Before you Begin Be sure to install RelayFax directly on the server (and not through RDP or other remote means) to ensure that the printer drivers install properly. The RelayFax installation program will ask you a number of questions during the installation process that are required to configure your server. While it is possible to enter this information after installation, you can save time and end your installation with a fully configured server by knowing the answers to these questions before you begin. You will need to know: The drive and directory in which you wish to install RelayFax (the default is C:Program Files\RelayFax) The registered user s name and company The email address that RelayFax will monitor for outbound faxes The default email address that RelayFax will send all incoming faxes to (this needs to be a different address than the one RelayFax will monitor for outbound faxes) Which components to install: o the Server Application and Support Files o the RelayFax SMTP/Fax Client o the printer drivers o the OCR Engine For the Server Installation, you need to know: Your Company name (Example: Alt-N Technologies) The Identification String that you wish to assign to your fax device (this is usually the same as your company name) - in some areas of the world, this string is required by law Your fax and voice numbers The domain name or IP address of your mail server (If you are running an internal mail server like MDaemon, you can use the Internal IP address of that machine. This could also be your ISP s mail server). The logon and password for the RelayFax account on your mail server or at your ISP Before installing the RelayFax server software, you need to install the Windows Fax Service (also known as Windows Fax and Scan) on your server. This may require the Windows CD or other installation source. For the Client Installation, you need to know: The domain name or IP address of your mail server or the ISP s mail server Your email address The email address of the RelayFax mail account 2

Step 1 Begin Install a. Download the RelayFax installer file from: http://www.altn.com/downloads/existingcustomers/#relayfax Select Product Language and click GO button. b. Double-click the RelayFax installer to begin the installation. c. Click Next on the Welcome screen. d. Click I agree to indicate that you have read the license agreement. e. Select a destination directory for the installer to copy files to, then click Next. f. On the Registration Information screen, enter your preferred license name, company name (or distributor), and registration key. If you would like to run a fully functional 30-day trial of RelayFax, then leave the Registration Key field blank. Click Next to continue. g. Select the components you wish to install. By default, the RelayFax server application, SMTP client, and printer drivers will be installed. If you would like to install the OCR printer drivers (see page 15), check the remaining box on this screen, then click Next. h. Click Next on the Ready to Install screen. The installer will copy the files to the destination directory. www.altn.com 3

Step 2 System Service Setup Leave the box checked to install the RelayFax system service. Leaving this box checked allows the RelayFax server to run automatically when you start the computer. Click Next to continue. Step 3 RelayFax Server Setup On the RelayFax Server Setup screen, click Next. We will assume this is a new installation and not an upgrade, so the box on this screen will be left unchecked. www.altn.com 4

Step 4 Company Name and CSID String Each fax device must have a unique Call Subscriber Identification (CSID) string. It is common practice to use either your company name or fax number as your CSID. When two fax devices are negotiating a connection, they make this information available to each other. Enter your company name and fax CSID string, then click Next. Step 5 Fax and Voice Number If you would like your fax and voice numbers to appear on your default cover page, then enter them here. Click Next to continue. www.altn.com 5

Step 6 SMTP Server Information Enter the domain or IP address of your SMTP server, and the port on which email messages are sent (in most cases, port 25). Inbound faxes will be sent to this server for distribution to their intended recipients. Step 7 Configure the RelayFax MAIL FROM value Enter the SMTP MAIL From value that RelayFax will use when connecting to your mail server, then enter the default recipient address for messages whose recipient cannot be determined. The default recipient address must not be the same address as the RelayFax server s email account, and should not be accessed by RelayFax when it checks for new mail to fax out. Click Next to continue. www.altn.com 6

Step 8 POP Server Information Enter your POP server s host name or IP address, port (port 110 in most cases), and POP account login credentials. This is the email address that RelayFax will check for faxes waiting to be sent out, and will be listed in RelayFax under Mail Sources. If you have MDaemon you can check the box on this screen to create a RelayFax account on your MDaemon server. Click Next to continue. Step 9 RelayFax SMTP Client & Printer Driver Setup On the RelayFax SMTP Client / Printer Driver Setup screen, leave the upgrade box unchecked and click Next. This is for the client that resides on the server, and is mostly used for testing only. www.altn.com 7

Step 10 RelayFax Server Email Account Enter your name and email address in the My Real Name and My Email Address fields. Documents printed to the RelayFax printer driver are sent from this address. Next, enter the host name or IP address of your mail server and the email address that RelayFax will monitor for outbound faxes. Then, click Next. Step 11 Contact Manager Select the Contact Manager you would like to use for RelayFax, then click Next. RelayFax and the RelayFax SMTP Client are each equipped with a complete fax contact and address book management system. It can be used to manage all of your contacts, and supports storing a large amount of information for each one. www.altn.com 8

Step 12 Install Complete Select the appropriate boxes to check for updates and/or launch RelayFax. Select Register TIF Extensions to designate RelayFax as the default application for viewing TIF files. Then, click Finish. Your Install is Complete. You are now ready to launch RelayFax. www.altn.com 9

