archives of your data and application files. This is essential if you are keeping computerised consultation notes, but also still a very good idea even if you are not. The archive must contain everything needed to open the data file in the same version of Genie. For example, if you need to open a data file archived 2 years ago, then you really need to open it in the version of Genie you were using at the time. On Macintosh, you need to archive: Genie - the single user application (lamp) Genie.4DD Images On Windows, you need to archive: The Solo Application folder from within the Genie folder. Genie.4DD Images Burning these files to a read only CD (CD-R), and dating, signing and witnessing it will make it as medicolegally valid as possible, and will allow you to see the state of your data file at the time the CD was created. Do not write on CDs with an ordinary oil pen. It can soak through and destroy the CD. There are special pens for writing on CDs. Do not write directly on the CD with a biro. This can also scratch the reflective surface and render it unreadable. 78

10.1 Genie Automated Backup The Genie Automated Backup is an automated backup process that is inbuilt into the Genie Server application. This process, once configured, will make a copy of your Genie data file (i.e. Genie.4DD) and save it as a Genie backup file (i.e. Genie[XXXX].4BK, where 'XXXX' represents the backup run number) in the location that you specify. For example, Genie[0001.4BK]; Genie[0002].4BK. As the configuration process takes place in the Genie Server application, the Genie Automated Backup process is not available for Genie single users. Although this is an automated process, you should check to make sure that the backups are occurring correctly and the data that is contained is valid. Note: This process only takes a back up of your Genie data file. You must use a separate, external backup procedure to backup your Images folder. Due to the nature of this procedure, the most computer literate person in your practice should follow these instructions. While simple to follow, the implications of getting this wrong can be devastating. To configure your Genie Automated Backup, in the Genie Server application: 1. Go to File > Backup... In the Backup window, click on the Database properties... button. 79

2. Click on the Scheduler tab. In the Automatic Backup drop-down menu, select the option relevant to your practice and then enter the time you want the backup to run. 3. Click on the Configuration tab. Tick the Data File checkbox as per below. Select the folder where the backup files will be created by clicking on the... button in the Backup File Destination Folder section. 80

4. The Browse for Folder window will appear. Navigate to and select the relevant folder, then click OK. 5. Click on the Backup & Restore tab. The settings shown below are suitable for most practices. 6. Click on the OK button to save these settings. 7. In the Backup window, click on the Backup button to start the initial backup. A progress window will appear indicating that a backup is in progress. 8. Once this process has completed, you will be returned to the 4D Server Administration window. 81

9. In the 4D Server Administration window, click on the Maintenance tab to see when the last backup occurred, and when will the next backup take place. Note: The Genie Server application must be running at the specified time in order for the automated backup to take place. 10.2 Restoring A Backup This process takes a 4D Backup file and restores it into a folder containing the Genie data file i.e. Genie.4DD. It assumes that you have been using the built in automation procedures as outlined in the previous section, and you are set as the administrator of Genie. Note: If you are running this restore as a test to be sure your backup is working then it is advised to run this restore using a Genie folder installed separately to your live data. eg. GenieRestore. 1. Ask your clients to log off, then Quit Genie Server. 2. On your server, open Genie single user: a) On a Mac it is situated: /Applications/Genie/Genie b) On a PC it is situated: C:\Genie\Solo Application\Genie.exe 3. Go to File > Maintenance & Reports 4. Select the Administrator tab at the top of the screen. 5. Click the Restore a Backup button. 6. You will be prompted to select a 4D backup file. It will be in the format Genie[XXXX].4BK and will be located in the backup folder you have specified as outlined in the Automated Backup section 82

