Introduction : Human Resource Management System Feature List Human Resourse Management(HRM) system is a complete Web based payroll and time management suite that offers : employee scheduling attendance (time clock) job costing invoicing/accounts receivable and payroll in a tightly integrated package. With the ability to interface with hardware such as ibuttons, barcode readers, and cell phones, employees are able to efficiently track their time at the office or on the road. Key features of "HRM" : HRM helps organizations handle their payroll and time management needs in a more efficient and cost effective manner. HRM helps organizations concentrate on their core business goals the ones that generate revenue. HRM benefits are well suited to any business, small or large, with one or more locations. HRM allows secure and easy access to its web based interface from anywhere in the world.

Company Feature Description 1.1 Company Information All the information specific to your company, as well as certain company wide settings. 1.2 Employee Title Manage all employee titles here 1.3 Employee Group Create and manage different employee groups according to different designations 1.4 Currency Allow to use different currencies 1.5 Branch System requires at least one branch be added, if your company has more than one branch or location, you can add them all here. 1.6 Department Add and manage different department and employees in those department 1.7 Wage Group Allows to create multiple wage groups for different employees group. e.g director, manager 1.8 Station Station is any device that can be used to punch in or out with. computer web browser ibutton readers, fingerprint readers, proximity card readers, barcode readers touch tone telephone, mobile phones and stand alone time clocks are all stations. 1. 9 Permission Group Handle access permissions for HRM system from here according to different employee groups. e.g HR administrator should have all access permissions to HRM system, which will make him/her to view / edit info and preferences of all subordinate users.

Regular employee should have access only to view /edit his/her own info. 1.10 New Hire Defaults New hire defaults are the default settings assigned to new employees. Employee Administration Adding, deleting, modifying employee. View all current employee. Provides two sets of functions : 1. Employee Function : Personal info and preferences of employee 2. Payroll Function: Wage, tax, paystub,bank etc info of employee Basic and Advance search with option to save search result. 3. Policies HRM allows you to define policies that can be automatically applied to one or more employees in your company. Policies such as overtime, premium and holiday can all be easy defined and automatically applied so no manual intervention is required. 3.1 Policy Group Policy groups are used to assign specific

policies to one or more employees. This allows you to create an unlimited number of policies that you can apply to just the specific employees that they affect. 3.2 Schedule Policy Schedule policies provide a method of defining policies specific to each employees scheduled shift. 3.3 Rounding Policy Rounding policies define the direction and interval that employee punches are rounded to. Rounding policies can greatly affect payroll expenses, as well as how much time employees are docked for coming in late, or leaving early. 3.4 Meal Policy Meal Policies serve several purposes, the first of which is to tell HRM when to expect an employee will be taking lunch, so it knows to default the punch type to Lunch. The second purpose meal policies serve is to determine how long the meal time should be, or if the meal time is automatically added/deducted from an employee's shift. 3.5 Break Policy Break Policies serve several purposes, the first of which is to tell HRM when to expect an employee will be taking one or more breaks, so it knows to default the punch type to Break. The second purpose break policies serve is to determine how long the break time should be, or if the break time is automatically added /deducted from an employee's shift. 3.6 Accrual Policy Accrual policies provide a mechanism for time to be accrued or deposited into a time bank so employees can take time off at a later date. Common accrual policies would be for banking time, keeping track of sick time, or vacation time. Overtime and absence policies can also be setup to automatically deposit or withdraw time from accrual policies. 3.7 Overtime Policy Overtime policies define the number of hours or consecutive days an employee can work before they are paid at a different rate. 3.8 Premium Policy Premium policies provide a method to track

