Chapter 1 Getting started Plan, organize, design and deliver professional presentations with PowerPoint P owerpoint helps you to easily create professional presentations. This manual will walk you through, step by step through the basics of PowerPoint. When we are done you will have the necessary tools to have successfully created your very first PowerPoint presentation. Start PowerPoint - click start - click programs - click Microsoft PowerPoint - a blank PowerPoint presentation will open on your screen 1
The PowerPoint screen Standard toolbar contains buttons to help you quickly select commonly used commands Formatting toolbar contains buttons to help you format text in your presentation. This toolbar is automatically displayed in the slide view. Common tasks toolbar allows you to quickly create a new slide, change a layout or design of a slide. View buttons allow you to change the way your presentation is displayed on the screen Status bar provides information about the slide on your screen and the design of the presentation. Drawing toolbar contains buttons to help you add objects to your presentation. This toolbar is automatically displayed in the slide view. Scroll bars - allow you to move through your presentation. Menu bar provides access to lists of commands in PowerPoint. 2
Create a presentation using auto content wizard - click - To continue click next. - Click an option to specify whether you will deliver the presentation to an audience or have people view the presentation o there own. - To continue click next. - Click the type of output you would like to use for the presentation. - the new document dialog box will appear on your screen - Click - Specify if you want to print handouts for your audience. - To continue click next. - The auto content wizard will open - to start creating the presentation click next - Click the category that best describes the type of presentation you want to create. - Click the presentation that best suits your needs. - To create the presentation click finish.(the first slide of the presentation will appear. 3
Create a presentation using a template - go to Templates in the dialog box - From here you can either go to templates on office online or on your computer or on my Web Sites - For today s example click Templates on Office Online - Templates on office online will appear on your screen - From here you can navigate through the different links until you find the template you wish to use - For today s example we will using the featured template for a financial performance presentation - click on the financial performance presentation then click download - The presentation will automatically open in PowerPoint 4
- Templates can be real time savers. The slide layouts, backgrounds, transitions and even hints on what should be listed are already provide for you on each slide. You need only enter your own text and images. Change the view There are 5 basic views available in the bottom left hand corner of your window, to select it simply click it: - slide = slide view is the default and shows one slide at a time - outline = outline view displays your presentation in outline form without graphics or animation - slide sorter = slide sorter view shows all slides simultaneously - notes page = notes page view displays each slide alongside accompanying text - slide show = slide show view displays your presentation for an audience, complete with sound and animation Save a presentation - click file, save as - select where you would like to save your presentation (my computer, desktop, floppy etc.) - type a name for the presentation under file name - click save - to close your presentation click the X at the upper right hand corner of your presentation window - to close PowerPoint click the X at the upper right hand corner of the PowerPoint window 5
Chapter 2 Edit Slides Select/edit text - click and drag to highlight text (highlighted text is selected text) - to edit text follow the same rules as in Microsoft Word (with this you will be able to delete, bold, italicize, underline and modify font and size) Check spelling - PowerPoint automatically underlines misspelled words in red - To spell check the presentation simply click the spell check button (the spelling dialog box appears if a misspelled word is found) Move text - You can reorganize your text in outline view - Highlight the text you would like to move and drag the mouse to where you would like to place it Add a new slide - In the slide view, display the you want to appear before the new slide - Click the new slide button (new slide dialog box will appear) - Click the layout you want to use in the new slide - Click OK to add the slide to your presentation 6
Chapter 3 Add objects to a slide Change the slide layout - In the slide view, display the slide you want to change - Click the slide layout button (the slide layout dialog box will appear) - Click the layout you want to apply to the slide - Click apply to apply the layout to the slide - The slide will appear in the new layout Add an auto shape - In the slide view, display the slide you want to add a shape to - Click auto shapes - Click the type of shape you want to add - Position your mouse where you want to begin drawing your shape - Drag the mouse until the shape is the size you want 7
Add a text effect - In the slide view, display the slide you want to add a text effect to - To add a text effect click the word art button (the word art gallery dialog box will appear) - Click the type of text effect you want to add to your slide - Click OK (the edit word art dialog box will appear) - Type the text for the text effect - Click OK - The text effect will appear on your slide Add clip art - Click the image you would like to insert - The image will appear on your slide - In the slide view, display the slide you want to add an image to - On the tool bar click insert, picture, clipart - The insert clipart dialogue box will appear on the right hand side of your screen - Fill in the search fields - Click search Add a picture - In the slide view, display the slide you want to add picture to - On the tool bar click insert, picture, from file - The insert clipart dialogue box will appear on the right hand side of your screen - Find the picture s file stored on your computer (i.e. on your floppy or hard drive) 8
- Click the name of the picture you wan to insert - Click insert - The picture will appear on your screen Add a chart - In the slide view, display the slide you want to add the slide to - Change the layout of the slide to one that includes space for a chart - Double click the chart icon to add a chart - A datasheet will appear, highlight the cell to replace data to what you would like - To modify the chart type click the arrow on the chart button - Select the chart type you would like - When you are done modifying your chart click on a blank area of the screen to hide your datasheet - The datasheet will disappear and you can see you slide with the chart in place Move, resize or delete an object Move - Click the object you want to move (handles appear around the object) - Position the mouse over the object - Drag the object to it s new location Resize - Click the object you want to resize (handles appear around the object) - Position the mouse over one of the handles - Drag the handle until the object is the size you want 9