7. A folder will be created in the same folder as the Genie[XXXX].4BK file called Genie[XXXX]. This contains your restored Genie data files i.e. Genie.4DD and Genie.4DIndx in a Genie folder and your Backup Preferences in a Preferences folder. These Preferences are not needed in this restore process. 8. Close the Maintenance & Reports window and Quit Genie. 9. Move or delete your corrupt data file from your Genie folder 10.Move the restored Genie data file i.e. Genie.4DD from the restore folder to your Genie folder. 11.Start Genie single user and ensure the restored database opens and contains the expected information. 12.Quit Genie single user. 13.Restart Genie Server, selecting Genie.4DD if prompted for a data file. Your Genie data files should now be successfully restored. Note: If your data file is missing, or too corrupt to open Genie Solo to perform the restore operation, you need to hold your Alt/Option key immediately after you double click on either the Server or Solo Application. This will present you with the box below, you will then need to follow steps 6-13 above. 83

11 Version 8 Changes This chapter deals with the major changes in Genie Version 8 in the following sections: New Features (including DVA Paperless and PCEHR) Rewritten Appointment Book Rewritten Drawing Module 84

11.1 New Features DVA Paperless Practices using Genie version 8.2.7 or higher will no longer need to send accompanying paperwork for their electronic DVA claims. PCEHR Genie version 8.3.4 introduces several new features which form part of Australia's new ehealth rollout. Genie users now have the ability to: Check whether a patient has a personally-controlled electronic health record (PCEHR) Upload and view documents stored in a patient's PCEHR To use this feature, register with the PCEHR and apply for PCEHR/PKI certificates at http://www.ehealth.gov.au For more information on using patient's PCEHR, please refer to the PCEHR chapter in the Genie Online Manual. 85

Contextual Help Genie's inbuilt help system is now able to detect which area of Genie you are currently using, and display the relevant section of the Genie manual. You can access contextual help at any time by going into File > Help. 86

New Clinical Features Viewing PDFs The view pane in the clinical window will now automatically display PDFs. You will see the PDF floating controls appear when you move the mouse over the view pane area when a PDF document is on display. These controls allow you to print and scroll through your PDF documents with ease. Your multi-page documents can be accessed directly from the view pane and don t have to be opened in Adobe Reader or an external image browser. Checklists Checklists now have an improved layout and no longer have limitations on the number of fields you are able to add to your checklists. If you have letter templates with a corresponding checklist, you may need to re-insert the checklist fields into the letter templates once you have upgraded to Version 8. For more information on checklists, see the Checklists chapter of the Online Genie Manual. Prescriptions Providers can now create Medication Sets. These allow you to prescribe multiple prescriptions with just one click. 1. Go to a Patient's Clinical Window. 2. Add each item of the medication combination to their prescription list using the Blue plus button or QuickScript drop-down. 3. Once all of the medications are listed, click on the arrow button to the left of Quickscripts and select Edit Sets. This will open the Medication Sets window. In here, you will see all of your Medication Sets listed in a pane on the left hand side. Highlighting a set will display the medications it contains in the Prescriptions pane. 87

5. To add a new Medication Set, click on the Blue plus button in this window, and enter a title for the set when prompted. 6. Select the prescriptions to add to this Medication Set by selecting them from the grey drop-down menu. 7. Once completed, Close out of the Medication Sets window. The set(s) you have created will now be available for use with any patient. 88

New Server Interface The Monitor Tab The Monitor tab is used to assess Genie's usage of your computer's hard drive and memory. 89

The Users Tab The Users tab lists all users that are currently connected to your server. You are able to use the buttons at the bottom of this screen to affect different users on the system. Send Message allows you to send a text message to a user. This can be useful if you are planning on closing down the server and would like the user to save their work. Watch Processes allows you to inspect the processes the user has active. Drop User allows you to disconnect this user's session on the server. This can be useful if the user has not logged out of Genie correctly and is listed as a phantom user on the network. 90

