Part II- Vendor Agreement 1. Payment: All vendors fees of fifty dollars ($50.00) are due NO LATER THAN FEBRUARY 25, 2016 by certified cheque or money order payable to Georgian College. 2. Refunds: Fees are non-refundable and must be received by the due date. If payment is not received by this date the space allocated will be voided. You will be contacted by email. 3. Compliance: If a vendor does not follow any of the policies or procedures outlined in the Vendor Booth Policies and Procedures document, The Pow Wow Vendor Committee reserves the right to dismiss a vendor from future Pow Wow participation as a vendor, with no refund provided. Adequate warning at the discretion of the Pow Wow Vendor Committee shall be given before any action is taken. 4. Water Usage: Water usage in the Athletic Centre floor is strictly prohibited. 5. Propane: Propane and any other combustible substances are strictly prohibited within the facility. 6. Open Flame: Pyro, open flame, smoke machines and confetti canons are prohibited within the facility. 7. Air Cylinders: Compressed air cylinders are strictly prohibited within the Athletic Centre or any buildings on Georgian College s campus. 8. Motorized and Non-Motorized Equipment: The facility restricts the use of any motorized and non-motorized equipment, including ladders, lifts, scaffolding and forklifts. 9. Tapes/Adhesives: All tapes or adhesives on walls, flooring, ceilings, railings and doors are prohibited. Masking tapes, clear tapes, packaging tape, duct tape are all prohibited from use in the Facility. Any equipment, display booths or material that may damage floor is required to be placed on ¾ rubber matting to prevent damage to floor. Items should be inspected by facility staff prior to placing on floor to determine if underlay runner is required. 10. Holes: You may not: drill holes, insert nails, screws, hook or push pins or attach anything including promotional materials, decals or such items without written permission from Georgian College Conference Services fourteen days prior to the event. 11. Balloons: Helium filled balloons and other inflatable devices are permitted only with written permission from Georgian College Conference Services fourteen days in advance. Page 2 of 6
12. Accidents: All accidents and persons requiring first aid MUST report incident to athletic department staff and complete an incident report. 13. Garbage Removal: Garbage containers are not provided for individual booths. IF necessary, prior arrangements must be made. Exhibitors are responsible for removal of all extra promotional material at end of event. 14. Indemnification: Vendors shall pay all costs and fees arising from the use of patented, trademarked, copy written or franchised materials, devices, processes, music and other rights in connection with the event. The vendor shall indemnify and save Georgian harmless from any and all claims, damages, costs or expenses, including legal fees, suffered or incurred by Georgian College in connection with their participation in the Pow wow. 15. Signage/Display Material/Advertising: Any placement of signage or promotional materials outside of the Facility or the function room must be first approved by Georgian College Conference Services. Tape and or pins will not be allowed to hang signage. The applicant will be charged for repairs, should damage to wall occur due to hanging of signage. The Vendor should obtain the agreement of Georgian College Conference Services for the posting of posters, logos, flags and other forms of advertising. 16. Food and Beverage: No food and beverage may be sold in the facility or on College campus, unless written permission in advance from Georgian College Conference Services is received. Page 3 of 6
PART III-Rental Agreement for Vendor display space Terms and Conditions 1. The vendor agrees to indemnify and save harmless Georgian College from all claims, demands, suits, actions, causes of actions and other proceedings occasioned by or attributable to anything done, or omitted to be done by the vendor in connection with this contract or the performance of this contract. 2. Georgian College will not be responsible for personal injury or damages nor theft or loss of equipment, goods or products of the vendor. 3. Cancellation Policy- less than 14 days notice there will be no refunds. 4. Transportation of goods to the College is the responsibility of the vendor. 5. There is no space available to store goods overnight at Georgian College. Force Majeur 1. General: In the event of the inability of Georgian College to provide the facilities and services as contemplated under this agreement for reasons beyond its control, including, but not limited to, strike, pandemic, disaster and fire, the obligation of Georgian College to provide the facilities and services as contemplated herein shall be at an end and Georgian College shall have no liability or obligation in respect thereof excepting for the return to the Vendor of any deposit monies paid to date by the Vendor. 2. College Closure: For greater certainty and without limitation to the provisions set out under Force Majeur 1 above, the vendor acknowledges and agrees that the obligation of Georgian College to provide the facilities and services as contemplated under this agreement shall be at an end in accordance with the provisions set out under Terms and Conditions 1 above. In the event of the closure of the Barrie Campus in which the facilities are situate by reason of inclement weather conditions or other causes as more fully detailed within the unscheduled college closure procedures of Georgian College of which a cope is available upon request by the Vendor. PART IV- Policies and Procedures Arts and Craft Pow Wow Vendors Welcome and thank you for your interest in and support of Georgian College 11 th Traditional Pow Wow. 1. The Arts and Craft Pow Wow Vendor must be the producer of the items being offered for sale. (80% HANDMADE with the exception of beads, CD s, printed books and leather this all must reflect the integrity of the First Nation, Metis and or Inuit lifestyle and culture). 2. No imports, dealers, commercial items, kits or food items. The Pow Wow Vendor Committee reserves the right to reject any application, which does not conform to the committee standards for creativity and originality. 3. All Arts and Crafts Artists, including past participants must submit 3 photos of their work and their exhibit display either as hardcopies or digital copies. Please note photos will not be returned. Vendor Code of Conduct 1. Vendors shall abide by all Georgian College Policies, procedures and decisions put forth by the Committee 2. Vendors shall act in a courteous and respectful manner at all times. 3. Vendors shall move their vehicles out of the loading dock areas before assembling their booth. Conversely, a vendor booth shall be completely disassembled before bringing a vehicle into the loading dock area. 4. Vendors shall not make booth use agreements with other vendors. 5. Vendors shall not use or condone any profanity or obscenity or vulgarity implicit or explicit, crafted, written, spoken or presented in any form or language. Georgian is an educational institute who is celebrating in the spirit of the Pow Wow/Traditional Gathering with our communities. Vendor Load-In is from 8:00am-9:30am Rain or Shine 1. Please be sure to arrive as close to your scheduled arrival time as possible. Because there is not enough room for all vendors to arrive and unload at the same time, we will notify you in advance with your time. This will allow 20 minutes for unloading. Volunteers will be available to assist vendors who would like to have some extra assistance to unload their vehicle and park their vehicles. 2. The best way to arrive on site is through the Duckworth Street and Bell Farm Road Entrance onto Georgian College campus. You are required to unload in Dock 1 which is located between the Founders Building (B) and the Student Life Centre (J). Please refer to the map which will be provided to you once the Vendor schedule for loading and unloading is confirmed with you. 3. Closing time for the Pow Wow will be 9:00pm Page 5 of 6
Set-Up Policies 1. Registered Vendors will be given three (3) tables (6 feet by 2 feet in the formation of a U with 2-4 chairs). 2. Due to fire regulations tables shall not be reformed and or moved. 3. Vendors will abide by all the Vendor agreements outlined in this application. 4. All display signs and product display, require to be done in a creative, attractive and professional manner. 5. No change is available. You are responsible for handling your own starting cash and change. 6. Vendors are required to bring all necessary materials for displaying and storing their products within their booth.
