Chapter 1. Dock Scheduling Oeriew The Kewill Transport Dock Scheduling module allows shippers, their carriers, and their suppliers to schedule and manage pickup and deliery appointments at each facility. You can use Dock Scheduling to streamline and automate your shipping and receiing operations. After your shipper administrator sets up the dock calendar and options, you can search for both scheduled and unscheduled shipments and orders. You can also iew the daily dock schedules. If they hae access, your carriers and suppliers can make pickup and deliery appointments at your docks. Similar to all Kewill Transport modules, your shipper organization can configure Dock Scheduling to match your dock requirements and workflow. When you set up your docks, you can limit access to a specific dock to a specific shipper or equipment type, specify the calendar to use for shipping actiities, or close docks for maintenance. Dock Scheduling Prerequisites Dock Scheduling Features You can only configure Dock Scheduling for locations that are owned by your shipper organization. You cannot define docks for locations that are owned by customers, suppliers, or third-party organizations. When you create a location in Kewill Transport, you set the Location Ownership setting to Owned. Shippers and carriers can use a wide ariety of features to manage their dock scheduling process. The shipper administrator can configure Dock Scheduling to perform the following tasks: Dock Calendars Your docks can open earlier and close later than the front office hours to support your shipping and receiing operations. You can also schedule the docks to be open on weekends when the front office is closed. Resering Docks You can direct traffic for a specific carrier to a dock that is resered for its use only. Similarly, you can set up a dock with owner-only isibility to resere that dock for your organization's use. Equipment Types You can restrict equipment types, such as refrigerated trucks, to a specific dock. Shipping and Receiing Docks 1
You can direct shipping and receiing actiities to separate docks. For specific docks, you can allow both pickups and delieries. Carriers and Suppliers You can control which carriers and suppliers can make appointments at each location. You control access by defining partner appointment scheduling profiles. Loading and Unloading Rates You can define the maximum number of pickups and delieries your suppliers can make at your docks. You control access by defining load/unload profiles. You can also select default appointment durations and loading/unloading rates for common shipment types. Dock Appointment Windows You can define the time frames you use in dock schedules. For example, you might allow appointments eery 30 minutes, 60 minutes, or 90 minutes. You can also block out break times for your staff. Appointment Rules You can set up rules to control how carriers and suppliers make appointments: You can require carriers and suppliers to make pickup or deliery appointments at the dock location. You can require that appointments be scheduled within the pickup or deliery window, or allow appointments to be made before or after the window. For example, some shippers might allow a carrier to make a pickup appointment at 10:30 a.m., een though the planned departure window begins at 11 a.m. You can control when users can create and update dock appointments. For example, you might allow carriers to make a deliery appointment 8 hours before arrial and update it with changes until 4 hours before arrial. Defining Dock Profiles You can quickly set up multiple docks that all use the same settings at a location. You can also copy an existing dock profile to create a new dock. After configuration, shippers and carriers can use Dock Scheduling to perform the following tasks: Create, update, and cancel dock appointments. Search for scheduled and unscheduled orders and shipments. Find specific orders in a pickup or deliery shipment for scheduling. View shipment details directly from appointments and update the status. Subscribe to alerts and hae Kewill Transport send an email when appointments are made, changed, or are late. In addition, shippers can iew daily dock schedules for all docks to determine aailability. Carriers can only iew scheduled and unscheduled shipment listings. Carriers cannot access daily dock schedules. 2 Kewill Transport: Dock Scheduling Guide
Kewill Transport Calendar Features Shippers can define separate calendars for their organization, locations, and docks. These calendars proide the flexibility to manage the shipping operations for their organization. Shippers can define the following calendars and calendar rules in Kewill Transport: Working Calendar Use the working calendar to define the default schedule for your organization. This calendar shows when the main offices at your locations are open. You define the working calendar in Step 1 of Shipper Configuration. You define the hours of operation for your offices and the holidays that your offices are closed. Kewill Transport uses the working calendar as the default schedule for each location work week calendar. Location Work Week Calendar When you define each location, you define the location work week calendar. Some organizations refer to this calendar as the dispatching calendar or the front-office calendar. By default, the work week calendar for each location uses the same schedule as the working calendar that you defined in Step 1 of Shipper Configuration. The following example shows how you can set up a separate schedule for a single location: The working calendar for your organization shows that your facilities are open Monday through Friday from 8 a.m. to 5 p.m. The facilities are closed on Saturday and Sunday. You define a location that is open Monday through Friday from 7 a.m. to 5 p.m. and Saturday from 7 a.m. to 11 a.m. Default Operational Calendar Use the optional operational calendar to define the default shipping and receiing schedule for your locations. This calendar shows when your locations are open for pickups and delieries. You define the operational calendar in Step 1 of Shipper Configuration. Kewill Transport applies the default calendar to locations that do not hae their own operational calendar rules. Location Operational Calendar Use the location operational calendar to define the schedule that the location is open for shipping and receiing operations. Some organizations refer to this calendar as the back-office calendar. For example: The work week calendar for a location shows that the dispatching office is open Monday through Friday from 8 a.m. to 5 p.m. You define an operational calendar rule for the location, which shows that the warehouse and docks are open Monday through Saturday from 7 a.m. to 10 p.m. Chapter 1. Icons Used in This Guide If you are going to define docks at a location, you must set up at least one operational calendar rule or one all docks calendar rule. Kewill Transport does not use the location work week calendar to manage the dock schedules. You can define multiple operational calendar rules. For example, you might set up a rule to close a location for a single day so you can perform scheduled maintenance. Your carriers, customers, and suppliers cannot make appointments for that day. All Dock Calendar Rules Use all dock calendar rules to add restrictions that apply to all the docks at a single location. For example: You hae a major shipping day at the end of the fiscal quarter. You want to assign eery dock at the location as a shipping dock. You define a dock calendar rule for that single day and set the Dock Type to Shipping. Your carriers and suppliers will not be able to make deliery appointments at the location that day. When you set up a location operational calendar rule or an all dock calendar rule, you define the same settings. Use an all dock calendar rule if you want to modify the calendar for the docks at the location, without changing the calendar of the location. For example, you might want to close all the docks at a location but want the location to remain open. Indiidual Dock Calendar Rules When you set up a dock profile, you can define dock calendar rules that only apply to that dock. You can set up these calendar rules if you want the dock to hae a different schedule from other docks at the location. For example: You set up an operational calendar rule for this location. By default, the docks are open eery day from 8:00 a.m. to 5:00 p.m. You set up a calendar rule for one dock to make the dock aailable from 7:00 a.m. to 4:00 p.m. Tuesday through Saturday. You set up a second rule to close the dock on Sunday and Monday. The following table describes the icons that are used in this guide. Chapter 2. Configuring Dock Scheduling You define a location for each facility you want to use in Kewill Transport. You can define docks at locations that belong to your company. For example, an outbound shipper deliers products to its customers. The shipper defines the following locations: The shipper's plants or factories. Shipments depart from these locations. Customer warehouses or distribution centers. The shipper deliers to these locations. You can define only shipping and receiing docks for locations that are owned by your organization. You cannot define docks for locations that are owned by a customer, supplier, or third party. Defining a location in Kewill Transport is a multi-step process. When you add a location, you define the general location profile and then define the dock profile. The following illustration shows the process for defining a location that has docks. The illustration shows how to naigate the location setup process in Step 2 of Shipper Configuration. 7
Process for Defining Locations With Docks When you define a location in Kewill Transport, you can configure the docks at that facility. About this task You define locations and docks in Step 2 of Shipper Configuration. Procedure To add a new location and configure the dock profile, follow these steps: 1. Open the Set Up Locations page and click Add. The Add Location page opens: a. Define the location address and other settings. b. Set the Location Ownership field to Owned. 2. Click Continue to open the Add Location - Work Week Calendar page. Use this page to define the hours of operation and days when the location is closed. Some organizations refer to this calendar as the dispatching calendar or the front-office calendar. 3. Click Continue to open the Add Location - Appointments and Calendar Rules page. Use this page to define the following settings: Location contact Transportation modes that can make pickups and delieries Appointment restrictions Calendar rules that are more precise than the work week calendar you defined in Step 2 4. Define the docks and the dock usage rules for this location. The dock usage rules control when your carriers, customers, and suppliers can use this dock. You can also define a calendar that applies only to this dock. Use the following pages to define docks, dock usage rules, and a dock calendar: Add Location - Docks page Location Docks - Dock Usage Rules page Location Docks - Add Dock Usage Rules page Location Docks - Dock Calendar page 5. When you are done defining docks, click Continue on the Add Location - Docks page to open the Add Location - Partner Appointment Scheduling Profile page. Use this page to define the carriers, customers, and suppliers that can make dock appointments at this location. 6. Click Continue to open the Add Location - Partner Load/Unload Profiles page. Then click Add to open the Load/Unload Rate page. You can define loading and unloading profiles for the docks at this location. For example: A supplier can make up to 12 deliery appointments per day at this location. Pallets can be unloaded at a rate of 25 per hour. Slipsheets can be unloaded at a rate of 22 per hour. Floor shipments can be unloaded at a rate of 65 per hour. The location can handle 48-foot and 53-foot dry ans, but cannot accept 57-foot dry ans. Dock Scheduling Prerequisites on page 1 You can only configure Dock Scheduling for locations that are owned by your Chapter 2. Configuring Dock Scheduling 9
