COPA Training Manual The Child Outcome Planning & Administration (COPA) is a Web-based software system. Some of the applications of the software include application eligibility, family and child information, waiting lists, rosters, transfers, terminations, child attendance, and reports. Accessing COPA *Internet Arkansas.mycopa.com *Log on Access to COPA Complete and mail in a signed security agreement. You will receive a notification that your ID has been set up User name first initial and last name, i.e., lkye Password first 3 letters of last name plus last 4 digits of social security #, i.e., key1234. For Class practice User name is class-one plus an assigned number i.e. classone2 and Password is abc. Note: once you log in at your site under your own username, you must change your password. Page 2

Clicking on the icon will take you to an update screen for that area of the form. Click the update/submit button to permanently change information or create a record. **Practice entering information into the system Hyperlinks are underlining which will take you to the data on a particular family, child, etc. At the bottom of the page, the drop-down selection provides a list of acceptable responses. Click the drop down arrow then move your cursor over the choices until your selection is highlighted. Click the mouse to select it. Page 3
Enrollment Information requested by COPA: First and Last name Social Security Number Date of Birth Application Date Gender Education Level of caregiver Employment Status Home Address (street, city, state, and zip)* Number in family and household To begin the application process, select the Enrollment tab Enrollment On the navigation bar The Enrollment tab is not a list of enrolled children. It is where you fill out the Enrollment Application for new families and children, manage the Eligibility Waiting List, class Assignment and Terminated Children. *Click on -Next, select Regular Enrollment for Early Head Start/Head Start *Enter information for caregivers. -Application Date will default to the current date. Change this date if necessary. When finished, click the Submit to save the information. Page 4
Application ***It s important when adding an additional child The Child Application is activated by pressing the submit button or the New Child Application button on the Family Data Sheet. Enter the child information Required fields are: Agency and Center Child s Name Date of Birth Social Security Number Ethnicity Parental Status Program Model & Option Application Date will default to the current date. Change this date if necessary. Gender will default to Male. Change this if necessary. Application for current year is default Click on Create Child Record to save the information Next, click No, view the child data sheet You Have Now Created the Application!!! Page 5
Frequently Asked Questions Problem Logging into COPA * Can you see the following icon on the screen? * Did you send in a security agreement? If not, you are not on the correct site. Do not enter www Enter it in the internet explorer address field -Each person must send in the security agreement form * Are you entering the correct User Name and Password? Page 6
Your User Name is your first initial and your last name. No spaces No periods Small letters If you are still unable to log into COPA please contact your Reporting Specialist or your Data Specialist. *Problem editing Family Income. -On the Family Income Information screen, under the Application, click on the pencil icon. -Unclick the box that says no income. This will enable you to enter income. Save your Changes by clicking on the Update Existing Income button at the bottom.
