1 INTRODUCTION The following document is designed to help School Social Workers to utilize Infinite Campus in their job functions. We will be looking at four areas of the program. The first area will be the Student Information section. In this area, the user is able to look up: student contact information student enrollment information student grades and transcript information student behavior(discipline) The second area is the Counseling area. The third area is the Behavior area. In this area, the school social worker will be given instructions on how to run behavior reports that will help the school social worker to do their jobs. The fourth area is the Attendance area. In this area, the school social worker will be given instructions on how to run attendance reports that will help the school social worker to do their jobs. STUDENT INFORMATION ACCESSING THE STUDENT INFORMATION PORTAL 1. After logging in, make sure the school year and a school night are correct. 2. Find Student Information in the Index. Click on it to expand the selections. August 16, 2010 Page 1
2 Click on General. The Index column changes to the Search column. Enter the last name of the student that you wish to find. Click the Go button Click on the name of the student that you wish to see. 3 STUDENT SUMMARY TAB There are four areas of information on the Summary tab Person Information, Mailing Addresses, Household Information and Non Household Relationships. This tab is also viewable through the Student Health, Student Counselor and Student Special Education areas. NOTE: The Summary tab is view only. Any modifications that need to be made are done through the Census module. The Person Information area lists the student's person ID, name, race/ethnicity, birth date, gender and the student number/state ID. The GUID (unique identifier) is also listed and is used to access the Portal the first time. The student's picture will appear on this screen to the right hand side. The Campus district administrator manages the importing of these images. The Mailing Addresses area provides a view of the student's mailing address. The mailing address is created and assigned to a household in Campus Census. The address reflected here is the one that is checked as Mailing within Campus Census. Mailing addresses linked through a student's relationship may be listed as Second Mailing. This indicates that the student does not live at this address. August 16, 2010 Page 3
4 The Household Information provides users with a view of the addresses and household phone number associated with the student's household. The Household is also established within Campus Census. The names of the household of which the student is a member appear. The people who have relationships with this student also appear in the Household box. Relationships to people outside of the household (aunt/uncle, emergency contact, daycare provider) appear in the Non Household Relationships box. The user can print out a summary of the information on this tab by clicking on one of the printer icons at the top of the screen. The user may choose to print with or without a picture. ENROLLMENTS TAB The Enrollment tab displays all occurrences of a student s enrollment in the district. Because this is a historical view, this list could be long. By default, the enrollments are listed by grade level first, then by enrollment start date. To reorder the list of enrollments, click the blue hyperlinked headers in the Enrollments Editor list. The list of enrollments can be sorted by Grade, Calendar, Start Date or End Date. When hovering over an enrollment entry, the person who last modified the data will appear in the hover box. 5 NOTE: The Enrollments tab State Reporting area is the primary source of student information that is reported in extracts. Some states may have additional tabs related to State Reporting. Graduation information can be found under the Graduation tab. SCHEDULE TAB The Schedule Tab lists the student s schedule. At the Elementary level, the schedule is not a minute byminute schedule. At Williams, Gray and CCHS, it is a minute by minute schedule. The user can print the schedule by printing on the Print icon. The Schedule tab provides a view for all of the student s classes by term and by period in a specific calendar. The schedule tab shows the course name and course number, as well as the section number. Courses that have been ended will appear with a date below the course. The date will also appear if the student began the class after the beginning of the term. Open class periods will appear with the word EMPTY. August 16, 2010 Page 5
