5 1 Introducing Cleo Streem Fax Cleo Streem is a Microsoft Windows-based fax processing platform that provides a complete range of advanced voice and fax capabilities. This guide focuses on the fax capabilities of Cleo Streem, which we refer to as Cleo Streem Fax. These features include: Fax/ integration - allows you to send a fax via using Microsoft Exchange, Lotus Notes, GroupWise and any SMTP compliant system. Fax messages - allows you to fax the same document to multiple destinations or multiple documents to multiple destinations. Fax from print driver - allows you to send a document to a fax destination as if you were sending it to a printer. Support for faxing from MFPs - allows you to use Cleo Streem to process faxes originating from MFPs (Multi Function Printers.) System monitoring and operation are handled centrally, from anywhere on the network, using the Cleo Streem graphical user interface. Technical Support To request technical support: Use the request form at: Call the automated support line at CLEO(2536) or Cleo Technical Support is available from 7am - 7pm Central Time, Monday through Friday. Requests are handled on a callback basis in the order they are received. The Cleo automated support line or web form will collect your information and your request for support will be placed in our callback queue. A support subscription is required to work with a Cleo technical support analyst. You can find information on Cleo support options at: To ensure your support process goes quickly and smoothly, note where you are in the setup or installation process. 7 2 Faxing with Cleo Streem from your desktop With Cleo Streem Fax, you can send, receive, print, archive, and track faxes quickly and easily from your desktop. Cleo Streem Fax integrates with virtually any to send and receive faxes electronically. Cleo Streem Print enables you to send faxes as if you were sending a file to a printer from your favorite desktop application. Send a fax from your client You can use Cleo Streem Fax to send a fax from your client. While details of sending a fax depend on the client, the basic steps remain the same across clients. 1. Open your client and create a new message. 2. Specify recipients. Use either of the following methods. Type one or more recipient fax numbers in a semicolon-separated list. The format you use to enter fax numbers depends on your client. See Fax number format on page 7. Select recipients from an address book. 3. Type a subject in the Subject field. 4. Optional - Type a message in the body of the . This message will be a note on the fax cover page. 5. Optional - Add attachments to your fax. The procedure for attaching files depends on your client. 6. Click Send. Your recipient receives the cover page first, followed by your main document, and then any attachments in the order you attached them.. After your recipients receive your fax, you receive a confirmation . Fax number format To send a fax from your client, you must specify a fax number in the To field. The format you use to specify the fax number is specific to the client. Outlook For Outlook, use this format: [Fax:fax_number] Use semi-colons to separate multiple fax numbers. For example: [Fax: ];[Fax: ] 7

8 8 Users Guide Lotus Notes For Lotus Notes, use this format: GroupWise For Groupwise, use this format: Sending a fax from your desktop application With Cleo Streem Print, you can send a fax from any desktop application you can print from. Configuring Streem Print If you are a new user, use the Cleo Streem Print Preferences to configure Cleo Streem Print. On the Cleo Streem Print screen, go to Files > Preferences or press F5 to open the Preferences dialog box. There are four tabs where you specify your preferences: Cleo Streem Center Connection Cover Pages Templates Options Cleo Streem Center Connection You specify information your Cleo Streem Print application needs to connect to the Cleo Streem server. Field Name Default From Name From Address Default "Browse" Folder Inbox/Outbox Username Inbox/Outbox Password Override Global Settings Cleo Streem Server IP Cleo Streem Server Update Port Description The name entered here appears on the cover page as the person the fax was sent from. The address entered here receives fax receipts and confirmations. The folder that opens by default when you choose to select a local file. For example, when you click Attach, file browsing starts in this folder. Your Cleo Streem Notify login. Your Cleo Streem Notify password. Select this check box to overwrite the Cleo Streem Server IP, update port, and FTP port. You can also test a connection to verify the fields are correct. This field is enabled when you select the Override Global Settings check box. Use this field to specify the IP address Cleo Streem Print uses for the Cleo Streem Server. This field is enabled when you select the Override Global Settings check box. Use this field to specify the port Cleo Streem Print uses to connect to the Cleo Streem Server update service. 9 Cleo Streem Fax 9 Field Name Cleo Streem Server FTP Port Description This field is enabled when you select the Override Global Settings check box. Use this field to specify the port Cleo Streem Print uses to connect to the Cleo Streem Server FTP service. Cover pages You specify information your Cleo Streem Print application uses to implement the right cover page. View the list of available cover pages and information about each one, and add, edit, and remove cover pages from the list. This is the information displayed for each cover page. Field Name Default Description File Name Description Indicates whether this cover page is the default. Displays a general description of the cover page. Displays the file name of the cover page. These are the operations you can perform on your cover page list. Add - This button opens the Add New Cover Page dialog. Browse to or specify an.rtf file, specify a name for it, and then click OK. Edit - Enabled when you select a cover page in the list, this button opens the Add New Cover Page dialog and