Contents This guide includes instructions on how to: Access the Email Security System Access the Quarantine from desktop mail client Access the Quarantine from mobile mail client Releasing an Email Adding and removing an address to the Whitelist (a list of approved addresses) Adding and removing an address to the Blacklist (a list of blocked addresses) Checking Email Addresses NOTICE Access to the system can ONLY be granted via an email report (referred to as a digest ). This uses the email account to automatically authenticate with no need for the user to enter any security credentials. Requesting the Email Security System Report This digest will be provided at a set interval, however can be requested at any time by emailing Email Address: digest@q4.rmx.de Subject Line: digest2 Accessing the Email Security System To access the Email Security System, you will need to open the Email Report The email will appear in your email address as above Within the email you will see the breakdown of events during the specified time period The user is provided 2 options: Online Quarantine and Configuration (Access to release emails and manage incoming email) Mobile Online-Quarantine (access to release emails only)
User Configuration To access the User Configuration screen Click Online Quarantine and Configuration The Menu is displayed Releasing Emails in Quarantine Open Spam Quarantine Select the From* date *Please note this is in the format: mm/dd/yyyy
Select the To* date *Please note this is in the format: mm/dd/yyyy Click Show quarantine All emails listen between the specified dates will be displayed Infected E-Mail have been deemed to be harmful (for example, containing a virus) These emails cannot be released Release e-mail will send the quarantined email to the user s inbox Add to whitelist will include the email address as safe for future communications Preview allows the user to view the email content prior to releasing the email
The preview of an email allows the user to see the content prior to release Releasing emails in bulk To release multiple emails, select them using the tick box Click Release e-mails The following message will be displayed Once complete the following message will be displayed
Managing Whitelists The Whitelist is a list of approved or trustworthy addresses that the user wishes to receive emails from. Add an address to the Whitelist To add an address, click Whitelist Enter the email address/addresses into the box as displayed Click Add
Once complete the following message will be displayed and the address will appear in the Address list Remove an address from the Whitelist Click the bin icon next to the corresponding address Once complete the following message will be displayed
Managing the Blacklist The Blacklist is a list of blocked or untrustworthy addresses that the user does not wish to receive emails from. Add an address to the Blacklist To add an address, click Blacklist Enter the email address/addresses into the box as displayed Click Add
Once complete the following message will be displayed and the address will appear in the Address list Remove an address from the Blacklist Click the bin icon next to the corresponding address Once complete the following message will be displayed
Check Addresses The system allows the user to input an address to verify whether there are any known issues with receiving from a particular address Click Check Addresses Enter the address to be verified Click Check Where the system allows the user to receive from the address, the above message will be displayed Where the system prevents the user from receiving from the address, the above message will be displayed
User Settings Users are encouraged not to change the settings from the default The settings should be set to default and unchanged.
Mobile Online-Quarantine To release emails from quarantine from a mobile device Click Mobile Online-Quarantine Enter the Date *Please note this is in the format: mm/dd/yyyy Click Show quarantine Click the relevant email to release *Emails that have been deemed to be harmful cannot be released Once complete the following message will be displayed