Add Location Page shipper organization. On the first page of the Add Location process, you define general settings for the facility. For example, you can specify the following entries: Location address Pool point and cross dock settings Stop priorities After defining the basic location information, set the Location Ownership field to Owned. You can only define docks and for locations you own. For more information about the settings on the first Add Location page, refer to the Kewill Transport Shipper Configuration Guide. When you finish defining the fields on this page, click Continue to define the work week calendar for the facility. Add Location - Work Week Calendar Use the Add Location - Work Week Calendar page to define the work week calendar for this location. Some organizations refer to this calendar as the dispatching calendar or the front-office calendar. The Add Location - Work Week Calendar page is the second step of the Add Location process. Location Work Week You can define the daily schedule for this location. Kewill Transport automatically uses the time zone for this location when it calculates the location schedule. For example, a location in Baltimore would show as being open 9 a.m. to 5 p.m. EST. A location in Chicago would show as being open 9 a.m. to 5 p.m. CST. To specify that the location is closed for a day, set the times to dashes as shown here: ---to ---. Location Holidays Use the following buttons to add or remoe a location holiday: Add Opens the Add Holiday page, where you specify a date that this location is closed. Remoe Deletes a holiday that you defined for this location. When you finish defining the location schedule, you hae the following options: Click Continue to define a location contact, appointment restrictions, and other settings. Click Back to return to the preious page. Click Cancel to exit without saing your location profile. Defining Appointments and Calendar Rules When you set up a location, you can define appointment restrictions and calendar rules that control dock appointments at the facility. You can also enter a contact person for the location. About this task Use the Add Location - Appointments and Calendar Rules page to define the shipping and receiing schedule for this location. If you do not set up any calendar rules, Kewill Transport uses the location work week calendar to manage appointment scheduling. Procedure To define appointment and calendar rule settings, follow these steps: 1. Open the Add Location - Appointments and Calendar Rules page. This page is the third step in the Add Location process and the page opens when you click Continue on the Add Location - Work Week Calendar page. 2. Enter the name and telephone number for the contact person at this location. 3. Select the transportation modes that can make pickups and delieries at this location. 4. Under Appointment Restrictions, select the settings to use for dock appointments at this location. Kewill Transport uses these settings to determine when appointments can be scheduled. These restrictions only apply to the docks at this location. If you do not set up any docks, Kewill Transport does not use these restrictions. 5. Under Location Operational Calendar Rules, you can manage the shipping and receiing schedule for the location. Some shippers refer to the operational calendar as the back-office calendar. This schedule can be different from the location work week calendar, which is referred to as the front-office calendar. 6. Under All Dock Calendar Rules, you can set up scheduling rules that are used for all docks at the location. The dock calendar rules allow you to define the dock schedule with more precision than the operational calendar you defined in Step 5. 7. When you finish defining the settings on this page, you hae the following options: Click Sae to create the location profile. Click Continue to open the Add Location - Docks page, where you can define the docks at this location. The Continue button appears for locations that your organization owns. Click Back to return to the preious page. Click Cancel to exit without saing your location profile. The Add Location - Appointments and Calendar Rules page is the third step of the Add Location process. This page opens when you click Continue on the Add Location - Work Week Calendar page. General Settings for Appointments and Calendar Rules Define the following general settings on the Add Location - Appointments and Calendar Rules page: Contact Enter the contact person for this location. You can type in the name of a Kewill Transport user or a contact person who does not log on to Kewill Transport. Contact Phone Enter the telephone number for the location contact. Supported Modes Select the transportation modes that can make pickups and delieries at the location. This field is optional. If you do not select any modes, the location is aailable to all transportation modes. Appointment Restrictions Use the Add Location - Appointments and Calendar Rules page to define settings that control and restrict dock appointments. Chapter 2. Configuring Dock Scheduling 13
Define the following appointment restriction settings: Pickup Appointment Required Specify whether you require carriers to make an appointment for pickups at this location. If you select Yes, Kewill Transport sends an EDI 204 shipment update transaction to the carrier when a shipment is tendered. The transaction includes the dock contact information and proides a reminder to schedule the appointment. Deliery Appointment Required Specify whether you require carriers to make an appointment for delieries to this location. If you select Yes, Kewill Transport sends an EDI 204 shipment update transaction to the carrier when a shipment is tendered. The transaction includes the dock contact information and proides a reminder to schedule the appointment. Dock Plan Window Option Specify whether carrier appointments are required to fit within the planned departure window or planned arrial window of a shipment. Select one of the following options: Ignore plan window Kewill Transport does not restrict carrier appointment times, based on the planned departure or arrial window. The carrier can make an appointment that is outside of the planned window. Must be within plan window The appointment time must be within the start and end of the planned departure or arrial window. The appointment time must be the same as or later than the start of the planned departure or arrial window. Must not follow plan window The appointment time must be the same as or earlier than the end of the planned departure or arrial window. Dock Lead Time Option Specify whether you require carriers to create a dock appointment a certain amount of time before the planned departure or arrial window. You hae the following options: Select No lead time requirement. There is no restriction on when the carrier can create a dock appointment. Select a specific lead time, such as 8-hour lead time requirement. For example: 1. You set the Dock Lead Time Option to 4-hour lead time requirement. 2. You create a shipment with a planned departure window that begins at 2 p.m. on 15 May. 3. The carrier must create the pickup appointment no later than 10 a.m. on 15 May. Use the Dock Lead Time Option to control when your carriers set up new dock appointments. Use the Appointment Edit Lead Time setting to control when carriers can change an appointment. Dock Calendar Option If you define the Dock Lead Time Option, select which calendar Kewill Transport uses to calculate the lead time: Work Week Calendar Kewill Transport uses the work week calendar for the location to determine dock appointment requirements. Operational Calendar Kewill Transport uses the operational calendar rules for the location to determine dock appointment requirements. Some shippers select Work Week Calendar so they can block carriers from making dock appointments for a time when the dispatching office is closed. For example: The docks at this location are open 24 hours a day, seen days a week. Your dispatching office is open from 7 a.m. to 7 p.m. Monday through Friday and is closed on weekends. You set the Dock Calendar Option to Work Week Calendar. You also set the Dock Lead Time Option to 4 hours. The carrier makes an appointment Sunday night for Monday. The earliest appointment the carrier can make is 11 a.m. Monday. The working calendar states that the dispatching office is closed Sunday and opens at 7 a.m. Monday. Kewill Transport adds the 4-hour lead time to the 7 a.m. start time to calculate an 11 a.m. appointment. Earliest Appt Time Select the earliest appointment time if you selected Work Week Calendar as the Dock Calendar Option. Chapter 2. Configuring Dock Scheduling 15
For example: You define the work week so that your location opens at 7 a.m. eery day. You define the Earliest Appt Time as 9 a.m. You do not want carriers to make appointments before 9 a.m. at this location. If you selected Operational Calendar as the Dock Calendar Option, you do not set the Earliest Appt Time. Appointment Edit Lead Time You can restrict carriers from changing a dock appointment a specific amount of time before the current appointment. Set the Appointment Edit Lead Time to a specific number of minutes, hours, or days. For example: 1. You set Appointment Edit Lead Time to 2 hours. 2. The carrier schedules a dock appointment for 3 p.m. on 15 May. 3. The carrier cannot change the appointment after 1 p.m. on 15 May. The default alue for Appointment Edit Lead Time is 0 minutes. This default setting means that there is no restriction on when the carrier can edit a dock appointment. The carrier can update the appointment at any time. If the shipper wants to restrict when carriers can edit a dock appointment, the shipper has to set Appointment Edit Lead Time to a non-zero alue. The Appointment Edit Lead Time option is different from the Dock Lead Time Option: The Dock Lead Time Option specifies when the carrier must make the original appointment. The Appointment Edit Lead Time specifies when the carrier can update an appointment. Tip: The Appointment Edit Lead Time restriction only applies to carriers. Your shipper users can still edit dock appointments after the Appointment Edit Lead Time expires. You might want to instruct your carriers to contact you if they are unable to change an appointment. Location Operational Calendar Rules Use the location operational calendar to define when the location is open for shipping and receiing operations. Some organizations refer to this calendar as the back-office calendar. For example: The work week calendar for the location shows that the dispatching office is open Monday through Friday from 8 a.m. to 5 p.m. You define an operational calendar rule for the location, which shows that the warehouse and docks are open Monday through Saturday from 7 a.m. to 10 p.m. If you do not define an operational calendar rule for this location, Kewill Transport uses the default operational calendar, which you define in Step 1 of Shipper Configuration. 16 Kewill Transport: Dock Scheduling Guide

To define a location calendar rule, click Add Rule in the Location Operational Calendar - Rules section of the Add Location - Appointments and Calendar Rules page. All Dock Calendar Rule This rule controls the schedule for all docks at a single location. To define a dock calendar rule, click Add Rule in the All Dock Calendar - Rules section of the Add Location - Appointments and Calendar Rules page. Indiidual Dock Calendar Rule This rule controls the schedule for a single dock at one location. To define a dock calendar rule, click Add Rule on the Location Docks - Dock Calendar page. Default Operational Calendar Rule This rule controls the default shipping and receiing schedule for all of your organization's locations. Kewill Transport applies the default calendar to locations that do not hae their own operational calendar rules. You define the default operational calendar in Step 1 of Shipper Configuration. You can define multiple calendar rules to create different ersions of the calendar. When multiple calendar rules exist for the same dock or location, Kewill Transport uses the effectie and expiration dates along with precedence rules to determine which rule is in effect. Calendar Rule Settings Define the following settings for your calendar rule: Effectie Date Enter the effectie date for the rule. The default is the current date. Expiration Date Enter the expiration date for the rule. The default is the current date. Recurrence Select the daily structure for the calendar rule: Fixed Select this option to set up a rule for one or more consecutie days. Use the effectie and expiration dates to specify the duration of the rule. Daily Select this option to use the same calendar eery day. The week begins on Sunday and ends on Saturday. Weekly Select this option to use the same calendar eery day. If you select this option, use Weekly Day Start to specify the first day of the week. Select this option to specify a rule that applies to certain days of the week. If you select this option, use the Days of Week check boxes to select the days. Processing of dock appointments takes into account the weekend calendar of the facility and the dock lead time option you hae set up (if any). For example, if the location is closed on weekends and you defined a 4-hour dock lead time option, the carrier must make an appointment 4 hours before closing on Friday for an early Monday morning pickup or deliery. Weekly Day Start If you set the Recurrence to Weekly, select the first day of the week. For example, you might set up your calendar to run from Monday through Sunday. By default, the week starts on Sunday. Days of Week If you set the Recurrence to Days of Week, select the check boxes for the days of the week used for this calendar rule. For example, you might set up one calendar rule for Monday through Wednesday and another calendar rule for Thursday and Friday. Begin Time Enter the time the dock or location opens each day that is coered by this calendar rule. The default is 8:00 a.m. End Time Enter the time the dock or location closes each day that is coered by this calendar rule. The default is 5:00 p.m. Dock Type Select the type of dock that is coered by this calendar rule: Shipping The docks are for picking up shipments only. Receiing The docks are for deliering shipments only. Both The docks are both shipping and receiing docks. Closed The docks are closed when the calendar rule is in effect. Standing Appointment Organization Select an organization if you want to make a standing appointment for that organization. For example, you might want to resere a receiing dock for a key supplier eery Wednesday from 9 a.m. to 11 a.m. Chapter 2. Configuring Dock Scheduling 19