6 A dropdown list located on the left hand side of this tab allows the user to view the schedule in a table format or a list format. The table format can further be narrowed to a specific term; the List format can be grouped by day or by course. Also viewable here is a listing of the school's period schedule, located below the student's schedule. The student's schedule is also available in the Student Health subset as a read only tab. The attendance tab provides summary and detailed information on a student s attendance. The student s attendance tab provides a history of attendance records for the calendar of enrollment. On the left hand side is a term summary, listing the absences and tardies for each period in each term. Also listed is a total course summary of how many times a student has been absent and/or tardy from a particular course. ATTENDANCE TAB The right hand side lists the attendance detail in chronological order, with the most recent event listed at the top of the screen. The attendance records are color coded and are listed with the attendance codes that were assigned to them. Attendance codes are entered with both a Type (absent or tardy) and an Excuse (unknown, excused, unexcused, exempt). The excuse of attendance mark determines the color of the entry. Attendance can only be recorded for periods where the student is scheduled. The Fill Down button will work the same way, but will skip the unscheduled period. To see who last modified the attendance record, view the specific date entry (select the date on the main attendance view to review the complete entry). When hovering over any part of the period row (not the dropdown lists), a pop up window will appear indicating the user and date of the last modification of that record. August 16, 2010 Page 6
7 For more information on this tab see the Looking up Attendance for one Student entry below. PROGRAMS TAB Programs can be used for many things. They indicate to a user that a student has special information on file in the office or that a student belongs to a special curriculum group that is used to track graduation process. There is no limit to the amount of general programs that can be assigned to a student. However, a student may only be in one curricular program at a time. These programs can be assigned a flag, which is the little icon appearing next to the student's name in the header bar above. Only four active flags will appear next to the student s name. A user can see when a program was last modified by hovering over the name of the program in the Program Participation editor. The pop up that appears will show the user s name and the date of the modification. GRADES TAB The student grades tab lists the grades the student has received for tasks that are posted from the teacher's classbook, or tasks that have the potential for going on a report card. At the bottom of the screen are the student's term GPA (honor roll grade) and the student's rolling cumulative GPA, which is a combination of the term GPA and the historical grades from the transcript. For more detail about an individual course, administrators and other authorized personnel can view the status of all work done in a course by clicking on the grade book icon under the course name. This provides the user easy access to the detail behind the currently posted grade. Report cards can also be generated from this screen by selecting the stored report from the dropdown list. 8 STUDENT TRANSCRIPT TAB The transcript is a permanent record of the student s performance in school related only to grades in courses. Transcript entries can be added in two ways: (1) by posting the student grades using the Transcript Post tool in the System Administration module or (2) by manually adding information from the student s transcript tab. This document provides information on how to manually add information to the transcript. The main screen of the transcript lists the courses by the year the course was taken, the score (mark) received, the GPA value given, any bonus points, the GPA weight of the course, the credit that was assigned to the course, and the term in which the course was taken. Also listed are comments that were posted with the grade. The cumulative GPA, the total GPA value that is given to the student, is based on the scores listed on the transcript. It is viewable via the Credit Summary tab and will print on the transcript. Users can see when an entry was last modified by hovering over the course name. The pop up window that appears will show which users last modified it and the date it was last modified. August 16, 2010 Page 8
9 The Credit Summary tab lists the credits the student has received, broken down into specific credit groups. Users can quickly see how many credits the student has received, the student s class rank and the student s cumulative GPA. CREDIT SUMMARY TAB This is a view only screen, meaning that all data appearing on this screen is coming from another area of the product. The credit summary detail comes from the student s transcript information. The cumulative GPA total and the class rank are calculated instantaneously, meaning that if transcript entries are changed, these two items will also change. Credit totals are formatted for three (3) decimal places and will round to three decimal places. By clicking on the numeric value in the Total column for an academic area, the user will see a listing of those courses that are identified as meeting the graduation requirements for that academic area. 10 The assessment tab lists the student's scores for each state mandated and national test. The tests available to score are first entered in the System Administration area of Campus. Schools can list the date the test was taken, the student's percentile, the percent, the raw score, the scale score and the result. By clicking on one of the tests, the scores are listed in the Test Score Detail block. The user can print out a hard copy of the tests scores by clicking on the Print icon. 11 BEHAVIOR TAB This tab provides information on any behavior incident that the student was involved in. The user can print out a summary of the incident. August 16, 2010 Page 11
