SUMMARY: United Cerebral Palsy of Central California is accepting proposals to design, develop, and host the organization s UCP Day web site. UCP Day is a new annual awareness and fundraising event for our 501c3 organization. The purpose of this RFP is to provide a fair evaluation for all candidates, and to provide the candidates with the evaluation criteria and scope of work against which they will be judged. Proposals are due by noon, Monday April 8, 2013. They may be submitted via email only to barryf@ccucp.org. The selection of the successful proposal will occur on Thursday, April 11, 2013. ORGANIZATIONAL BACKGROUND: United Cerebral Palsy of Central California offers programs and services for people with disabilities in seven counties of Central California; Fresno, Kern, Kings, Madera, Mariposa, Merced, and Tulare In the beginning, UCP of Central California had one program and served 15 adults. Today, more than 750 children and adults receive services from United Cerebral Palsy of Central California through 11 different programs. Our mission is to advance the independence, productivity and full citizenship for persons with disabilities. We serve children and adults with a spectrum of disabilities including autism, traumatic brain injury, Downs syndrome, and cerebral palsy. UCP DAY SUMMARY: UCP Day, scheduled to take place on September 27, 2013 is a combination of an awareness and fundraising event for United Cerebral Palsy. At its core, UCP Day will reach out to employers in Fresno & Kings County and encourage them to participate in UCP Day and encourage their employees to do the same. Employees of partner organizations will be able to make contributions to United Cerebral Palsy in amounts ranging from $5- $75 dollars to support the mission of United Cerebral Palsy of Central California. Education and awareness will be a significant part of this project, as we will work to educate employees and employers on what our agency does in our communities.
We will also be encouraging employers to match their employees donations and allow their employees to wear wristbands or buttons on September 27 th to be advocates for awareness about our organization and how we make a significant difference in the lives of our family members, friends and neighbors. UCP Day will aim to celebrate abilities and highlight the abilities of our students. WEBSITE GOALS: 1. A professional and visually compelling website that communicates the vision, and intent of UCP Day which is to create awareness of United Cerebral Palsy of Central California and encourage participation and action of businesses and employees to contribute. 2. A compelling information section that highlights some of the great work that United Cerebral Palsy of Central California is accomplishing. With the understanding that UCP Day is also about awareness, it will be important that visitors to the site have the ability to become more aware of our programs and services. 3. A well built website that makes it simple for employers or employees to engage and participate in UCP Day. Namely through the use of e- commerce solutions, graphical elements, interest forms and database management. 4. An effective content management system for United Cerebral Palsy to make simple changes to some graphical elements and copy on the pages of the website. 5. A built in database that would allow UCP staff to add partner organizations and pull reports for either the entire event and it s participants or databases by specific partner organization. Further, we would like each primary coordinator/contact of each partner organization to be able to access from a back- end login their own database for their specific organization they are coordinating. All databases should include each participant s name, address, email, phone number, organization and donation amount displayed. 6. An effective, compelling and user friendly page, which encourages employees to donate at various contribution levels. There will be several contribution levels and each will have thank you gifts. We will
want to display the levels and potentially images of what the participants would receive for their contributions. 7. A simple, user- friendly checkout system to accept donations based on the levels provided. Each donor will need to be able to identify as being employed with one of our partner organizations and then choose their level of giving. It will be imperative that the checkout look native to the website as well as use a gateway compatible to our organization. Simplicity, beauty and ease should describe the checkout process and finally, a receipt as well as a thank you letter email will need to accompany each donation. 8. A complex analytics platform that can measure visitors to the website, their origin and length of stay. BUDGET & TIMELINE United Cerebral Palsy of Central California has the ability to provide a budget for this project but proposals should not exceed $2500. A scope of work will be required in each proposal for a budget in that scale. Timeline is very firm and the successful candidate will be expected to adhere to a shared timeline and will be expected to weekly check- in and provide updates to UCP staff. A suggested timeline is below. Monday April 8 th - Deadline for Proposals Thursday April 11 th Selection of successful proposal Monday April 15 th Initial meeting with successful candidate Friday April 19 th Website Mapping Proposal Wednesday April 24 th Design Proposals Friday May 3 rd Content for phase submitted for phase 1 of website. Wednesday May 15 th Phase 1 (Partner org interest phase) launched Friday May 31 st Content for Phase 2 submitted. Friday June 14 th Phase 2 launch (backend, database, donation gateway) EVALUATION CRITERIA:
1. Experience and Expertise Candidate has successfully completed similar projects. 2. Aesthetic Skills Candidate has the talent to design a visually appealing, brand- sensitive and graphically exciting website. 3. Technology, Programming and Development Skills Candidate has the skill set and knowledge base for all aspects of development and programming. Candidate is confident enough to warrant their deliverables for a certain period of time. 4. Proposal Recommendations Candidate has thoughtfully described the process for development of the UCP Day site; aesthetic recommendations that make sense for the website; a functional content management system; e- commerce gateway recommendations and the ease of United Cerebral Palsy s management and administration of the site after it is delivered. 8. Budget The candidate has proposed a realistic budget for design and development, hosting and technical support and maintenance. 9. Timeline The candidate has proposed and/or has agreed to the timeline, including stages for discovery, development and testing of the UCP Day website. 10. Service, Passion, Enthusiasm and Chemistry Based on the proposal, the successful candidate will demonstrate a high level of personal service, passion and enthusiasm for the project. There also should be a good chemistry between the candidate and United Cerebral Palsy of Central California.