If you set up a standing appointment for an organization, other organizations cannot make a dock appointment during this time slot. The organizations you can select are the ones that are allowed to make dock appointments at your locations. You can set up this dock appointment option in Network Relationships (Step 1 of Shipper Configuration). After you select an organization, click Standing Appt Organization to iew details about that organization. When you finish, click Sae to create the calendar rule. Calendar Rule Precedence You can define multiple calendar rules and use the effectie and expiration dates to create different ersions of your calendar. These calendar rules allow you to adjust the schedule to manage the day-to-day actiities at this dock or location. If you set up multiple calendar rules for the same dock or location, Kewill Transport uses the effectie and expiration dates to determine which rule is in effect. If the effectie and expiration dates of the rules oerlap, Kewill Transport uses the following process: A rule with the Dock Type set to Closed has the highest precedence. A rule that specifies a standing appointment has the next highest precedence. For rules that hae a Dock Type of Shipping, Receiing, or Both, Kewill Transport processes the rules in the order they were created. To aoid confusion, make sure that any oerlapping calendar rules consist only of an open rule and a closed rule. If open rules oerlap, Kewill Transport uses the creation date of the rules and not the effectie and expiration dates to determine precedence. The following example shows how Kewill Transport processes open and closed calendar rules that oerlap: 1. You define a general calendar rule for a dock. The effectie date is 1 January 2014 and the expiration date is 31 December 2014. 2. You hae to close the dock for maintenance. You define the following calendar rule: The effectie date is 13 August 2014 and the expiration date is 15 August 2014. The Dock Type field is set to Closed. 3. Kewill Transport uses the calendar rules to define the dock schedule: The dock is open from 1 January 2014 to 12 August 2014. The dock is closed from 13 August 2014 to 15 August 2014. The dock is open from 16 August 2014 to 31 December 2014. Add Location - Docks Page Use the Add Location - Docks page to set up the docks for a location. The Add Location - Docks page is the fourth step of the Add Location process. This page opens when you click Continue on the Add Location - Appointments and Calendar Rules page. Use the buttons on the Add Location - Docks page to manage your dock profiles: Add Opens the Add Dock page, where you can create a dock profile. Add Many Opens the Add Many Docks page, where you can quickly create multiple dock profiles. Edit Opens the Edit Dock page, where you can update a dock profile. Select a dock and click Edit. Copy Opens the Copy Dock page, where you can copy a dock profile and create another dock profile. Select a dock and click Copy. When you finish defining the docks for this location, you hae the following options: Click Sae to sae your location profile. Click Continue to set up a Partner Appointment Scheduling Profile for this location. Click Back to return to the preious Add Location page. Click Cancel to exit without saing your location profile. Adding a Dock Profile About this task You can add a single dock profile. If an existing dock is similar to the dock profile you want to add, you can also copy that dock profile to create a new one. Procedure To add a new dock at a location, follow these steps: 1. On the Add Location - Docks page, click Add. 2. When the Location Docks - Add Dock page opens, select the dock profile settings to use. For more information, see Dock Profile Settings on page 23. 3. When you finish defining the dock profile, you hae the following options: Click Sae to create the dock profile and return to the Add Location - Docks page. Click Continue to open the Dock Usage Rules page, where you can set up additional rules to restrict the operation of the dock. Adding Multiple Docks About this task You can add multiple docks that all use the same settings. You can edit indiidual docks later if you want to change specific settings. Procedure To add multiple dock profiles at a location, follow these steps: 1. On the Add Location - Docks page, click Add Many. 2. When the Location Docks - Add Many Docks page opens, define these settings: Number to Create Specify how many docks you want to add. Sequence Start (For Names) Specify the number for the first dock. Kewill Transport assigns the other docks numbers in order. 3. Select additional profile settings for the new set of docks. For more information, see Dock Profile Settings on page 23. 4. When you finish defining the docks, you hae the following options: Click Sae to create the dock profiles and return to the Add Location - Docks page. Click Continue to open the Dock Usage Rules page, where you can set up additional rules to restrict the operation of the docks. Click Continue to open the Dock Usage Rules page, where you can set up additional rules to restrict the operation of the dock. Copying a Dock Profile About this task You can copy a dock profile and use it to quickly create a new dock. Procedure To copy the settings from a dock to create a new dock, follow these steps: 1. On the Add Location - Docks page, select the dock profile you want to copy and then click Copy. 2. When the Location Docks - Copy Dock page appears, modify any settings that you want to change for the new dock. For more information, see Dock Profile Settings. 3. When you finish defining the dock profile, you hae the following options: Click Sae to create the new dock profile and return to the Add Location - Docks page. Click Continue to open the Dock Usage Rules page, where you can set up additional rules to restrict the operation of the new dock. Dock Profile Settings When you define a dock, you select the settings that control how the dock is used. For example, you can set up a shipping dock or receiing dock. Define the following settings on the Add Dock, Add Many Docks, Edit Dock, and Copy Dock pages: Name Enter the dock identifier. Your carriers, customers, and suppliers will see this name or number when they make dock appointments in Kewill Transport. This field is not displayed on the Location Docks - Add Many Docks page. Number to Create On the Add Many Docks page, specify how many docks you want to create. Sequence Start (For Names) On the Add Many Docks page, specify the number for the first dock. Kewill Transport creates docks 10, 11, 12, 13, and 14. Your carriers, customers, and suppliers see these dock numbers when they make appointments in Kewill Transport. Type Specify how the dock will be used. You can select the following options: Shipping This dock is for picking up shipments only. Receiing This dock is for deliering shipments only. Both This dock is both a shipping and receiing dock. Closed The dock is closed. Your carriers, customers, and suppliers cannot make appointments at this dock. Dock Leelers Select whether dock leelers are aailable. Dock leelers raise or lower the dock to the height of the trailer. These deices are useful for freight that requires a pallet-moing deice. Use Location Calendar Specify whether the dock uses the same schedule and hours of operation as the location operational calendar. If no location operational calendar rule is set up, the location work week calendar is used. Yes The dock uses the same calendar as the location. For example, if you add a holiday for the location, Kewill Transport automatically applies the same holiday to the dock. No You will define a separate calendar for this dock. For example, the location is open Monday through Saturday, but the dock is only open Monday through Friday. Note: If you set Use Location Calendar to No, you must define a dock calendar. If you do not define a calendar, users cannot make appointments at the dock. Owner-Owned Visibility Select whether your carriers, customers, and suppliers can make appointments at this dock: Yes Only your organization can make appointments at this dock. Defining Dock Usage Rules Dock Interal Specify the amount of time displayed on the dock schedule for each appointment. You can select entries such as 180 Minutes, 120 Minutes, 90 Minutes, or60 Minutes. Equipment Specify the equipment that is supported for this dock. For example, some docks might accommodate a 48-foot dry an but not a 53-foot dry an. You hae the following options: Click Add to select a new equipment type or size. Click Edit to change your settings. Click Delete to remoe the equipment from your dock profile. You must specify at least one equipment type. If the dock supports all equipment types, you can select *All. When you finish defining the dock profile, you hae the following options: Click Sae to create the dock profile and return to the Add Location page. Click Continue to open the Dock Usage Rules page, where you can set up additional rules to restrict the operation of the dock. You can define the usage rules for each dock. For example, you might want to resere a dock for exclusie use for unloading shipments from a key supplier. About this task You can define one or more dock usage rules for each dock at a location. By default, Kewill Transport applies the rules to all shipments that are picked up or deliered at the dock. A shipper can oerride the dock usage rules for a single shipment. To use this feature, set the Oerride Rule option to Yes on the Schedule Appointment page. For example, a dock is set up for exclusie use by a single carrier. A shipper user can oerride the rule for a single shipment and allow another carrier to use the dock. Procedure To define a dock usage rule, follow these steps: 1. Complete the dock profile on the Add Dock, Add Many Docks, Edit Dock, or Copy Dock page. 2. Click Continue to open the Location Docks - Dock Usage Rule page. 3. Restrictie Use You can set up a dock and specify one of the following options: The organizations specified in the rule must always use this dock when picking up or deliering shipments at this location. The organizations specified in the rule cannot use this dock when picking up or deliering shipments at this location. 4. Click Add Rule to open the Location Docks - Add Dock Usage Rule page: a. Select the Type for this dock rule. The alues that are aailable depend on the Rule Type you selected in Step 3. b. Under Filtering, select the filter settings to use for this rule. For example, you only want to apply the rule to truckload shipments that are being deliered from a specific area. c. Define the Role if you want to apply the rule to specific organizations. For example, you can apply the rule to a list of carriers or suppliers. d. Select a reference field to only apply the rule to shipments with the specified reference field alue. e. Click Sae to sae your rule and return to the Dock Usage Rules page. 5. When you finish setting up dock usage rules, you hae the following options: Click Sae on the Dock Usage Rules page to complete your dock profile and return to the Add Location - Docks page. Click Continue to define a dock calendar for this dock. The Continue button is displayed if you set Use Location Calendar to No when you defined the dock. Location Docks - Dock Usage Rules Page Use the Location Docks - Dock Usage Rules page to control when your carriers, customers, and suppliers can use this dock. This page appears when you click Continue on the Add Dock, Add Many Docks, Edit Dock, or Copy Dock page. Dock usage rules gie you flexibility to control which organizations can use a dock and the types of shipments that are handled at a dock. The rule specifies your Chicago manufacturing plant as the origin filter. Carrier ABCD must use this dock when it deliers shipments from your Chicago plant to this location. Set the Rule Type to either Exclusie Use or Restrictie Use: Exclusie Use You can set up a dock that only one organization or a list of organizations can use. For example, you might restrict a receiing dock so that only certain suppliers can make delieries. These suppliers are free to use other docks, but all appointments at this dock are resered for these suppliers. Restrictie Use You can set up a dock and specify one of the following options: The organizations specified in the rule must always use this dock when picking up or deliering shipments at this location. The organizations specified in the rule cannot use this dock when picking up or deliering shipments at this location. Use the following buttons on the Dock Usage Rules page to manage the usage rules for this dock: Add Rule Opens the Add Dock Usage Rule page, where you can create a rule for this dock. Edit Rule Opens the Edit Dock Usage Rule page, where you can update a rule for this dock. Select the rule and click Edit Rule. Remoe Rule Deletes the dock usage rule. Location Docks - Add Dock Usage Rule Use the Location Docks - Add Dock Usage Rule page to set up a rule to control who can make appointments at this dock. You can also specify which types of shipments can be picked up or deliered at this dock. Exclusie and Restrictie Usage Rules When you define a dock usage rule, you must select the Type. The entries that appear in the Type field change based on the Rule Type you selected on the Dock Usage Rules page: Exclusie Use Chapter 2. Configuring Dock Scheduling 27
