Login Login You can login to Web Ninja s Content Management System (CMS) to: Edit your online content Add pages with images, tables, text and links to your pages View customers, orders, reports and specific customer usage information Create and edit discount and promotional coupons Add SEO content including page names, keywords and key phrases Upload new banners to sideshow areas Edit your footer content and contact details How to Login Go to your domain and add /admin to the end. For example www.mydomain.com.au/admin On the login page enter the username and password supplied by Web Ninja. CMS User Guide - Page 2

CMS Layout Once logged in you will see the dashboard. Down the left hand side you will see links to various areas within the CMS including: Customers Orders Coupons Content pages Galleries Image Manager File Manager Menu Manager Software Pages Reports SEO Manager Blocks Layout/ Design Customer Usage On the top right hand side you will see links to: View your site online Help files Logout of the CMS editor In the centre of the page you will see statistics / order overview in graph format for the past 7 days and to the right of this a breakdown of Accounts Created, Number of Logins, Number of Orders Placed, Total Ordered Amount, Previous Week No of Orders, Previous Week Amount Purchased. Customers The very first heading on the left hand side is titled Customers - with the link under this heading being View Customer List. Upon clicking this link you will be able to view your full customer list. At the top of the page the search boxes allow you to search by account number or customer name or email address. To edit a customer details in here you can easily access full details by clicking the pencil icon. You can also delete a customer by clicking the recycle bin to the right of the pencil icon. These icons are used throughout pages in the CMS and perform the same function throughout. Once in the editing area you can see and edit the full details of the customer. Customers can also update their details when they login to the Website / My Account Section. This will update their details in the CMS. You can export a list of all customers current details by clicking Export Customer Data at the bottom of the page. This exports or downloads a CSV file to your computer (which can be opened in Microsoft Excel). This is useful for transferring customer database to your Email Marketing Software. Make sure all the fields you want to export are selected, check any unnecessary fields and click "Export Customers". CMS User Guide - Page 4

Customers Details Once clicking the pencil (or edit) icon you will be taken into view the full details of this customer. The account number, which in most cases is generated from your accounting software upon customer inport* or can be entered manually, is what matches the online client to their account in your accounting software. Please note - some of these fields may not be shown based on your website requirements. * Not all websites / integrations are not set up the same for various reasons. Please check with us if you require this feature. CMS User Guide - Page 5

Orders The next area in the left hand menu in the CMS is the orders area. In here we can search by order number or customer and date range. We can also view orders by status giving you a detailed overview of any currently pending, processed or shipped orders. CMS User Guide - Page 6

Orders When you click on a specific order you can view/print the details for that order including the customer's details, products ordered, order history, change the status of the order and add comments. Orders will automatically be changed from Pending to Processing once a sync is run in most integrations /accounting software applications*. Once again in the CMS the pencil icon will allow you to edit or view and order and the bin icon will delete an order. You can also manually change the order status to Shipped on this screen and this will automatically send the customer a email to notify them of the order status update. This would be beneficial for a company that had a number of people processing orders or in customer service assisting people with confirming their order status or details and this could be done without giving them access to your accounting software. * Not all websites / integrations are not set up the same for various reasons. Coupons Coupons and promotional codes are a great way to offer discounts and keep your customers interested and stock moving. You can set up different coupons with start and end dates to run seasonal promotions. To Add a Coupon: Click the Add New Coupon link in the left hand menu under the Coupons Title. Give the coupon a name, code and description. For example: Name: Easter Promo Code: EASTER25 Description: 25% Off Store-wide for Easter Then specify the coupon type this drop-down allows you to select a Percentage discount, Dollar Discount or Free Shipping. For this example I will set up a 25% off Store wide Easter promotion. So we will select the Percentage Discount. In the Value Field underneath I will I would specify 25. 25 * Not all websites have the coupons module enabled - if you require this feature to be added to your website please contact Web Ninja. Coupons There are other options to limit the products and or categories the coupon can be used on, number of coupons customers can use, dollar values and more. If you start typing a product code, category or customer it will automatically add it as a option you can select from. So if I wanted to have this voucher for the first 100 customers only to purchase from our Easter specials category and allow 1 coupon per customer my coupon would look like the below. Adding/ Editing Content Pages To view a list of the content pages that make up your website simply click on the View Page List directly under the Content heading on the left hand side. You can also add new pages by clicking Add New Page directly underneath. Using the easy online editor you can easily edit content pages to your site. To enter the editing area of an existing page you click View Page List in the left hand menu and then the pencil icon next to the page you wish to edit. You will then be presented with the below editor which allows you to give the page a name, title and add content, images and tables. CMS User Guide - Page 10

