Bluetick LMS General Release 1.1.5 New Additions / Enhancements / Fixes The following is a list of noteworthy changes that were made in the GR 1.1.5 version of the Bluetick LMS system released the week of 2/25/2013. Additional changes were made that are not listed in this document. These include mostly cosmetic modifications and minor issues / enhancements performed throughout the site. Accounting Bug fixed under Accounting > Check Runs > Ready to pay > Create Check Run where payments that were made directly to an associate were throwing an error. Fixed: Locate Payment, navigation to next page link broken Sorting in Payment List fixed Fixed: Locate payment not displaying payments made directly to Associates Mileage rate extended to allow for three decimal places Calendar button on Add Payments was broken, now fixed Agreements Copy agreement provisions error was fixed Print agreement exhibit created (found on View Agreement) All Locate Pages Admin Tools A new feature was created that will store the Default Number per Page per user. When you change the Number per page on any Locate page, it will store that as part of your user profile and use that same number on subsequent visits to that and other locate pages. Project list was modified to include additional columns Billing Task creation added (for time and expense) Expense Type creation added (for time and expense) Edit project extended to include additional fields Status upgrades were made allowing for assigning colors and letters within colored areas of status Contracts Contract reports were updated to include multiple lessors on leases Additional fields were added to filter selection for Contract reports Reverse calculation was added to calculate bonus per acre/lot/hole/mile when the total amount is changed. Dates Dates in the far future were not allowed previously since we were using a 32 bit time stamp. This has been extended to use a 64 bit time stamp value so the system allows for dates way in the future
Scans A new main menu section was added called Scans. This allows you to list all scan documents in a project, search and sort and view and edit right from one screen. The biggest part of this additional is the ability to add scans to multiple contracts, tracts, permits, etc. at one time where this has not been possible before. Status Added CCS Company Contract Status this is the Status of the lease on a tract OCS Outside Contract Status this is used to flag a tract as having a competitor lease attached LOS Land Owner Status this is the status of the ownership of a tract by an associate (deceased, transferred) SPS Spacing Pooling Status this is the status of a Spacing or Pooling of a tract and associate These status can be created and managed in Admin Tools Status Tracts New Field added to tract: Reference # Copy ownership error resolved Scanned documents were modified on the View Tracts page as follows; above the list of Associates there will now appear a list of pdf icons for scanned docs that are attached ONLY to the Tract being viewed. In the list of owners of a tract there will be one pdf icon for any scan that is attached to both the tract and the associate in that row. If there are more scans for that associate and tract, hovering over the pdf will tell you that there are more and how many. This concept was repeated on the view associate page. Tract Ownership The tract ownership report (found by clicking the link above the list of owners on the view tract page) has been updated to include an option for a map, print to web or MS Word, and also additional columns for lease and recording information. Note: click the printer icon on the top of this report to clean up map layers for printing. Time & Expense This section was completely revamped: it now forces separation of Time, Expense and Mileage. Each section requires a Project to be selected to bill to. For Time items, a Billing Task should be selected (ex. Abstracting, Running Title, etc.). There is an administrative tool found in Administration >Admin Tools called Billing Tasks that should be used to populate the Tasks to bill to for your company. Similarly, there should be an Expense Type selected on the Expense items (Hotel, Meal, Copies, etc.) and there is an administrative tool under Admin Tools called Expense Types that should be used to populate that list. Mileage Rate is found in Admin Tools >Company and also under Admin Tools > Project. If a rate is present for the project, that rate is used for calculating mileage when that project is selected. Otherwise the default is to the mileage rate defined at the company. User s day rate and billing rate are set in the user management page both for the user and for overrides for each project. Day rate is always used first if present while project rates override user rates for pay. Billing Tasks are allowed to have a rate associated with them and will be used if set overriding anything the user enters. Expense Types are allowed a rate associated with them but are used as a max (or to not exceed this value). The user is allowed to enter a value for their expense that does not exceed what has been assigned to that Expense Type. Both Billing Tasks and Expense Types have overrides at the project level and can be found on Admin Tools > Projects >edit a Project Approvals have been added to Time and Expense as well and can be triggered at the company level by selecting the Require Timesheet Approval option under Admin Tools > Company Edit Company. If set to yes, all timesheet will require approvals. There is a project level setting as well and only applies when the company setting is set to No. By setting this value to yes at the project level, that project will require approvals and thus any timesheet with a time, expense or mileage item included on it that is attached to that project will require approvals. With no approvals selected and the user submits his timesheet, it automatically is packaged with attached documents and is emailed to whoever is designated (in user management) to receive submitted invoices. Approvals work as follows: The user submits the timesheet and it is packaged and sent to all managers that are set as project manager in the edit project page for each project that is included in the timesheet. The email tells them to come to the site and review the timesheet. There is a checkbox icon for them to approve the timesheet. Once all managers have approved, an email is sent to Accounting (those that are set to receive submitted invoices) and they must come to the timesheet and approve as well. We will demo this section for you upon request.
Appendix Internal Track Tickets Along with the Ticketing system Bluetick provides its clients at http://support.bluetickinc.com, an additional Ticket management system is used internally. Our practice is to type the ID number of our internal ticketing system into the tickets that you create as a reference for us back internally. Following is a complete list of the internal tickets that we created and completed during GR 1.1.5 including their internal Ticket ID. You can use that Ticket ID as a reference inside your tickets.
