2 Adhesives and Securing Materials There are things you cannot use on the carpet or floor. These are the ACCEPTABLE ADHESIVES: Shurtape # PC618 cloth tape or Renfrew double backed tape. Both may be used to secure carpeting and other floor coverings. Vinyl double backed tape, commonly used to secure floor coverings is NOT permitted for use in the facility. ALL other masking tapes, clear tapes, packaging tape, duct tape are PROHIBITED from use in MTCC. Please note that cleaning and removal of non approved adhesives on MTCC Property by MTCC staff will be charged to your company. You may not: Drill holes, insert nails, screws, hooks or push pins or attach anything including promotional materials decals or such to any MTCC PROPERTY without written approval by MTCC. Please request permission from Show Management. Alcohol Food and Beverage sampling is permitted; however you must provide details of what you plan to serve and obtain permission from Show Management. Any alcoholic beverage may be served as a free sample only. Regulations allow for: 1 ounce for liquors or liqueurs, 2 ounces for wine, 3 ounces for beer Food Samples must be toothpick size or less Animals Animals or pets, with the exception of Seeing Eye dogs, are not permitted in the MTCC except as an approved exhibit, activity or performance legitimately requiring use of animals. Balloons Due to the complexities and costs involved in retrieving balloons, helium filled balloons or other filled inflatables are permitted only with written approval. Please obtain a BALLOON DEPOSIT FORM through MTCC. Banner Hanging Eyebolt hangers are available in the ceiling to hang signs, etc. If you require suspended signage, you must deal directly with Show Tech, the exclusive rigging supplier at the MTCC. Please use the Electrical and Rigging order form included in the manual. Exhibitors are not permitted to rig signage from the ceiling themselves. Each exhibitor is responsible for the costs involved in the hanging and the breakdown of the signs, scissor lifts, manpower etc. There are weight and location restrictions that apply.
3 Best Booth Awards There will be awards given out for the Best Booth. Judging will be based on how good the booth looks and how creative the design is. Awards will be presented to the Best Booth and the runners up. The awards are being given out in order to encourage exhibitors to make their booth as attractive as possible. Awards will be presented at 5:00 PM on March 29th on the trade show floor stage. Booth Security It is the responsibility of each exhibitor to assign a representative to protect your booth and property while it is at CSE. Show Management will provide overnight security for the event. If you require additional security, contact [email protected]. Booth Specifications The rental of the exhibit space for CSE EXPO12 provides you with the following: Black Booth draping (3 side and 8 back walls), venue is carpeted with a neutral color carpet Booth space is 10 x 10 unless otherwise specified on your contact. Booths will be separated by an 8 black high drape at the rear and 36 black color drape on the sides. Name badges 6 per standard booth. Listing in CSE Official Show Guide. LIST OF ATTENDEES IS NOT RELEASED FOR BASIC EXHIBIT PACKAGES AND IS ONLY PROVIDED TO ULTIMATE PARTNER EXHIBITORS. PLEASE ACCESS LEAD RETRIEVAL FOR A LIST OF GUESTS WHO VISIT YOUR BOOTH. Specific height restrictions for exhibits have been established. Exhibitors are not encouraged to design booths which may be obtrusive to other exhibitors and Show Management reserves the right to restrict the height of such exhibits. If you are planning an exhibit over 8 in height, you must mask the back of the booth and obtain approval from Show Management. Cooking Restrictions If you plan on serving and/or preparing food in your booth during the Expo, please read the rules and regulations of the MTCC. This form is available online through the MTCC at
4 Electrical Each exhibitor is responsible for ordering your own power from Show Tech, the exclusive electrical supplier of the MTCC. Forms are provided online in the exhibit manual section. Please pre order your outlets prior to the event to avoid any complications during set up. Exhibit Restrictions Show Management reserves the right to restrict exhibits that, because of noise or any other reason, become objectionable, with just cause. Show Management reserves the right to close, without indemnity, the exhibit of any person or exhibitor who refuses, after notice, to conform to the rules and regulations set out by Show Management and MTCC. Karaoke and audio equipment exhibitors are reminded that their volume level must be reasonable so that they do not interfere with their fellow exhibitors. Professional karaoke demonstrators are highly recommended. First Aid CSE staff can assist you with any medical emergencies and can also contact First Aid for you; simply go to the registration counter in the main lobby. Floor Management The On Site Show Office will be located behind the registration area. If you need to speak to someone in charge or need assistance please go to the show office or the registration desk in the foyer of the Convention Center. On site questions or concerns should be directed to Show Management. Furniture and Accessories All furniture rentals and display products required for use in your booth can be ordered through Absolute Tent and Event Services OR you may bring you own. Booth furniture rental forms are included in the form section of this exhibitor manual. Indemnification By exhibiting in CSE EXPO12, you agree to pay all costs and fees arising from the use of patented, trademarked, copy written or franchised materials, devices, processes, music, dramatic and other rights used in connection with the EXPO and shall indemnify and save the MTCC and Canadianspecialevents.com harmless from any and all claims, damages costs or expenses including legal fees suffered or incurred by MTCC or canadianspecialevents.com in connection with their participation in the CSE EXPO12.