Adding/ Editing Content Pages There are a couple of hints when using the editor you should keep in mind: When adding a page name and title make sure it is specific to make it easier for search engines to find you. For instance instead of calling the About Us page - simply About Us give it a more specific name such as About Web Ninja - Building Integrated Ecommerce Websites. Another hint is to be sure to use the Heading 1, Heading 2 and Paragraph styles from the drop down Styles list. These are styles that have been built into a linked CSS (Cascading Style Sheet) to suit your website template and theme. Not only does this mean your website will look consistent throughout but also it is much better for search engines - which read and rate page content in this order. CMS Editor Tool-bar Redo Undo Bold/ Itallic Increase/ Reduce Indent Bullet/ Number content Colour Text Embed Media such as You Tube Movies and Google Maps Allows you to change the size of the font The Formats drop-down allows you to select Heading 1 for titles, Heading 2 for Subtitles etc This then styles the fonts on your website according to your template design/ selection These tools allow you to align your text to the right/ centre/ left etc Create Links and Insert Images Tables Using the table tool you can create and format pages with images next to text giving you more control over the layout of your page. After inserting a table you can change its look by selecting it and then from the table drop-down selecting Table Properties. From here you can select if you would like it to stretch the full width of the page (100%) and give it some padding so as cells have some space between the content you insert. Adding/ Editing Content Pages Links You can also link to different pages, files and sites by highlighting the text or image you want to build a link to and clicking the link tool. It is recommended when linking to a page within your own site to set the target to None - this will mean the link opens in the same window. If you were linking to a different website or a PDF file (uploaded and stored in your file manager) it would be advised to set the target field to New Window. This will ensure the new website or file opens in a new window and your website stays open in a tab behind it. A great way to get used to using the editor is to create a page that is not linked through the menu and test out the editor tools. You can preview the page without it being linked to the site so whist you are learning a dummy page is a great space to do this. When uploading images be sure to try and make them as close as possible to the size they will be on the website. Otherwise uploading huge images and then resizing in the CMS can cause them to slow customers viewing your site down as they will need to download large images in order to view your pages. There are 2 stages to creating a page on your website. The first is creating and editing the page as outlined above. The second is to link it in a menu which we will look at later. Without linking the page through the menu it will not be visible on your website. If you wish to edit or view the HTML code the editor is writing for you simply select View > Source Code from the top menu CMS User Guide - Page 12

Galleries - Slideshows / Banners If your website has a banner or slide show on pages you can also easily upload images and manage these galleries within the CMS. You will be able to access these areas on the site by clicking View Gallery List on the left hand side under the Content heading. To change the images within an existing gallery firstly make the images locally on your PC. Ensure they are the same size as your images in the slide show. Within your gallery list select the items link to view the items within this gallery. This will then show you a list of the images in your gallery. You can add new banners/ images by clicking the Add New Gallery Item underneath the items in the gallery or remove items in the gallery from here. To remove an image click the recycle bin icon. Gallery Image 001 You can also add and edit items in the gallery and add a link to a banner by clicking the pencil icon - this also allows you to add links to banners. CMS User Guide - Page 13

Image Manager The Image Manager is basically a list of all the images used within the content pages, software pages, galleries and block content within your site. You can remove any images you are not using in here. It is a great idea to keep this area clean and tidy as you can use the same image over and over again from your image list when you use the insert image icon within pages. If you have a clean and tidy list this will make using images throughout the site a lot easier and save you uploading images and icons again and again. You can also use the File Manger to upload new files. Files are commonly PDF files and created to be low resolution or web quality before uploading. Once you have uploaded files in here you can link to them using the link Icon and drop-down menu as we have been through in the editing page content page. Please note the drop-down will not show the ability to link to a Website File until you have PDF files uploaded in here. Files up to 2MB can be uploaded through this interface. If you have larger files to upload please contact Web Ninja and we will advise options for you to be able to do so. The file limit is set to ensure files too large or not web optimised are not uploaded as they can potentially slow down customers / users experience on your website. CMS User Guide - Page 14