If you set the Rule Type to Exclusie Use on the Dock Usage Rules page, the Type field is automatically set to Exclusie Use. The Exclusie Use option lets you set up a dock that only specific carriers, suppliers, or customers can use. For example, you might want to resere a loading dock for trucks from your largest retailer. Shipments from other organizations cannot use this dock. The carriers, suppliers, or customers specified in this rule can also make appointments for other docks at this location. Restrictie Use If you set the Rule Type to Restrictie Use on the Dock Usage Rules page, you can set the Type field to one of these options: Must Use The carriers, suppliers, or customers specified in the rule must use this dock when making pickups or delieries at this location. They cannot make appointments for other docks at this location. Shipments from other organizations can also be picked up or deliered at this dock. Cannot Use The carriers, suppliers, or customers specified in the rule cannot make an appointment at this dock. Shipments from other organizations can be picked up or deliered at this dock. The carriers, suppliers, or customers specified in the rule can make appointments for other docks at this location. Filters for Dock Usage Rules You can define the following filters for a dock usage rule: Origin Specify an origin if you want to restrict this rule to shipments that are being deliered from the origin to this dock. For example, you might require that trucks use this receiing dock to unload shipments from your Chicago manufacturing plant. After you select an origin, you can click the Origin link to iew details about that location. Destination Specify a destination if you want to restrict this rule to shipments that are being picked up at this dock and then deliered to the destination. For example, you might require that carriers use this shipping dock if they are picking up shipments to be deliered to your Cleeland distribution center. Select a carrier if you want the dock usage rule to apply to a single carrier. For example, you might want to specify that a certain carrier cannot make appointments at this dock. After you select a carrier, you can click the Carrier link to iew details about that organization. Tip: If you want to set up a rule for multiple carriers, leae the Carrier field blank and use the Member List setting to select a group of carriers. SCAC If you select a carrier for the rule, you can restrict the rule to a specific SCAC. For example, you might want to specify that the refrigerated tanker fleet for your carrier must use this dock. By default, the standard SCAC for the carrier is selected. Mode Select a transportation mode if you want to restrict the rule to that mode. For example, you could define different dock usage rules for truckload, LTL, or parcel shipments. Priority Select a shipment priority if you want to restrict the dock to shipments with that priority. Each Kewill Transport shipper defines its own shipment priorities. For example, you could set up a dock that is only used for high-priority shipments. After you select a priority, you can click the Priority link to iew details about this entry. Moement Type Select a moement type, such as Outbound or Interplant, if you want to restrict the dock to shipments that use that moement type. For example, you might want to resere a dock for interplant shipments between this location and another facility owned by your organization. Member Lists for Dock Usage Rules You can assign a member list to a dock usage rule. The rule will apply to all the carriers, suppliers, or customers in the list. To assign a member list to the rule, follow these steps: 1. Click the Add Row icon to add a member list row. 2. Set the Role to Carrier, Customer, Supplier, orpartner. 3. Select an entry from the Member List or click the Create icon to define a member list. 4. Repeat Steps 1 through 3 to add another member list to the rule. Reference Fields for Dock Usage Rules You can assign a reference field to this dock usage rule. The rule will only apply to shipments that hae that reference field and alue. For example, you might want to resere this dock for shipments that use the same Export Reference Number. To assign a reference field to the rule, follow these steps: 1. Click the Add Row icon to add a reference field row. 2. Select a reference field from the Label list. 3. Type an entry in the Value field. The entries are not case sensitie. For example, you can enter the purchase order number PO_12345 and Kewill Transport will apply the dock usage rule to a shipment that has the purchase order number po_12345. 4. Repeat Steps 1 through 3 to add another reference field to the rule. Examples of Dock Usage Rules The following dock configurations proide examples of exclusie and restrictie dock usage rules. Dock Rule Setup In this example, the shipper sets up the following docks at one distribution center: Dock 1 There are no dock usage rules defined. Dock 2 Carrier AAAA has exclusie use of the dock. No other carriers can make an appointment at Dock 2. Dock 3 Carrier BBBB must use this dock. Carrier BBBB cannot make appointments at other docks. Other carriers can also make appointments at Dock 3. Dock 4 Carrier CCCC cannot use this dock. Carrier CCCC can make appointments at other docks. Dock Rule Results Based on the dock usage rules, carriers can make appointments at the following docks: Carrier AAAA can make appointments at Dock 1, Dock 2, Dock 3, and Dock 4. Carrier BBBB can make appointments at Dock 3. Carrier CCCC can make appointments at Dock 1 and Dock 3. Oerriding Dock Rules A shipper can oerride the dock usage rules for a single shipment. To use this feature, the shipper sets the Oerride Rule option to Yes on the Schedule Appointment page. Using the same example, there is no restriction for picking up or deliering the shipment at the four docks. If one of the carriers is transporting this shipment, it can make an appointment at any of the docks: Carrier AAAA can make appointments at Dock 1, Dock 2, Dock 3, and Dock 4. Carrier BBBB can make appointments at Dock 1, Dock 2, Dock 3, and Dock 4. Carrier CCCC can make appointments at Dock 1, Dock 2, Dock 3, and Dock 4. Carrier DDDD can make appointments at Dock 1, Dock 2, Dock 3, and Dock 4. Location Docks - Dock Calendar Page Use the Location Docks - Dock Calendar page to define a calendar that only applies to one dock. To define a calendar for a dock, follow these steps: 1. Set Use Location Calendar to No on the Location Docks - Add Dock page. You do not want to use the location calendar for this dock. 2. After you sae your dock, click Continue on the Dock Usage Rules page. The Location Docks - Dock Calendar page opens. 3. To define a calendar rule for this dock, click Add. The Add Operational Calendar Rule page opens. For more information, see Add Calendar Rule Page on page 17. 4. After you define the calendar rule, click Sae on the Location Docks - Dock Calendar page. Kewill Transport creates the dock calendar and saes the dock profile. You are returned to the Location - Docks page, where you can sae your location profile or define a Partner Appointment Scheduling Profile for the location. Add Location - Partner Appointment Scheduling Profile Use the Add Location - Partner Appointment Scheduling Profile page to define which carriers and suppliers can make dock appointments at this location. You can also define settings that control the appointment start and end times. The Add Location - Partner Appointment Scheduling Profile page is the fifth step of the Add Location process. This page opens when you click Continue on the Add Location - Docks page. By default, a carrier or supplier is listed on this page if you already enabled that organization to make dock appointments at your locations. You can set up this dock appointment option in Network Relationships (Step 1 of Shipper Configuration). Opens the Relationships page, where you can set up a carrier or supplier to make dock appointments at this location. Remoe Select an organization and click Remoe if you do not want it to make dock appointments at this location. For example: 1. You hae a supplier that makes delieries to almost all of your locations. Howeer, it does not delier to this location. 2. In Network Relationships, you specify that the supplier can make dock appointments at all your locations. 3. For this location, you remoe the supplier so that it cannot make dock appointments here. You can also define settings that control how Kewill Transport calculates and communicates appointment start and end times: Appointment Start This setting allows you to schedule a dock for a different time frame than the time frame you communicate to the carrier. You can specify whether the carrier should arrie before or after the start time of the dock appointment. Enter the amount of time (hours or minutes) and then select one of the following options: Before Dock Appointment Start Time Adjust the appointment start time sent to the carrier by the specified amount of time before the dock appointment starts. After Dock Appointment Start Time Adjust the appointment start time sent to the carrier by the specified amount of time after the dock appointment starts. Kewill Transport books the appointment for the exact time you select during scheduling, but adjusts the appointment time that is sent to the carrier by the amount of time you enter. For example: You want the carrier to arrie 30 minutes early to complete check-in paperwork, so you set the Appointment Start alue to 30 Minutes and select the Before Dock Appointment Start Time option. When you make an appointment for 2:00 to 3:00, Kewill Transport makes the dock appointment for 2:00 to 3:00, but transmits 1:30 to 3:00 as the appointment time to the carrier to ensure that they arrie early. Your refrigerated dock requires preparation before loading or unloading actiities, so you set the Appointment Start alue to 1 Hour and select the After Dock Appointment Start Time option. When you make an appointment for 10:00 to 12:00, Kewill Transport books the dock for 10:00 to 12:00 but transmits 11:00 to 12:00 to the carrier to gie you time to prepare for their arrial. Appointment End Specify how Kewill Transport communicates the end of the appointment window to the carrier. You can select one of the following options: Chapter 2. Configuring Dock Scheduling 33
Send Dock Appointment End Time Kewill Transport sends the appointment end time to the carrier. Not Applicable (Send Dock Appointment Start Time) Kewill Transport sends only the appointment start time to the carrier. The carrier does not receie the appointment end time. When you finish defining your partner appointment scheduling profile, you hae the following options: Click Sae to sae your location profile. Click Continue to set up a partner load/unload profile for this location. Click Back to return to the preious page. Click Cancel to exit without saing your location profile. Add Location - Partner Load/Unload Profiles Use the Add Location - Partner Load/Unload Profiles page to manage the loading and unloading profiles for this location. The Add Location - Partner Load/Unload Profiles page is the sixth step of the Add Location process. This page opens when you click Continue on the Add Location - Partner Appointment Scheduling Profile page. The following examples show how a shipper might set up loading and unloading profiles: Delieries from Supplier A take up to 4 hours to unload. Frozen delieries from Supplier B take up to 3 hours to unload. All other delieries take up to 2 hours to unload. You only specify load/unload profiles for suppliers, customers, and your organization. Appointment Pickup Description For supplier locations, Kewill Transport uses the load/unload profile you defined for the supplier. The system uses your load/unload profile for pickups at locations owned by your organization. Deliery For customer locations, Kewill Transport uses the load/unload profile you defined for the customer. The system uses your load/unload profile for delieries to locations owned by your organization. Setting Up Load/Unload Rates for All Docks About this task Kewill Transport proides a wide range of options for defining your loading and unloading rates. For example, you can define unique profiles to support the following processes: Different types of products are loaded or unloaded at a different rate. Delieries from a specific supplier take longer to unload than other delieries to this location. Procedure To define the loading and unloading rates for a location, follow these steps: 1. On the Add Location - Partner Load/Unload Profile page, use the buttons to add, edit, or remoe a load/unload profile: Click Add to open the Load/Unload Rate - All Docks page, where you can define a profile for all docks at this location. Click Edit to open the Load/Unload Rate - All Docks page, where you can update the selected load/unload profile. Click Remoe to delete the selected load/unload profile. 2. When the Load/Unload Rate - All Docks page opens, define the following settings: Select the member list that applies to the profile. Each load/unload profile applies to one member list, which can include one or more customers or suppliers. Select the general settings for the profile. Define the Floor, Palletized, and Slipsheet rates for the profile. 3. Click Sae to sae your changes and return to the Add Location - Partner Load/Unload Profile page. 4. Repeat Steps 1 through 3 if you want to add additional loading and unloading rates for other member lists. 5. This is the last step of the process for adding a location with docks. After you are done defining load/unload profiles, you hae the following options on the Add Location - Partner Load/Unload Profile page: Click Sae to sae your location profile. Load/Unload Rate Page Use the Load/Unload Rate page to define the loading and unloading profile for all docks at this location. Member Lists for Load/Unload Profiles When you set up each load/unload profile, you assign it to a member list. The member list consists of one or more suppliers or customers. You can select from the organizations that you allow to make dock appointments at your locations. You can also define a load/unload profile that includes your own organization. Kewill Transport uses this profile for pickups that are departing from your location and delieries from your suppliers that are arriing at your location. General Settings for Partner Load/Unload Profiles Define the following settings, which apply to all shipments that use the load/unload profile: Dock Member List Select the member list of suppliers or customers for this load/unload profile. For example, you might set up a member list for your canned goods suppliers. You could create a load/unload profile just for this member list. Click the Create icon to define a new member list. The default selection is the *All Dock Members list. After you select a member list, you can click the Dock Member List link to iew details about the organizations in this list. Equipment Define the equipment that is supported by this load/unload profile. You can select the following options: Dry Refrigerated Frozen Any The default selection is Any. Max # Pickup Appts/Day Enter the maximum number of pickup appointments per day for this member list. Max # Deliery Appts/Day Enter the maximum number of deliery appointments per day for this member list. For example: Supplier ABC makes about 50 delieries per week to your Cleeland distribution center. You want Supplier ABC to spread out the delieries oer seeral days, so it does not oerload your receiing docks. 36 Kewill Transport: Dock Scheduling Guide
