1 STANS CAFE - EXECUTIVE PRODUCER JOB DESCRIPTION Reports to: Chair of Board (Salary 32K PA) Line manages: Administrator Other key relationships: Artistic Director, Associate Director and Creative Learning Manager. Base: Stan s Cafe office @ A E Harris, 110 Northwood Street, Jewellery Quarter, Birmingham, B3 1SZ Purpose of role: Executive Producer. As joint Chief Executive Officer to lead the effective producing, financial and administration of company. Main duties and responsibilities: Alongside the Artistic Director to lead the company. To increase scope and reach of Stan s Cafe s art by building investment, presentation opportunities and audiences for the company s work and the revenue it generates. To lead the efficient running of the company s administration, including financial management and human resources. STRATEGIC DEVELOPMENT With the Artistic Director to develop, lead on and monitor the effective delivery of the company's strategic plan To develop and build productive relationships with funders and key stakeholders and engaging them in our strategic developments. Ensure Stan s Cafe is connected to developments and trends in theatre and cultural policy nationally and internationally. To support Artistic Director and Creative Learning Director in the development of the company s Creative Learning Policy.
2 PRODUCTION AND PARTNERSHIP DEVELOPMENT To work in partnership with the Artistic Director delivering an outstanding artistic programme. Including finding new commissions, presentation opportunities and collaborations. To develop long term, creative relationships with key partner venues and festivals nationally and internationally. To seek new ways to leverage income from the company s artistic work. To lead on contract negotiations and securing engagements with venues, festivals and other partners. To be the main liaison with partners, venues, festivals etc., nationally and internationally and ensure regular communication with each of these. To be accountable for the producing the company s projects (excluding creative learning projects) this includes budgeting, contracting, invoicing, logistics, marketing, insurance and monitoring. FINANCE To be responsible with the Artistic Director for the financial stability and the long- term future of the company. To oversee the company's financial operations including budget setting, management accounts, cash flow projections To oversee payroll, PAYE, NIC and statutory tax returns and to make and maintain appropriate pension arrangements for staff, liaising with the chosen pension provider as appropriate With the Artistic Director create annual and production/project budgets To prepare quarterly management accounts and end of year accounts, liaising with the accountants as necessary. To provide financial analyses to inform strategy and policy development To prepare financial reports for the Board and funders on a regular basis and to prepare the end of year accounts with the company accountants.
3 OPERATIONAL To lead the effective day- to- day running of the company. Encourage effective communication between members of the core team and with Associate Artists (freelance members of the company). To develop a Risk Analyses Framework for the company and ensure that this is reviewed by the company and the Board on a regular basis To lead on the development and implementation of Child Protection Policies; Health and Safety and Equal Opportunities Policies. Monitor policies to ensure that they remain compliant and are working effectively delivering the outcomes required. Work with the administrator ensuring the company meets its legal, statutory and contractual obligations including: Being appropriately insured for all activities Compliance with Health and Safety regulations Regular reports to Companies House GOVERNANCE Advise the Board of Directors so it is equipped to discharge its responsibilities and to comply with all relevant legislation. With the Artistic Director report to and liaise with the Board at regular intervals - ensure that the Board is consulted with and informed on key developments, strategic issues and achievements With the Artistic Director and Administrator provide the Board with accurate and timely information to enable appropriate decisions to be made on matters of policy, planning and budgeting. To ensure the Board receives reports on monthly and quarterly accounts, performance against budget, cash flow and accounts for each project To attend regular Board and sub- committee meetings as required
4 FUNDRAISING With the Artistic Director and in consultation with the Board, to research and implement a fundraising strategy for the company s development and artistic program. To include trusts and foundations, sponsorship, major grant applications, individual giving as appropriate. To work with the Creative Learning Manager to raise funds for the Creative Learning Programme. With the Artistic Director to liaise with the Company's current funding bodies and to seek out further opportunities for investment. MARKETING AND AUDIENCE DEVELOPMENT To be responsible with the Artistic Director for shaping and implementing an Audience Development Strategy To create a marketing strategy in conjunction with the Artistic Director and Board that aligns artistic outputs to clear marketing, audience development, social- media and public relations activities. With the Artistic Director develop marketing campaigns to support the company's activities With the Artistic Director to promote and advocate for the company in Birmingham, nationally and internationally and to develop relations with theatres, venues, schools, groups or individuals who can help further the company's aims. To approve all marketing and promotional materials With the Artistic Director and Associate Director to act as a key spokesperson in the media for the company's work PERSONNEL AND HR With the Artistic Director to be responsible for the well being and pastoral care of all members of the Stan's Cafe company. With the Artistic Director to be involved in the recruitment and appointment of members of the company. To support casting and recruitment of production and stage managers by the Artistic Director. To line manage marketing and press consultants, production and stage managers and performers.
5 OTHER Any other duties that may be required from time to time in order to support the company. STANS CAFE - EXECUTIVE PRODUCER PERSON SPECIFICATION ESSENTIAL DESIRABLE EXPERIENCE To have experience of producing theatre, in a variety of settings and on a variety of scales. Experience of booking and managing UK and international tours Experience of financial management including budget setting, preparation of management accounts; cash flow management and reporting Experience of securing funding and generating income from a variety of sources Experience of negotiating and drafting contracts Experience of assembling and managing production and creative teams Experience of developing marketing and audience development strategies Experience of devising and implementing fundraising strategies Experience of working with and advising Boards of Directors KNOWLEDGE AND SKILLS Excellent Communication and presentation skills Strong financial analyses and management skills Other will require some weekend and evening work Knowledge of Stan's Cafe and its mission Knowledge of UK venues Being able to manage multiple demands on time and time management.
