2 Ocean State Job Lot (OSJL) is pleased to announce that it has deployed Manhattan Associates Transportation, Planning and Execution (TP&E) software program to manage inbound collect truckload and less than truckload shipments. About Transportation, Planning & Execution: TMS Logistics Software TP&E is transportation management system (TMS) that assists OSJL in managing transportation activities occurring throughout its supply chain. OSJL has deployed this software to gain real-time information and tools that help it plan, optimize and execute inbound shipments. Carriers will receive an alert for each Ocean State Load Tender. Carriers will be directed in this to Ocean State s Logistics Gateway, a private and secure web-based logistics management portal. Carriers will accept or reject load tenders, communicate and exchange information about shipment status within the Logistics Gateway. OSJL has also deployed Manhattan Associates carrier appointment scheduling tool that allows motor carriers and suppliers to easily self-schedule their warehouse delivery appointments. About Appointment Scheduling: Transportation Appointment Management This tool will help OSJL, carriers and increase productivity and level workloads. Our goal is to stay on schedule, unloading all inbound shipments quickly and efficiently. OSJL s Appointment Scheduling Management Tool: Lets carriers and suppliers self-schedule delivery appointments, minimizing time-consuming, error-prone communications by , phone or fax Allows load balancing across OSJL shifts Tracks guard check-in/check-out, measures detention times and monitors load/unload times Appointment times and appropriate resource allocations are system-generated and load times are automatically calculated based on required delivery dates, order content, dock capacity, warehouse capacity and labor requirements. Collect Carriers Doing Business With OSJL Today Start Here: Your company is already loaded in TP&E, and is considered and active carrier if you are currently receiving load tenders, moving freight, billing and getting paid by OSJL for truckload or less than truckload shipments. Please contact edi@osjl.com if you would like to confirm your active carrier status at OSJL. The Inbound Team at OSJL will follow a three step process in TP&E for all shipments before they are tendered to carriers: 1. Optimization: Correct carrier based on quality, service and price 2. Consolidation: LTL shipments combined in two or three stop pick ups 3. Mode Conversion: Correct mode, TL, LTL, Intermodal based on order specifics transit time and cost OSJL will tender shipments to all carriers via TP&E. Carriers will not receive , fax or verbal load tenders from OSJs Transportation team, after June 30, Carriers must retrieve load tenders by visiting OSJL s web portal at 2

4 IMPORTANT NOTE REGARDING YOUR USE OF TP&E: For best results, use Internet Explorer 8 and a screen resolution of 1024 x 768 or higher. If you do not have Internet Explorer 8, you will need to use your current Internet Explorer version in Compatibility Mode. 4

5 Step 2: Go to Step 3: Enter you re your User ID and Password in the correct fields. OSJL will confirm your User ID and Password during your initial training session on TP&E. Please contact for user ID and Password assistance in the future. Then click sign in. Once you have logged in for the first time you can change you Password if desired. 5

6 Step 4: Click on Logistics Gateway in the Upper left hand corner Step 5: Work Web Tenders. You can click on each page to see all web tenders. You can click on a specific load tender to work it. 6

7 Step 6: Apply filters to sort web tenders by various customers that are tendering loads via TP&E to you. You can also sort by web tender status. To work a web tender simply click on the link as noted below. Step 7: Review Web Tender. Note all shipment level detail including ship from, stops in transit, ship to, carrier charges, product classification, handling type (pallets, slips) Carriers can click on the Customer for Contact information. $

8 Scroll down the Screen to See Additional Shipment Details and Event History Comments can be entered - from Carrier to OSJ Accept, Counter or Decline this load tender by clicking on the buttons in the lower right hand corner of the screen. Once accepted, you are responsible to contact the shipper to confirm pick up appointment. 8

9 Step 8: Appointment Scheduling. Please click on the link as noted below to schedule the delivery appointment at OSJL s North Kingstown, RI distribution center. Note: In many cases, you should confirm cargo ready and ship date with the shipper, while you are confirming your delivery appointments with OSJL. Click on Set to Proceed With Appointment Scheduling 9

10 Step 9: Select the desired delivery time and date for this shipment. Please refer to the Ocean State Job Lot delivery reference guide in Appendix C of this document. This reference guide will detail which commodity groups can be delivered on each specific day of the week. It is essential that you enter the actual Bill of Lading number (BOL) in the correct field in the Schedule Appointment screen. If you don t have the BOL number when you are scheduling the delivery appointment, you can copy and paste OSJL s shipment number, which starts with CS, as a placeholder. You must then go back into TP&E, and edit the BOL number field as soon as you do have the correct BOL number. To copy in TP&E, you must hit CTRL + C, to paste you must hit CTRL + V. To back into and edit delivery appointment information, simply follow to information detailed in Step 8 above. Always click SAVE in the lower right hand corner of the screen, when you want to save your information within TP&E. Click on Recommended Time Slots Click on Suggested start date/time and Enter Your Requested Appointment Time and Date. Be Sure To Confirm Destination and Appointment Type 10

11 Step 10: Click on the recommended time slot that works best for you. There will be three delivery options available for you to choose from: Click on the time slot that works best for you, and then click on select. Step 11: Delivery appointment number is assigned to this load. OSJL will approve your request, or suggest an alternate time and date for you to deliver. Please note that delivery appointments are not confirmed, just because you went through the process in steps 8 through 10. Delivery appointments are only confirmed by OSJL traffic, after you have made the request. Appointment number that begins with 790 must communicated by driver at the OSJL Guardhouse upon delivery. 11

12 Appointments Continued: 1. At The Time of Delivery, Your Driver Must Present the OSJL Guard House with the Appointment ID Number As Detailed on Each Web Tender. 2. No Delivery Can Take Place without an Appointment Number Available At the Time of Delivery 3. OSJL Will Not Be Responsible for Per Diem, Storage, Driver Delay, Drop Charges or Any Other Additional Delivery Chare In The Event the Delivery Appointment Number is Not Made Available By Your Driver at The Time of Delivery. 4. Appointment ID Numbers are Required For Live Unloads and Drop Trailers As Well You can manage the delivery appointments for the web tender at this screen. You can select the appointment type (drop, live) date and time. The system will allow additional time for unloading depending on the load characteristics (pallets, slips, floor loaded). 12

13 Click on Generate Shipment Details to create a formatted, printable web tender document. Please note a sample of this document detailed in Appendix A. 13

14 WEB OFFER OSJL may invite you to participate in spot move opportunities through TP&E s Web Offer process. These spot moves can be for one or more truckload or less than truckload opportunities that ship from and to points that are not part of your current pricing agreement with OSJL. You will receive the following alert for all Web Offer opportunities. Simply click on the link to OSJL s web portal, and enter your spot rate for the shipment(s). If selected, you will receive a confirming load tender, with all shipment level details.
