Call to Order Band Booster President, Mark Cosner, calls the meeting to order at 7:07 pm in the IVC Band Room. Agenda, copies of agenda, treasurer report, last minutes, handbook, by-laws, band camp forms, band fees and schedule are distributed. Mark reports that prices for garment bags and uniform parts are the same as last year. Executive board will meet next week to finalize all fees. Mark also re-introduces the drumstick and reed fees that were announced last year. IVC Band Booster Board Members Present Bowen, Leigh X Daly, Donna X Fenelon, Karen X Hunt, Alanda Rogers, Lisa X Chapman, Matt Davis, Rhonda X Giffin, Amy Mack, Lisa X Stoecker, Deb X Cosner, Mark X Fox, Terry X Gleason, John Pitts, Karen X Weber, Paul Crank, Kathy X Featherstone, Chris X Hart, Chris X Reginald, Steve X = Present Secretary Report Mark Cosner asks if there are any changes needed for the 10Mar14 minutes. No corrections are needed. John Gleason motions approving the meeting minutes, Alanda Hunt seconds, the motion carries, none opposed. Treasurer Report Chris Hart and Amy Giffin present the 10Mar14 treasurer report which is included at end of these minutes. Chris Hart is still going through student accounts and that is a pending item. Band camp scholarships and beneficiary of Mama Quinn Memorial is discussed. Mark Cosner will contact Al Quinn. Checking balance is $19,237.36. Alanda Hunt motions approving treasurer report, Chris Featherstone seconds, the motion carries, none opposed. Old Business IRS Penalty Mark Cosner reports that the IRS waived $1800 penalty fees for insufficient documentation. Mark thanks Chris Hart and Amy Giffin for the efforts to resolve this issue (applause). Band Room Maintenance Mark Cosner describes the cleaning and additions done by parent and student volunteers on Saturday, April 5 th from 8am until 4pm. Mark thanks Chris Featherstone and Karyn Terpstra for painting the walls with inspiring words. Mark thanks the volunteers. Next cleaning date is Saturday, May 31 st. Handbook and Fees The handbook packets and band camp forms are reviewed for further discussion of needed changes. Mark asks that members review the packets and contact Mr. Chapman with questions or changes. Committee Reports Civic Center Alanda Hunt that there is one more event left. Workers have earned about $700 in tips so far, surpassing the $600 goal. The tips are all applied to the general band fund. Compiled by Paul Weber, Secretary 3-May-14 Page 1

Gotta Ghost Out To Eat John Gleason does not have results from the Knuckles Pizza fundraiser held on Tuesday, March 18 th. There are no upcoming events planned yet. Band Bash Deb Stoecker has a meeting scheduled for April 8 th. Mike Featherstone has contacted a car group that is promising to bring a bunch of cars. Flyers are coming. Debbie Reginald volunteered to kiss the pig. Trivia Night Deb Stoecker reports that 9 tables are reserved so far. Scott Lawson has confirmed that he will serve as master of ceremonies. Pork Chop Dinner Mark Cosner and John Gleason report that the April 30 th dinner will be from 5-7pm and the Spring Concert starts at 7:30pm. Meal tickets are $8 and lemonade will be served. Soda and water will be for sale. Mark encourages selling corporate sponsorships of $250 that place their logo in the program and on a placard out front. Mr. Chapman will announce the 7 remaining awards at the concert instead of having a separate awards night. Alanda Hunt asks about sending home tickets. It is decided to have people pay at the door. Band Director Update Mr. Chapman thanks volunteers for their help with band room maintenance on Saturday, April 5th. Color Guard tryouts are April 22 nd 24 th. Show Mr. Chapman and Alex Moore play some samples from the new show. Mr. Chapman thanks Mr. Higus for his help with show development. Guard will dress in urban costumes of blues and yellows combining to make green. Help will be needed for props. More electronics and microphones will be needed for the pit. Deb Stoecker suggests Mr. Chapman specify a wish list for Band Bash donations. Calendar July 9 th IVC will host Blue Devils Drum Corps overnight. Mr. Chapman will need help serving watermelon around 4 pm. Mr. Chapman encourages students and parents to stop by and watch them rehearse. Bradley honor band named and 5 students are going. April 12 th Organizational Contest at Olympia requires help loading equipment at 6:30 am. Students should arrive dressed in their concert uniforms. They can take them home Friday. April 30 th Spring Concert will have Erica Greskoviak and Mr. Gray painting during the performance. Mr. Chapman requests emails with concerns about handbook, band camp, and calendar. May 18 th Graduation warm up is at 5:30 pm and performance is at 6:30 pm. Trip Indy 500 trip will be next Memorial Day weekend and still needs school board approval. The trip will cost about $700 per student. Mr. Chapman is planning on students watching the race. Mr. Chapman outlines possible itineraries. The event is sponsored by Purdue marching band. Jim Burnham, benefactor of IVC Jazz program, sent a $2000 scholarship donation this year, a 100% increase from last year. New Business Nominating Committee Mark Cosner explains the Board of Directors organizational structure and election process. Mark notes that the by-laws he distributed have all the details. Mark reads the membership and election details in the by-laws. Paul Weber thanks Chris Featherstone, assistant secretary, for her help soliciting nominations and with procedures for the Band Boosters Board of Directors Election. Paul and Chris distribute ballots to members present and instruct them to vote for 7 of the following candidates: Cosner, Mark Draper, Traci Encinas, Cara Hollis, Tammy Johnson, Shari Lawson, Lorelei Lew, Martee Mack, Lisa Moore, Bridget Rojo, Angel Terpstra, Karyn Weber, Paul Paul and Chris collect the ballots and go to the faculty lounge to tally the votes. Chris and Paul return and request another vote to break a tie between 3 candidates. Chris and Paul return to the lounge to finish vote counting.
