LOCKER RENTAL SOFTWARE FUNCTIONALITY Additional revenue from locker rental Item groups are seen as buttons and are created to enable grouping of similar items like season locker rental, daily locker rental, etc. Upon locker rental desired item is selected. Items represent different locker rentals. For example: Depot 4 for 4 persons and charged by number of days selected upon sale; Ski depot for 1 pair of skis and charged by number of days selected upon sale; Depot 2 season for 2 persons and charged for the whole season; etc. Window pops-up where rental parameters are selected: Locker number; only free/unoccupied are listed*. Time validity**; select expiration date on the calendar or enter number of days. Enter customer name (optional). Present (up to maximum defined) user s RFID media that will serve as a locker keys. Discount or special prices can be added afterwards. *Lockers can be listed by usage (see Locker usage management ) or by ascending order. **Season locker rentals have predefined expiration time; therefore it is not selected upon locker rental. Complete financial software Along with different items used for locker rental also different sale parameters are set-up upon software installation: POS printers are selected Taxes are defined Payment types are defined Bill, delivery notes, cash desk report and other documents templates are created And more... Different sale and financial reports are available: Total Sales report shows total sales for a chosen period of time. Sales by POS report shows sum of all delivery notes issued by user on each POS terminal and all invoices issued by user on each Point of Sale in a chosen period of time. Total Sales by Payment Types report shows total sales of each payment type for a chosen period of time. Total Sales by Date report shows: total sales for each day; total sales for each payment type; total sales in a chosen period of time; total sales for each payment type in a chosen period of time. Document Report shows all documents (Invoices and Delivery Notes) that were issued in a chosen period of time. Page 2

Document Content Report shows content of all documents (Invoices and Delivery Notes) that were issued in a chosen period of time. Items Sales report shows Items sale of selected service groups in a chosen period of time. Item Sales By Service Groups report shows Items sale by selected service groups and sale of selected service groups in a chosen period of time. Service Groups Sale report shows sale by selected Service Groups in a chosen period of time. And more... Item sales report Total sales by date report Efficient locker occupancy management Locker information A particular locker reservation can be found by locker number or by typing the name of the guest (if given upon sale). A click on the locker number opens the lockers procedures window. RFID media info Basic information of one RFID media is (are) the assigned locker number(s) (if there are any) and check out date/time. A click on the locker number opens the lockers procedures window. Locker lifecycle and reservation states Locker goes through different states during its lifecycle. Lockers with valid reservations are Occupied. On the day of expiration lockers are divided into two groups. Locker that were not opened after set time are listed under Expire today and lockers that were opened after set time are listed under Expire today - unlocked after hh:mm:ss which means that these lockers may already be vacant and therefore available for new users. This feature maximizes utilisation of the system. Particularly when it is fully booked. Expired lockers can be made free automatically or manually. It is recommended to check the locker if it is empty before making it free and renting it to new users. Page 3

Locker availability In the same view as the locker reservation state there is a report for future locker management. Report shows all the locker reservations (Ticket) grouped by items (e.g. Depot 4 ground floor) and expiration date (Date). Daily (#) and collective sum of all expired locker reservations ( ) is given, so planning is possible. Example: on 25.12.2009 only locker 101 expires (# = 1), but also locker 104 that expires earlier may be still available; therefore a total number of all available lockers of the same type (Ticket) on that date may be 2 ( =2). Locker management procedures In the locker procedures window different operations can be performed: Extend: Locker reservation can be extended or reduced by selecting a new Check-Out date. Change: Locker reservation is transferred to another locker. Free: Erases locker reservation. Name: Users name can be changed. Clear/Change Cards: Locker keys can be erased, added or changed. Unlock: Locker can be unlocked in order to be check if it is empty; this is done before is it made free. Page 4

Locker usage management Lockers can be listed by ascending order or by usage. Ascending order is used mostly in the systems with long term or permanent users, such as factories, hospitals, etc. In the systems where all or most of the users are short term and revenue is generated from locker rental, lockers are listed by usage, therefore the least used locker is offered first. Software counts how many times locker s door was locked and unlocked from which follows that locker with lower numbers is least used and offered first upon rental. Additional advantage is that users are distributed evenly over the locker area. Without locker usage management With locker usage management Lockers on-line monitoring and alarm messages All lockers in the system can be seen in the WEB application as coloured locker doors - each colour represents a different locker s state (opened, closed, ALARM, warning, etc.). To group/divide lockers into groups for online monitoring View groups are defined (e.g. Female lockers, Male lockers, Employee lockers, etc.). If an attempt of a locker break-in is detected an alarm message is distributed on every computer in the network with installed Metra Info Client software. Alarm message includes locker s number, location date and time. Page 5

