Deployment Modern, modular and straightforward A number of factors influence a deployment programme economics, time constraints, IT technology concerns and all of these have come up in discussions with Forces. Capita s solution delivers flexibility, rapid return on investment and the ability to phase deployment to meet the needs of the customer whilst ensuring that initial investment decisions are taken with the customer s full vision in mind. By supplying standalone recording devices that are state-ofthe-art from day one with full network capability, a force can be assured that its initial purchase from Capita can be used as a firm foundation to expand the solution to include the wider, multi-media capabilities of the EvidenceWorks suite as and when the requirement, network and/or budget is available. Capita s technology is flexible enough to meet the needs of all forces be it a straightforward replacement for analogue recording devices in a custody interview room or in the more sensitive areas of victim or vulnerable witness suites. The rugged hardware can be supplied and located within the room or used to record and control recording remotely. The software can also be deployed on a standard PC or a touchscreen to reduce the visibility of the recording activity or on a laptop to provide a portable option. The Recorder is also screened and tested to ensure that there is no interference from any TETRA radio devices that may be worn by officers when conducting interviews. The flexible deployment architecture supports the growth of the solution with no big bang impact; minimising training needs, operating in line with force IT policies and with regard to the capability of the force network. If required the solution can be readily integrated with existing networked storage solutions and can be used within a clustered or virtualised environment. Working with its customers Capita can provide extended services to undertake the survey of existing IT and network equipment to generate and agree roll out plans, options and phases. 3
Process support Benefit-driven and flexible The business case for the migration from analogue recording to digital recording is driven by the need to remove a number of costly elements within a lengthy business process; technology obsolescence, administration costs, delays incurred due to physical transportation, mislaid tapes, delayed access to recordings, poor audio quality and the re-keying of data. Capita s unique, integrated solution delivers improved business process efficiency through: Flexibility of use in Custody or Public Protection suites or as a portable device Reduced re-keying due to links to Custody and Case applications Instant access to recordings across the network Automated pre-population of MG15 templates using captured business information during the transcription process Remote monitoring of live interviews Streamed across the force network Direct connection to standalone devices No mislaid recordings Flexible resource usage Location independent working Potential for single typing pool Redeployment of tape admin staff The introduction of digital recording technology as a one-to-one exchange for failing analogue systems will deliver a small Return on investment (ROI) and is the most significant area of capital cost associated with a deployment programme. However, by adding the networked and uniquely integrated capabilities of the Capita solution this ROI will be increased many-fold due to the transformation of key processes within the Custody environment and the post-interview processing of information and transcriptions. Capita s solution delivers flexibility, a significant ROI and the ability to phase deployment to meet the process transformation and change management needs of the customer whilst ensuring that initial investment provides a firm foundation for future expansion to meet the strategic vision. Service Exceptional Once deployed, Capita s solution is provided with a number of features to enable a Force IT department and its System Administrators to readily manage the distributed estate of recording devices using a Central Management tool. With access through role-based security controls, each recording device attached to the network can be remotely accessed and managed in terms of its configuration settings, alarm management and centralised software upgrade distribution. If a unit needs to be removed from the network for maintenance or replacement the new device can be easily configured with the same settings from this central point; saving time and cost and avoiding disruption to operations. Capita also recognises that support and service must be cost effective. For this reason, Capita offers a range of support options at extremely competitive prices ranging from application support through to a full managed service. All are supported from the UK within a secure environment by staff with accredited police clearance. All the recording device hardware is provided with a standard 1 year warranty extendable to 5 years if required. Whatever choice a Force makes, it can be assured of access to a dedicated UK service desk and pool of Service Level Managers to ensure service provision is of a consistently high standard. Futures Extensible By investing in EvidenceWorks IRS, a customer is not just purchasing market leading technology - Capita has a reputation for working in partnership with its customers to ensure that solutions are not one-off deployments. UK Forces are challenged with gathering, securing and managing digital media such as CCTV (including third party), digital audio from radio and telephony sources and digital video from many sources including in-vehicle or Body Worn Video (BWV). EvidenceWorks IRS is not just a stop gap solution to meet the pressing need to migrate from analogue to digital. As part of the EvidenceWorks suite the solution can be extended to provide a complete Digital Evidence Repository for the ongoing storage, management and analysis of any and all digital evidence components.
