2 The Role of Business Support Manager This is a new post that would suit someone with an interest in both the strategic and day-to-day running of an expanding international business. Alongside an overall understanding of business and commerce, the Business Support Manager will have an insight into financial and human resource management. They will have the confidence to quickly assume an authoritative and business-like role - effectively and creatively implementing change and bringing together a broad range of people and agendas. This role will have a major impact on future business development and the working culture of IPEC so needs to go to someone who will bear that responsibility seriously, manage it sensitively and be enthusiastic and caring about the future of the company, its clients and its employees. Key Areas of Responsibility The Business Support Manager will work across all areas of the organisation. To some extent this new role will be defined by the successful candidate themselves, but broad areas of responsibility are: Company Administration Working with: Accounts Officer, Office Administrator Design and operate office systems - audit current protocols, business documentation, policies and procedures and propose new policies and procedures to generate efficiencies. Day to day management of the Accounts Officer and Office Administrator/Apprentice - encourage and inspire them to attain a high level of customer service and performance. Responsible for Corporate Compliance compliance with local and international statutory obligations, ISO procedure, Health & Safety, Quality Assurance. Manage the office oversee a professional working environment, maintaining efficient and professional corporate standards with a client focus. IPEC LTD Business Support Manager Page 2 of 5
3 Human Resource Management Working with: HR Consultant, Managing Director Establishing a professional HR function within the company. Manage HR processes including confidential and secure personal record management. Review of current policy and procedure. Support recruitment and induction of new employees. Manage employment contracts and payroll overseeing transition of payroll from Finance to HR. Manage Occupational Health and Employee well-being. Implement and monitor the annual Professional Development Review process and company training programme in line with the annual business plan. Finance & Management Information Working with: Accounts Officer, Accountant, Managing Director Oversee the Accounts Officer in the preparation of budgets, monitoring of expenditure and income, invoicing and VAT. Ensure accuracy of data and reporting. Coordinate and prepare monthly management reports & Financial Statements. Provide data to company accountant. Senior Management Support Working with: Managing Director, Business Development Director Attend Board and Senior Management meetings to present key business information cashflow, basic financial analysis, HR reports. PA to MD - diary management, travel arrangements, presentations, develop and maintain key business documentations, expense management, record keeping, minutes and action planning. Deputising for MD - act as point of seniority and responsibility in the absence of the Managing Director and Business Development Director. IPEC LTD Business Support Manager Page 3 of 5
4 The Right Person As you can see from the outline of key responsibilities, this is a very wide-ranging yet central role. It is a new post with tremendous scope to influence the business. The role will adapt to suit the right candidate so ability, aptitude and attitude are all more important than experience and qualifications. As a guide we would expect a suitable candidate to be: Experienced in a corporate role within an SME (small to medium enterprise). Able to demonstrate skills in operational efficiency, the development of first class working relationships and the delivery of exceptional support services across departments. The successful candidate is likely to have a background in HR, Finance or Business Management. A strong and motivational people manager skilled in collaborating and coordinating team activities. Both authoritative and sensitive able to deputise for the Managing Director and manage change intelligently. A highly competent written and verbal communicator, willing and able to engage and communicate with a wide range of people externally and internally. Well organised with excellent planning and time-management skills. Knowledgeable about company finance and accounting familiar with financial management and reporting. Knowledgeable about HR issues, policy and procedure. Ideally educated to HND or Degree level or the equivalent. Familiar with Microsoft Office Applications and SAGE Accounting software. Ideally familiar with Pegasus or other Payroll applications. Adaptable and flexible with the confidence and ability to take this unusual role and really make it their own. Discreet, competent and, above all, highly professional. Training There will be ongoing support, mentoring and training available for this role offered as part of IPEC s Professional Development Programme. 5 Terms The salary for this role is dependent on skills and experience and negotiable from 30,000. Benefits include: Company Pension Plan, Share Options and Annual Bonus Scheme.