You create a load/unload profile for Supplier ABC and specify that it is allowed to make up to 12 deliery appointments per day. Default Load/Unload Duration Define the default time it takes to load or unload shipments for this member list. Kewill Transport uses this default load/unload duration when the package type is not specified for a shipment. The default duration is 1 hour. If the package type is defined for a shipment, Kewill Transport uses the load/unload duration you define for floor, palletized, or slipsheet shipments. Use as Location Default Duration Specify whether Kewill Transport uses the Default Load/Unload Duration setting from this profile as the default dock appointment duration for this location. Kewill Transport will use this duration for shipments that are not coered by a load/unload profile. Floor, Palletized, and Slipsheet Shipments Define loading and unloading rates for floor, palletized, and slipsheet shipments: Floor Floor shipments are picked up or deliered as separate cartons, cases, or other containers. Floor shipments are not picked up or deliered using a pallet or slipsheet. Palletized These shipments are picked up or deliered on pallets. Slipsheet These shipments are picked up or deliered on slipsheets, which are cardboard or plastic sheets onto which commodities are stacked. You can define the following settings for floor, palletized, and slipsheet shipments: Rate Enter a rate per hour or minute for loading and unloading floor, palletized, or slipsheet shipments. Kewill Transport uses this alue to calculate the duration of a dock appointment. For example: You specify 10 units per hour for floor shipments. If a carrier makes an appointment to delier 20 cases, Kewill Transport schedules two hours for the appointment. You specify 4 pallets per hour. If a supplier makes an appointment to delier 12 pallets, Kewill Transport schedules three hours for the appointment. The default rate is one floor shipment container, pallet, or slipsheet per hour. Enter a duration for Kewill Transport to use when a user makes an appointment, but does not specify the number of floor shipment containers, pallets, or slipsheets. The default duration is one hour. Load/Unload Profile Examples The following examples show how you might set up load/unload profiles to meet these requirements: Space is tight at your Boston warehouse. You define a longer load/unload duration for this location than your other warehouses. At your Baltimore distribution center, your shipping and receiing docks share forklifts. You take this into account when you enter the load/unload duration for pallets. You specify different load/unload profiles for dry, refrigerated, and frozen shipments at all your locations. You hae a member list for your canned good suppliers. You set up a load/unload profile at each location for these suppliers. Shipments that you delier to Customer XYZ always take longer to load than other shipments. You set up a member list for Customer XYZ and then define a load/unload profile just for that member list. Default Load/Unload Profile Kewill Transport proides one default load/unload profile, which applies to your organization and all your customers and suppliers. Dock User Profiles You can edit this default profile to change the alues, but you cannot remoe this profile. The default load/unload profile uses the following settings: Any equipment One hour for the default load/unload duration 60 units per hour for floor shipments (such as cartons or cases) 26 pallets per hour 26 slipsheets per hour Up to 10 pickup appointments per day by each organization Up to 5 deliery appointments per day by each organization The shipper administrator and carrier administrator define which Kewill Transport users can use the Docks tab in the Execution module. The administrator defines these roles in each user profile. Chapter 3. Managing Dock Appointments Default Docks Tab Settings Use the Docks tab in the Execution module to manage your dock schedules and track appointments. The Docks tab is the backbone of the Dock Scheduling application. The Docks tab proides two iews for shippers: Detail Use the Detail iew to manage appointments for multiple orders or shipments at a single location. It lists each shipment stop for dock appointment scheduling and management. Day The Day iew proides a graphical iew of the daily appointments for each dock, color-coded by shipment status. To switch between the two iews, shippers can select Detail or Day from the View By list on the Docks tab. Carriers can only see the Detail iew of the Docks tab. The View By list is not displayed for carriers. When carriers use the Docks tab, they can select a shipper from the Shipper list to manage appointments for that organization. To speed up searches and data entry, select the default settings to use when you open the Docks tab in the Execution module. To define these default settings, click Options at the top of the main Kewill Transport window. When the Options page opens, click the Docks tab. Select the options you want to use as your default dock appointment settings: Default Location You can select a default location for searches on the Docks tab. Docks Tab - Default to Day View Select whether the Docks tab in the Execution module defaults to the Day iew or the Detail iew: Yes When you open the Docks tab, the Day iew is displayed by default. Select this option to manage appointments using the daily dock schedule at a location. No When you open the Docks tab, the Detail iew is displayed by default. Select this option to manage appointments for orders or shipments at a location. The default selection is No. Default to Appointments Needed Select the default Appointment Status on the Docks tab - Detail iew: 41
Docks Tab Buttons Yes When you open the Docks tab, the Appointment Status is set to Appointments Needed. You can search for shipments and orders that do not hae an appointment. No When you open the Docks tab, the Appointment Status is set to Appointments Scheduled. You can search for shipments and orders that hae an appointment. The default selection is No. Default New Appointment Tab Select the default tab that is displayed on the New Appointments page: Pickup Appointment Deliery Appointment The default selection is Pickup Appointment. When you finish defining the default settings to use for the Docks tab, you hae the following options: Open a different tab of the Options page. Click Sae to sae your changes and close the Options page. Click Cancel to close the Options page without saing your changes. Use the buttons on the Docks tab to manage your appointments. The following buttons are aailable on the Detail iew or Day iew of the Docks tab: New Appts Opens the New Appointments page, where you can enter one or more appointments. Use the New Appointments page to add appointments for orders that hae not been entered in Kewill Transport. You can add the dock appointment first and then submit the order to Kewill Transport later. To add an appointment for an existing order, click Make Appts instead of New Appts. Make Appts Opens the Schedule Appointment page, where you can enter appointments for an existing order or shipment. Select one or more stops and click Make Appts. The Make Appts button is only displayed on the Detail iew when you set Appointment Status to Appointments Needed. Tip: On the Docks tab - Day iew, you can double-click in a time slot to open the Schedule Appointment page. You can make a new appointment for an open time slot or update an appointment for a scheduled time slot. Edit Appt Opens the Schedule Appointment page, where you can update appointments. Docks Tab - Detail View The Edit Appt button is only displayed on the Detail iew when you set Appointment Status to Appointments Scheduled. Cancel Appt Opens the Cancel Appointment page, where you can delete an appointment. Select the appointment and click Cancel Appt. The Cancel Appt button is only displayed when you set Appointment Status to Appointments Scheduled. Note: Canceling an appointment does not cancel the order that is associated with the appointment. Print Summary Opens the Shipment Summary document in a separate browser window. You can iew or print the document. Print Detail Opens the Shipment Detail document in a separate browser window. You can iew or print the document. Print BOL Opens a Bill of Lading for the shipment as an Adobe Acrobat PDF file. You can iew or print the document using Acrobat Reader. The following Bill of Lading documents are aailable: If the shipper organization is enabled to receie custom forms, Kewill Transport displays the form the shipper designed. To use this feature, the shipper must be licensed to print custom forms. For more information, contact your Kewill Transport enrollment manager or Customer Support. By default, Kewill Transport proides a Bill of Lading form that is based on Voluntary Interindustry Commerce Solutions (VICS) standards. Notes/History Opens the Notes/History page, where you can iew the history of an appointment. Status Opens the Update Status page, where you can change the shipment status. View Details Opens the Shipment Details page, which displays information about the shipment and each stop. Use the Detail iew of the Docks tab to manage appointments for multiple orders or shipments at a single location. Chapter 3. Managing Dock Appointments 43
When you work with the Detail iew, use the following options to control how orders and shipments are listed: View By Shippers can use this option to toggle between the Detail iew and the Day iew. Carriers do not select the View By option. Carriers use only the Detail iew and cannot access the Day iew. Shipper Carriers can select a single shipper to manage appointments for that organization. This option is not displayed for shippers. Appointment Status Select one of the following options: Appointments Needed Kewill Transport displays orders or shipments that do not hae a dock appointment. Appointments Scheduled Kewill Transport displays orders or shipments that hae a dock appointment. To select the default status, click Options and open the Docks tab of the Execution Options page. Searching on the Docks Tab - Detail View When you open the Detail iew, use the Search, Find, and Date lists to locate and display order, shipment, and appointment information. Search Use the Search feature to select the information you want to display. You must specify a date and location for your search. Tip: Instead of defining a new search each time you open the Detail iew, you can create and sae a default search. When you log on to Kewill Transport, the Docks tab displays a message to click Go to run the default search. The default search criteria is shown at the bottom of the page. The default search does not run automatically. Find Use the Find feature to locate and display indiidual shipments or orders. Select an option from the Find list, enter the specific number, and click Go. You can select the following options: Order Number SID Number PO Number Confirmation Number Master BOL Date Tips: You can use your computer clipboard feature to copy data. For example, you can copy the SID number from another application and paste it in the Find box. You can search using a wild card. Enter at least four characters and then an asterisk. For example, enter ABCD* to find SID numbers ABCD1234, ABCD6874, and ABCD4478. You can find multiple SID numbers, order numbers, or other reference fields. Separate each alue with a comma. Use the Date feature to display all items for a specific date: 1. Select Scheduled Appointment, Issue Date, Planned Departure, or Planned Arrial. 2. Select Yesterday, Today, Tomorrow, orfixed from the new list that displays. You can also select a range of days to include in your search. Select Fixed if you want to search on a specific date. 3. Click Go. Tip: To use the Date feature, you should select a default location for your Docks tab searches. To select the default location, click Options and open the Docks tab of the Execution Options page. Running a Standard Search on the Docks Tab - Detail View You can run a standard search on the Detail iew of the Docks tab to find appointments using multiple search parameters. When you search for information on the Docks tab - Detail iew, you must select a date and a location. You can also select additional fields to tailor your search criteria. For example, you might want to only search for appointments that require refrigerated equipment. Chapter 3. Managing Dock Appointments 45
46 Kewill Transport: Dock Scheduling Guide Tip: If you use the same search frequently, you can define that search as the default search. You can run that search each time you open the Docks tab. Use the following fields on the Search page to enter criteria about the appointments you want to locate: Date You must specify a date when you run a search on the Docks tab - Detail iew. You can select one of these options: Scheduled Appt Displays orders or shipments with an appointment on that date. Issue Date Displays orders or shipments that were created on that date. Planned Departure Displays orders or shipments that are scheduled to depart from the origin on that date. Planned Arrial Displays orders or shipments that are scheduled to arrie at the destination on that date. Then select Yesterday, Today, ortomorrow from the new list that displays. You can also select a range of days to include in your search. Select Fixed if you want to search for a specific date. Location You must select the location you want to use for the search. The shipper has the following options: Enter a complete location name. Kewill Transport displays that name on the right side of the page. Enter the beginning of a name and then press Enter. Kewill Transport returns all locations that start with those letters. If Kewill Transport returns multiple locations, the list box displays a red border. You can then select the location that you want. Enter the location code. Click the Select icon to choose a location. Shipper You can search by shipper to find the following appointments: Appointments that were made for that shipper's locations. Appointments that were made by that shipper to pick up or delier goods to other companies' locations. For example, Customer ABC might want to search for the appointments made by Shipper XYZ to delier goods to Customer ABC's warehouses. Tip: When shipper users perform a search, the search usually returns results faster if they specify their company in the Shipper field. Carrier and SCAC Shippers can search by carrier to find the following appointments: Appointments that were made by that carrier for your shipments.
