The Medicare EDI Gateway allows for secure transfer of information for EDI trading partners via a Network Service Vendor (NSV). All transfers via this network will connect to one server. A web browserbased interface provides our customers with an easy to use, graphical interface to assist in the upload and download of files. For users who would like to script their files transfers, an SSH FTP client will be required. An SSH Client is NOT provided or recommended by WPS. WPS does not provide technical support to SSH FTP users. WPS does not allow any form of unsecured FTP. This document also assumes that you have already established connectivity to the Medicare EDI Gateway through a NSV and that the NSV is aware of your desire to connect to the Medicare EDI Gateway. If you need to find out more about NSV, a complete list of vendors is available. Transferring files with a graphical interface Perhaps the easiest way to transfer files is through the web browser-based graphical interface. This method offers a very easy to navigate point-and-click means by which to upload and download files. The following assumes that you are already connected to the Medicare EDI Gateway network and that your NSV has configured your connection to enable you to connect to WPS. Connecting From your computer, open your web browser. In the address bar, enter the address https://69.222.73.69/ You may be presented with a certificate message. Click OK. You should then see a screen similar to this: Page 2 of 11
Your Username is your Submitter ID. In most cases, this is a 4 to 9 digit alpha numeric or 5 digit number. Your Password was assigned by WPS EDI Staff. Once you ve entered your Username and Password, click Sign On. If this is the first time you ve connected, you ll be required to change your password. Enter your new password and click Change Password : NOTE: If you would like to change your password before it expires, there is an option to do so under the Account Options link near the top right corner of the page. You are now brought to your Home screen. This is where you ll normally be taken after you log in. The appearance may be somewhat different if new files are waiting to be downloaded or if your wizard is not installed. This page is also referred to as your HOME PAGE and is recognized by the Blue Home Page 3 of 11
icon ). Uploading EDI Files Using the Upload Wizard NOTE: If this is your first time connecting to the Medicare EDI Gateway, then the Wizard is NOT enabled. Clicking CLICK HERE to Launch the Upload Wizard (bottom of the screen) will download the wizard and install it. If you are using Internet Explorer, you may choose to use an ActiveX or Java version of the wizard. If you are using a different browser, the only option you will have is to install the Java wizard. Along the bottom of the screen shot above, notice the section labeled Upload a File Now. From the dropdown list, choose Test-Send to send TEST files or choose Prod-Send to send Production files. You will not have the ability to send production files until you have been approved for production claim submission. Now, clink CLICK HERE to Launch the Upload Wizard. This link will attempt to run an ActiveX or Java (depending on your web browser) application that the Medicare EDI Gateway will use for transferring files. The wizard is not required, but many find it easier and faster to use the wizard to transfer files. The wizard allows you transfer several files at one time. The wizard also gives you the option to zip (compress) your files before they are transmitted. Zipping files will greatly reduce the amount of time it takes to transfer the file. If you ever have concerns about the Wizard, there is an option in Account Options to change the wizard status. If you previously disabled wizard, go to Account Options to reactivate. Once you ve launched the wizard, you ll a get a box that looks similar to this: Page 4 of 11
You can add files to this box via two methods Click Add File to bring up a file dialog box where you browse to the folder that contains your files. Selecting your files will list them in this box. If you have files in several locations, repeat this process until all files are listed in the box. You can drag and drop files into the box (the white portion). Once you ve selected all of your files, click Next >. You ll see this screen: This box gives you the option to upload your files individually, or have them zipped into one file. Zipping a file(s) can greatly speed up transmission time as typical claim files compress to about 10% of their original size. If you choose to zip your file(s), the screen changes to include an Upload As: field. This field is used to enter a filename for your zip file. A default filename of Upload.zip will be entered. WPS highly recommends that you choose your own unique filename! IMPORTANT NOTE: Your File Name Should Be Your Submitter ID (User ID) Followed By ".Dat" Or ".Zip". For example, if your User ID is 99999, you should key <99999.DAT> or <99999.zip> and press <enter>. Page 5 of 11
Example: The Notes field is strictly optional and is not used by WPS. Whether or not you choose to zip your file, click Next > to send your file(s). When your upload is complete, the box will disappear. The main screen will show a confirmation message across the bottom. Page 6 of 11
Uploading EDI Files Without the Upload Wizard If your wizard is not enabled, your Home screen will look something like this: Select Test-Send to send TEST files and choose Prod-Send to send Production files. You will not have the ability to send production files until you have been approved for production claim submission. Click Browse to bring up a file dialog box to use to browse to the file you wish to upload. Select your file and click Open. The path and file name will now appear in the field to the left of the Browse button. Click the Upload button to send your file. The Enter any applicable notes: field is not used by WPS. Feel free to send zipped files. Typically, a zipped claim file will be roughly 10% of the file s original size. This will greatly reduce the amount of time it takes to transmit your file. One zip file may contain several individual claim files. If you choose to zip your file(s), the screen changes to include an Upload As: field. This field is used to enter a filename for your zip file. A default filename of Upload.zip will be entered. WPS highly recommends that you choose your own unique filename! Page 7 of 11
IMPORTANT NOTE: Your File Name Should Be Your Submitter ID (User ID) Followed By ".Dat" Or ".Zip". For example, if your User ID is 99999, you should key <99999.DAT> or <99999.zip> and press <enter>. Downloading EDI Files Whether the wizard is installed or not, the process of downloading files is essentially the same as the upload process. You ll notice the check boxes down the left side. If you want to delete several files, you can simply check the boxes for each unwanted file and click the Delete button toward the bottom of the page. If the wizard is installed, a fourth button, Download, will be available to the right of the Move button. This will allow you to download all check files at one time. This can be especially handy if you have a lot of files to download.