SEO Manager SEO Manager is located under the content heading on the left hand side. This will allow you to access the pages that make up your site and add page titles, descriptions, keywords - all the things that help your page get indexed by search engines. Pages within the SEO manager are divided up into content pages, software pages, website files etc and you can select the page you want to add these details for from first using the drop-down menu then selecting the page in the list it brings up below. Rather than calling my page something very generic like Home Page I would update my page title to something more relevant that a search engine can index such as - CATS & DOGS ONLINE WAREHOUSE The Biggest & Best Priced Online Pet Products in Australia. I would also ensure to add a specific and unique description and keywords / phrases for this page. Once finished be sure to hit the Save SEO Details button at the bottom of this section. Make the content you add within this page specific and not to repeat the same thing over and over on every page as this will cause it to be ignored by search engines. If you can add unique content in here for every page your site will rank much better on search engines. Please keep in mind that although this will help your site to rank search engines are very competitive and appearing on page one is difficult. A professional SEO package is recommended as it will include important off page SEO such as building back-links, articles and directory submissions, as well as on-page SEO, to rank highly in this competitive environment. Software Pages There are 2 types of pages within the site - Software Pages and Content Pages. Software pages include your home page, checkout, login and as a general rule are any page that has some sort of functionality on it ie. A form, shopping cart etc Software pages usually have an editable area but functionality you cannot edit within them also. You can use these editable areas to add titles and notes to these pages such as on the Contact Us Page you may want to include your address details, phone numbers and a google map above the form that is added to this page. Software pages use the same editor as the Content Pages. Whilst you can edit these pages there is no option to delete these pages as many are needed for your site to function correctly. You can link to these pages directly through the link icon or in the Menu Manager. CMS User Guide - Page 16

Block Content Block content is another area you will be able to edit certain items within. Block content refers to items such as footers, promotional blocks, copyright areas etc. and varies from site to site depending on your template design. To edit an existing block area click the first link directly under the Block Content heading. This will show you the block areas within your site. Usually you can match the block areas by their name to various areas within your site. When opened (click the pencil icon once again to open/ edit an area) they can be edited the same way as a content page is using the built in editor. CMS User Guide - Page 17

Layout/ Design - Menu Management To edit or add an item to a menu click on menu manager on the left hand side under the Design / Layout heading. In here you will see a list of the different menus used throughout your site. To add another item to an existing menu you select the menu and click View Menu Items. Now you will see a list of the links in the menu you selected. To add a menu item click Add Another Menu Item at the bottom of this page. You can change the order of items in the menu simply by dragging them to a different position and clicking the button Save Sort Order. To edit an existing menu item click the pencil icon and to remove the recycle bin icon. CMS User Guide - Page 18

Layout/ Design - Menu Management Once you have added another menu item. You can specify if it is to be on the first tier or have a parent item (drop-down). This also allows you to specify where the menu item links to and who can see this menu item (for example you can restricted to people that only see the page upon login) Within the Link Options are on this page you can select the link type from a drop-down and specify if you want the link to go to a content page, software page, website file or custom link and how it is to open i.e. in a new window, within the same window. Once you select the type of page from the first drop-down box the link drop-down list will populate with the pages you can link to within this are. If you select a custom link you will be prompted to enter the link details ie. http://www.domainname.com.au. For page you are linking to within your site is recommended to open links within the same window. When linking to another site or a website file it is recommended to open in a new window. Once you have finished adding the detail of the new menu item click Update Menu Item at the bottom of the page. CMS User Guide - Page 19

Customer Usage Report Here you can run reports on customers to view their number of logins, last login, the date they signed up and their total order value. By clicking the column name you can sort the order in which this list displays. This is a great marketing tool where you could for example sort the customers by amount ordered and reward your top 10 customers with a discount coupon or send them a thank you note. You could also sort and target people with many logins and low order amounts by enticing them with a offer or offering assistance to place orders online. CMS User Guide - Page 20

Email Content Content goes here Emails that are sent out by your website to customers placing orders online, signing up for an accounting or editing their account can also be customised. Simply click the pencil or edit icon and you will be able to edit the response the system sends out. Online Help Online help can be accessed anytime through the top right Help link in the CMS.