Appointments you made for shipments that are being transported by that carrier. After you select a carrier, you can also specify a SCAC if you want to search for a specific fleet. When carrier users search for appointments, they only see appointments where that carrier is making a pickup or deliery. Tip: When carrier users perform a search, the search often returns results faster if the users specify the company in the Carrier field. Description You can search for an appointment based on the item description. For example, you might search for appointments that contain the same commodity. Tips: You can enter the beginning of the description. For example, searching for Model 123" will return shipment appointments that hae the description Model 123 Printers. Searching by description works best when each shipment or order consists of a single item. If a shipment or order consists of multiple items, Kewill Transport only searches for the first item that was entered on the manifest. You can use the item description to search for a shipment appointment, een though the item is assigned to an order within the shipment. Type You can search for the appointment type: Pickup Appointments Deliery Appointments All - both pickup and deliery appointments Mode You can search for shipments based on the transportation mode. For example, you might want to only iew truckload shipments. Equipment You can search for appointments based on the equipment type: Dry Refrigerated Frozen Any equipment type Load Scheme You can search for appointments based on these load schemes: Floor (such as cartons or cases) Palletized Slipsheets Unspecified (no load scheme was defined for the appointment) Chapter 3. Docks Tab - Detail Table The Docks tab - Detail iew displays a row for each shipment stop. For example, a single-stop shipment has one row for the pickup appointment at the origin and one row for the deliery appointment at the destination. Tip: You can tailor the contents of the table to meet your needs. Click the Customize Table link to rearrange columns or hide columns you do not use. For example, if your shipments are always picked up and deliered on pallets, you might want to hide the Package Type and Load Scheme columns. The Docks tab - Detail iew displays the following columns: From The beginning date and time for the appointment. This is the earliest time that the carrier can pick up or delier the load. To The end date and time for the appointment. This is the latest time that the carrier can pick up or delier the load. Dock The name of the dock. Type The dock type can be one of the following entries: Shipping Receiing Both SID Number Shipment identifier. Order Number The order number assigned to the freight. If a shipment contains more than one order, Multiple is displayed. Trailer/Container Number The trailer or container number, which you can use to track this load: Shippers can enter this number when they create a truckload shipment. Shippers and carriers can enter this number on the Update Status page. P.O. Number Purchase Order number. Qty The total number of items being picked up or deliered. For example, if the shipment contains two pallets, the Qty column shows 2 Eaches. Shipping Quantity The number of shipping units, such as the number of pallets or rolls. For example, if the shipment contains two pallets, the Shipping Quantity column shows 2 Pallets. Line Item Quantity 48 Kewill Transport: Dock Scheduling Guide
The number of items, such as cartons or cases. For example, if the shipment contains two pallets, each with 100 cases, the Line Item Quantity column shows 200 Cases. Package Type Kewill Transport supports many package types. For example: Pallets Skids Cases Cartons Pieces Units Note: The package type is different from the load scheme, which shows whether the freight is a palletized, slipsheet, or floor shipment. Volume The space, such as cubic feet or cubic meters, used by the load. Weight The weight of the load in pounds or kilograms. Location The name of the stop for the pickup or deliery appointment. Double-click in the Location cell to open the Location Detail page, where you can iew the address and the work week calendar. Shipper The Kewill Transport organization that is planning the shipment. Carrier and SCAC Shows the carrier assigned to the load. The SCAC can be the legal carrier SCAC or it can be a non-standard fleet SCAC. Your user role controls whether you can see the Carrier column: Shippers: The Carrier column is hidden by default for the Dock Manager user role. You can use the Customize Table feature to display this column. All other Execution user roles can iew the Carrier column by default. Carriers: The Carrier column is hidden by default for the Dock Manager user role. You can use the Customize Table feature to display this column. The Carrier column is not aailable to other Execution user roles. Planned Date The planned date and time, which can be one of the following entries: The beginning date and time of the planned departure window for a pickup stop The beginning date and time of the planned arrial window for a deliery stop Chapter 3. Loaded Date The date and time that the shipping organization set the Shipment Status to Loaded. Setting the status to Loaded is optional. Arrial Date The date and time the shipment or order arried at the destination. Unloaded Date The date and time that the receiing organization set the Shipment Status to Unloaded. Setting the status to Unloaded is optional. Equipment The required equipment type: Dry Refrigerated Frozen Any Load Scheme The Load Scheme shows whether the freight uses pallets, slipsheets, or is a floor shipment. Status Kewill Transport displays the following information: The Shipment Status, such as Loaded, Departed, orarried The location where the status eent occurred For example, the Status column might show that the truck arried at the origin to pick up the shipment. For more information, see the Shipment Status section of the Kewill Transport Reference Guide. Confirmation Number The confirmation number for the appointment, which can be one of the following entries: A number that the shipper or carrier entered for an appointment. A number that Kewill Transport automatically generated for an appointment. The system generates a confirmation number if the shipper or carrier did not specify one for the appointment. Description If an order consists of one item, Kewill Transport lists the item description. If the order contains multiple items, Kewill Transport displays the first item description, followed by the + sign. Docks Tab - Day View Tip: The Origin column can be useful when iewing a multi-stop shipment. Use the Origin column to iew the initial pickup location and use the Location column to iew the pickup location for an interim stop. Ship To Customer The location name of the customer receiing the shipment. The city and state or city and proince of the customer facility are also displayed. If you use pool points, this column allows you to determine the ultimate destination of the shipment. Reason Code The reason code that is assigned to the shipment. Group The reason code category, which is displayed if your shipper administrator organized reason codes into categories. Use the Day iew of the Docks tab to manage appointments using the daily schedule at a location. Display Options on the Docks Tab - Day View When you open the Day iew of the Docks tab, use the following options to control how orders and shipments are listed. You must search for a specific location and date. Type Select whether you want to iew shipping docks, receiing docks, or both. Displayed Reference You can specify which reference number is displayed for each dock appointment. Select one of the following entries: SID Number Order Number Chapter 3. Master BOL Carrier Reference Number Sales Order Number Purchase Order Number The reference number is displayed in the appointment time slot for the order or shipment. Location Select a location to manage appointments at that facility. You hae the following options: Click the Select icon and choose a location. Enter a complete location name or location code. Enter the beginning of a name and then press Enter. Kewill Transport returns all locations that start with those letters. If Kewill Transport returns multiple locations, the list box displays a red border. You can then select a location. After you select a location, you can click the Location link to iew details about the facility. To select a default location, click Options and open the Docks tab of the Execution Options page. Date Enter a date and click Go to display appointment time slots for that date at the selected location. By default, the current date is displayed. You can also click the Calendar icon to select the date from a calendar. Appointment Time Slots Kewill Transport displays the time slots on the Day iew based on the calendar your shipper administrator defined for the location or dock. For example: The location has an operational calendar. All docks at this location are open from 8 a.m. to 5 p.m. Monday through Friday. On the Docks tab - Day iew, appointments are aailable from 8 a.m. to 5 p.m. Monday through Friday. You cannot make appointments on Saturday or Sunday. Kewill Transport displays each appointment time slot in 30-minute increments. Your Kewill Transport administrator defines the default duration for each appointment, but the duration setting does not affect the display of the 30-minute time slots. For each time slot, Kewill Transport displays an icon that shows the type of dock: S: You can make a pickup appointment at a shipping dock. R: You can make a deliery appointment at a receiing dock. Making An Appointment Use the following options to make a new appointment from the Docks tab - Day iew: Double-click in an open time slot. The Schedule Appointment page opens and displays that time slot. Select an open time slot and click Make Appts. The Schedule Appointment page opens and displays that time slot. Use the following options to update an appointment from the Docks tab - Day iew: Double-click in a scheduled time slot to open the Schedule Appointment page. Select a scheduled time slot and click Edit Appt. The Schedule Appointment page opens and displays the existing appointment. Appointment History and Details You can right-click an appointment and select one of the following commands from the shortcut menu: History Opens the Notes/History page, where you can iew the history of the appointment. View Details Opens the Shipment Details page, where you can iew information about the shipment and its stops. Color Codes on the Docks Tab - Day View Kewill Transport uses colors to show the shipment status of your appointments. The following colors are used as a border for appointment time slots: Yellow Arried or Arried at Origin Blue Loaded or Unloaded Aqua Ready to Ship Dark Green Departed or Departed Destination Orange Spotted or Spotted at Origin Red An alert is attached to the shipment A colored border is not displayed for the following shipment status entries: New Not Tracked Customs Release Chapter 3. Defining a New Appointment Procedure New Appointments Page Use the following process to define new appointments: 1. On the Docks tab, click New Appts. The New Appointments page opens. Based on the shipment type or dock type, this page opens to the Pickup Appts tab or Deliery Appts tab. 2. If you want to make multiple appointments for a single location, select that location in the boxes at the top of the screen. 3. Enter data for one or more appointments. You must enter at least the order number or SID number. 4. Optional: Click either the Pickup Appts or Deliery Appts tabs to enter more appointments of that type. 5. When you finish entering appointment data, click Make Appts. The Schedule Appointment page opens, where you can complete the dock appointments. To clear all the fields on the New Appointments page, click Clear. To exit the page and return to the Docks tab, click Cancel. Use the New Appointments page to quickly enter multiple dock appointments at once. In this process, you first enter information about the appointments you want to make. Then you use the Schedule Appointment page to select the specific dock and time for the appointment. You can enter basic appointment information for orders and shipments: Type New orders Existing orders Existing shipments Description You can enter appointments for orders that hae not been submitted to Kewill Transport yet. You can add dock appointments first, then submit the order to Kewill Transport later. You can enter appointments for orders that are already stored in Kewill Transport. This approach makes appointment entry easier because the system automatically retriees order information. You only hae to enter the order numbers. You can enter appointments for shipments that are already stored in Kewill Transport. Use the New Appointments page to begin setting up your appointments. You must enter at least the SID or order number for each appointment. Optionally, you can enter other fields for each appointment. You can define the following settings: SID Number You can enter the SID number for an existing shipment. Kewill Transport makes the same appointment for orders within this shipment that share the same stop. Order Number You can enter the order number for the appointment. You can enter either one of the following options: An existing order number An order number for an order that has not been submitted to Kewill Transport yet P.O. Number Enter a purchase order number if you want to use it to track the load. For example, you can use the purchase order number to search for appointments on the Docks tab. Planned Appointment You can select the date and time that you want the appointment to start. You only enter the start time for the appointment. Kewill Transport calculates the end time based on dock configuration settings your shipper administrator defined. For example: You enter 21 September at 2:00 p.m. as the Planned Appointment. Kewill Transport calculates a two-hour appointment, based on the number of items being picked up or deliered. On the Schedule Appointment page, Kewill Transport shows that the appointment is from 2:00 p.m. to 4:00 p.m. on 21 September. The default Planned Appointment is midnight (12:00 a.m.) on the current date. Shipper You can select the shipper that created this load: When a shipper makes appointments, the Shipper list contains all the organizations in the *All Dock Members list. This list includes your organization, so you can make appointments for your own pickups and delieries. When a carrier makes appointments, the Shipper list contains all the shippers and customers that hae selected this carrier as a partner. The shipper is considered to be the organization that created the order. Consider this example: Retailer ABC creates the order in Kewill Transport. Supplier XYZ, which is deliering the load to Retailer ABC, makes the dock appointment. Chapter 3. Managing Dock Appointments 55
