5 1 About This Guide 1.1 Introduction This guide describes basic configuration and use of dedicated desktop software (as opposed to web browser software) to access ehealth Ontario s ONE Mail Direct secure system. This guide specifically covers Microsoft Outlook and Apple s Mail, but the instructions are also useful for other desktop applications. For information on accessing ONE Mail through a web browser and Outlook Web App (OWA), see the appropriate guide on the ONE Mail resources web site. For information on accessing ONE Mail through a mobile device, see the appropriate guide on the ONE Mail resources web site. 1.2 Audience This guide is intended for people who wish to configure and/or use desktop software such as Outlook or Mail for access to ONE Mail Direct. 1.3 Terms of Use Users choosing to access ONE Mail Direct through desktop software (such as Outlook) must ensure that they understand and adhere to all privacy, security, and legal declarations in the ONE Mail Direct Services Schedule as well as all relevant organizational policies. This document does not override legal schedules. In the event that there is a difference between information contained here and information contained in the ONE Mail Direct Services Schedule, the ONE Mail Direct Services Schedule is deemed correct. 1.4 Support The ONE Mail Direct Services Schedule describes support provided by ehealth Ontario. 6 While this document explains the basics of using , it is not intended to be a guide to any particular software package. For in-depth information on software usage, consult some of the many on-line guides available from various sources on the Internet. 2 ONE Mail Overview 2.1 Background ONE Mail is a secure system provided and funded by ehealth Ontario, an agency of Ontario s Ministry of Health and Long-Term Care. ONE Mail is available to Ontario s health care providers in order to facilitate secure electronic transmission of personal information (PI), personal health information (PHI), and other data among participants. ONE Mail comes in two varieties: ONE Mail Direct and ONE Mail Partner. ONE Mail Direct provides secure mailboxes housed within ehealth Ontario s secure data centres. ONE Mail Partner links organizations existing systems to ehealth Ontario s centralized, secure infrastructure. This document covers ONE Mail Direct. For more information, see the ONE Mail web site. 2.2 ONE Mail Compared to Other Services Basic , including the various free services available on the Internet and accounts provided by ISPs, is unprotected. Mail can be intercepted and read by unauthorized people and machines as it moves across the public Internet. Basic is like a physical postcard: contents can easily be viewed by people other than the intended recipient. Never send personal information or personal health information over unsecured . In contrast, ONE Mail is highly protected by layers of security at the operating, technical, and software levels. Messages sent via ONE Mail are encrypted in transit and remain illegible until decrypted by the recipient. As well, servers for ONE Mail are located at ehealth Ontario s secure data centres. Note that both sender and receiver must be ONE Mail users to ensure security of transmission. ONE Mail Direct for Desktop Software Guide v1 2
7 2.3 ONE Mail Security The ONE Mail infrastructure was designed and built with security and privacy in mind. ONE Mail provides services such as thorough spam and virus filtering as well as end-to-end encryption. 2.4 ONE Pages ONE Pages is the name of the directory holding contact information for all ONE Mail subscribers. As such, ONE Pages is the authoritative list of individuals who can securely send and receive personal health information through ONE Mail. Contact information in ONE Pages includes the first and last names of all ONE Mail subscribers, organizations and departments to which they belong, and their (ONE Mail) addresses. Department information is an optional field and may be blank for some subscribers. ONE Pages is updated automatically when users are added to (or removed from) ONE Mail. To ensure that is secure on its entire trip from sender to receiver, always select the recipient s address from ONE Pages. All addresses listed in ONE Pages are secure, meaning that message encryption is guaranteed from source to destination. Addresses not listed in ONE Pages are not secure. ONE Mail users can send to and receive from any Internet address, but the messages may not be transmitted securely. ONE Pages is available in Outlook (and other mail programs) via the Global Address List (GAL). See the section below on creating a new message for details of how to find names in ONE Pages. 