The purpose and benefits of Export IT Export IT enables you to export contacts, groups, companies, history, user, opportunities, activities, data structure, notes, products, groups to contacts or individual tables. You only have to define the desired data and select a folder in which you want to store it. Your data are exported in.csv to prevent problems like in excel. KEY BENEFITS: easy and quick solution to export data such as contacts, companies, groups, ect Define data which you want to export and define a folder where you want to store them. Define the desired fields which you would like to export and choose the desired filter criteria a time-saving effortless Addon tool which offers you the possibility to export data in no time. the use of Import IT allows you importing your data export in the ACT version of your choice. 3

Installation of Export IT Click on the link to download Export IT. http://www.crmaddon.com/download/exportsetup.zip Now you have the possibility to Open the file or to Save it. If you decide to Save the file, a ZIP file is stored. That allows you to save Export IT on a removable disk to install it also on computers which have no internet access. 4

If you choose Open the following window pops up: Click on CRMADDON s Export and agree to all the questions you will be asked to install Export IT succesfully. 5

Create a new schema Where to find Export IT? To create a new scheme you first have to open Export IT. There are two possibilities to do that: Step0: Open Export IT Open your ACT! database and click in the toolbar on the icon or Tools crmaddon.com Export Export IT Application Picture 1: Here you find Export IT 6

How to make an export? Step 1: Choose a scheme or create a new one The main mask of Export IT shows up. Activate, to keep Export IT in the front. If you don t activate it ACT! will always show up in front of the Export IT mask. If you like to use an already used pattern, you can select this about the drop-down list from all already provided schema. Picture 2: Create a new schema 7

If you like to create a new schema, click on New Schema: Now you have to name your schema. After you have given a name, select the type of your new schema and click on OK. With type you define from which data types you want to export. If you select for example history, you can export the history. Below you see how you can limit the export criteria even further. Picture 3: Name your schema Click on Save to save your schema or on Delete to delete it. 8

Step 3: Tables Here you have the possibility to define the data of the chosen schema more exactly. Picture 4: Tables 9

Function Without Date range With Date range Export plain Text Description All data of the defined schema will be exported Define with entering an start and or end date which data should be exported. You can choose out of a dropdown list which data fields you want to define. Data will be exported without formatting, only the text will be exported. So there won t be problems due to the formatting. Export text in RTF Format Data will be exported in the saved format Export ID s File path Every export has an ID, now you can decide whether you want to export these as well, so you can assign it furthermore. Don t set a check if you want to import in an other program which perhaps could have difficulties with the ID number Define where to store the exported data 10

Step 4: Output Option You can choose between All Values in one file or limit files by choosing Limited with. This is an advantage if it is a very big file because this makes your computer slow by using too much working memory. Choosing Limited with your export will be done at once as well. The only difference is that the data will be stored in smaller packages. Example: You have 50000 contacts which you would like to export. You define that the Numbers of Data per file are 10000. Export IT will export all 50000 contacts but after 10000 contacts the first file will be closed. Then it will export the data 10001 to 2000 and close this file as well after the 10000 contacts Picture 5: Output Option 11

Step 6: All Groups Choose one group, all groups or no group to define the data you want to export. If you choose Select all groups all groups will be selected. If you choose Select no group all selected groups will be removed. Picture 7: All groups 13

Function TraceLevel: Description If you choose a high number your activities will be loged accurately. If you don t have an error set the trace level to 0. But if you need support, set it as high as possible for getting an accurate logfile. Email Logfiles to get Support Open Remote Session Reproduce your error and note what you did to produce this error. Afterwards press the Emailbutton. Please describe the error in this pop up window. You can attach an file, too. This will start a counseling session using our online support program PCVISIT which allows our technician a remote access to your PC. The technician will give you a session ID. Enter it in the Session-ID box and click Connect to start the session. Click Yes to share the screen. Click on the white hand icon to transfer control of your mouse and keyboard to the technician. You can end the session at any time by clicking on the red phone icon or by hitting the F12 key. 19

Schema Choose a folder where you want to save the created schemas. Close Click on Close to end Export IT. If you did not save your schema before you have one last possibility to do it now. 20