On the New Appointments page, the user selects Retailer ABC as the shipper, een though Supplier XYZ is shipping the load to the customer. Carrier A shipper can select the name of the carrier that will take the load. The Carrier field does not appear on the New Appointments page for carrier users. SCAC The shipper or carrier can select the SCAC of the carrier that will take the load. The SCAC can be the legal SCAC or it can be a non-standard SCAC for a carrier fleet. Qty You can enter the total quantity of items being picked up or deliered. When Kewill Transport calculates the appointment duration, it uses the quantity, the package type, and the load/unload profile for the pickup or deliery location. Package Type Enter the package type of the load. For example: Pallets Skids Cases Cartons Pieces Units Rolls The default package type is Pallets. Note: The package type is different from the load scheme, which shows whether the freight is a palletized, slipsheet, or floor shipment. Weight You can enter the total weight of the load. The weight is measured in pounds. Volume You can enter the olume of the load, which is measured in cubic feet. Equipment You can enter the equipment type required for the load. Kewill Transport uses the equipment setting to match the appointment to a load/unload profile for this location. For example, the shipper administrator might hae defined the following profiles for the location: Dry delieries can be unloaded at a rate of 22 pallets per hour. Refrigerated delieries can be unloaded at a rate of 16 pallets per hour. Load Scheme You can select whether the load uses pallets, slipsheets, or is a floor shipment. Kewill Transport uses the Load Scheme to match the appointment to a load/unload profile for this location. For example, the shipper administrator might hae defined the following profiles for the location: Pallets can be unloaded at a rate of 20 pallets per hour. Floor shipments, such as cases or cartons, can be unloaded at a rate of 60 items per hour. You can enter both a Package Type and Load Scheme for an appointment. For example: Select Pallets as the Package Type and Palletized as the Load Scheme. Select Cartons as the Package Type and Floor as the Load Scheme. Note: Kewill Transport does not alidate that the Package Type and Load Scheme entries match. Location (Sterling TMS Number) You can enter the Sterling TMS number for the pickup or deliery location. If you selected a location at the top of the New Appointments page, you are not required to enter a location for each appointment. By default, all the appointments will apply to that location. Howeer, you hae the option of entering a different location for indiidual appointments. All the other appointments will use the location you specified at the top of the page. Status Displays the shipment status, such as New, Loaded, Departed, Arried, or Unloaded. You cannot change the status. For more information, see the Shipment Status section of the Kewill Transport Reference Guide. Selecting Locations on New Appointments Page The Location field at the top of the New Appointments page is optional. You can leae it blank and then enter the Location (Sterling Number) field for each appointment. If you want to make multiple appointments at one location, select that location in the Location box at the top of the New Appointments page. For example: 1. You want to make fie deliery appointments for your Chicago warehouse. 2. You select this location on the Deliery Appts tab. 3. You enter the fie appointments. 4. When you click Make Appts, the Schedule Appointment page opens and uses the Chicago warehouse as the location for each appointment. You can also select a location at the top of the New Appointments page and then specify a different location for one or more appointments. For example: 1. You select your Chicago Warehouse as the location at the top of the New Appointments page. 2. You enter four appointments and leae the Location (Sterling Number) field blank. Kewill Transport uses the Chicago warehouse as the location for the appointments. 3. You enter another appointment and specify your Cleeland warehouse in the Location (Sterling Number) field. Kewill Transport uses the Cleeland warehouse for that appointment. To select a location, use one of these methods: Click the Select icon and use the Select Areas page to choose a location. Enter a complete location name or location code in either the Location box at the top of the page or the Location (Sterling Number) field. Enter the beginning of a name in the Location box and then press Enter. Kewill Transport returns all locations that start with those letters. If Kewill Transport returns multiple locations, the list box displays a red border. You can then select a location. Entering Appointments for New Orders About this task You can enter appointments for new orders that hae not yet been submitted to Kewill Transport. For example: You hae the order number from your order inentory system. You want to make a pickup appointment before the order has been submitted to Kewill Transport. Procedure To enter appointments for new orders, follow these steps: 1. On the New Appointments page, select the Pickup Appts tab or Deliery Appts tab. 2. Select a location if you want to make multiple appointments for that location. 3. Enter the order number. The order number is required for each order. 4. Optional: Enter additional information for the order on the new Appointments page. For example, you might define the following settings: Planned Appointment date and time Carrier Quantity, weight, and olume 5. 6. Click Make Appts. The Schedule Appointment page opens, where you can complete the appointments. Entering Appointments for Existing Orders Procedure To make an appointment for an existing order, follow these steps: 1. On the New Appointments page, select the Pickup Appts tab or Deliery Appts tab. 2. Enter the order number for the order. 3. Click Make Appts. The Schedule Appointment page opens and Kewill Transport displays all the aailable data for that order. For example, the quantity, package type, and weight might be displayed. If the order alues are displayed, you cannot edit them. Entering Data for an Existing Order About this task If you enter data for an existing order on the New Appointments page, Kewill Transport uses the alues from the original order instead of the information you entered. The following example shows how this process works. Procedure 1. Your organization submits an order to Kewill Transport. The order contains the weight and quantity: 8000 pounds 15 pallets 2. You enter the same order on the New Appointments page. You enter a different weight and quantity: 6000 pounds 10 pallets 3. You click Make Appts to open the Schedule Appointment page. Kewill Transport displays the weight and quantity that was submitted in the original order. The system ignores the weight and quantity you entered on the New Appointments page. Determining Whether an Order Exists in Kewill Transport About this task When you create your appointments, you might not know if the order has already been defined in Kewill Transport. You can use the following process to quickly enter your appointments. Procedure 1. Enter one or more order numbers. Do not enter any other fields on the New Appointments page. 2. Click Make Appts to open the Schedule Appointment page: Chapter 3. Managing Dock Appointments 59
If the order is stored in Kewill Transport, the system displays the data for that order, such as the location, weight, and quantity. You sae time because you do not hae to define these fields on the New Appointments page. If the order does not exist in Kewill Transport, you can enter the data on the Schedule Appointment page. Appointments for Shipments You can schedule a dock appointment for a shipment (SID) that already exists in Kewill Transport. The shipment was either created online or submitted using Data Exchange. You cannot make an appointment for a shipment unless it has been entered in Kewill Transport. Defining Appointments for Single-Stop Shipments About this task You can make an appointment for a shipment that contains a single order. Kewill Transport applies the appointment to both the shipment and order. The following example shows how Kewill Transport processes an appointment for a single-stop shipment. Procedure 1. You create SID 12345 to go from your Minneapolis plant to your Chicago warehouse. 2. You create Order 12345a. The order also goes from Minneapolis to Chicago. 3. You make a pickup appointment for SID 12345. The shipment is scheduled to depart from Minneapolis at 7:00 a.m. on 22 September. 4. Kewill Transport applies the same pickup appointment to Order 12345a. 5. You make a deliery appointment for SID 12345. The shipment is scheduled to arrie at your Chicago warehouse at 6:00 p.m. on 22 September. 6. Kewill Transport applies the same deliery appointment to Order 12345a. Defining Appointments for Multi-Stop Shipments About this task You can make an appointment for a shipment that contains multiple orders: A pickup appointment is applied to the shipment and any order that has the same origin as the shipment. A deliery appointment is applied to the shipment and any order that has the same destination as the shipment The following example shows how Kewill Transport processes an appointment for a multi-stop shipment. Procedure 1. You create SID 12345: The origin is Minneapolis. The destination is Cleeland. 2. You create two orders: 60 Kewill Transport: Dock Scheduling Guide
Order 12345a goes from Minneapolis to Chicago. Order 12345b goes from Minneapolis to Cleeland. 3. You make a pickup appointment for SID 12345. Kewill Transport applies the pickup appointment to the shipment and both orders. 4. You make a deliery appointment for SID 12345. Kewill Transport also applies the deliery appointment to Order 12345b, which shares the Cleeland destination. 5. You make a separate deliery appointment for Order 12345a, which has a Chicago destination. When you make an appointment for a multi-stop shipment, the Schedule Appointment page shows Multiple in the Order Number field. Specifying the Location for a Shipment Appointment About this task When you make a shipment appointment, you can specify the location on either of the following pages: The New Appointments page The Schedule Appointment page If you do not specify the location, Kewill Transport uses this process to determine the location: Kewill Transport determines the origin and destination of that shipment. If you are making a pickup appointment, Kewill Transport uses the origin of the shipment as the location. If you are making a deliery appointment, Kewill Transport uses the destination of the shipment as the location. In some cases, you might specify a location that is not the origin or destination of the shipment. Kewill Transport applies the appointment to any orders that hae that origin or destination. The following example shows how Kewill Transport processes the location for an appointment. Procedure 1. You create SID 12345: The origin is Minneapolis. The destination is Cleeland. 2. You create two orders: Order 12345a goes from Minneapolis to Chicago. Order 12345b goes from Minneapolis to Cleeland. 3. On the Docks tab of the Execution module, you click the New Appts button. The New Appointments page opens. 4. You enter Chicago as the location on the Deliery Appts tab. 5. You enter SID 12345 and click Make Appts. The Schedule Appointment page opens and shows that you are making a deliery appointment for Order 12345a. Note: In this example, Kewill Transport does not make a deliery appointment for SID 12345 because its destination is Cleeland. Selecting Default New Appointment Settings About this task If you consistently use one of the tabs on the New Appointments page, you can set that tab to be displayed each time you open the New Appointments page. Procedure Scheduling an Appointment To select a default tab, follow these steps: 1. Click Options at the top of the Kewill Transport window. The Execution Options page opens. 2. Click the Docks tab. 3. Set the Default New Appointment Tab to Pickup Appointment or Deliery Appointment. 4. Click Sae. About this task The following procedure proides an oeriew of the dock scheduling process. Procedure 1. Open the Schedule Appointment page. You hae the following options to access this page: New appointment You can make an appointment for an existing order that is listed on the Docks tab. Select the order on the Docks tab and click Make Appts. Multiple new appointments If you are entering multiple new appointments, click Make Appts on the New Appointments page. The Schedule Appointment page opens and displays the number of appointments to schedule. When you open the Schedule Appointments page this way, pickup appointments from the New Appointments page are listed first. Deliery appointments are listed next. If you do not want to schedule all appointments at this time, use the Skip button to moe to the appointments you want to work with. Existing appointment You can update an appointment that is listed on the Docks tab. Select the appointment and click Edit Appt. 2. If you are making an appointment for a new order, specify the location, order number, and other information in the fields at the top of the Schedule Appointment page. If you are making an appointment for an existing order or shipment, you can iew these fields but cannot change them. 3. Define the duration for the appointment. You can use the calculated duration. Kewill Transport calculates the duration based on the load/unload rate that was defined for the partner and the quantity you enter. Then the system rounds up to the nearest default load/unload duration that was defined for the dock. For example, the load/unload rate is 1 pallet per 10 minutes, the quantity is 10 pallets, and the default duration is 60 minutes. Kewill Transport calculates a duration of 120 minutes. If you hae not selected a location for the appointment, Kewill Transport uses a default duration of 150 minutes. If you do not want to use the calculated duration, set Oerride Duration to Yes. Then enter the duration for the appointment. 4. Select a dock time slot to indicate the start time of the appointment: If you are scheduling an appointment for a specific time slot at a location, that date and time are displayed as the Planned Appointment Time Window. If you selected a location in Step 2, click Check Docks to display the docks that are open during the Planned Appointment Time Window. Select one of the open time slots. 5. Click Sae to complete the appointment. Kewill Transport uses the duration from Step 3 to calculate the end time of the appointment. Scheduling Multiple Appointments Procedure Schedule Appointment Page Use the following process to make multiple appointments: 1. Select multiple stops on the Docks tab - Detail iew or enter multiple orders on the New Appointments page. 2. Click Make Appts. The Schedule Appointment page opens and displays the first appointment. 3. Schedule each appointment and click Sae. Kewill Transport completes the appointment and displays the next appointment. 4. If you do not want to complete an appointment, click Skip. Kewill Transport saes the data for the appointment but does not create the appointment. You can finish making the appointment later. 5. When you are done, click Sae to create the last appointment and return to the Docks tab. Use the Schedule Appointment page to schedule a new dock appointment or update an existing one. You can access this page in one of these ways: After entering basic information for multiple appointments on the New Appointments page, the Schedule Appointment page opens so you can complete each appointment. To schedule an appointment for an unscheduled shipment, select the shipment on the Docks tab and click Make Appts. The Schedule Appointment page opens. To edit an existing appointment, select the appointment on the Docks tab and click Edit Appt. The Schedule Appointment page opens. Chapter 3. Managing Dock Appointments 63
Fields on the Schedule Appointment Page Use the fields on the Schedule Appointment page to complete an appointment. For example, you can enter or iew the following information: 64 Kewill Transport: Dock Scheduling Guide The location for the pickup or deliery appointment Shipping data, such as the quantity, weight, package type, and equipment Appointment date, time, and duration The reason code for an appointment change The fields that are aailable depend on whether you are making an appointment for a new order, existing order, or existing shipment: If you are making an appointment for a new order, all the fields are aailable and can be changed. If you entered any order data when you set up the new appointment, Kewill Transport displays that information. You can modify this order data for the appointment. If you are working with an existing order or shipment, Kewill Transport displays the data that was proided in the original order. You can iew this data but cannot change it. For example, you cannot change the quantity, weight, or olume for an existing order or shipment. You can define or iew the following settings on the Schedule Appointment page: Location Select the location for the pickup or deliery appointment. You can only make an appointment at a location if the shipper administrator defined docks for that facility. Kewill Transport returns an error message if you try to select a location that does not hae docks. You hae the following options to select a location: Click the Select icon and choose a location. You hae submitted the shipment to Kewill Transport but the order has not been submitted yet. 2. You enter the SID number for the existing shipment and the order number for the new order. 3. Kewill Transport makes the appointment for the new order and links the order to the shipment. The SID Number field is not displayed if you are making an appointment for an existing order or shipment. Order Number Enter the order number if you are making an appointment for a new order. If you are making an appointment for an existing order, you can iew the order number but cannot change it. If you are making an appointment for a shipment, you can iew the order number that is assigned to the shipment. If the shipment contains more than one order, Multiple is displayed. PO Number If you are making an appointment for a new order, you can enter the purchase order number. For example, you might want to search on the Docks tab and find the orders that are assigned to the same purchase order number. If you are making an appointment for an existing order or shipment, you can iew the purchase order number but cannot change it. Note: You cannot enter the purchase order number and leae the SID number or order number blank. Kewill Transport will return an Unknown SID error message when you try to sae the appointment. If you know the purchase order number but not the SID number or order number, click Find next to the SID Number field to search for the load. Qty If you are making an appointment for a new order, enter the total quantity of items. If you are making an appointment for an existing order or shipment, you can iew the quantity but cannot change it. When Kewill Transport calculates the appointment duration, it uses the quantity, package type, and load/unload profile for the pickup or deliery location. Weight If you are making an appointment for a new order, enter the total weight. Then select a unit of measurement, such as Pounds or Kilograms. If you are making an appointment for an existing order or shipment, you can iew the weight but cannot change it.
