General Questions Is there a difference between BDMS and Xtender? The Banner Document Management System (BDMS) is an electronic document management system specifically designed for use with Banner in a higher education environment. BDMS is integrated at different levels with each of the five functional areas Human Resources, Finance, Student, Financial Aid, and Advancement. Application Xtender and WebXtender are the specific applications that provide access to the supporting documentation for information found in Banner. Xtender can also store documents that are independent of Banner. Is there a difference between the Client (desktop) and WebXtender applications? Xtender is an electronic document management system designed for use with Banner. Xtender documents are scanned, indexed, and managed by either the client software or over the web. Client Software The client software utilizes two applications that are specifically designed for high volume scanning and indexing. Image Capture Image Capture is an efficient method of scanning documents. It is installed on the desktop and can only be used to scan documents in batch and to annotate and redact documents. There is no other functionality available. Document Manager Document Manager is also installed on the desktop and intended for high volume scanning and indexing functions. Users can scan and index from batch, scan and index individual documents, annotate and redact, and query for documents. Web Access Web Xtender can be used to query, view, scan and index documents and batches. Web Xtender is more versatile because it can be accessed using an internet browser and is the preferred method among Auburn University users. Where can I find WebXtender, Document Manager and Image Capture? Web Access is a web based application and can be found here: https://xtender.auburn.edu/ Document Manager and Image Capture are applications that need to be installed on your computer. Contact Xtender@auburn.edu for assistance. How do I create a screen shot to send to Xtender Administrators for help with a question? Press Ctrl + PrtScn on your keyboard (pressing both keys at the same time). This captures an image of your desktop. Open a Microsoft Word document and paste the image into the document. Save the document and email it to Xtender@auburn.edu with your question. Page 2
Are there any training classes available for Xtender users? Training courses are scheduled by request since each department s needs vary relative to functionality and number of users. User ID and Password Questions How do I get a user ID for Xtender access? Send a request via e mail to Xtender@auburn.edu and include the type of documents you need to see. Approval to see sensitive information requires approval from the person or department responsible for maintaining those documents. Which user ID and password do I use to login to WebXtender, Document Manager and Image Capture? Xtender utilizes the same global ID that Banner and other campus related systems use. Log into Xtender with your Banner/GID. Your password is provided by the Xtender Administrator and we recommend you sync your Xtender password with your Banner password. How do I reset or change my password? If you have Banner access, follow the Automatic Sync Password instructions. If you do not have Banner access, an Xtender Administrator will provide a temporary password, then you may follow the Manual Password Change instructions. I'm using my Banner ID and password but am not able to login. Why? Either your Xtender password has expired or your Banner and Xtender passwords are not in sync. See the Automatic Sync Password instructions if you have Banner access, otherwise contact Xtender@auburn.edu. Page 4
Navigation Questions and Buttons Why can t I zoom and navigate when I open a document in Web Access? The Adobe component may need to be installed. Follow the Adobe Component Install instructions. How can I save and/or send a document to someone else? First, verify that the document you want to send does not have sensitive information or that the method you are using to send it is secure. Now locate the printer icon in the tool bar; the first printer icon prints/exports a single page and the second icon prints/exports the entire document. Click on the arrow beside the icon to display a drop down menu. Choose "Export". You will be prompted to select a directory where the document should be saved. Enter a file name and click Save. The document will be exported and can then be sent via email like any other file. Note: There is an email option in WebXtender; however, this only sends a link to the recipient (not the actual document). The recipient must also have WebXtender to view the document. Why are there two different print buttons for the interactive viewer? The first printer button has a picture of a printer and is labeled "Print current page". It is designed to print/export only one page at a time. The second printer button has a picture of a printer with a hand and is labeled "Print Document/PDF Print" and is designed to print/export all pages. I get a strange cryptic error when trying to view a document, what should I do? You may be prompted to install ActiveX Control software while viewing documents. Adjust the browser settings to allow the ActiveX Controls to install by following these instructions. Contact Xtender@auburn.edu if these instructions do not resolve your issue. Page 5
Querying Questions What character can I use for a wildcard when querying? The asterisk * is the wildcard character when querying within Xtender. What are the checkboxes in the "Show" column used for? The "Show" checkboxes are used to choose which columns you would like to display in the query results. Page 6