2.5 Identity Confirmation: ONE ID ONE ID is the name of ehealth Ontario s identity and access management service. ONE Mail Direct users go through the ONE ID identification process to ensure that they are indeed who they say they are before ONE Mail and ONE ID accounts (and ONE Pages listings) are created. 8 3 Desktop Software Client Compatibility Windows computers can access ONE Mail Direct through the following desktop Outlook software: Outlook 2013 Outlook 2010 Outlook 2007 Macintosh computers can access ONE Mail Direct through the following desktop software: Apple s Mail Outlook for Mac 2011 Entourage 2008 Web Services Edition Most ONE Mail users use one of the programs named above, but various other software packages are also able to provide access to the ONE Mail system. 4 Quick Setup This section summarizes key configuration items required to use desktop software to access the ONE Mail Direct service. For more detailed configuration instructions, see following sections in this document. Item address User ID Fully qualified distinguished name (FQDN) of ehealth Ontario s mailbox server Fully qualified distinguished name (FQDN) of ehealth Ontario s Exchange proxy server (a.k.a. server address) Value ONE Mail Direct address (for example, dewey.rahim@on .on.ca) Full user ID (for example, [email protected]) ONTONMP2GMV701.subscribers.ssh outlook.on .on.ca ONE Mail Direct for Desktop Software Guide v1 4
9 5 A Note on User ID, Address, & Password Each ONE Mail Direct user also has a ONE ID account supplied by ehealth Ontario, and that account comes with a user ID ending Additionally, ONE Mail Direct users each have a unique address that ends either or in a custom domain name This terminology may be confusing because the identifiers can look very similar: [email protected] is a ONE ID account identifier (also called user name and user ID); dewey.rahim@on .on.ca is a ONE Mail Direct address. To log in to a ONE Mail Direct account, use the ONE ID account identifier as the user name. The same password applies to both the ONE ID account and to the ONE Mail Direct account. That is, users enter the same password whether they are logging in to the ehealth Ontario portal or to a ONE Mail Direct account. In this guide, references to ONE Mail password and ONE ID password mean the same thing. For password changes and other account maintenance, log in to the ONE ID account maintenance site. 6 Microsoft Outlook Microsoft Outlook is desktop software commonly used to access ONE Mail. This section describes requirements for using Outlook, steps for configuring the software, and the basics of creating and deleting messages. 6.1 Background Requirements The following are requirements for using Outlook for ONE Mail Direct. Microsoft Outlook for Windows or Macintosh installed on a desktop or laptop computer: For Windows, one of Outlook 2007, 2010, or 2013 For Macintosh, Outlook 2011 ONE Mail Direct for Desktop Software Guide v1 5
10 The fully qualified distinguished name (FQDN) of ehealth Ontario s mailbox server: ONTONMP2GMV701.subscribers.ssh The fully qualified distinguished name (FQDN) of ehealth Ontario s Exchange proxy server: outlook.on .on.ca As well, each user must have the self-complete letter (from ehealth Ontario) that includes User ID (also called login name; it ends ) Password address Obsolete Software: Outlook 2003 Outlook 2003 (for Windows) is obsolete: Microsoft ended support for that version in April While Outlook 2003 may still work with ONE Mail Direct, ehealth Ontario cannot guarantee compatibility. Machines running Outlook 2003 should be upgraded to a newer version of the software. ONE Mail Direct for Desktop Software Guide v1 6
11 6.2 Account Configuration Navigate to the Add New Account Window Pictures in this section are derived from Outlook 2010 screens. Outlook 2007, Outlook 2013, and Outlook for Macintosh may look somewhat different, but the configuration steps are essentially the same. Click the Windows Start button. Select Control Panel. 13 Select Add. (1) Enter a profile name (e.g., ONE Mail Direct) to help distinguish among multiple possible mail profiles when signing in to Outlook. (2) Click OK. ONE Mail Direct for Desktop Software Guide v1 9
14 From this window, two configuration methods are possible: automatic and manual. The following sections of this document describe automatic and manual configuration. ONE Mail Direct for Desktop Software Guide v1 10
15 6.2.2 Automatic Configuration With Autodiscover Autodiscover is a function designed to simplify the creation of new Outlook accounts on desktop (and laptop) computers. This feature is available for Outlook 2007 and later, and it is the preferred way to configure an Outlook account for ONE Mail Direct. For manual configuration instructions, see the next section of this document. From the Add New Account window, (1) Ensure that the correct ONE Mail address is in place. (2) Enter password (twice). (3) Click Next. ONE Mail Direct for Desktop Software Guide v1 11