The Maintenance Tab The Maintenance tab is used to manage your backups, investigate issues with your Genie application, and perform database compacting. More information on automating backups in Genie version 8 can be found in the Backups section of the Genie version 8 manual. Security Settings Two new security settings have been added in Genie version 8. Modify Appointment Schedule relates to the new scheduling feature in version 8. There is more information on this feature, and other Appointment Book changes, in the next section. View & Modify Other Users' Tasks has been implemented due to feature requests to make tasks confidential. Upon upgrading to version 8, this will be unticked by default, meaning your access will initially be restricted. Should you wish to return to the previous functionality, you can tick this preference for all applicable users. 91

11.2 Rewritten Drawing Module The Drawing Module has been entirely rewritten in Genie version 8. To enter the Drawing Module, you must first have a patient's Add Consult window open. In here, press the Open the drawing module button to start drawing. The first major change you will notice is the general appearance of the Drawing Module; this window is now set out in a very similar way to Microsoft Paint. The second is the ability to add multiple drawings. In the example below, the user has marked out the rash location on the nose and cheek areas. As toward the back of the neck is not shown in the first picture, an additional picture has been added to document this location in the same drawing. 92

Button Explanation The Drawing Module introduces many new buttons. You may want to take some time to familarise yourself with these before creating a drawing. Select images and objects Free draw Draw straight lines Type text Draw squares or rectangles Ellipse (Ctrl+click for circle) Draw rounded rectangles Draw freehand filled area Bullet circle stamp Bullet cross stamp Draw stitches, stitches will appear tighter and closer together when drawn slowly. Draw rashes Annotate image (includes arrow from annotation to to image) Flip horizontally (Ctrl+click to flip vertically) Acquire image from camera Acquire image from scanner Delete currently selected object Alter line thickness and format. Clicking on this will display the next button. The line thickness and format selection displayed when the line button is pressed. These buttons are the line colour and fill colour, respectively. These buttons are the draw objects transparent and draw objects filled, respectively. This applies to the drawing of shapes. This slider controls the opacity of the selected object. These buttons are the Save as an Editable Template and Save as an Image in the Patient's Attachment Folder buttons, respectively. 93

Using the Drawing Module 1. Click on the picture you would like to use as a base for your drawing on the right-hand side. If you wish to open a folder different from your default drawing templates folder, press the blue folder button next to the file path to browse. 2. Once you have highlighted the picture on the right-hand side, it will appear in the preview pane in the bottom right. 3. Drag the image from the preview pane to the desired location on the page. 4. Use the buttons on the left hand side to create your drawing. Note: If the opacity slider, fill colour, or any other button does not appear to be working, make sure you have first used the select tool to select the object you wish to modify. It is possible to highlight multiple items by pressing the select tool and either clicking and dragging over the objects or Shift+clicking each object at a time. 5. Resize any objects as needed by diagonally dragging the green dot in the bottom right corner. Ctrl-clicking and dragging this green dot allows you to rotate the image. Note: Rotated objects will no longer be able to be resized. Always resize your objects before rotating them. 6. Once you have completed your drawing, enter a title in the field at the top of the window, and press the OK button. 7. This will return you to the Add Consult window. If, during the rest of your consultation, you decide you wish to edit this drawing, you can press the Open the drawing module button Edit, or Delete a drawing attached to this consultation.. This will allow you to either Add, Clicking on Objects Right-clicking on an object will result in a menu. Move to...: this feature is used when you have overlapping objects that you would like to arrange in order of front to back. Flip...: flips the selected object. Clicking on one object, and then Shift+clicking on subsequent objects allows you to highlight multiple objects. Alternatively, you can click and drag your cursor over all objects you would like to select to highlight all of them. 94