Locker status history A click on a particular locker in the locker status window shows locker information and lists out last 50 events for it. Each event has a time stamp, RFID media s serial number and user s title*, first name* and last name* listed. *Member module is required. White list checking RFID media has to be on the white list in order to be valid. These way users are restricted to use only white listed RFID media as locker keys. Locking of the lockers with other RFID media (e.g. train tickets, library cards, etc.) is not possible unless the RFID media is added to the white list. *White List module is required. Master keys Special Master keys are assigned in the Metra software and are used by the personnel for entering the Master operation mode on the Reader Terminal. In Master mode any locker can be unlocked; therefore it is mainly used in the following cases: User lost his/hers RFID media. Exceptional opening for some other reason. Locker opened in master mode can be closed back and user sees no difference when unlocking it with his/hers RFID media. Event of exceptional opening is recorded in the Locker Controller's internal memory and can also be seen in Event Report. Master Keys are defined and distributed to the Metra devices over Metra NET Network. Page 6

Locker rentals - Items Items Items are defined by selecting the appropriate Service and defining a price. An Item price is directly defined only for season services. For services which price is day dependant an Item is defined with no price. Additionally in Price List A prices are defined for this Item with a day parameter; as many entries for each Item as there are days for which different prices are needed. For non profitable locker rental (e.g. schools, factories, hospitals, etc.) price is set to 0. Price of an Item can be quickly changed in three easy steps: Click on the edit button, type-in new price and click update. For daily rentals price for each number of days needs to be changed. Passages A passage in the Metra software is interpreted as a physical location/area. Ticket properties can logically be assigned to a certain passage. Ticket properties Ticket property is a base to start from and it consists of several parameters: Maximum number of RFID media locker keys allowed. Maximum number is set according to the number of users/type of locker (e.g. Depot 4 = 4 persons, Skis = 1 person, etc.) Date validity for a season ticket Location if different locations are used Lockers (locker numbers) to which this ticket property applies Services Services are defined by selecting the passage on which they are valid and an available ticket property on that passage. Metra devices set-up Locker Controllers are defined with the locker numbers (locks) that are connected to them. Up to 16 locks can be connected directly to the device, with the possibility to add up to two extension modules for 8 additional Electronic Locks each. This enables configurations for up to 16, 24 or 32 locks, which makes the controller adoptable to many locker layout configurations. If lockers with same locker numbers exist in the system, different locations are defined in the ELS software and assigned to the Locker Controllers. SIMPLE ACCESS CONTROL To enable access to an area with lockers, Metra Door Access Terminals are used. Door Access Terminal must be assigned the same area (Passage) as the lockers to enable access with valid RFID media - locker keys. Time of day (one interval from to) limited access is possible. With Active X interface simple Access Control is supported, but with limitations. Any valid reservation will enable access through Metra Door Access Terminals, but there are no restrictions possible depending on the passage (like first floor, second floor). 3 rd PARTY SOFTWARE INTERFACES Active X interface Full resource management is required by 3 rd party software. It uses the TCP/IP protocol, but is packaged in an ActiveX component with a demo program and source code available for 3 rd party integration. TCP/IP interface Used for 3 rd party software without full resource management capability. XML packages are sent by 3rd party software through TCP/IP interface: Page 8

Sale XML package is sent to make a locker reservation to a RFID media in the Metra ELS NET system. Info XML package is sent to query among locker reservations and non assigned lockers in the Metra ELS NET system. Free XML package is sent to release (Free) a locker reservation to a RFID media in the Metra ELS NET system. Depending on the settings in the Metra Locker Reservation software locker reservations that expire by date can be automatically deleted or not and have to be made free by using this XML package. Usage of this package also applies in cases when a locker reservation has not yet expired but the locker is to be changed or simply reversing a false operation.