time separately based on specific criteria usually for the purposes of paying employees at a different rate. Such criteria can be specific days of the month or time of day that an employee may work, or specific branches, departments, jobs and tasks that an employee may work on. A common example of premium policies would be for paying employees who work evening or weekend shifts more due to the nature of the shift itself. 3.9 Absence Policy Absence policies offer a method of tracking either paid or unpaid time that employees are absent from work. Typical absences may include Personal Time off (PTO), Vacation, Holidays, and Sick Time. 3.10 Exception Policy Exceptions are used to alert an employee or supervisor to specific events that may occur, such as missing punches, early or late punches, or unscheduled absences. 3.11 Holiday Policy Holiday policies provide a method to automatically record holiday time for employees based on a specific criteria, such as the number of employed days or number of days that the employee worked prior to the holiday. 4. Payroll 4.1 Pay Stub Amendment Pay Stub (PS) Amendments provide a method to make changes to employee pay stubs that can't be performed automatically with the "Tax / Deduction" system. For example issuing bonuses, advances, employee loans, petty cash or other reimbursements. 4.2 Recurring Pay Stub Amendment Recurring PS amendments are simply scheduled PS amendments that are automatically inserted at a specific frequency, most often each pay period. 4.3 Pay Period Schedule They determine when pay periods start, end, and the date when employees are paid (transaction date). You can create more than one pay period

schedule. But employees can only be assigned to a single pay period schedule at any given time. 4.4 Pay Stub Account Pay Stub accounts are similar to accounts in a general ledger, employee earnings are deposited into earning pay stub accounts and deductions in to deduction accounts. Before pay stubs can be generated or policies can be properly configured you must setup pay stub accounts. 4.5 Tax / Deduction Taxes / Deductions allow you to define specific calculations or formulas for modifying employee pay stubs. 4.6 Pay Stub Account Links Pay Stub Account Linking specifies which pay stub accounts are designated for special purposes. For instance it tells TimeTrex which pay stub account to use for "Total Gross" amounts, "Regular Time" amounts, etc. Accounts must be linked before pay stubs can be generated 5. Authorization All requests that require authorization will be listed on this page according to authorization hierarchy 6. In / Out Employee can Punch In and Out from here 7. Timesheet 7.1 My Timesheet Regular employee can view his/her timesheet Admin/HR manager can view timesheets of all user Admin/HR manager can add/edit punch /absence here munually for subordinate employee 7.2 Punches 7.3 Mass Punch Admin/HR manager can add mass punch for the employees those are not able to punch in /out due to the nature of thier job. e.g sales and marketing person 7.4 Requests Regular employee can add and view requests from here. Requests can be of type: Missed Punch Time Adjustment

Absence Schedule Adjustment Other Admin/HR manager can view /delete/decline/pass/authorise requests received from subordinates 7.5 Exception Regular employee can view only his/her exception list Admin/HR manager can view exceptions occured for all employees Exception can be missing punches early or late punches unscheduled absences long lunch too few/many breaks etc.. Exception Severity is also displayed (low, medium, high ) 7.6 Accrual Displays Accrual Balance List 7.7 Pay Stub Regular employee can only view his/her Pay Stub Admin/HR manager can view,edit, delete, mark paid,mark unpaid and export pay stub of any subordinate employees 8. Schedule 8.1 My Schedule Regular employee can only view his/her schedule Admin/HR manager can view schedule of any subordinate employees 8.2 Scheduled Shifts Only Admin/HR manager can view/edit employee scheduled shifts list 8.3 Mass Schedule Admin/HR manager can mass schedule for employees those are not able to punch in /out and follow the schedule due to the nature of thier job. e.g sales and marketing person 8.4 Recurring Schedule Recurring schedules specify which employees are scheduled to work the shifts defined in a recurring schedule template 8.5 Recurring Schedule Template Used to define specific shifts or shift rotations that employees may common work. Examples may include a morning shift, afternoon shift, evening shift, or even shift

rotations such as one week on mornings, one week on afternoons and one week on evenings. 9. Report Admin/HR manager can generate various reports from here with option of save and export Reports can be generated for : Employee Info and details Timesheet summary and details Punch summary Accrual Balance summary Pay Stub summary Wages Payable summary Payroll Audit Trail General Ledger Summary Employee Barcodes Generic Tax Summary 10.
