Kalaam Media offers a publishing service that embraces the continually evolving opportunities and challenges of digital technology around the world. Thus, you will do the work to publish your material in our system, and we will make sure over time that it is available on as many platforms as we can. Kalaam Media s Client Services department will assign an Implementation Manager to work with the Client and the individual the client assigns to be the Web Content Keeper. The following provides information on the skills needed to be a Web Content Keeper, the responsibilities of the client and an overview of the 6 phase website building process. Required skills for Web Content Keeper Familiarity with use of MS Windows or Mac OS Familiarity with an internet browser such as Internet Explorer, Firefox, Safari, or Chrome Familiarity with using Skype Ability to learn to use a software platform that is similar in complexity to novice level MS Word Access to a computer and the internet Fluency in English, German, or French (Kalaam Media will offer training for Web Content Keepers in additional languages as required.) Ability to communicate via email Ability to keyboard into the Website Builder system in the Publication language Responsibility of the client Create translated navigational and informational text for site pages as needed. Create content to be placed on the site Select content from other content providers and arrange for translation as needed Provide for ongoing oversight of the completed website Estimated time to build a website The content creation component of the website cannot be determined because it is dependent on the kind of materials the client intends to put on the website. Assuming the Web Content Keeper receives from other members of the team all content intended to be included in the website he/she will typically invest 15 work days in the creation of the website. (Typically this time is spread over several months due to delays in finalizing all the content for the site.) Localizing Website Builder system In some instances, a client may require that the user interface to the Website Builder application be in a language not presently supported by Kalaam Media. Where this is the case, an additional 900 word strings need to be translated from English, French or Spanish to the desired language (Typically this is a regional language and not the publication language.) The estimated work effort is 15 workdays. This work can be done online in the Website Builder system or off line via a spreadsheet. Overview Our sites develop in six phases. Our goal is to get each site to Phase 6 as quickly as possible, allowing for the reality of the Web Content Keeper s schedule. This is a list of the phases. Phase 6 - Website live Phase 5 - Testing and approval Phase 4 - Copyright approval Phase 3 - Website construction Phase 2 - Website planning Phase 1 - Client engagement Phase 1 and Phase 2 are the initial communication with a potential Client and the Client s Web Content Keeper. The Director of Client Services handles these two phases. Phase 3 starts when the Director of Client Services receives the completed Initial Questionnaire from the Web Content Keeper. This acts as the formal request for a site. As this phase starts, the Director of Client Services assigns the site to an Implementation Manager. During this phase, the Implementation Manager and the Web Content Keeper create, populate, and tailor the site to meet the Web Content Keeper s needs. Phase 4 is when the Copyright Coordinator confirms that all copyright approvals are in place. Phase 4 can occur at the same time as Phase 3. Phase 5 is the final stage of quality checking before the site becomes public. It is best for someone other than the Implementation Manager who worked on the site to perform this final check. New eyes see new things. Phase 6 occurs after final approval by the Director of Client Services and the client and Web Content Keeper. It is a time of rejoicing. Specific Steps This is a general listing of the steps involved in Phase 3 and who does them. A. Tasks we do that the Web Content Keeper cannot do: 1. Create the log in or log ins 2. Create blank site B. Things we do with them that the Web Content Keeper could do: 1. Generate pages 2. Insert informational and navigation text 3. Upload media 4. Assign media to pages 5. All translation of page text and navigation text 2. Translate, as needed, the Website Builder system 3. All pictures 4. Layout 5. Site name This is not an exhaustive description of the process, but the goal is for an Implementation Manager to do the things that are only needed once per site and work with the Web Content Keeper on the things that they need to do more often. Overall, we don t want the Web Content Keeper s lack of ability or their perceived ability to prevent their site from progressing. Final Approval Each of the following people needs to approve a site before it goes live: Web Content Keeper Implementation Manager Digital Publishing Coordinator (DPC), Digital Publishing Facilitator (DPF), or equivalent Copyright Coordinator Director of Client Services People may process their approval via email, a phone call, or the Site Manager database.