populates it with information about the selected cover page. Update the information as needed and then click OK. Remove - Enabled when you select a cover page in the list, this button immediately removes the selected cover page from the list. Open - Enabled when you select a cover page in the list, this button opens the selected file in a text editor or word processor. Set Default - Enabled when you select a cover page in the list, this button sets the currently selected cover page as the default. Templates You can rename existing templates or remove templates from this list. Remove - Removes the selected template from the list. Rename - Opens a dialog box where you can rename the selected template file. Options Use the Options tab to set miscellaneous options. Reset Clear button - Overwrites any setting you may have had for the Clear button. This is useful if you previously selected the Always use this selection when I press the Clear button check box. Import previous version of Cleo Streem Print address book - Allows you to import an address book from the previous version of Cleo Streem Print. When you start Cleo Streem Print for the first time, you are prompted to import the address book. This is a way for you to manually import the address book. When you click Import, Cleo Streem prompts you to browse for you address book file as a file with a.dat extension. Automatically close Cleo Streem Print after successful fax - Select this check box to have Cleo Streem Print close after a fax has been successfully submitted to Cleo Streem. 10 10 Users Guide Send a fax using Cleo Streem Print You can use Cleo Streem Print to send a fax either directly from the document you are currently working on or by invoking Cleo Streem Print. 1. Open Cleo Streem Print. Do either of the following: If you are working on a document you want to fax, when you are ready to fax it choose Print from your application. Your application's Print dialog box appears. In the Name section of the Print dialog box, choose Streem Print from the drop-down menu, and then choose OK. Otherwise, double-click the Cleo Streem Print icon on your desktop. A Cleo Streem Print dialog box appears with your name and address in the From field. 2. Specify fax recipients. Use either of the following methods. Type one or more recipient fax numbers in a semicolon-separated list. Use the following format to enter fax numbers: name@fax_number Click the To button to select numbers from an existing address book. Optional - Click Edit to update your address book. Optional - Click New add a contact to your list. 3. Optional - Work with attachments to your fax. Attach a file - click Attach, browse for the file, and select one document at a time. Remove a file - click Remove. View an attachment - Click Open. Change the order attachments are faxed - Click on an attachment and click Move Up or Move Down. 4. In the Subject field, enter text that you want to appear as the subject on your cover page. 5. Optional - If you want to use a cover page other than your default, choose one from the Cover Page menu. 6. In the Reference No field, enter a number to be used throughout Cleo Streem as the reference number for this fax. 7. In the Cover Notes field, enter any text that you would like to appear as notes on your cover page. 8. Choose the day and time you would like to send the fax. Alternatively, select the Save on Close check box to save what you typed and the files you attached. 9. Click Send. Your recipients receive the cover page first, followed by your main document, and then by any attachments in the order you attached them. After you click Send, Cleo Streem confirms that your fax has been accepted for processing. After your recipients receive your fax, you receive a confirmation . View fax history You can view information for any fax you have sent using Streem Print. 1. Select History from the Cleo Streem Print menu bar. The History window displays a list of recent fax jobs. 2. Click a fax job from the list to select it and then click Open. The fax opens in the Cleo Streem Print main window. 11 3 Faxing with Cleo Streem from your MFP hardware With Cleo Streem Fax, you can send a fax from your Xerox multifucntion printer (MFP) through the Streem server. By sending faxes from your MFP using the Streem fax application, you can take advantage of Cleo Streem's contact management and processing. To begin, go to your MFP and select the Cleo Streem application from the Services Home or Services menu. Sending a fax from your Xerox MFP With the Cleo Streem Fax application, you can send a fax from your Xerox device through the Cleo Streem server. 1. Specify to whom to send the fax. Do either of the following: Add recipients on-the-fly. Click the Keypad tab, enter one or more fax numbers (separated by commas, asterisks, or pound signs), and then click Add. Add recipients from your list of Cleo Streem Notify contacts. Click the Contacts tab, select a contact or contact group, and then click Add. Optionally, you can search your list of contacts: 1. Click in the Search text entry box to display the keyboard. 2. Enter your search criteria, and then click Save to return to the Contacts tab. 3. On the Contacts tab, click the Search button to perform the search and display the results. Note: You can only select and add one contact at a time. 2. Optionally, edit your Send To list. a) Click Edit to open an editable version of your Send To list. b) Select a recipient and then click Remove Selected. Continue selecting and removing recipients as needed. Alternatively, click Remove All. c) When you finish editing your Send To list, click Done to return the previous tab. 3. Click Send to send the fax. Specify Cleo Streem Fax options You can specify how you receive confirmation messages from Cleo Streem when you send a fax and one- or twosided scan mode. There are two options for receiving fax confirmation notifications: print and . Click the Options tab and select an option. If you are logged in to the MFP, the default is confirmation option is . 11