Clicking on the background Right-clicking on the background will result in an alternate menu. Alter drawing area dimensions: this allows you to specify a new height and width for the drawing area. This is in pixels, therefore trial and error is required to achieve your desired size. Creating Drawing Templates If you do not wish to use a template, you can simply draw freehand onto the canvas. You can then save the new image as a template for future use by clicking on the Save as an editable SVG template button. 11.3 Rewritten Appointment Book The Appointment Book has been completely rewritten in version 8. Due to this, many areas in the Appointment Book look and behave differently. Appointment Length Customisation The ability to customise the length of any given appointment has made the asterisks (***) seen in version 7 redundant. When typing a patient's name into the appointment slot, you will be presented with the Edit Appointment window, as pictured below. To alter the length of the appointment, you can either edit the End Time or Duration, in the picture above these are the fields containing 11:00AM and 15, respectively. Entering 60 into the Duration field will result in the appointment being extended as in the comparison pictures above. To alter the length of an existing appointment, you can right-click on the appointment and select Edit Appointment. This will present you with the same Edit Appointment window, which is able to be edited in the same way. Default Appointment Duration You are now able to fully accommodate doctors with different default appointment lengths. In version 7, you were able to see differing appointment durations when in individual doctor tabs, but you were not able to see these in the All Providers tab. Below is a comparison of differing appointment lengths in Genie. 95

In the above comparison, you can see the version 7 user has had to manually group these longer appointments to avoid confusion on the All Providers page. In version 8, not only do the patient appointments display as single slots, the empty slots are also displayed as larger, singular slots. The preferences for global and individual appointment intervals are in the same locations as version 7. The global interval is set in Appts > Appointment Preferences, and the individual doctor's interval is set in File > (All) User Preferences. 96

Double booking Appointments There are two ways to double book an appointment, these are 'Duplicate Time' and 'Duplicate Appointment'. You can duplicate the time by right-clicking on the appointment and selecting Duplicate Time from the menu. The Edit Appointment window will appear, and you are able to enter the patient's details as usual. Using this method rather than duplicating the appointment means that the new appointment will not take on any of the other appointment s characteristics except the Start Time. This can be useful when these appointments having differing lengths and types. In the picture below, Vincent Lee's normal appointment has been duplicated over Samantha State's Antenatal appointment. You can duplicate the appointment by right-clicking on the appointment and selecting Duplicate Appointment from the menu. The Edit Appointment window will appear, and you are able to enter the patient's details as usual. Using this method rather than duplicating the time means that the new appointment will take on the other appointment s characteristics. This can be useful when double booking a family member in for the same appointment. In the picture below, Andrew State wishes to accompany his wife, and has thus been duplicated over Samantha State's Antenatal appointment. Double booked appointments can make for difficult reading in your Appointment Book. There are a couple of options to assist with this: In the Appearance tab of Appointment Preferences (Appts > Appointment Preferences) ensure you have the Show Appt Details on Mouseover tickbox ticked. Use the slider under the Appointment Book icons to widen the appointment column as far as possible to maximise the information on display. In addition to these options, right-clicking on the red time slot next to an appointment and selecting Show Duplicates will fan out all appointments double booked on this time slot. 97

There is also the option to Alt+click on the Times column at the top of the Appointment Book to temporarily display the List style. This view shows all double booked appointments, and it also omits all empty appointment cells. Wherever appointment(s) have been omitted, there will be small slashes ( \\ ) to indicate these cells are hidden. Note: Show Duplicates view and List view are only available in single provider view. Repeating Appointments Repeating appointments now have an End Date field. This allows you to specify the duration of a repeating appointment more easily. Repeating appointments would now only be used to create repeating patient or (more commonly) non-patient appointments. Practices that formerly used this function to repeating appointment types should now use the appointment schedule function. Appointment Schedule The appointment schedule is a new function that has been implemented to maximise speed in your Appointment Book, and to create an easier way to organise your doctor's recurring schedule. The addition of the appointment schedule has removed the (now redundant) grouping buttons, and replaced them with the Show/ Hide Schedule and Show/Hide Appointments buttons. Complete instructions on how to set up and use the appointment schedule can be found in the Appointment Scheduler section of the Genie manual. It is important that any practices using types to organise their Appointment Book replace these types with a schedule. Due to changes in the way Genie processes the Appointment Book, neglecting to do so can result in slowness and freezing. In the following example, the doctor has an Antenatal appointment, then has lunch, and then has more unoccupied time set aside for Antenatal appointments. 98