12 TRANSPORTATION TAB The Transportation tab lists the bus number the student rides to and from school, as well as a student s vehicle information. Bus numbers and descriptions are managed in the system by the Campus administrator. The tab also lists parking information. The District Defined Elements allow the schools to indicate how the student leaves school in the afternoon. August 16, 2010 Page 12
13 FEES TAB The Fees tab lists the fees that have been entered on the student s record, displaying all payments and credits and a total of how much is still due. If the student has reached the maximum fee setting established by the school and/or district, that will be noted when the list of fees exceeds the set maximum. Overdue fees will appear in red. When that item is hovered over, a popup window will appear indicating that it is overdue and the balance due on that item. August 16, 2010 Page 13
14 The Graduation tab contains two editors Enrollment Data and Graduation Detail. The Enrollment Data editor is a read only, autopopulated display of a student's existing enrollment information from the calendar year of the ninth grade. This information is useful when determining the appropriate dates and data to use in the Graduation Detail section. GRADUATION TAB August 16, 2010 Page 14
15 ATHLETICS TAB The Athletics tab is provided for tracking athlete eligibility. The District Defined Elements are the athletic teams that a student is a member. August 16, 2010 Page 15
16 AD HOC REPORTS The Ad Hoc Reports tab lists the reports that involve the selected student. These reports were created in the Ad Hoc Reporting Module. This tab allows the user to generate the selected report for just this student. CONSENT TAB The Consent Tab is a custom tab that lists if a student can not have his photo published, or access the internet. OLD EMERGENCY INFO TAB The Old Emergency Info Tab is a custom tab that lists the Emergency Contact Information that was in TEMS and SASI. August 16, 2010 Page 16
17 ALT ED SCHEDULE TAB The Alt Ed Schedule tab is a custom tab that shows the courses that a student is taking at the Achievement Center. ACTIVITIES TAB The Activities Tab is a custom tab that shows what school activities the student is a member. ISS/OSS TAB The ISS/OSS Tab is a custom tab that totals the number of days a student had been suspended (OSS) or sent to ISS. OUT OF ZONE The Out of Zone Tab is a custom tab that lists whether a student is out of their attendance zone. It includes the Home School, Reason and Date of Approval. August 16, 2010 Page 17
18 COUNSELING ACCESSING THE COUNSELING SECTION 1. After logging in, make sure the school year and a school night are correct. 2. Find Student Information in the Index. Click on it to expand the selections. 3. Click on Counseling. 4. The Index column changes to the Search column. 5. Enter the last name of the student that you wish to find. 6. Click the Go button 7. 20 TEAM MEMBERS The Team Members tab lists all current and previous members of a student's special education team. This team may include special education teachers, principals, counselors, parents/guardians, etc. Options are available to Find and Link a New Team Member, Enter a New Team Member, add a New Counselor and print all team members. Active team members appear in bold text. Inactive team members (those with end dates) appear in non bolded text. When assigning classroom teachers, the dropdown list of teachers now reflects the start and end dates of the course as displayed in the student's schedule. Fields (Find and Link New Team Member) Census These are people who are linked to the student in the Census module. They are parent, guardians, etc. Classroom Teachers These are teachers who teach the student. Advisor Staff These are staff members who have Advisor checked on their staff assignment. 22 DOCUMENTS The Documents tab lists all documents related to the student for the particular area (e.g., learning plans, evaluations, forms, progress reports). Documents are separated into different folders based on calendar year and form type (e.g., plans, evaluations, uploaded forms, progress reports). Single clicking on an item in the Documents list will display the Document Detail editor. This editor provides details related to the item, including created and modified dates and users, name, stored location and comments. Double clicking on an item in the Documents Detail editor will open it. August 16, 2010 Page 22
23 CONTACT LOG The Contact Log provides a place for team members to list when a student was in a conference, when contact was made with a parent, etc. This tab can also be used as a place to track student health information. 27 BEHAVIOR The user is able to access two reports in the Behavior Area. They are: Behavior Event Report Behavior Resolution Report BEHAVIOR EVENT REPORT This report will list the number of events per type. The summary report only lists the count of resolutions for each student. The detail report lists the detail information of each resolution (see the options for Report Type) 1. 33 ATTENDANCE ACCESSING THE ATTENDANCE PORTAL After logging in, make sure the school year and the school name are correct. Find Attendance in the Index. Click on it to expand the selections. Select the function that you need. ATTENDANCE DIALER Currently Colquitt County Schools are not using the Attendance Dialer. ATTENDANCE LETTERS This selection is used to generate attendance letters on selected students. ATTENDANCE WIZARD The Attendance Wizard records attendance for students in the selected school. It also allows users to edit attendance and delete attendance records for any given day of the school year. There are several ways (or modes) to record attendance. Daily marks student attendance for the entire day. Period marks student attendance for the selected period. FIGURE 1 Batch marks student attendance for a range of dates. Edit modifies previously entered attendance information. Batch Edit marks student attendance for a date and time ranges, as well as for a specific period absent. Check In/Check Out marks the student in or out of school based on the time the student arrives or leaves. We will discuss specific examples later in this document. August 16, 2010 Page 33