5 Insurance VERY IMPORTANT INFORMATION PLEASE READ CAREFULLY As an exhibitor in a trade show you must maintain general insurance coverage against all risks of bodily harm, death and material loss or damage occurring in rented areas or derived from such areas. Service contractors insurance: In order to protect the Metro Toronto Convention Centre (MTCC) clients, guests, staff and facilities, it is MTCC policy that: MTCC and canadianspecialevents.com are to be named as an additional insured on this coverage for all exhibitors and their contractors working inside the facility. Coverage must include a cross liability clause. Exhibitors using unofficial suppliers are responsible for ensuring that such suppliers meet MTCC insurance requirements. Submit copies of adequate insurance no later than 15 days before CSE EXPO12. Internet Hookup If you would like internet access or a telephone line in your booth during set up and show days please download the appropriate forms from the MTCC website at Lost & Found MTCC Security will handle Lost & Found. If you find a lost item please bring it to the registration counter on the convention level and show staff will take it to MTCC security. Move In and Set up IF YOU HAVE SPECIAL MOVE IN REQUIREMENTS OR REQUIRE THE USE OF THE LOADING DOCK TO MOVE IN, YOU MUST RESERVE A MOVE IN TIME. Move in will take place though the East Loading Dock. All exhibitors who are using the loading dock must first report to the Vehicle marshalling Yard, located at 11/120 Cherry Street (off Lake Shore Blvd. For your convenience, we have included a map with driving directions to share with your move in team. (see next page). We have a scheduled move in (move in times are to be reserved in advance). Please make sure you request a time unless you can hand carry your exhibit materials from your car in the MTCC parking garage, in which case you don t need to reserve.
6 DIRECTIONS TO MTCC NORTH BUILDING, EAST LOADING DOCK & WEST FREIGHT ELEVATOR 1. Head north on Cherry St. (toward Lakeshore Blvd.) 2. Slight left onto Lake Shore Blvd. 3. Turn right onto Lower Simcoe St. 4. Turn left toward MTCC Internal St. Entrance to the East Loading Dock will be immediately to your left.
7 Please read the following information regarding move in and set up, as you may need to make arrangements with the convention center to have equipment available for you to use. Show Management does not provide crew for materials handling. If you have any large pieces that need to be moved and you need assistance or if you require a forklift for move in and move out, contact MTCC Show Services and arrangements will be made for you. Please bring your own dollies, carts, etc. These are not provided by MTCC. MTCC restricts use of any motorized equipment. If you cannot push or pull it, you may not use it. During move in/out, exhibits halls, loading dock areas and back of the house service areas are considered hazardous work areas. As such, there shall be absolutely no alcohol consumed no horseplay and in general, any and all unsafe conditions or activities are to be corrected promptly. Move in times using the loading docks are done on a schedule. If you do require staffing for move in or for manning your booth, Nasco Staffing Solutions (our official staffing supplier) can help you out. Contact Alex Bickers at [email protected] or to discuss your staffing requirements No parking is allowed in the loading areas. Once you have unloaded your vehicle please remove it from the loading area to permanent parking (see parking). Move Out Move out will take place on March 29th at 6:00 PM. The Expo ends at 6:00 PM. Move out begins immediately following the show closing. All materials etc. must move out during this time. Please do not begin moving your materials out before 6:00 PM. Many people who attend CSE are at work during the day and they come to the show after work. The same rules apply as with move in procedures for security, material handling and vehicle access. MTCC has requested that Show Services assist any remaining exhibitors beginning at 10:00 PM. We encourage you to tear down as quickly as possible. On Site Storage On site storage is available but is limited and not secure so please make arrangements to store expensive cases off site or in your booth. It is advised to make arrangements to store your larger items off site. Parking Onsite parking is available through the MTCC indoor parking facility. 8 Payments Any exhibitor with outstanding exhibit fees on show day will not be permitted to set up until payment arrangements have been made. Responsibility for Loss CSE EXPO12, canadianspecialevents.com, National Event Marketing Group Inc. and/or the Metro Toronto Convention Centre (MTCC) shall not be responsible for injury, loss or damage to persons, goods, equipment or decorations, caused by accident, loss or any other cause during move in and move out preparations or during show hours, while in the Metro Toronto Convention Centre or while transporting goods. In the event that the CSE EXPO12 is canceled or is not held by reasons of acts of God, strikes, lockouts or other labor or industrial disturbances, interruptions by government or court order, future valid orders of any regulatory body having jurisdiction, acts of the public enemy, wars, riots, failure or inability to secure materials or labor, fire, lightening, tempest, flood, explosion and/or other cause beyond the control of canadianspecialevents.com, then canadianspecialevents.com shall be in no way whatsoever liable to the Exhibitor other than to return to the Exhibitor without interest such sums if any as have been paid to canadianspecialevents.com as a deposit or advance in connection with the said CSE EXPO12 less any legitimate expenses on a pro rated basis of costs involved in advance preparation of facilities, services, and /or promotion and publicity directly related to the CSE EXPO12. Security CSE EXPO12 has contracted security services. They will be responsible for the coverage of entrances and exits and the general floor area. Exhibitors are responsible for their own booth security and should have their booths attended at all times during move in, move out and show hours. We ask that exhibitors take whatever possible precautions are necessary to protect valuable materials and equipment. Neither Show Management nor the MTCC is responsible for the loss of property of any kind from booth locations or exhibit areas. Signage The official sign supplier for CSE EXPO12 is Skyline Toronto. If you are in need of great signage for your booth, contact Sandra Kennedy at Skyline
9 Staffing Nasco Staffing Solutions is the official staffing company for CSE EXPO12, and is able to assist you with your tradeshow staffing needs this year. Whether it be qualified labourers to set up and tear down your booth, tents or décor, technicians to operate your audio, video or lighting equipment or hosts and hostesses to staff your booth, Nasco Staffing Solutions is a one stop shop for all of your staffing needs!