In the version 7 screenshot, you can see that Antenatal slots have been marked using types. When using types, every single one of the slots in the Appointment Book has to be processed as an image individually, thus taxing your computer's processor speed. In the version 8 screenshot, you can see that an underlying schedule has been used to mark these appointments as Antenatal. This underlying schedule is processed as one image, meaning it can be processed much faster. If you have a 15 minute interval and work for 8 hours each day, you will be making Genie process 32 images (per doctor) when you could be processing just one (per doctor). Note: If you feel more comfortable with these empty slots having the type name displayed as they did in version 7, you are able to emulate this by going into Appts > Appointment Preferences, selecting the Appearance tab, and ticking Show Schedule Type Names. To have a look at how many records are in your Appointment Book, go into Help > About Genie (Windows) or Genie > About Genie (Mac). In here, click on the Database tab to open your database tallies. This number of records is processed every time the Genie Appointment Book is opened. Minimising this number using the schedule function will improve the speed of your Appointment Book. Note: If you have just upgraded to version 8 and are experiencing slowness, this is one of the first things the Genie support representative will check. 99

Appointment Preferences There have been many changes to the Appointment Preferences window in the version 8 upgrade. The new functionality and more customisable aesthetics in the Appointment Book have necessitated an additional tab in the Appointment Preferences called Appearance. In this tab, you will find settings that customise the look and feel of the Appointment Book. The most important thing to note about this new area is that every one of the settings is user specific; you are now able to accommodate any differing eyesights and tastes in your practice. Track Current Time with Highlight: dropping down this menu allows you to choose either the traditional highlight option or the new clock option. Show Appt Details on Mouseover: this preference allows you to see the appointment details such as appointment name and notes. Most useful when the practice uses double bookings. Show Schedule Type Names: displays the appointment type in every cell of the Appointment Book. This may be useful for new receptionists who are still getting used to the meanings of the various schedule colours. Use Advanced Rendering: ticking this preference will improve the general appearance of selected appointments. Selected appointments will now have a shadow effect applied to them, and the row highlight in the times column is made more obvious. This can compromise the speed of the Appointment Book if you are using older hardware, so use this feature with discretion. Font/Font Size/Row Height: all of these are used the same way as in version 7. These are, like all other preferences in this window, now user specific. Advanced... allows the user to change the background colours and thickness of border lines of the Appointment Book. Percent reduction when printing: Genie is now able to fit this to a single page, or you can set a custom percentage for printing. In addition to this new tab, the Column Order and Rooms tab has been modified to allow users to remove other users from their Appointment Book. 100

Clicking on the Garbage can button makes the highlighted user no longer visible in your Appointment Book. If you would like to re-add this user, simply click on the Blue plus button to add them to your Appointment Book again. Note: Clicking the Garbage can button in the Rooms column does not hide rooms, it deletes them. The original Main tab of Appointment Preferences has not undergone as many changes as the other two tabs. Some preferences that were in this window have been moved to the Appearance tab, others have been removed entirely. Show Theatre List Indicator: tick this to display a selection box at the top of the individual provider view of the Appointment Book to allow you to manually indicate the status of the theatre list, if any, for that user on that day. Click the selection box to choose from No List Today, Slots Available or List Full by ticking the box to change the status. The day in the calendar at the top left of the Appointment Book will show as green if there are slots available or pink if the list is full. The day you are currently viewing will always be displayed in blue. 101

Calendar Sync Name: This preference has been added for those who sync Genie with either ical or Outlook. Display Saturday/Sunday: Preferences to not display Sat/Sun has been removed as days on which no providers are visible will not be displayed. Some of the regular features of this tab have been moved to the Appearance tab. 102