34 CLASSROOM MONITOR The Classroom Monitor lets the attendance staff verify that the teachers are recording attendance when they should be. This screen gives a list of teachers and departments, the teacher s contact information (if available in Census) and the courses they teach during a certain period. The course grid lets a user know what course it is (course number and section), how many students have been marked absent and how many are enrolled in that section. A RED display indicates that teachers have not taken attendance. A GREEN display means teachers have taken attendance. s can be sent right from this screen by clicking on the envelope link. If hovering over the phone icon, a user will see the teacher's phone number to the classroom. The attendance staff can click on a course link in a period slot and see who is scheduled into the section, and if the teacher has indicated that all students are present. The user can save the attendance from that screen. Any absences entered from the classroom monitor will appear as absent unknown and will still need to be processed with the appropriate attendance code. FIGURE 2 Also available is a print icon so users can print an Incomplete Teacher Attendance report, listing all teachers that have not recorded attendance for the given date. 37 ATTENDANCE REPORTS GENERAL INFORMATION When a report is printed, it is generated as a PDF file. The user can choose to just view the report, save the report or print the report. REPORTS ATTENDANCE DAY COUNT REPORT (DAY COUNT) This report shows all students who have been absent who meet the selection criteria. The report header has the number of students who meet the criteria. Selection Options: Grade (Multiple Grade Levels can be selected) Ad Hoc Filter Date Range Absence Range (For Perfect Attendance place a 0 (zero) in both of the Days of Absence boxes) Calculation Options (Use Daily Approximation) Sort Options: Name Grade and Name Absent Dates How to Run Report: 1. 39 ATTENDANCE/MEMBERSHIP SUMMARY REPORT (ADM AND ADA DETAIL) This report calculates Average Daily Membership (ADM) and Average Daily Attendance (ADA) based on the whole day and half day attendance minutes defined in the calendar or an exact minute setting. The report summarizes the data by student, grade and calendar for the date range entered. 42 ATTENDANCE PERIOD COUNT REPORT (PERIOD COUNT) The Period Count report counts attendance marks that meet the filter criteria by period. Excuse codes count specific values; to count generalized attendance, use the Status and Excuse values. Because this report is based on specific information related to a student's enrollment, a school, school year and calendar must be selected in the toolbar in order for this report to generate. 1. Open the Attendance section in the Index 2. Click on Reports 3. Click on Period Count 4. Select the Grade range 5. Select the Enrollment Effective Date 6. Enter the Start and End date. (Leaving these blank will default to the school year.) 7. Enter the minimum number of days in the Having at least block 8. Enter the maximum number of days in the Having at most block. 9. 44 ATTENDANCE REASON REPORT The Attendance Reason Report counts the attendance by period and days. Blank dates default to the start/end dates of the calendar. 45 ATTENDANCE REGISTER (REGISTER) The Attendance Register report calculates whole day and half day attendance based off the number of minutes defined in the calendar, and displays the result for each day, for each student for a grade level along with a summary of ADA and ADM during that time frame. This report attempts to place all entries within the entered date range on one page. If the number of days selected exceeds this range, it prints all of the selected student s date range first, then the next date range. If the totals cannot fit on the first page with the attendance entries, the totals will appear within their own table. 47 CONSECUTIVE ABSENCES REPORT The Consecutive Absence Report generates a list of absences for the students during an entered date range. Users need to indicate the amount of consecutive days to report. Selection Options: Date Range Active Enrollments Only Grade Level (Multiple Grade Levels can be selected). Selection Options: Date only Sort Options: None It is arranged alphabetically by the teacher s name. How to Run Report: 1. Click on Attendance in the Index 2. Click on Classroom Monitor 3. 52 STUDENT ENROLLMENT STATUS REPORT The Enrollment Status Report displays all enrollment information for a certain student within a certain calendar. If a student is enrolled, and then leaves the district but moves back, both enrollments will be listed on the report.
