IMARDA i360 MANAGING FLEET-WIDE COMPLIANCE Companies who rely on vehicles and mobile assets to operate their business are increasingly looking to fleet management systems to ensure their drivers and vehicles comply with internal and external regulations. Lack of driver and vehicle compliance to legal, industry and internal mandates cost businesses: MONEY: The dollar amount is the most visible cost for organisations when drivers and vehicles do not comply with regulations. Fines, breakdown and repair expenses as well as legal, insurance or settlement fees can be vast. These costs are on top of the revenue lost from customers who have had services delayed or cancelled. TIME: A lack of driver and vehicle compliance results in lost time for management, fleet and administration staff and drivers. Unexpected breakdowns, accidents or incidents result in time consuming tasks like rescheduling missed jobs, re-deploying employees and vehicles to cover these jobs, investigations by management and many other tasks which push back the deadlines for other ongoing and important tasks. RESOURCES: Every minute a vehicle or asset sits inoperable is not only a lost opportunity to be servicing clients, but also incurs the cost of replacement resources being deployed to cover the workload. Likewise, the time taken by staff to undertake the vehicles repairs means other tasks and deadlines have to be delayed. REPUTATION: Company vehicles and drivers are mobile representations of businesses and their brand. Non-compliance with legal and company regulations present a poor view of the business to current and potential clients on the road. Even the strictest code of conduct does not ensure all drivers are compliant 100% of the time, let alone identify faults or areas for improvement. COMPLIANCE ISSUES: Excessive speed is a factor in many road accidents; but how can businesses monitor the speed a driver is travelling at without actually being in the vehicle? Relying on speeding tickets and/or reports from other motorist is an

inefficient method of monitoring how drivers are representing the business on the road. To operate wisely, businesses need to know when drivers are breaching speed regulations as it happens and be able to report on a vehicles speed events on a per vehicle, per trip, per driver basis. Transport industry regulations dictate not only the number of consecutive hours a driver may operate a vehicle, but also the number of breaks that driver is required to take while on shift, how often these breaks must be taken, their duration, and how long the gap between shifts must be. Drivers are required to carry log books at all times but how do businesses ensure that each driver is compliant every minute they are behind the wheel? Furthermore, how do companies reliably demonstrate and report to government officials and road side authorities that drivers are compliant with their daily, weekly and bi-weekly hours of service? When making service level agreements with specific clients it is vital for businesses to be able to ensure that the terms and agreements of the contract are being met by drivers and vehicles. For example, if a client specified they could not receive deliveries between 3-4pm, the business must be able to monitor, guarantee and demonstrate compliance with this agreement.
