1. Introduction This manual will provide a summary of the way, a new user of the carpool system should subscribe and the way a user can check his data in the system. 2. I want to subscribe, what should I do? If you want to subscribe for a carpool, you have to use the smartpool system. To subscribe, you must have an e-mail account. If you don t have an e-mail account, you can get one for free at http://www.hotmail.com. If you already have got an e-mail account, you have to follow the next steps: 1. Go to the website of TC&O: http://www.tco-mvm.nl. 2. Click on Log in. 3. Now click on Smartpool. 4. Now click the name of your employer. The Login screen appears. 5. Click Eerste inschrijving (First-Tine subscription). A welcome-text appears. Page - 1 -
2.1. The Subscription-form Manual SMARTPOOL When you click Naar het inschrijfformulier, you will get to the first part of the form. The subscription form has 2 parts. In the first part you can fill in your personal data, in the second part your carpool data. You re obliged to fill in the fields which are marked by a *, otherwise the program will not continue. The fields where a is shown are linked to function which helps you with filling in those certain fields. PART 1: PERSONAL DATA You re now at part 1 of the subscription. Fill in the required data carefully. When you ve filled in all the required data, click invoegen (insert). Page - 2 -
DEEL 2: CARPOOLDATA You re now at part 2 of the subscription. Fill in the required data carefully. The data are requisted in two separate screens which need to be filled in. When you ve filled in all the required data in the first sreen, click Vervolgens tot go to the next screen. And when you ve filled in the requisted data in the second screen, click invoegen (insert). YOU VE DID IT When the screen (as shown) below appears, you re subscription has been processed successfully. Your password and registration number will be sent to you by e-mail. Don t forget to note down your password and registration number. You ll need this in the future. Page - 4 -
3. I want to check my data, what should I do? To check your data (for example: to change your data and to search possible carpool partners) you need to follow the next steps: 1. Go to the website of TC&O: http://www.tco-mvm.nl. 2. Click on Log in. 3. Now click on Smartpool. 4. Now click the name of your employer. 5. The Login screen appears. Now Click Geregistreerde gebruiker (Registrated User). 1. Fill in your registration number and password. Now Hoofdmenu (Home) appears. You can choose the following options: 1. Wijzigen Persoonsgegevens (Change Personal Data). 2. Wijzigen Carpoolgegevens (Change Carpool Data). 3. Opvragen carpoolpartners (Search Possible Carpool partners). 4. Activeren / niet actief maken van een dossier (Activate or de-activate your registration). 5. Wijzigen paswoord (Change Password). 6. Gegevens verwijderen (bevestiging vereist) (Delete data, confirmation required). Page - 5 -
3.1. Change Personal Data Manual SMARTPOOL When you select this option your personal data will appear on the screen. You can now change your data. If you click on your password at the top of the right site of the screen, you can change your password. Your registration number is already filled and should be equal to the registration number which is assigned to you at your first subscription. Nieuw paswoord (New password): fill in your new password. Bevestig nieuw paswoord (Confirm new password): again fill in your new password for confirmation. Bijwerken (Update): don t forget to click this button. If you forget this, your changes will not be saved. 3.2. Change Carpool Data When you select this option your personal data will appear on the screen. You can now change your data. Don t forget to click the button Bijwerken (Update). If you forget this, your changes will not be saved. 3.3. Search for possible carpool partners If you click this option, you re possible carpool partners will appear on the screen. If you want to team up, you need to contact the person (with whom you want to team up) yourself. Don t hesitate to do this, because they also showed their interest and will we pleased to receive a call from you. If there aren t any suitable carpool partners at the moment for you, please try again on short term. The smartpool system is a system which works by offer and demand. That s why the system is updated continuously. INSERT + NEW FICHES It s possible to produce two or more carpool fiches. The possibility exists to add several additional subcodes. For example you can have a day off at Fridays twice a month ore you re located on a different establishment. If you wish to create a new Fiche, then click the button Invoegen (insert) + Nieuwe Fiche. When you ll check your registration number now, you ll see different additional numbers in the list. 3.4. Activate / De-activate your registration Click on this option and you can activate or de-activate your registration. Reden niet-actief (reason de-activate): please fill in the reason why you don t want to be active anymore. For example, you ve changed employer, you have enough carpool partners, you don t want to carpool anymore, etc. Don t forget to click the button Aanpassen (Update). If you forget this, your changes will not be saved 3.5. Log Out When you changed or checked your data, you can log out by a click on the button uitloggen. Page - 6 -
3.6. Important! Manual SMARTPOOL In case you ve found a carpool partner, don t forget to report this to TC&O Mobydesk. Phone: 0497-532410 of e-mail: mobydesk@tco-mvm.nl. They can register you and your carpool partners as a team. Page - 7 -