16 At this point the system attempts to configure the account in the background. It could take a few minutes. If the system indicates that Autodiscover was successful, click Finish. The new profile configuration is now complete. ONE Mail Direct for Desktop Software Guide v1 12
17 (1) The Mail window now shows the name of the new profile. (2) Select the preferred radio button for profile access. (See below for further information.) (3) Click OK. To use the new profile, restart Outlook. When Outlook starts up, if Prompt for a profile to be used was chosen in the previous step, the software will ask the user to select from the available profiles as shown below. To switch to using a different profile, close and re-open Outlook, and then select the preferred profile from the Choose Profile window. When Outlook starts up, if Always use this profile was chosen in the previous step, the software will go directly into the profile that was previously selected through the Mail window. 18 6.2.3 What to do if Autodiscover Fails If the Autodiscover function fails, click Next. The system attempts another way of automatically configuring the account. ONE Mail Direct for Desktop Software Guide v1 14
19 If this second automatic attempt also fails, tick the box for Manually configure server settings. The Retry button becomes a Next button. Click Next. Continue with manual configuration as described in the following section. ONE Mail Direct for Desktop Software Guide v1 15
20 6.2.4 Manual Configuration From the Add New Account window, (1) select the Manually configure server settings or additional server types radio button, and then (2) select Next. (1) Select the Microsoft Exchange or compatible service radio button. (2) Click Next. ONE Mail Direct for Desktop Software Guide v1 16
21 (1) Enter the fully qualified distinguished name (FQDN) of the ehealth Ontario mailbox server (ONTONMP2GMV701.subscribers.ssh) in the Server field. (2) Ensure Use Cached Exchange Mode is checked. (3) Enter the address in the User Name field. Use the address contained in the self-complete letter received by each user. (4) Click More Settings (1) Select the Connection tab. (2) Select the Connect using my Local Area Network (LAN) radio button. (3) Ensure Connect to my Exchange mailbox using HTTP is checked. (4) Click Exchange Proxy Settings... ONE Mail Direct for Desktop Software Guide v1 17
22 (1) Enter the fully qualified distinguished name (FQDN) for the ehealth Ontario Exchange RPC Proxy Server (outlook.on .on.ca) in the field. (2) Tick the box and enter msstd:outlook.on .on.ca for Only connect to proxy servers... (3) Ensure that the On fast networks, connect using HTTP... box is checked. (4) Under Proxy authentication settings, select Basic Authentication from the drop down menu. (5) Click OK. Click OK. ONE Mail Direct for Desktop Software Guide v1 18
23 If the text is underlined in both the Server and the User Name fields, proceed to With the text now underlined... which follows the next two screen shots in this document. If the text is not underlined in the Server and the User Names fields, click Check Name. In this example, the text is not underlined (1) Ensure that the first field contains the user ID (ending ) and not an e- mail address (that might end ). (2) Enter password. (3) Click OK. 24 With the text now underlined, click Next. Notice that the text in both fields is now underlined. Click Finish. The new account configuration is now complete. ONE Mail Direct for Desktop Software Guide v1 20
25 (1) The Mail window now shows the name of the new profile. (2) Select the preferred radio button for profile access. (See below for further information.) (3) Click OK. To use the new profile, re-start Outlook. When Outlook starts up, if Prompt for a profile to be used was chosen in the previous step, the software will ask the user to select from the available profiles as shown below. To switch to using a different profile, close and re-open Outlook, and then select the preferred profile from the Choose Profile window. When Outlook starts up, if Always use this profile was chosen in the previous step, the software will go directly into the profile that was previously selected through the Mail window. 26 6.3 Basic Troubleshooting Because the profile setup process is detailed and non-intuitive, errors sometimes occur. If the new profile fails to work correctly for no apparent reason, it may be easiest to remove the profile and recreate it from a clean slate. 6.4 Profile Removal To remove a profile, go to Start button > Control Panel > Mail > Show Profiles... In the Mail window, (1) select the unwanted profile, (2) click Remove (and confirm the removal), and then (3) click OK. 6.5 Basics of the Main Outlook Screen The screen shots provided in this section are derived from Outlook Outlook 2007, Outlook 2013, and Outlook for Macintosh may look somewhat different. 27 6.6 Creating a New Message This section briefly describes the basics of creating and sending a ONE Mail message using Outlook. For detailed information on Outlook features, see some of the many on-line tutorials available from various sources on the Internet. Click New . ONE Mail Direct for Desktop Software Guide v1 23

