OVERVIEW SENDING EMAIL WITH ENTRAPASS CORPORATE EDITION The SmartLink option in EntraPass Corporate Edition can provide Security Administrators powerful automated monitoring tools. One of the most useful features of the SmartLink, consists of creating SmartLink instructions that will send an email to a pre-defined recipient, for a pre-configured alarm such as a door forced open or a card traced event. REQUIREMENTS EntraPass Corporate Edition system (Server & Workstation) Installed and registered SmartLink feature (on a different computer than that of the Server) A permanent connection to the network on which the Microsoft Exchange Server or Internet SMTP server is located. An SMTP based email application such as Microsoft Outlook or Outlook Express installed on the same computer as the Smartlink. This is used for testing purposes only and is not required for the Smartlink to function A SMTP (Simple Mail Transfer Protocol) mail server s name, port, account information, and password. Example of a company s exchange server: Email server and port: MYEXCHANGE25 Example of an ISP s mail server: Email server and port: SMTP.MYISP.COM25 Note: Most SMTP (outgoing) mail ports are port 25. Please obtain the information below from the System Administrator: Test Email Address: Email address to which alarms will be sent: Incoming mail Server (POP3): Account Name: Account Password: Outgoing Mail Server (SMTP): Outgoing Mail Server Port: Note: The SmartLink email application will not work if the outgoing (SMTP) mail server requires authentication. TESTING THE SMTP CONNECTION SMTP 1. Before starting, please have the Systems Administartor configure Outlook or Outlook Express with the Email settings and have them verify that the accounts are functional. 2. Run the Outlook software and send an email to the email address that was supplied to you. Once it has been sent, it should appear in the Inbox. If it does not, Press F5 (the Outlook screen must be the active window) which will immediately send and receive emails. 3. If the above test did not work, contact the Systems Administartor before continueing. 4. Proceed with the instructions below using the test email address. This will allow us to send the emails to yourself (you must be running Outlook to recive them) so that you may verify that you have properly configured the events and instructions. Once you are satisfied with the results, you may go back into the Instructions and change the email address to the proper email address Page 1 of 6

ASSIGNING THE INSTRUCTION Figure 8 VERIFYING THE OPERATION OF THE SMARTLINK 1. Login to the SmartLink application. 2. Select Show Information. 3. The SmartLink information screen will appear. As events that generate emails occur, the email instructions will be displayed, confirming that the SmartLink application and Events have been properly programmed. 4. You should receive the emails on Outlook. 5. Once you are satisfied with the format and contents of the emails, go back into the instructions and change the email address to the desired recipient.
