The Network Live Appointment Tool 101
Before you get started, a few things to know Appointments are 10 minutes long, 5:30 p.m. 7:30 p.m. on Sunday, November 15. The room opens at 5:15 p.m. There are eight (8) appointment time slots available. Planner attendees may make up to 8 appointments. Hospitality partner attendees may request up to 5 appointments. Planners may accept or decline appointment invitations. Appointments from planners to hospitality partners will be automatically accepted on behalf of the hospitality partner. If the hospitality partner does not wish to keep the appointment, they must go in and cancel the appointment. Once an appointment is set, that time slot will no longer appear as an option for others trying to schedule appointments. You may also use the app to communicate with attendees. Hospitality partners may send up to 20 messages.
The FICP Annual Conference mobile app and The Network Live appointment tool will enhance your networking experience, providing an easy to use platform for connecting with colleagues. Make the most of this tool and your time at The Network Live by preparing in advance! If you haven t already, download the FICP mobile app by searching FICP in your provider s app store. Once downloaded, tap the EVENTS banner and click 2015 FICP Annual Conference. You must log in to use the appointment tool. Use your email address and the password ficp15. Most other functions in the app are available if one continues as guest.
The usual mobile app functions are here on the main screen. The person icon with Networking is where you can request appointments for The Network Live. The first time you log in, you ll be required to review your own profile. Access that with the green button at the top. You can add a photo, add more details about your work, etc. Then, just hit save to begin setting appointments.
You can search by keyword (which we recommend, because it searches all fields), by attendee type, or by region (the list of regions that HPs selected during registration; the room will be arranged by region). Please note: ALL regions are associated with all meeting planner attendees, so we recommend hospitality partners search using name, keyword, or company to find meeting planner attendees. Once you tap on someone s name, you can see their contact information, and also take certain actions by tapping the icons at the bottom of the screen. In order to set a meeting in The Network Live, tap this handshake icon.
Tap the 15 th, the date of The Network Live (this is the only day that should be highlighted). The times that you and the intended recipient both have available are listed below. Tap the time you wish to set the appointment. On this screen, you can add notes if you wish, then tap Arrange Meeting. This will prompt an email to the recipient, as well as a notification within the app.
Voila! If you are a planner, this meeting is automatically confirmed. If you re a hospitality partner requesting one of your 5 allocated meetings, the planner must accept your request. You can see any notifications of meetings in your inbox by doing this
Finally, just a couple of quick views specific to hospitality partners, with regard to your credits within the appointment tool. HPs are allocated 5 meeting credits and 20 message credits. This can be seen on various screens, including My Profile and when arranging a meeting with another person. A meeting credit is used when requesting an appointment with a planner, and is not dependent upon whether that person accepts the request.
FAQ Q: I prefer to work at my desk to set appointments. Is there a regular computer version of this tool? A: Yes! The appointment tool may be used via the app using the instructions in this document, or you may visit http://visitors.genie connect.com/2015ficpannualconference/ from a computer. In both cases, your login information is your email address and the password ficp15. (Note: The forward slash at the end of this URL is required.) Q: I m trying to set an appointment with someone, but they are showing as unavailable. Why is this? A: This could be for several reasons. 1. That person may have opted to be a Greeter (many of our NSOs and GSOs have selected this option). This means they will be helping people locate their appointments, and floating around during the event. If you wish to meet with someone who is not showing any availability, we recommend you send them a message within the app and meet sometime during the week. 2. That person may already be booked up with meetings. There are eight time slots, and they do fill quickly. The app will only show common times that you are available. If there are none, then, again, we suggest you contact them via a message in the app and set a time to meet later in the week. 3. That person may have opted out of networking altogether. In this case, we recommend you keep your eyes open for them during the event and say hello!
FAQ Q: Can I schedule two, 10 minute appointments with the same person back to back to make it 20 minutes? A: While the system technically does allow for this to occur, setting 20 minute meetings is discouraged. However, when your 10 minute session is over, if you and the planner you are visiting with do not have an appointment immediately following, you are welcome to extend your appointment. Q: How can I see all of my appointments? A: On the home screen of the app, tap My Event > My Agenda. Q: What happens if I don t fill every time slot with appointments? A: You are encouraged to remain in The Network Live for the duration of the event. There will be people who do not make appointments for every time slot, and they will be encouraged to meet with hospitality partners who do not have appointments.
FAQ Q: Is there a deadline for when appointments must be made? A: No, appointments may be made up until The Network Live takes place on Sunday, November 15. Q: Once an appointment is set, is there a designated place for us to meet? A: Your appointment will take place at the hospitality partner s designated region within The Network Live. There will be hard copies of The Network Live floor plan and hospitality partner region assignments at the event. HPs do not have assigned tables, but each region will have plenty of seating available for appointments. Each HP will have a sign with their company name on it so planners should be on the lookout when approaching each region. There will also be a Greeter at each region who will help pair planners with their respective HPs. Check in with them before your appointment!
