DECD Data Warehouse Instruction Sheet SDW04 Running a Standard Report 24 December 2012 All reports are grouped under tabs. The School tab contains reports that are relevant to the whole school level. The Class/Year Level tab contains reports at the year level or class level. The Student tab contains reports at the individual student level. The table below shows the reports that are available under each of the standard report tabs. Running Standard Reports A screen similar to the one below will appear when you select the School tab (Figure 1). Figure 1: Reports available via the School tab To run your report (i.e. Mean Scores), click on the report link Mean Scores (Figure 1). Each standard report is accessed by a parameter selection screen similar to the one shown below (Figure 2). Select School, Test Year, Year Level and Test Aspect (the mandatory parameters). Making a selection from the other optional parameters is not mandatory. These parameters allow you to select a desired student cohort. If you do not make any selections from these parameters your report will by default run and produce information for all students. Figure 2: Parameter Selection Screen You have the ability to select most reports by one or more test aspects depending on the report. There are a number of ways to select aspects: Data Management & Information Systems v1.5 Page 2 of 6
Click the Select all option below the list box Click on one aspect to select Hold the Shift key down, click on the first aspect and then click on the last aspect required to select a continuous group of aspects Hold the Ctrl key down and select each of the aspects required Click the Select Index Category button. Figure 3: Index Selection Screen After a short time the selected report will appear in a format similar to the screen shown below (Figure 4). Note the Selected Criteria section of the report. This displays the information about the data you selected in the parameter selection screen. Figure 4: Summary Report View Data Management & Information Systems v1.5 Page 3 of 6
Other views of the data can be selected by clicking on the blue buttons at the top of the report. The Show Graph button will present the data in graphical format. The Index of Disadvantage Summary button will display a table comparing data for each of the 7 categories. It will also indicate the category the school belongs to. The Student Results button will display the results for individual students by name. The Students Absent/Exempt button will display the names of the students who were absent or exempt for each aspect of the test. The Change Selection Criteria button allows you to make a new selection(s) and refresh the report. Changing Selection Criteria Screen To change the selection criteria click on the Change Selection Criteria button (Figure 5). Figure 5: Change Selection Criteria Screen Click on one or more of the various radio buttons to make your selection(s) and then click on the blue Refresh Data button. The report will then run and display data for your selection. Closing a Standard Report To close a report that you have open, you only need to click the Back to default entry link in the top left hand side of the report view window. Student Test Booklet A copy of the current year s student test booklet as completed by the student is available for viewing and printing for students tested and students currently enrolled at your school. From the Individual Students folder, select the Student Results report via the Student tab. Select required parameters and click Run Report. Click on a student, e.g. Student 2 (Figure 8). Figure 8: Student Results Report The Student Test Question Summary Report will be displayed. Click on Student Test Booklet (Figure 9). Figure 9: Student Test Results Note: Student test booklets are only available for the latest year. Once the next year s data is loaded the previous booklets will be removed. In the example below the current year is 2011 and booklets for the Year 7 tests for these students will be available. Booklets for the Year 5 test in 2009 for example, would not be available. From the Class/Year Level tab select the Student Results by Class or the Student Results by Year Level report. Select required parameters and click Run Report. Click on the year level link, e.g. Year 7 (Figure 10) Figure 10: Student Results by Year Level Report The Student Test Question Summary Report will be displayed.