Installing the RelayFax Desktop SMTP Client Before you begin, be sure to install the RelayFax SMTP client directly on the server or client (and not through RDP or other remote means) to ensure that the printer drivers install properly. Step 1 Install RelayFax Desktop SMTP Client a. Download the RelayFax Desktop SMTP Client from: http://www.altn.com/products/relayfax-network-fax-manager/drivers/ b. Double-click the RelayFax client installer on the Windows desktop to begin the installation. c. Click Next on the Welcome screen. d. Click I agree to the Above to indicate that you have read the license agreement. e. Verify the directory for this installation, then click Next. f. Enter your full name and company name in the blanks provided, then click Next. g. Select the components you wish to install. The RelayFax SMTP/FAX client box is checked by default. Check Printer drivers if you would like to install the RelayFax printer drivers, which allow you to send faxes by printing to the printer driver. Check the third box to install the OCR printer driver. Select your default paper size in the drop-down menu, then click Next. h. Click Next on the Ready to Install screen to begin copying the files. 10

Step 2 RelayFax SMTP Client & Printer Driver Setup Click Next on the RelayFax SMTP Client/Printer Driver Setup screen. Step 3 Name, Email Address, and Server a. In the My Real Name field, enter your name. This information may appear on the cover pages of faxes that you send. b. In the My Email Address field, enter your email address. RelayFax will send delivery confirmation notices and notifications of problems with your fax to this address. c. In the My Mail Server Name or IP field, enter the Domain Name or IP Address of your mail server. d. In the RelayFax Email Address field, enter the email address of the RelayFax server. This is the email address to which printed faxes will be sent. The RelayFax server monitors this account for outbound faxes. e. Click Next to continue. 11

Step 4 SMTP Server Information Select the Contact Manager you would like to use for RelayFax. The RelayFax SMTP Client is equipped with a complete fax contact and address book management system. It can be used to manage all of your contacts and supports storing a large amount of information for each one. If your system administrator has specified a shared contact list file, you can specify the path to that file in the blank on this window. When Add Fax Client to Startup Group is checked, the RelayFax SMTP client will start automatically when you start your computer. Click Next to continue. Step 5 Install Complete When Register TIF Extensions is checked, Windows will use the RelayFax Client Viewer to open all TIF documents. Select Finish to complete the RelayFax SMTP Client installation. www.altn.com 12

Sending a Fax via an Email Client Most of the time, printing to the RelayFax Printer Driver from within a Windows application will create a fax. However, it is possible, and sometimes most effective, to simply launch your email client and directly generate a message to be faxed. This is done by composing your email message and addressing it to one of the email accounts that you know RelayFax is monitoring. For example, if RelayFax is collecting all the email messages sent to outboundfax@example.com then sending your message to that address will get it faxed. Several special considerations must be observed in order to use this method of faxing. When you address your email message you can specify just a fax number on the TO: line like this: 555-1212 <faxserver@company.mail> You can also specify the recipient s name, company information, and fax number like this: 555-1212, John Brown, Altn.com <faxserver@company.mail> Note how each part within the quotations is separated by a comma. The format is like this: [Open Quote]FAX NUMBER[Comma]PERSONAL NAME[Comma]COMPANY NAME[Close Quote] If you are using Outlook or another email Client that will separate addresses by commas, you will need to disable this feature within the Email client. Some email clients will not let you place quotation marks in the To field. If this is your case you will need to address your email message like this: TO: 555-1212, John Brown, Altn.com, FaxServer@company.mail Notice the missing quotation marks ( ). How to Fax from the RelayFax Printer Driver With the RelayFax Printer Driver, you can fax documents directly from an application. You can do this by printing the document to the RelayFax Printer Driver instead of to your usual printer. From within your document: 1. Click File. 2. Click Print. 3. Choose the Relayfax Printer Driver. 4. Click the Properties button. www.altn.com 13

5. Click Graphic or Advanced tab. 6. Highlight Resolution. 7. Choose 200x196 DPI. 8. Click OK. 9. Click OK. a. The RelayFax Client will appear. 10. In the Fax To This Number field, type the phone number of the fax machine you would like to send the fax to. 11. In the Recipient s Name field, type the Recipient s name. 12. In the Recipient s Company field, type the Recipient s Company name. 13. In the Comments for Cover Page - (up to 1000 characters) field and small note enter any comments that you would like to include. This field is optional. 14. Click the Advanced tab. 15. Click I Want Confirmation That This Fax Was Sent properly. This is optional. 16. Click the Send Fax button. RelayFax: Installing a modem for use with RelayFax Before you begin, please see our hardware compatibility list here: http://www.altn.com/products/relayfax-network-fax-manager/compatiblehardware/ 1. Install the modem or modems, following the instructions of the modem manufacturer to install the drivers they provide 2. Verify that Windows is recognizing the board(s) in Device Manager 3. Install RelayFax 4. Select the option to start RelayFax during the installation 5. RelayFax will automatically scan the com ports on the machine for modems, and if detected, it will list it (or them) in the left hand pane under Fax devices 6. Dialogic (formerly Brooktrout) Trufax modem boards require a driver package provided by Alt-N Technologies. To use a Trufax board, download the Brooktrout drivers from our site, and follow the readme provided with the installation to configure the board. Brooktrout Drivers can be downloaded here: http://files.altn.com/relayfax/release/rfbt_en.exe OCR (Optical Character Recognition) Optical Character Recognition (OCR) is a technology that functions much like a printer in reverse.