Volume If you are making an appointment for a new order, enter the total olume. Then select a unit of measurement, such as Cubic Feet. If you are making an appointment for an existing order or shipment, you can iew the olume but cannot change it. Equipment If you are making an appointment for a new order, enter the equipment type required for the load. You hae the following options: Dry Refrigerated Frozen Any Kewill Transport uses the equipment to match the appointment to a load/unload profile for the location. For example, the shipper administrator might hae defined the following profiles for the location: Dry delieries can be unloaded at a rate of 22 pallets per hour. The page refreshes and you can edit the Duration field. No You will use the default duration for the location. The default alue is No. Duration If you set Oerride Duration to No, you can iew the default appointment duration that the shipper administrator defined for the location. If you set Oerride Duration to Yes, you can specify the duration of this appointment. Specify the duration and select Minutes or Hours. For example: 1. Your Kewill Transport shipper administrator defined the default appointment duration as 60 minutes. 2. You are making a deliery appointment for fragile electronic gear. You want to allow more time for the appointment. 3. You set Oerride Duration to Yes. 4. You set the Duration to 90 minutes. 5. You select a dock time slot that begins at 10:00 a.m. Chapter 3. 6. When you sae the appointment, Kewill Transport reseres the dock from 10:00 a.m. to 11:30 a.m. for the deliery. If you hae not selected a location, Kewill Transport displays 150 minutes as the default duration. After you select a location, click Check Docks to refresh the page with the default duration for that facility. Load Scheme If you are making an appointment for a new order, you can select whether the load uses pallets, slipsheets, or is a floor shipment. Kewill Transport uses the load scheme to match the appointment to a load/unload profile for this location. For example, the shipper administrator might hae defined the following profiles for the location: Pallets can be unloaded at a rate of 20 pallets per hour. Floor shipments, such as cases or cartons, can be unloaded at a rate of 60 items per hour. You can enter both a Package Type and Load Scheme for an appointment. For example: Select Pallets as the Package Type and Palletized as the Load Scheme. Select Cartons as the Package Type and Floor as the Load Scheme. Note: Kewill Transport does not alidate that the Package Type and Load Scheme entries match. If you are making an appointment for an existing order or shipment, you can iew the load scheme but cannot change it. Type Shows whether this is a pickup or deliery stop. You can iew the stop type but cannot change it. If you are making an appointment for a new order, Kewill Transport selects the stop type based on whether you used the Pickup Appointments tab or Deliery Appointments tab on the New Appointments page. If you are making an appointment for an existing order or shipment, Kewill Transport uses the shipment itinerary to determine whether the location is a pickup or deliery stop. Reason Code Select a Reason Code to describe the appointment: 1. Select the Reason Code Group, such as Shipper, Carrier, orweather. 2. Select the Reason Code. Kewill Transport filters the list of codes, based on the group you selected. The default reason code is Normal Appointment. Tip: As a best practice, you should update the reason code any time you reschedule an appointment. For example, you might select Waiting Inspection or Customer Wanted Earlier Deliery. Confirmation Number Enter a confirmation number if you want to store this number for your records. 68 Kewill Transport: Dock Scheduling Guide
If you do not enter a confirmation number, Kewill Transport generates a confirmation number for each appointment. The confirmation number is displayed on the Docks tab - Detail View. Cancel Appointment Select the Cancel Appointment check box and click Sae to remoe an existing appointment. The Cancel Appointment check box is only displayed when you are editing an existing appointment. Notes Enter an optional note that describes this appointment. For example, you might specify that the load requires special handling. Oerride Rule A shipper user can select this option to oerride a dock usage rule that the shipper administrator defined. For example: 1. The shipper administrator defined a rule that gies one carrier or supplier exclusie use to make delieries at a receiing dock. No other carriers or suppliers are allowed to make delieries at this dock. 2. For a single shipment, the user wants to oerride the rule from Step 1 and let another carrier or supplier make a deliery at this dock. The Oerride Rule option is not aailable to carriers. Buttons on the Schedule Appointment Page Use the buttons on the Schedule Appointment page to manage your appointments: Find Opens the Find Order page. If you are creating an appointment for a new order, you can locate the order and then make a dock appointment. For example, you might not know the order number of the order. You can search for the order using the purchase order number or sales order number. You can then complete the appointment for the order. The Find button is not displayed if you are scheduling an appointment for an existing order or shipment. Check Docks Refreshes the Schedule Appointment page and displays the time slots that are aailable during the Planned Appointment Time Window. For example: 1. You select a location on the Schedule Appointment page. Kewill Transport shows the dock time slots that are aailable at the location on the current date. 2. You do not find a dock time slot that meets your needs. 3. You select a different date for the Planned Appointment Time Window and click Check Docks. Kewill Transport shows the dock time slots that are aailable on the new date. 4. You select one of the time slots for your appointment. Chapter 3. Managing Dock Appointments 69
If you are making an appointment for a specific time slot or updating an existing appointment, the Check Docks button is not aailable. The Schedule Appointment page automatically displays the existing time slot. Cancel Closes the Schedule Appointment page without saing your changes. Skip Sae If you are making multiple appointments, you can skip an appointment for one order or shipment: Kewill Transport saes the data for the current appointment but does not create the appointment. You can finish making the appointment later. Kewill Transport displays the next appointment on the Schedule Appointment page. The Skip button is only displayed if you selected multiple stops on the Docks tab or entered multiple orders on the New Appointments page. If you are scheduling a single appointment, Kewill Transport creates the appointment and returns to the Docks tab. If you are scheduling multiple appointments, Kewill Transport creates the appointment and displays the next appointment on the Schedule Appointment page. Planned Appointment Time Window Use the Planned Appointment Time Window boxes on the Schedule Appointment page to select the appointment date and specify which time slots are displayed on that date. You can then select a time slot for the appointment. Kewill Transport uses the following process to determine the default time window for orders and shipments: Type New order with location Description When you create an appointment for a new order, you can specify the location. Kewill Transport applies the following default appointment window: The current date. The start and end times from the operational calendar for the location. The shipper administrator defines the calendar for each location. For example: The location docks are open from 7:00 a.m. to 7:00 p.m. The default appointment window is from 7:00 a.m. to 7:00 p.m. on the current date. 70 Kewill Transport: Dock Scheduling Guide
Type New order without location Description You can create an appointment for a new order that does not include a location. Kewill Transport applies the following default appointment window: The current date. The start time is 00:00 (midnight). The end time is 2:30 a.m. The end time is based on the default appointment duration, which is 150 minutes. After you select a location, click Check Docks to refresh the page and display the operational hours for that facility. Existing order or shipment When you make an appointment for an existing order or shipment, Kewill Transport applies the following default appointment window: The planned departure window for a pickup appointment The planned arrial window for a deliery appointment Aailable Time Slots on the Schedule Appointment Page On the Schedule Appointment page, select the start time from the Aailable Time Slots table. Kewill Transport shows the time slots that are open, based on the date and times you selected in the Planned Appointment Time Window. You can change the appointment time window and click Check Docks to iew the open time slots for that date and time. The Aailable Time Slots table displays the following columns: Current If you edit an existing appointment, an asterisk (*) is displayed for the current time slot. Time Slot Shows the start time for each open time slot. The amount of time shown for each entry is based on the dock interal, which the shipper administrator defines for each dock. For example: One dock at the location has a 30-minute interal. The time slots are shown as 8:00 a.m., 8:30 a.m., 9:00 a.m., and so on. Another dock at the location has a 60-minute interal. The time slots are shown as 8:00 a.m., 9:00 a.m., 10:00 a.m., and so on. When you select a time slot, you are defining the start time of the appointment. Kewill Transport uses the Duration field to calculate the end time of the appointment. For example: 1. You set the Duration to 90 minutes. 2. You select a dock time slot that begins at 10:00 a.m. 3. When you sae the appointment, Kewill Transport reseres the dock from 10:00 a.m. to 11:30 a.m. If there are multiple docks at the location, Kewill Transport displays the time slots in order of the start time. Type Shows whether the dock is a shipping dock, receiing dock, or both. Dock Leelers Shows whether dock leelers are aailable. Dock leelers raise or lower the dock to the height of the trailer. Dock Shows the name of the dock. Appointments for Orders that Share a Stop A truckload shipment can consist of multiple orders that share a stop: The orders are being picked up at the same origin. The orders are being deliered to the same destination. Kewill Transport uses the following process to apply the appointments: If you make a dock appointment for a shipment, Kewill Transport applies the appointment to the shipment and each order that has the same origin or destination as the shipment. If you make a dock appointment for an order, Kewill Transport does not apply the appointment to other orders that share the same stop. You hae to make a separate appointment for each order. Appointments in Data Exchange You can submit a dock appointment using an EDI 204, EDI 214, or XML transaction. Cancel Appointment Page If you create a dock appointment and then submit an updated appointment using data exchange, Kewill Transport does not replace the original appointment. Kewill Transport only updates the weight, quantity, olume, and package type that was proided in the data exchange transaction. The exception to this rule is when you change the origin or destination. If you submit a data exchange transaction and change the location, Kewill Transport replaces the original appointment with the updated appointment. Use the Cancel Appointment page to cancel a dock appointment. The top of the page displays shipping data, such as the weight, package type, and dock name. The bottom of the page displays the appointment time window. You can define the following settings on the Cancel Appointment page: Reason Code Select a Reason Code to describe why you are canceling the appointment. 1. Select the Reason Code Group, such as Shipper, Carrier, orweather. 2. Select the Reason Code. Kewill Transport filters the list of codes, based on the group you selected. Confirmation Number As an option, you can change or remoe the confirmation number for the appointment. Notes As an option, you can enter a note to explain why you canceled the appointment. When you are done, click Cancel Appt to delete the appointment. Click Exit to close the page without canceling the appointment. Note: Canceling an appointment does not cancel the order that is associated with that appointment. Finding Orders to Make an Appointment About this task Use the Find Order page to locate an order and then make a dock appointment. For example, you might not know the order number of the order. You can search for the order using the purchase order number. You can then schedule a dock appointment for the order. Procedure To find an order using a reference number, follow these steps: 1. Select the time slot for the appointment in the Docks tab - Day iew. 2. Double-click in the time slot, which opens the Schedule Appointment page. Note: If a message is displayed stating that the SID number does not exist, click OK. 3. Click Find next to the SID Number field. The Find Order page opens. 4. Use the Find feature to locate the order using one of the following entries: Order number Sales order number Purchase order number Optimization run number Ship With identifier SKU number 5. If you do not find the order you want, use the Search and Date features to locate additional orders. 6. Select the order from the search results and click Select to close the Find Order page and return to the Schedule Appointment page. 7. Complete the appointment for the order. Chapter 3.