29 (1) Ensure that Global Address List is selected from the drop-down list. (This address list is actually a way of accessing the ONE Pages directory.) (2) Type a few letters of the name to search for. The search function looks for both first and last names. (3) Click Go. (4) Select the recipient s name from the retrieved list. (5) Click To (or Cc or Bcc) to move the name to the recipient name field. To add more recipients, repeat steps 2 through 5. (6) Click OK. ONE Mail Direct for Desktop Software Guide v1 25
30 Enter (1) subject and (2) body of message. (3) Click Send. 6.7 Deleting Items Fully deleting an item from a mailbox is a two-step process. When a user first deletes an item, that item is simply moved to the Deleted Items folder, and since the size of that folder is included in the total mailbox size, this first step of deletion has no effect on the overall storage size used by the account. To delete an item (that is, move it to the Deleted Items folder), (1) select the item and (2) click Delete. ONE Mail Direct for Desktop Software Guide v1 26
31 The second step completely deleting an item from a mailbox requires deleting the item from the Deleted Items folder. To permanently delete an item, first open the Deleted Items folder. Next, repeat the procedure above: select the item(s) slated for deletion, and click Delete. This time, the system asks for confirmation. Click Yes to permanently delete the item(s). 6.8 Recovering Deleted Items Items in the Deleted Items folder can be easily restored using the following procedure. 32 (1) Select the Deleted Items folder to display a list of messages previously selected for deletion. (2) Select the message(s) to be restored. (3) Drag the message(s) to the Inbox or other appropriate folder. Items previously deleted from the Deleted Items folder may be recoverable from system backups for up to 30 days after deletion. 33 7 Macintosh Mail 7.1 Notes Apple s Mail program (for Macintosh computers) uses exchange web services (EWS) to connect to the ONE Mail service. This section describes the configuration procedure. Accounts using IMAP are no longer supported. Apple s operating systems OS X Snow Leopard and later support Exchange Web Services connection to an Exchange server. For best results, use Software Update to make sure OS X is up to date before setting up an Exchange account in Mail. 7.2 Procedure Open the Mail application (click its icon in the Dock or open it from the Applications folder). From the Mail menu, choose Preferences. Click Accounts in the toolbar. Click the Add Account (+) button. Select Exchange from the list of available account types. 34 Enter name, address, and password, and then click Continue. At this point, the Autodiscover feature attempts to complete the configuration automatically. ONE Mail Direct for Desktop Software Guide v1 30
35 If Autodiscover fails, an additional data-entry window appears. Fill in the Description field, enter outlook.on .on.ca in the Server Address field, and then click Continue. Select which combination of mail, contacts, calendar, etc. to use with the Exchange account, and then click Done. ONE Mail Direct for Desktop Software Guide v1 31
36 In some versions of OS X, an Account Summary displays when the setup is complete. If the information in the summary appears correct, click Continue. To make changes, click Go Back. The new account configuration is now complete. 8 Freeing Up Mailbox Space The standard maximum size for a ONE Mail Direct mailbox is 3GB. This limit includes inbox, sent items, deleted items, drafts, and calendar. As the size of a mailbox grows, the following events occur: When a mailbox gets close to its capacity, it is no longer possible to send messages from that account, and an automated message informs the user of the issue. If a mailbox reaches its capacity, it is no longer possible to send or receive messages, and any attempts to do so trigger an automated response informing the user of the issue. The largest allowable size for a single message, including attachments, is 20MB for ONE Mail Direct. Messages larger than that are not sent, and they trigger an automated note informing the user of the problem. To reduce the size of a mailbox, delete messages and/or calendar items.
